Kangaroo Files

Kangaroo Files is a Portuguese SaaS platform for accounting firms. It combines a branded client portal, a digital tax archive built for Decreto-Lei n.º 28/2019 and an AI agent that drafts complete accounting entries for the accountant to validate.

Overview

What is Kangaroo Files?

Kangaroo Files is a Portuguese SaaS platform for accounting firms that bundles three things practices normally buy separately: an Área de Cliente (client portal), an Arquivo Digital Fiscal (digital tax archive) and an AI agent that drafts accounting entries. The homepage line Digitalize o presente, garanta o futuro carries the commercial argument: the portal is as much a client-retention tool for the firm as a document channel.

Documents arrive through several routes — the portal, an email sent or forwarded in, WhatsApp, or batch scanning — and clients never have to rename a file. The agent reads each document, interprets it, files it in the right journal and prepares the full accounting entry, ready to post into Cegid Primavera. The homepage shows the output: 31113 Mercadorias 100.00 EUR debit, 2432 IVA Dedutível 23.00 EUR debit, 22110052 Fornecedor A 123.00 EUR credit. Two claims set it apart. It reads line by line instead of depending on the QR code carried by Portuguese invoices, so invoices without a QR code and foreign invoices can still be processed. And it is positioned above both classic OCR and rule-based automation: it is said to read accounting context — a fixed asset buried among goods, several kinds of expense inside one invoice — and to learn from the accountant's corrections until it matches the firm's conventions. The AI proposes, the accountant validates.

The Arquivo Digital Fiscal is built around Decreto-Lei n.º 28/2019, the Portuguese decree on invoicing and archiving, covering reliability, traceability, security and SAF-T (PT), so paper originals can be destroyed once the legal conditions are met. It reconciles automatically against eFatura, the Autoridade Tributária's invoice portal, and emails clients to chase what is missing. The Área de Cliente gives each client 24/7 access with individual credentials, organised folders, direct upload, firm-defined permissions, the firm's colours and annotations.

Security claims cover encryption applied locally before storage, an end-to-end encrypted Cofre, two-factor authentication, granular access control and redundant backups. A public REST API (v1.0.0, OAuth) lets the archive sit inside an ERP. The About page claims more than 300 companies served. Commercially: three plans, one archive add-on and a Prestige tier on quotation.

What it does

  • Generate a complete accounting entry from an invoice, line by line, ready to post into Cegid Primavera
  • Collect client documents through the platform, by email or via WhatsApp, with no file renaming needed
  • Classify each incoming document automatically into the right journal
  • Reconcile automatically with eFatura, the Autoridade Tributária's portal, and email the client about missing documents
  • Archive documents in a digital tax archive built for Decreto-Lei n.º 28/2019 and SAF-T (PT)
  • Detect duplicates and validate Portuguese tax numbers (NIF)
  • Retrieve any document by amount, date, NIF, supplier or invoice line content
Audience

When to use Kangaroo Files / When not to

A quick filter to help you decide if Kangaroo Files is the right fit.

When to use Kangaroo Files

  • Portuguese accounting practices and certified accountants, the audience the product is explicitly built for, with compliance anchored on Decreto-Lei n.º 28/2019 and reconciliation against the Autoridade Tributária
  • Small firms, where the vendor's own argument lands hardest: the smaller the team, the bigger the impact of the hours saved on document handling
  • Large, high-volume practices that need to standardise how every member of staff files documents and to cut the time spent searching for a single invoice
  • Firms running Cegid Primavera, the one ERP named as an existing integration, whose entries arrive ready to post
  • Practices buried under client paperwork arriving by email, and those wanting to retire the paper archive without losing compliance

When not to use Kangaroo Files

  • Businesses outside Portugal: the value sits on Decreto-Lei n.º 28/2019, eFatura and the Autoridade Tributária, and no localised version for another tax regime is announced
  • Teams that cannot work in Portuguese, since the site, the product pages and the documentation are Portuguese only in the sources reviewed
  • Firms hoping to replace their accounting software: Kangaroo Files is a layer on top of an existing ERP, not a substitute for it
  • Anyone expecting bookkeeping without a bookkeeper. The FAQ is blunt: O Kangaroo não substitui o contabilista. Validation, supervision and technical responsibility stay with the accountant
  • Practices on an ERP other than Cegid Primavera that need guaranteed automatic posting from day one, since every other connection depends on the ERP, its version and a case-by-case technical review

How to use Kangaroo Files

A typical end-to-end flow, from setup to results.

