Frontdesk AI
Frontdesk AI is an agentic AI front office for small and mid-sized businesses. One assistant answers calls, chats, texts and emails around the clock, qualifies leads, books appointments and writes everything into a built-in CRM.
What is Frontdesk AI?
Frontdesk AI is the front-office platform published by AI Front Desk, Inc., a Delaware corporation whose principal place of business is in California and whose team describes itself as headquartered in Soho, New York. The product started in 2023 as an AI phone receptionist, the domain having first been archived on 27 March 2023, and has since grown into what the company calls an AI workforce covering the whole customer journey rather than the switchboard alone.
One assistant works across voice, SMS, WhatsApp, email, web chat and forms. Around it sit an AI phone receptionist, a web chatbot, an email agent, an SMS agent, an AI avatar, website forms, PBX call capture and in-person meeting capture. An intelligence layer adds a native CRM, smart tickets, an AI calendar, smart notifications and reporting dashboards. An automation layer adds outbound calls and texts, multi-step sequences, email drip campaigns and code automations.
What ties them together is what the company calls the brain. Every call, text, email and chat becomes structured data, including intent, timing, sentiment, budget and any field you describe in plain English. That data is held as one memory per customer across channels and used to trigger the next action on its own: a follow-up call, a booking, a CRM update or an escalation to a human when a field changes.
Setup is meant to take minutes. You enter your website address or describe your business, the AI builds the receptionist, and you forward your existing number. When the assistant cannot handle a case, it warm-transfers the caller or sends a real-time alert with the full transcript.
Trust claims include a HIPAA configuration with signed business associate agreements, SOC 2 Type II controls with annual audits, TLS 1.3 in transit and AES-256 at rest, configurable redaction of personal data in transcripts, role-based access, single sign-on and audit logs, plus an option to run the models on your own infrastructure. Verticals are heavily tooled, from multifamily and real estate to retail, therapy practices, healthcare, legal, accounting and automotive, with more than sixty sector pages and dedicated integrations. The company claims over 10,000 business customers, and a white-label programme lets agencies resell the platform under their own brand.
What it does
- Answer every inbound call in under a second, 24 hours a day
- Qualify the caller in natural language: intent, urgency, service area, budget, timing
- Book the appointment live on your calendar and confirm it by text
- Write the whole conversation into the built-in CRM as structured fields
- Live-transfer urgent or VIP callers to the right person on your team
- Run outbound calls and texts for reminders, follow-ups and delinquency chasing
- Trigger automation sequences whenever a customer field changes
When to use Frontdesk AI / When not to
A quick filter to help you decide if Frontdesk AI is the right fit.
When to use Frontdesk AI
- Small and mid-sized businesses with heavy inbound call volume and nobody free to pick up the phone
- Property management and multifamily teams: Samson Properties covers 6,500 agents, St. George Associates supports 600 student tenants
- Clinics and therapy practices (ABA, speech, mental health, dental, veterinary) that need a HIPAA-ready front desk
- Field-service trades such as plumbing, HVAC, electrical, roofing or moving, where the crew is on site rather than at a desk
- Agencies and resellers that want to sell an AI receptionist under their own brand, with Stripe rebilling and client sub-accounts
When not to use Frontdesk AI
- European buyers answering to a DPO: the site never mentions the GDPR, publishes no DPA and designates no Article 27 representative
- Teams that need customer data kept out of model training, since no opt-out is documented anywhere
- Cold outreach operations: the acceptable use policy demands prior express consent or an established business relationship, and bans voice cloning
- Developers looking for a public API, as no documentation is published and API access sits behind the Partner / Enterprise tier
- Anyone who needs a mobile app: no iOS or Android listing is referenced anywhere on the site
How to use Frontdesk AI
A typical end-to-end flow, from setup to results.
