Governance is built in rather than bolted on: policy templates for HIPAA and SOC 2, PII detection and redaction, audit logs, single sign-on and granular access controls. A policy can block, redact, warn or silently log a violation. One caveat deserves mention: the company behind the product is nowhere identified on the site, which publishes no legal entity, no address and a single generic contact.

GDPR overview
DokuBrain claims GDPR compliance explicitly: section 11 of its privacy policy is headed GDPR Compliance and addresses users in the European Economic Area. It names its legal bases as contract performance, legitimate interests, legal obligations and consent, and lists the rights to object, to lodge a complaint with a supervisory authority and to withdraw consent. Access, rectification, erasure, portability and restriction are set out separately, exercised through privacy@dokubrain.com. International transfers are said to rely on standard contractual clauses. A data protection officer is mentioned for EU enquiries, though only at the generic info@dokubrain.com address. Two gaps remain: no Article 27 EU representative is designated, and the company publishes no postal address of any establishment. Both documents are dated 11 February 2026.
Who owns the data?
Under section 5 of the terms of service, the customer keeps ownership of every document and file uploaded, described as User Content. DokuBrain receives a limited licence rather than title: it may process, analyse and store that content to deliver the service, and may create derivative works such as extractions, summaries and embeddings. A separate clause lets the vendor improve its services using aggregated, anonymised data. Customers must warrant that they hold the rights to everything they upload. Documents may also be handed to third-party AI providers, named only as examples, for processing. Ownership therefore stays with the customer, while the operating licence granted is broad.
Reuse rights
Customers may reuse the data they extract freely: they own the source documents and the terms grant them no restriction on the structured output, which is designed to be exported to QuickBooks, Xero, Google Sheets or any system reachable through the REST API. No permission request is required. The limits set out in the terms run the other way, restricting what may be done to the platform itself: reverse engineering, copying proprietary content, reusing DokuBrain branding and scraping the service are all prohibited. On the vendor side, the privacy policy lists processing, embedding creation for semantic search, support, fraud prevention and product development, and states that documents are not used to train its AI models without explicit consent. Personal information is not sold.

Hosting summary
DokuBrain gives no hosting location. The privacy policy states that documents and processed data are held in encrypted form in secure cloud infrastructure, described as enterprise-grade and covered by SOC 2 compliance, but it names neither a cloud provider nor a country or region. Encryption is specified as TLS 1.3 in transit and AES-256 at rest, alongside access controls and continuous monitoring. Data may be transferred to and processed in countries other than the user's own, with standard contractual clauses and data processing agreements presented as the safeguards. Third-party AI providers may process documents, cited only as examples rather than as a published subprocessor list. The public site is served behind a content delivery network, which indicates nothing about where documents are stored. Anyone with data residency obligations should treat this as unresolved and ask the vendor directly before uploading.

The human review layer, with deadlines that count down and escalate, is a thoughtful touch usually reserved for enterprise suites, and the developer documentation is public, specific and complete enough to evaluate before signing up. A permanent free plan with API access makes that evaluation cheap.
The reservations are about the publisher rather than the software.
