What is Duo AI?

Duo AI, also called simply Duo or the HR Duo AI Assistant, is presented by its publisher as the intelligence layer built into HR Duo that knows your organisation. It is not a standalone product. It lives inside the HR Duo platform, within the HR Intelligence and HR Assist module, and it opens only from an HR Duo account. HR Duo itself is an HRMS and workforce management platform covering time, scheduling, absence, payroll, recruitment, performance and compliance.

The assistant is organised around four capability blocks: Organisational Intelligence, HR Question and Answer, Intelligent Document Generation, and Process Guidance. It combines three kinds of material: the customer's live HR data, approved templates and policies, and employment guidance written by the publisher's in-house HR professionals. That grounding is the whole argument. Duo AI does not search the public internet and does not mix external data with the customer's records. Answers point back to the company's own policies and documents and are aligned with UK and Irish employment law, and the assistant escalates explicitly when a situation calls for human HR judgement.

Access follows role permissions, so each user only sees what they are entitled to see. HR teams get answers instead of tickets, line managers get a defensible position before acting, and employees can check their own leave, contract and training records without emailing anyone. Documents come back pre-filled from data already held in HR Duo, then get edited, saved, emailed or sent for electronic signature without leaving the platform.

There is nothing to deploy: no setup, no integrations to manage, no extra software. The same HR Duo credentials open the assistant, on desktop and mobile, around the clock, and the publisher announced in May 2026 that Duo is live for all HR Duo users.

Two boundaries matter. HR Duo positions Duo AI against general-purpose assistants, naming ChatGPT, Claude and Gemini as what it is not. And HR Duo separately ships three other AI features - a job description generator, CV anonymisation, and document translation into 30+ languages - which are not Duo AI. The 250+ UK and Irish policy templates the assistant draws on are likewise a platform asset, kept current with legal change.

Compliance is claimed explicitly rather than implied. The privacy policy states that "Our policy complies with the Data Protection Act 2018 (Act) accordingly incorporating the EU General Data Protection Regulation (GDPR)", and the security page adds UK GDPR and Data Protection Act 2018. HR Duo says "every client is protected by a Data Processing Agreement", and that third-party processors are bound by strict data protection agreements, although no list of those processors is published. The rights described are access, correction and deletion, exercised at privacy@hrduo.com after identity verification, with unsubscribe@hrduo.com for marketing opt-outs. Complaints are directed to Ireland's Data Protection Commissioner. Who owns the data?

Duo AI adds no store of its own: it reads only what already sits in the customer's HR Duo account, so the employer stays in control of its workforce records. Should you pick Duo AI?

Duo AI is a deliberately narrow HR assistant, and the narrowness is the argument. It does not try to be a general chatbot: it reads the customer's own HR Duo records, the approved templates and policies stored alongside them, and employment guidance written for UK and Irish law by the publisher's in-house HR team. Because it never browses the web, it answers about your organisation rather than about employment law in the abstract, and because role permissions bound it, it answers differently depending on who is asking.

The absence of any deployment step matters more than it sounds. HR teams without technical resources get the assistant on day one with existing credentials, on desktop and mobile, and the chain from question to document to electronic signature stays inside a single tool.

The trade-offs are just as plain. Duo AI cannot be bought on its own, carries no price of its own, and the platform that hosts it is quote-only with no free trial, so the first step is always a demo and a sales conversation.