  1. Book the free 20-minute demo through the demo form, giving your name, email, company, phone and the ERP you currently use
  2. Or open an account directly on the accountant portal and start on the permanent Free plan — nothing to install
  3. Set up the firm's document structure, its permissions and what each client is allowed to see
  4. Issue individual credentials so every client gets their own Área de Cliente
  5. Let clients send their paperwork through the portal, by email, by forwarding an email, via WhatsApp or from a scanner, without renaming anything
  6. Leave the AI agent to classify each document and prepare the accounting entry
  7. Check and validate the classification, accounts, taxes and treatment before integrating or exporting to your ERP — no ERP change is required
  8. Use the eFatura reconciliation and the automatic reminder emails to chase the documents clients have not sent
  9. Find any document later by amount, date, NIF, supplier or invoice line content
  10. For developers: generate an API key in the account settings and call the REST endpoints with OAuth — the site advertises a first call in 10 minutes

Pros & Cons

Pros

  • Three needs met in one platform — client portal, tax archive and AI posting — instead of three separate subscriptions
  • Line-by-line reading with no dependency on the invoice QR code, so QR-less and foreign invoices are still handled
  • Compliance stated explicitly against Decreto-Lei n.º 28/2019 and SAF-T (PT), with automatic eFatura reconciliation that chases clients for missing documents
  • European hosting duplicated across France and Germany, with the FAQ describing the AI in use as European technology
  • Local encryption plus an end-to-end encrypted Cofre, where the publisher states it cannot itself read the files it holds
  • No ERP migration imposed, and a documented public API to embed the archive in an existing system
  • Low commercial friction: a permanent free plan, published prices with explicit quotas, a 30-day guarantee on paid plans, a 14-day full-refund withdrawal right and at least 30 days' notice before any price rise

Cons

  • Website, interface and documentation are in Portuguese only in the sources reviewed
  • Built for the Portuguese tax framework: outside Portugal, Decreto-Lei n.º 28/2019, eFatura and the Autoridade Tributária no longer apply and most of the value falls away
  • The Free plan excludes the AI and caps you at 1 employee, 3 clients and 2 GB, so the real entry point is a firm 59.90 EUR per month, with VAT on top
  • Only Cegid Primavera is named as an existing integration; the others podem variar por ERP, versão e contexto técnico and must be confirmed technically, case by case
  • No data processing agreement is published and no DPO is named
  • No documented way to keep your data out of model training, and a subprocessor list that is illustrative rather than exhaustive (“ex.: Heroku/Salesforce”, “ex.: Lemon Squeezy”)
  • No mobile app, no quantified retention period, no published security certification (no SOC 2, no ISO 27001), and the About page's “+300 companies” figure is unsourced

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how Kangaroo Files handles your data.

GDPR overview

GDPR implementation is documented and specific, though not certified. The privacy policy states it was drafted in accordance with Regulation (EU) 2016/679 and Portugal's Lei n.º 58/2019 of 8 August; the cookie policy adds Lei 41/2004 on electronic communications. Kangaroo Files, Lda (NIPC 517811278), based in Braga, is named as controller. Data subject rights are listed in full: access, rectification, erasure, restriction, objection and portability, exercised at kangaroo@kangaroofiles.com, which is also the contact for any data protection question. Advertising cookies run only on prior consent. The publisher qualifies its own claim: full GDPR compliance also depends on how the client firm configures access, manages permissions and applies its internal procedures. Established in the EU, it needs no Article 27 representative. No DPO is named and no data processing agreement is published in the sources reviewed. The minimum age is 16.

Who owns the data?

Article 2 of the terms is explicit: you keep all rights and duties over the content of the files you upload or share, and Kangaroo Files claims no ownership of them. You grant the publisher only a narrow permission: encrypt your files, store them with its partners inside the European area, and transmit them as far as the subscribed service requires. Kangaroo Files, Lda (NIPC 517811278) is the declared data controller. Documents are encrypted locally before storage and the Cofre is end-to-end encrypted, so that, in the vendor's words, not even Kangaroo can read the files in its custody. An abandoned Premium account has all its files and connections deleted (terms, art. 10).

