tucan.ai
tucan.ai is a German AI platform for meeting minutes and document analysis. It transcribes and summarizes conversations, then analyzes contracts and files with cited sources, for enterprises, legal teams, researchers and public bodies, with processing kept in Germany.
What is tucan.ai?
tucan.ai is an AI platform for meeting documentation and document analysis, published by Tucan Systeme GmbH & Co. KG in Berlin and originally launched in 2019 under the earlier entity Tucan.ai GmbH. The site presents it as smart knowledge management – made in Germany, applied to the two places where company knowledge accumulates: conversations and documents.
The meeting side works through a bot. Invited into Microsoft Teams, Zoom, Google Meet, Webex, Jitsi or BigBlueButton, it joins the call and returns, for every conversation, the audio file, an accurate transcript and an automatic summary. The summary can be tailored to the type of meeting, and the bot can carry the customer's own branding. A video conferencing tool is not required: an audio or video file can simply be uploaded, which covers offline and in-person meetings too.
The analysis side goes beyond a single call. Meetings and files can be grouped together, databases can be connected through the API, and predefined or custom analysis templates can be applied before the material is queried in natural language. Every answer is returned with a precise indication of the source it came from, which is the traceability argument the publisher leans on for regulated work. Five verticals are documented around this single product: enterprises, legal (contract analysis, due diligence), research (qualitative interviews), public administration (session minutes, subtitling) and construction (site documents, planned-versus-actual comparison). A companion product, a bird by tucan, offers reversible PDF pseudonymization and is presented on a German-language page only.
The differentiator is where the data lives. Hosting runs on Hetzner Online GmbH in Nuremberg and Falkenstein, AWS is available as an on-request variant, and private cloud or on-premise deployments are offered. Interfaces exist in English and German. The homepage names customers including Axel Springer, BWI, docutools, GIM, Kantar, Lefebvre Sarrut, Porsche, Psyma, Ravensburger, RTL, Stollfuss and Telefonica, and the company has run an R&D project funded by Berlin's IBB under the Pro FIT program with ERDF co-financing. The stated limit is the audience: the offer is aimed primarily at companies, and no price is published anywhere.
What it does
- Record and automatically transcribe a meeting by inviting the Tucan bot into the call
- Generate an automatic summary adapted to the type of meeting, from stand-up to board or sales review
- Analyze several meetings and files at once using predefined or custom analysis templates
- Review contracts and documents, with the precise source indicated for every answer
- Produce session minutes, live transcription and subtitles for public bodies
- Connect databases through the API and question them in natural language
- Set who may access what, and have the recording deleted automatically once the summary is ready

Pros & Cons
Pros
- Data processed exclusively in Germany in the standard setup, on a named German hosting provider
- On-premise and private cloud genuinely offered, not merely mentioned
- Every answer is returned with the source it was drawn from
- Broad video conferencing coverage, including the sovereign Jitsi and BigBlueButton stacks
- Documented verticals for legal, research, public administration and construction
- Customers keep ownership of their content and can delete it at any time
- Named customer references on the homepage and subprocessors listed in the privacy policy
Cons
- No public pricing: no pricing page and no amount anywhere across the 32 pages of the sitemap
- No public API documentation, although the API is used as a commercial argument
- Model training on customer data is never addressed, neither confirmed nor excluded
- Interface limited to English and German, and no mobile application on either store
- No certification in the publisher's own name: the ISO 27001 cited covers the hosting provider's data centers
- The footer and structured data still name tucan.ai GmbH, an entity in liquidation since 29/09/2025, and the Terms of Service carry a different address from the imprint
- Continued use after a trial without a written agreement is billed at double the agreed monthly price
Pricing & Plans
No permanent free plan is advertised and no price point is published, so no entry price can be stated: the website has no pricing page — the full 32-page sitemap contains none — and no amount or currency appears anywhere on the site. Commercial access runs through a free consultation call or a trial request handled by the sales team. The Terms of Service provide for a “POC/Trial Period” that may be paid or free depending on the agreement; where a trial exceeds one month, the monthly price equals the contract price, and continued use after a trial without a written agreement is billed at double the agreed monthly price. Additional services — consulting, support, custom development, implementation and training — are chargeable only after a separate written agreement. An on-premise installation requires a written agreement and may generate additional costs, and the site warns that the optional AWS hosting variant may also incur extra costs. Payment is taken by SEPA direct debit, irrevocable for the term of the contract, with card pre-authorizations possible; open-ended contracts may be terminated with 30 days' notice to the end of the month. A written quotation should therefore be obtained, as no figure can be verified publicly.
- the site names no tier and quotes no amount
- Standard hosting variant on Hetzner in Germany
- versus an AWS variant available on request at possible extra cost
- Cloud deployment
- versus private cloud or on-premise installation subject to a written agreement
- single sign-on
- dedicated instances and an SLA
- “POC/Trial Period” defined in the Terms of Service
- paid or free depending on the agreement
Data, GDPR & hosting
A consolidated view of how tucan.ai handles your data.
GDPR overview
GDPR compliance is claimed explicitly and repeatedly across the site: “Yes, Tucan.ai processes data exclusively in Germany and strictly adheres to the GDPR guidelines.” The controller is Tucan Systeme GmbH & Co. KG in Berlin, and a single address, team@tucan.ai, handles data-subject requests and objections. In the standard configuration all processing stays in Germany, on Hetzner infrastructure, while private cloud instances and on-premise installations are available on request. The European Commission's standard contractual clauses are cited for the non-EU transfers tied to third-party services used on the website. Configurable access controls and automatic deletion functions are presented as privacy features. Two gaps remain: no data protection officer is named, and no Article 27 representative is designated — moot here, as the publisher is established in Germany. Whether a customer-facing data processing agreement is offered is not stated either way.
Who owns the data?
Under the Terms of Service, the customer retains ownership of everything uploaded, referred to as the “Data”. Tucan receives a worldwide, non-exclusive, royalty-free license, including the right to sub-license, to host, store, transmit, display, perform, reproduce, modify, export, process, transcribe, transform and duplicate that Data — solely to perform the contract, operate the platform and improve services. Customers may delete their content at any time, and it is removed permanently once statutory retention periods expire. Tucan itself may access customer data in two situations only: a technical incident threatening availability, or a written request from the customer. Such access is logged, approved by management and restricted to employees bound by confidentiality.
Reuse rights
The customer owns the uploaded content, so reusing, exporting or sharing it requires no permission from Tucan: the terms restrict what Tucan may do with the Data, not what the customer may do with its own material. On the publisher's side the license is limited to three purposes — performing the contract, operating the platform and improving services. Processing is described as automated, with Tucan under no duty to verify content. Subprocessors are named: Hetzner Online GmbH for standard hosting, AWS as an on-request variant and Sentry for error analysis, with Google, Iubenda, Mailshake, LinkedIn and Facebook used on the marketing website. Access logs recording time and volume may be kept for billing, security and statistical purposes. Model training on customer data is never mentioned, in either direction.

