Helvaro
Belgian AI agents that live on your own WhatsApp number: they answer every inbound lead in under 30 seconds, qualify it on budget and intent, then book only the worthwhile ones straight into your Google Calendar. Live in 72 hours.
What is Helvaro?
Helvaro is a Belgian product that puts a small team of AI agents on a company's own WhatsApp number so that inbound leads get answered, qualified and booked without anyone stepping in. The publisher supplies a dedicated professional WhatsApp number, and the agent carries a name and tone the customer picks, so prospects see the customer's business rather than Helvaro.
Three agents cover the sales path. A follow-up agent opens the conversation within thirty seconds of an enquiry, at night and at weekends included. A qualification agent asks about budget, timing, location and intent, then attaches a score out of ten that separates warm leads from cold ones. A planning agent offers a slot that is genuinely free in the customer's Google Calendar and confirms the appointment inside the chat. Two further agents sit alongside them: a visualisation agent that generates images of a property in different architectural styles, so a client can see what a renovation might look like before a single brick moves, and Faro, an assistant that writes advertising copy, hooks and variants for Meta and Google and holds one brand voice across channels.
Everything stays visible. A real-time dashboard shows every lead, every score and every conversation as it happens, and a human can take over a thread at any moment. The customer gets a shareable lead-form link for a website, adverts or a QR code, and can export all leads as CSV to any CRM. The agent detects whether a lead writes in Dutch or French and switches automatically, which is the product's central argument for the Belgian market.
It is sold as a done-for-you service rather than a builder. The publisher trains the agent on the customer's sector and connects WhatsApp and the calendar, with a stated go-live of seventy-two hours and, in its own words, never an IT project. The customer approves the agent's name, welcome message and qualification questions before launch. Pricing is public and starts at €249.99 per month, with a fourteen-day free trial that starts only once the agent is actually live.

When to use Helvaro / When not to
A quick filter to help you decide if Helvaro is the right fit.
When to use Helvaro
- Estate agencies and property brokers who lose viewings because enquiries arrive at night or at the weekend
- Construction and renovation firms that want only serious quote requests, pre-screened on project type, timing, location and budget
- Insurance brokers, recruiters and law firms whose intake is a conversation rather than a checkout
- Healthcare and dental practices drowning in appointment calls, rescheduling and no-shows at the front desk
- Kitchen and showroom businesses whose staff are with a client while new enquiries go unanswered
When not to use Helvaro
- Businesses receiving fewer than 20 leads a month, a threshold the vendor itself publishes as a disqualifier
- Webshops that sell without any sales conversation, which the vendor explicitly rules out
- Owners who insist on personally phoning every lead first
- Teams needing a native two-way CRM sync today, since HubSpot, Teamleader and Pipedrive are only announced as coming
- Companies needing agents in a language other than Dutch or French, the only two the agents are documented for
How to use Helvaro
A typical end-to-end flow, from setup to results.
- Try the live agent first: start a free, no-obligation WhatsApp conversation from the homepage with the same agent your leads would meet
- Or book a free 20-minute lead audit through the publisher's Google Calendar booking page
- Create an account with a business email address, confirm it and choose a password, which takes about a minute
- Describe your business and how your customers normally come in
- Let the team train the agent on your sector and connect your WhatsApp number and calendar
- Approve the agent's name, welcome message and qualification questions before anything goes live
- Go live within about 72 hours, when the agent answers your first real lead
- Share your dedicated lead-form link on your website, in adverts or as a QR code
- Follow every conversation and score in the real-time dashboard, taking over a thread whenever you want
- Choose a plan at the end of the 14-day trial, which starts at go-live and simply ends if you pick nothing
Pros & Cons
Pros
- Fast, low-effort onboarding: 72-hour go-live run by the publisher, with a 14-day trial needing no card details
- Public, legible pricing with no setup fees and monthly cancellation
- Explicit commitment that conversations are never used to train models
- EU hosting claimed and the Belgian Data Protection Authority named as the complaint route
- Unusually detailed AI Act section for a product of this size, including documented human oversight and a right to human review
- Candid marketing: the site publishes its own disqualifiers and an honest comparison with its alternatives
- Automatic Dutch/French handling, genuinely relevant to the Belgian market
Cons
- No legal identity published anywhere: no company registration number, no VAT number and no postal address
- No terms and conditions page at all, the privacy policy being the only contractual document
- No entity named Helvaro appears in the Belgian Crossroads Bank for Enterprises
- Direct CRM integrations with HubSpot, Teamleader and Pipedrive are announced as coming, not available
- No public API, no DPA and no published subprocessor list
- Entry price of €249.99 a month is steep against the vendor's own 20-leads-a-month threshold, and the Scale plan is only quoted 'from' €799
- Very young offering: the domain was registered in February 2026 and the site has no Wayback history at all
Pricing & Plans
There is no permanent free plan. Helvaro offers a 14-day free trial that requires no card details and begins when the agent goes live rather than at sign-up; if no plan is chosen at the end, the trial simply ends. The lowest paid entry point is the Starter plan at €249.99 per month, which includes 3,000 credits, roughly 150 lead conversations, but excludes the visualisation agent. No setup fees are charged and subscriptions may be cancelled monthly. No annual billing option is published.

