What is Hotelinking?
Hotelinking is a hotel technology platform published by HOTELINKING S.L., based in the Parc Bit technology park in Palma de Mallorca, Spain. It presents itself as a single environment covering the whole guest cycle, before, during and after the stay, for hotel groups and chains, with the stated aims of increasing direct bookings, reducing dependence on online travel agencies and automating front desk work.
The platform is organised into three suites, one per hotel department. GuestMaker serves marketing: an agentic, multichannel hotel CRM fed by a WiFi captive portal, plus automated WhatsApp messaging, an AI concierge, email campaigns, satisfaction surveys, reputation management and loyalty programmes. WiFiBot serves IT and networks: autonomous monitoring of access points, switches and third-party equipment, a GPON module covering OLT and ONT devices, WAN optimisation, proactive fault detection and expert NOC services. DeskForce serves operations and reception: paperless online pre-check-in, identity document scanning, digital signature, an assisted hybrid mode for the front desk, autonomous check-out, pre-arrival payments, settlement of extras and mobile invoicing. The modules run standalone or connected to one another.
AI is presented as a supporting layer rather than the core of the product: it automates tasks, drafts communications, answers frequent questions, classifies requests and assists conversational service. The vendor's own FAQ states that it is not offered as a replacement for human contact.
The claims published in 2026 include more than 1,000 hotels and chains on the home page, 1,200 on the about page, over 10 million registered guests, more than 30 million euros in saved commissions, 60% penetration among Spanish hotel chains and over 120 active integrations. The first-party partner directory names 83 entries spanning property management systems, CRMs, booking engines, network hardware, guest apps, payment gateways and payment methods. Named testimonials come from Zafiro Hotels, Palladium Hotel Group, Soho Boutique Hotels and Hipotels.
Day-to-day access happens through dedicated web consoles, one per module, for the captive portal, the CRM, network monitoring and automated check-in. There is no published price list: the commercial entry point is a personalised 30-minute demonstration followed by a quote.

No free plan and no free trial are announced anywhere, so no lowest paid entry point can be stated. The terms of service describe the structure without a single amount (clause 10.1): a one-off installation fee per property, due on acceptance of the integration proposal, plus annual subscription fees invoiced in advance and payable in monthly SEPA direct debits. Invoices are issued at the start of each period and payable within 30 days; late payment carries an indicative flat fee of EUR 25 or 1% monthly interest, whichever is lower (clause 10.2), and all rates exclude VAT (clause 10.6). Obtaining a figure therefore requires a 30-minute personalised demonstration followed by a quote.

GDPR overview
GDPR implementation is explicit and documented. The privacy policy names Regulation (EU) 2016/679 and Spain's LOPDGDD 3/2018 and states that the controller complies with both. A standalone Data Processing Agreement is published with eight legal annexes and relies on the EU standard contractual clauses of implementing decision (EU) 2021/914, modules 2 and 3, clause 9 option 2 with 20 days' notice; UK and Swiss addenda exist, and Irish law governs the clauses unless the customer chooses otherwise. An external DPO is named: Consultancy X3 S.L., Palma de Mallorca, dpo@grupox3.es. Breach notification follows articles 33 and 34, with help reporting to the AEPD within 72 hours. Access, rectification, portability, erasure, restriction, objection and consent withdrawal are all listed, as is the right to complain to the AEPD. No article 27 representative is designated, the publisher being established in Spain.
Who owns the data?
Ownership is split by the terms of service. Hotelinking keeps every right to the Services themselves: platform, APIs, software, algorithms, documentation and infrastructure (clause 9.1). The customer keeps all rights to its Customer Data, uploaded content and outputs such as campaign templates and reports (9.1 and 9.4), and grants Hotelinking a non-exclusive, royalty-free licence to process that data solely for contractual purposes (9.2); suggestions sent to the vendor are assigned under a worldwide, irrevocable licence (9.5). Clause 9.4 also lets Hotelinking aggregate or anonymise data from all its customers and keep perpetual rights over it for analysis and product improvement, without revealing identities. Under the DPA the customer is controller and Hotelinking processor.
Reuse rights
Customers may reuse their own data without asking permission. Clause 9.4 confirms that the customer owns the outputs it produces, including campaign templates and reports, and clause 12.3 provides one machine-readable export in CSV or JSON on written request during the retention window that follows termination. Anything beyond that standard export, such as format conversion or custom integration work, may be charged, and migration assistance to another provider requires a separate agreement and professional services fees (12.5). What stays prohibited concerns the software rather than the data: clause 9.3 bars reverse engineering, copying, sublicensing, reselling and timesharing the Services. No clause states whether customer data may be used to train AI models.

All Hotelinking services run exclusively in the Amazon Web Services EU regions, in Ireland: section 4.1 of the security policy, clause 6.4 of the terms and section 12.1 of the data processing agreement all agree, placing storage and processing inside the European Economic Area. Any transfer outside the EEA, the United Kingdom or Switzerland is framed by the EU standard contractual clauses of implementing decision 2021/914, by the UK addendum, the Swiss addendum or binding corporate rules; the clauses are governed by Irish law and Irish courts unless the customer is established in another member state. Two subprocessors are named in the DPA: Amazon Web Services for infrastructure and hosting, mainly in Ireland, and Zendesk for support ticketing. Technical measures include AES-256 encryption at rest through AWS KMS with automatic key rotation, TLS 1.2 or above in transit, isolated virtual private clouds and multi-factor authentication. The data centre certifications quoted are AWS's own, not Hotelinking's. The marketing website itself is hosted separately, in France.