Hosting summary
In the standard configuration, tucan.ai runs on infrastructure operated by Hetzner Online GmbH (Industriestr. 25, 91710 Gunzenhausen), whose servers are located in Falkenstein and Nuremberg, Germany. The privacy policy states that data is processed exclusively in Germany for storing, hosting and retaining personal data, which places the platform under German and EU jurisdiction. An alternative hosting variant on AWS is available on request, and the site warns that it may generate additional costs, so the “exclusively in Germany” claim describes the standard variant only. The platform cannot be used without either the Hetzner or the AWS servers, unless an on-premise agreement is in place; private cloud instances and on-premise installations are offered, with Docker Compose or Kubernetes deployment mentioned in the site's llms.txt file. That same file describes in-memory processing without a swap area, 32-byte OpenSSL keys handled in RAM, two-stage deletion with a nightly physical clean-up, and a Kubernetes/RKE2 architecture with Istio. The data centers are presented as ISO 27001 certified, but that certification belongs to the hosting provider, not to the publisher.
Things to keep in mind
Risks and trade-offs to weigh before adopting tucan.ai.
- Entity mismatch: the current publisher was registered only on 07/10/2025, while the footer and structured data of every page still name tucan.ai GmbH, in liquidation since 29/09/2025
- Two different addresses coexist: the imprint gives Schützallee 7 in Berlin, the Terms of Service still give Boxhagener Str. 22
- “Exclusively in Germany” holds for the standard Hetzner setup only: the optional AWS variant, available on request at extra cost, changes that assumption
- No certification in the publisher's own name: the ISO 27001 that is cited covers the hosting provider's data centers, not tucan.ai
- Automated output invites over-reliance: processing is automated and Tucan states no duty to verify, so summaries and analyses must be checked against the sources they cite
- Editorial leftovers weaken the trust signal: the homepage still displays a template banner offering a discount code at a checkout that does not exist, and the Terms of Service contain a stray link pasted next to the contact address
- The API is a commercial argument with no public documentation, and a DNS wildcard resolves any tucan.ai subdomain, so the existence of a service cannot be inferred from DNS alone
Setup & Integrations
Technical difficulty
Low in the cloud: create an account on app.tucan.ai through a name and email form or Google sign-in, then invite the bot into the meeting. Nothing is installed. Connecting databases through the API requires real technical work. On-premise is the demanding path: it needs a written agreement, and the customer must open server access at least every three months for updates, send a monthly usage report and allow confidential remote support. Single sign-on and dedicated instances are announced for enterprise deployments and will involve the IT team. In short, trivial to trial, a project to industrialize.

Should you pick tucan.ai?
tucan.ai makes an unusual bet: its main argument is not the feature list but where the data sits. Meetings and documents are transcribed, summarized and cross-analyzed as elsewhere, yet everything is framed around processing kept in Germany, on a named German host, with private cloud and on-premise installations genuinely offered and every answer traced back to its source. For a legal department, a public authority or a research institute that cannot send recordings abroad, that is the reason to look here first.
The product is mature — it dates back to 2019 — but the legal entity behind it is new: Tucan Systeme GmbH & Co. KG was only registered on 07/10/2025, while the predecessor Tucan.ai GmbH has been in liquidation since 29/09/2025 and is still named in the footer of every page. The imprint address also differs from the one printed in the Terms of Service.
Pricing opacity is deliberate: nothing is published and every path leads to a consultation call. The named customer references — media groups, industry, legal publishing, the public sector — suggest the sales motion works, but they tell a buyer nothing about cost.
Three points deserve a written answer before signing. Model training: the terms allow customer data to be used to improve services and never mention training either way. Data processing agreement: the site does not say whether one is offered to customers. Certifications: the ISO 27001 referenced belongs to the hosting provider's data centers, not to tucan.ai. Answered in writing, the sovereignty argument holds; left unanswered, it rests on claims alone.