Data, GDPR & hosting
A consolidated view of how Helvaro handles your data.
GDPR overview
The site answers its own FAQ question directly: yes, it considers itself GDPR-compliant, with servers in the EU, no resale, and access or full deletion on request. Listed rights cover access, correction, deletion, opting out of marketing, and restricting or objecting to processing. The Belgian Data Protection Authority is named as the complaint route. A dedicated section addresses Regulation (EU) 2024/1689, the AI Act, whose transparency duties it says have applied since 2 August 2026: agents announce at the first message that they are AI, never impersonate a human, hand over on explicit request, and make no legally significant decisions. Emotion recognition, biometric categorisation, deepfakes and hidden influence are all ruled out. No certification, audit or DPA backs these claims.
Who owns the data?
The publisher states plainly that it neither sells nor trades personal data. Sharing is limited to three cases: vetted external providers handling site management, billing, hosting or support; a legal obligation; and a merger, acquisition or sale of business assets, where data may transfer for continuity. All external partners are said to be contractually bound to protect the data. Google Calendar data is treated more strictly still and shared with no one, bar legal compulsion. No named subprocessor list is published, however, and no data processing agreement is offered or refused anywhere on the site, so the customer has no contractual document beyond the privacy policy.
Reuse rights
Data is used to deliver, manage and improve the automation service, to personalise the experience, to communicate about the account, product updates and promotions, to generate insights and analytics, to process payments and subscriptions, and to meet legal obligations and prevent fraud. What a lead writes is sent to a language model together with the earlier messages in that thread and the client company's instructions. The publisher commits explicitly that conversations are not used to train models, and that calendar contents never reach an AI model, the agent learning only whether a slot is free. Customers may request access to or full deletion of their data at any time; no permission mechanism for reusing data beyond the service is described.

Hosting summary
Helvaro states repeatedly, across four pages, that customer data sits on servers in the European Union, and that data never leaves Europe. No specific country, region or hosting provider is named beyond that, so the claim cannot be checked more precisely. Protection measures are described in general terms: encryption, secured servers and access controls, with the publisher openly conceding that no method of transmission or storage is completely safe. The Google Calendar link is documented in more detail: the refresh token is encrypted with AES-256-GCM before storage, so it exists in the database only as ciphertext, the key is held separately and outside the database, and if encryption fails for any reason the system refuses to store the token rather than writing it in the clear. Access is partitioned per customer, so an account can only reach its own calendar link. No security certification such as ISO 27001 or SOC 2 is claimed anywhere. Separately, the public marketing site itself is served from an anycast node located in the United States, which is a hosting fact about the website rather than about the platform data.
Things to keep in mind
Risks and trade-offs to weigh before adopting Helvaro.
- You cannot tell who you are contracting with: no company number, VAT number or postal address is published, and no matching entity appears in the Belgian company register, which makes recourse difficult if something goes wrong
- There are no terms and conditions, so the commercial relationship rests on a privacy policy alone, with no DPA and no published subprocessor list to govern your prospects' data
- An agent speaks to your prospects under your brand and your chosen name, so any mistake it makes reads as your business making it; the vendor's safeguards are approval before launch and live takeover, both of which need someone actually watching
- Delegating first contact can quietly erode your team's own qualifying skills and its feel for the market, since the judgement calls move into a scoring model you do not see
- Scoring leads on budget and intent risks writing off people the model reads as cold; a low score routes them to a follow-up flow rather than a human, so a badly tuned agent silently loses business
- Conversations are kept for as long as the deploying business says it needs them, with no stated maximum, and deletion means asking rather than a self-service control
- Trusting the agent to guard your calendar means a booking error becomes a missed appointment; and the vendor's own savings figures and lost-revenue calculator are estimates it labels as indications, not promises
Setup & Integrations
Technical difficulty
Very low, and deliberately so: the publisher does the work and describes it as never an IT project. You create an account, describe your business, and the team trains the agent on your sector and connects your WhatsApp number and Google Calendar. No coding, no installation and no technical skills are required. You approve the agent's name, welcome message and qualification questions before launch, then share a ready-made lead-form link. Go-live is stated at around 72 hours. The Google Calendar connection is optional and reversible from the dashboard settings.

Who is behind Helvaro?
Should you pick Helvaro?
Helvaro is a narrow, clearly argued product rather than a general-purpose assistant, and that focus is its main strength. It does one job, inbound lead follow-up on WhatsApp, and it does it in the two languages the Belgian market needs. The commercial terms are refreshingly plain: prices are published, there are no setup fees, cancellation is monthly, and the 14-day trial starts only when the agent is genuinely live. The privacy posture is better than the size of the company would suggest, with an explicit no-training commitment, EU hosting, and an AI Act section that documents human oversight and a right to human review rather than merely asserting compliance. The site also argues honestly, publishing its own disqualifiers and a comparison table with the alternatives it expects buyers to weigh.
The reservations are about the publisher, not the product. No legal identity is published anywhere on the site: no company number, no VAT number, no postal address, and no terms and conditions page at all, leaving the privacy policy as the only contractual document. A search of the Belgian company register returned no entity of this name, nor any under the founders' names. For a service that will hold your prospects' conversations and write into your calendar, that is a material gap, compounded by the absence of a DPA or a published subprocessor list. The offering is also very new, with a domain registered in February 2026 and no archived history.
For a Belgian firm with real inbound volume and a high value per client, the economics are plausible and the trial is genuinely low-risk. Ask for the legal entity, a signed processing agreement and clarity on the promised CRM integrations before committing beyond the trial.