- Create an account from the signup page, with no credit card required
- Enter your website address or describe your business, and let the AI build a first receptionist
- Fill the knowledge base with your services, pricing guidance, FAQs and tone of voice
- Forward your existing business number to Frontdesk so callers keep dialling the number they know
- Configure the agent actions: call transfer, text sending, information lookup, writing to another application
- Connect your calendar and CRM through Google Calendar, Outlook, Calendly, HubSpot, Salesforce, Zapier or Make
- Set the escalation rules, approval workflows and notification recipients from the dashboard
- Test the receptionist using the dedicated help centre walkthrough before going live
- Embed the chatbot widget on your website and switch the outbound sequences on
- Track call logs, transcripts and dashboards, then adjust the automation triggers as volume grows
Pros & Cons
Pros
- One assistant across every channel with a single shared customer memory, where most competitors cover one channel
- A CRM is included in every tier rather than sold as an add-on, alongside voice, chat, SMS and automations
- Go-live is claimed in under five minutes, with no developer, and you keep your existing phone number
- No per-seat and no per-call fees, unlimited viewing seats, and overage credits priced transparently at USD 0.01
- A seven-day free trial, an advertised free plan without a credit card, and cancellation at any time with no contract
- An unusually complete white-label reseller offer at this price level, with wholesale rates and Stripe rebilling
- Enterprise-grade security claims, including SOC 2 Type II, HIPAA readiness, SSO, audit logs and PII redaction
Cons
- No GDPR mention anywhere, no data processing agreement and no Article 27 representative: the European compliance file is simply absent
- No documented way to exclude customer data from model training, while the privacy policy states that internal systems are trained and evaluated on de-identified data
- A perpetual, irrevocable and sub-licensable licence is granted to the vendor over AI-generated and user-generated content
- No postal address is published anywhere, neither in the terms nor in the privacy policy, only a contact email
- The site contradicts itself on price: the pricing table opens at USD 20 per month while the receptionist page announces paid plans from USD 99 per month
- The free plan is described in the FAQs but appears in none of the three tiers of the pricing table, and the terms still quote an older per-minute rate
- Entry-tier quotas are tight, with no voice minutes at all, 10 chatbot conversations and 40 texts per month
Pricing & Plans
A free plan is advertised in the site's own FAQ, described as full access to the AI workforce with limited monthly usage and no credit card required, although the pricing table itself lists no free tier. The lowest paid entry point is the Basic plan at USD 20 per month billed monthly, or USD 16 per month on an annual commitment. Business-in-a-Box is priced at USD 99 per month, or USD 79 per month billed annually, and Partner / Enterprise pricing is quoted individually. Both paid plans open with a seven-day free trial. Usage beyond the included allowance is drawn from overage credits priced at USD 0.01 each, with automatic top-up at USD 10 for 1,000 credits.

Data, GDPR & hosting
A consolidated view of how Frontdesk AI handles your data.
GDPR overview
There is no GDPR implementation to report. Across the eleven pages archived, homepage, terms, privacy policy and acceptable use policy included, the words GDPR, General Data Protection, Article 27 and data protection officer do not appear once, HTML source included. The privacy policy, effective 1 January 2024, is written for the United States: it details California rights only, is governed by California law and sends disputes to California courts. It states that the services are operated from the United States and that using them from abroad means accepting processing there. Access, deletion and marketing opt-out are offered to everyone, but through a single generic address, contact@myaifrontdesk.com. No EU representative is designated, no data processing agreement is published and no standard contractual clauses are mentioned. A European buyer should treat the compliance file as something still to be negotiated.
Who owns the data?
Under the terms, you keep every right to the data you supply, while AI Front Desk, Inc. keeps every right to the platform and the technology behind it. Ownership of AI-generated content stays with you, but you grant the company a non-exclusive, worldwide, royalty-free, perpetual and irrevocable licence to use, reproduce, modify and otherwise exploit that content in order to improve the platform. User-generated content, such as the custom receptionists and agents you build, carries a comparable and sub-licensable licence. The company may also collect, generate and use your usage data to improve its services, and may share aggregated or de-identified data. It states that it does not sell personal information for monetary consideration.