Reuse rights

Because you retain every right over the files you upload, you can consult, export, reuse and share your own documents without asking the publisher's permission. On its own side, Kangaroo Files collects a contact name and email address, the company name, NIF and billing details, plus technical data such as IP address, browser and access logs. It uses them to create and run the account, allow secure access, take payment and issue invoices, meet its legal obligations and improve the platform and its security. Data is shared with infrastructure providers (Heroku and Salesforce are given as the example), with the payment provider Lemon Squeezy, and — only after prior consent — with Meta and Google, which receive pseudonymised identifiers such as hashed email addresses and phone numbers and click identifiers, for campaign measurement, optimisation and conversion reporting. Cookies follow the same rule: Google Analytics, the Facebook Pixel with Meta's Conversions API and Google Ads conversion tracking fire only with consent. Billing and payment data may be transferred to the United States through Lemon Squeezy, under what the policy calls adequate security measures. Document processing itself stays in Europe: Os dados tratados no Kangaroo são mantidos em ambiente europeu, sem transferência para fora da Europa para efeitos de tratamento documental. Nothing in the sources says whether client documents are used to train models; the FAQ states only that the agent learns from the accountant's corrections and that the AI in use is European technology.

Data retention & training

Retention summary
No retention period is quantified. The privacy policy (art. 8) says only that data is kept for as long as necessary to fulfil the purposes it was collected for, or for as long as applicable legal obligations require. Two deletion triggers are documented in the terms: an abandoned Premium account — unpaid and not brought back under its limits after warnings — has all its files and connections deleted (art. 10), and a downgrade gives you 30 free days to reduce your resources before that applies. If the service is discontinued, art. 17 promises at least 30 days' notice to export your content plus a pro-rata refund. The right to erasure is exercised at kangaroo@kangaroofiles.com. Documents held in the Arquivo Digital Fiscal remain subject to the statutory retention periods of Decreto-Lei n.º 28/2019. The policy took effect on 03/08/2026. No anonymisation practice is described.

Hosting summary

Client documents are stored on servers inside the European Union with redundancy across two countries, and the FAQ names them: servers duplicated in France and Germany. The terms (art. 2) state that files are held in the cloud with the publisher's partners dentro do espaço europeu, and the FAQ adds that data processed in Kangaroo stays in a European environment, with no transfer outside Europe for document processing purposes. The AI in use is described as European technology. One exception is disclosed: billing and payment data may be transferred to the United States through the payment provider Lemon Squeezy. The infrastructure provider cited as an example is Heroku/Salesforce. Documents are encrypted locally before storage, the Cofre area is end-to-end encrypted and backups are duplicated across several servers. One technical caveat: the marketing website itself resolves to an anycast CDN address (76.76.21.21, AS16509, Amazon), which is why the registrar server country reads United States — that says nothing about where client documents are stored. No hosting certification is published.

Things to keep in mind

Risks and trade-offs to weigh before adopting Kangaroo Files.

  • No data processing agreement is published and none is announced as available on request — a real gap if your firm needs one to cover its own clients' data
  • The subprocessor list is illustrative rather than exhaustive (“ex.: Heroku/Salesforce”, “ex.: Lemon Squeezy”), so you cannot map every party that touches your data before signing; billing data may also leave the EU for the United States through Lemon Squeezy
  • There is no documented way to exclude your data from model training; the publisher states only that the agent learns from the accountant's corrections
  • Retention is stated as “the period necessary” with no figure attached, and no security certification (SOC 2, ISO 27001) is published
  • GDPR compliance is explicitly conditioned on how your firm configures access and permissions — a share of the responsibility comes straight back to you
  • Automation invites complacency: entries drafted by the AI still need a real review, and the vendor itself keeps validation and technical responsibility with the accountant. A firm that stops checking is trading a compliance risk for a convenience
  • Read the small print before budgeting: VAT is added to all displayed prices, the Free plan has no AI at all, ERP connections other than Cegid Primavera are not guaranteed, and the domain was registered in April 2023 while the first archived captures date from 2011, so the company creation date shown here is unreliable
Setup

Setup & Integrations

Technical difficulty

Low for the firm, moderate only where the ERP is involved. Sign-up is online, the Free plan opens immediately, nothing to install. The work is configuration: the firm defines its document structure, permissions and client access, then issues individual credentials. Clients need no training — they send documents without renaming them, and no ERP change is required. The one technical variable is the ERP connection: available and named for Cegid Primavera, every other case analysed technically. Developers generate an API key in account settings and call REST endpoints over OAuth. A guided 20-minute demo is offered beforehand.

FAQ

Frequently asked questions

What is Kangaroo Files?
A Portuguese platform for accounting firms that combines three things in one product: an Área de Cliente (client portal), an Arquivo Digital Fiscal (digital tax archive) and automatic accounting entries produced by an AI agent.
Does it replace the accountant?
No. The FAQ states it plainly — O Kangaroo não substitui o contabilista. The AI analyses and proposes; validation, supervision and technical responsibility remain with the accountant.
Do I have to change my accounting software?
No. Kangaroo Files complements the ERP you already use rather than replacing it. Cegid Primavera is named as an existing integration; other connections depend on the ERP, its version and the technical context, and must be reviewed case by case.
How do clients send their documents?
Through their Área de Cliente, by email, by forwarding an email, via WhatsApp or from a scanner — and without having to rename the files.
Does it depend on the invoice QR code?
No. The agent reads the content and the individual lines of the document, which is why invoices without a QR code and foreign invoices can also be processed.
Can I destroy my paper documents?
Yes, once the legal conditions are met: compliant digitisation, integrity of the archive and legibility. For purchase invoices, only after the accounting entry has been recorded and the right to deduct VAT has been exercised, in line with Decreto-Lei n.º 28/2019.
Is there eFatura reconciliation?
Yes. The platform compares your documents automatically with the invoices held in the Autoridade Tributária's eFatura portal and sends the client an automatic reminder for whatever is missing.
Where is the data hosted?
In a European environment, on redundant infrastructure spread over two countries: the FAQ names servers duplicated in France and Germany. Billing and payment data may be transferred to the United States through Lemon Squeezy.
How much does it cost, and can I cancel?
Free at 0 EUR, Standard at 59.90 EUR per month, Premium at 119.90 EUR per month and an archive add-on at 10 EUR per month, all excluding VAT. You can cancel at any time without penalty, with a 14-day withdrawal right and a full refund, and a 30-day guarantee is shown on the paid plans.
Is there an API or a mobile app?
There is a public API: version 1.0.0, REST endpoints, an API key generated in your account and OAuth authentication. There is no mobile app in the sources reviewed — the product is declared as a web application.
Conclusion

Should you pick Kangaroo Files?

Kangaroo Files is a narrow product done thoroughly. Within its perimeter — Portuguese accounting firms — it covers three needs at once: a branded client portal, a tax archive built for Decreto-Lei n.º 28/2019 and SAF-T (PT), and an AI agent that turns an incoming invoice into a complete accounting entry ready to post. The reading is done line by line rather than through the Portuguese invoice QR code, which means invoices without a QR code and foreign invoices remain in scope. Automatic reconciliation with the Autoridade Tributária's eFatura portal, with reminder emails to clients who have not sent everything, is the kind of feature that only a vendor working close to one tax administration builds. Hosting is European and duplicated across France and Germany, documents are encrypted locally before storage and the Cofre is end-to-end encrypted, with the publisher stating it cannot read the files it holds. A permanent free plan lets you look around, though without the AI.

The reservations are the mirror image of the strengths. Everything — site, interface, documentation — is in Portuguese, and outside Portugal the regulatory value largely evaporates. There is no mobile app. No data processing agreement is published, no DPO is named, no opt-out from model training is documented and retention is described only as the period necessary. ERP integrations beyond Cegid Primavera are not guaranteed and must be validated technically before you commit. The paid entry point is 59.90 EUR per month excluding VAT.

For a Portuguese practice, particularly a small one that wants to retire its paper archive and stop chasing clients by email, this is a serious, well-priced option — provided the ERP connection is confirmed first, and provided the accountant keeps validating what the AI proposes.