Reuse rights
Reuse runs in your favour on the output side. You own the AI-generated content produced through your account, so transcripts, call summaries, structured fields and CRM records can be exported, analysed and reused in your own systems without asking permission. The restrictions run the other way: you may not use that output unlawfully, in breach of third-party rights or for discriminatory purposes, you are told to review it before relying on it since no warranty covers its accuracy, and you may not use the service to build a competing product. On the vendor side the licence is broad. Usage data feeds service improvement, and the privacy policy states that data in aggregated or de-identified form is used to analyse trends, improve features, develop new products and train and evaluate internal systems. No mechanism is documented for excluding your data from that use.
Data retention & training
Hosting summary
The privacy policy states that the services are operated from the United States and that information is processed and stored there, as well as in other jurisdictions where the vendor or its service providers operate. Accessing the services from outside the United States is presented as acceptance of that arrangement. US-based data residency is advertised as available on enterprise plans, which implies it is not guaranteed on the standard tiers, and no European region is offered. The homepage also mentions an option to run the models on your own infrastructure, in which case conversation data need not leave your environment. Encryption is claimed as TLS 1.3 in transit and AES-256 at rest, with configurable redaction of personal data in transcripts and recordings. Named third-party providers include Google Analytics, Cloudflare, Segment, Mixpanel and PostHog for analytics and monitoring, and GitHub for infrastructure. The site's own IP address resolves in the United States, on an anycast node of an Amazon autonomous system.
Things to keep in mind
Risks and trade-offs to weigh before adopting Frontdesk AI.
- The licence you grant over AI-generated and user-generated content is perpetual, irrevocable and sub-licensable, which is far broader than most buyers expect from a phone assistant
- No opt-out exists for keeping your customer conversations out of model training and evaluation
- The vendor reserves the right to monitor outbound sequences, including call content, transcripts, recipient lists and message bodies
- Full responsibility for telephone compliance, including TCPA, TSR, CAN-SPAM and Do Not Call obligations, is pushed onto you, and the vendor states it maintains no central DNC list on your behalf
- Sequences can be paused, throttled or disabled without notice and without compensation, which matters if outbound calling carries your revenue
- Usage fees can change at any time, refunds are not granted as a rule, and disputes go to binding arbitration in California
- Letting an assistant answer, qualify and reply on every channel makes it easy to stop listening to customers directly, and the vendor gives no warranty on the accuracy of what the AI says
Setup & Integrations
Technical difficulty
Low. The assistant builds itself from your website address or a short description of your business, and the vendor announces a go-live in under five minutes with no engineers involved. The only genuinely technical step is forwarding your existing number at your telephone provider, plus embedding the chatbot widget on your site. A first-party help centre covers setup, testing and website widgets. Deeper work only appears at the top of the range: API access, custom integrations and configurable retention belong to the Partner / Enterprise tier, which comes with guided onboarding.

Should you pick Frontdesk AI?
Frontdesk AI addresses a problem small businesses actually recognise: the phone rings and nobody can pick it up. Its answer is unusually complete for the price. A single assistant covers voice, chat, text and email, a native CRM comes with every tier, appointments are booked live during the call, and outbound sequences fire on their own when a customer field changes. Vertical tooling is genuinely deep, with dedicated connectors for property management, therapy practices, retail and more, and the white-label reseller programme is rare at this level. Customer stories are named and quantified rather than anonymous.
The reservations are real, and they are mostly contractual. There is no GDPR position at all: no mention of the regulation, no data processing agreement, no European representative, and processing happens in the United States. The terms grant the vendor a perpetual, irrevocable licence over generated content, and nothing lets you keep your data out of internal model training. No postal address is published anywhere, so any due diligence has to start from the Delaware register.
The site is also inconsistent with itself. The pricing table opens at USD 20 per month while the receptionist page announces paid plans from USD 99. A free plan is described in the FAQs yet appears in none of the three tiers. The terms still quote a per-minute rate that the credit-based pricing grid has replaced. None of this is disqualifying, but it means the commercial terms deserve to be confirmed in writing before signature.
For a United States small business drowning in missed calls, this is a strong and affordable candidate. For a European organisation with a data protection officer, the compliance file is not merely thin: it is absent, and would have to be built from scratch with the vendor.
