Overview

What is Karomia?

Karomia is a sustainability reporting platform published by Karomia BV, a company based at Gaverlandstraat 62 in Drongen, near Ghent, Belgium. Its own contracts describe it plainly as a software company developing sustainability reporting software, and the product is referred to throughout as the Solution. It runs entirely in the browser at app.karomia.eu.

The starting premise is that most of the information a sustainability report needs already exists somewhere in the business, scattered across policies, invoices, spreadsheets and slide decks. Rather than issuing a questionnaire, Karomia asks you to upload what you have and then reads it. The homepage compresses this into three steps: start with what you already have, let the platform turn it into usable knowledge, then work from clear insight and finished outputs.

Three use cases are named. The double materiality assessment scans your activities and value chain to identify impacts, risks and opportunities, following the EFRAG guidelines, and gathers stakeholder input through managed interviews that can be run in any language. The CSRD/ESRS report is generated from the uploaded material and comes with an instant fit-gap analysis showing what is still missing; Karomia points out that a CSRD report involves more than 500 data points and over ten ESRS standards to cross-reference. The VSME report targets smaller companies answering ESG requests from banks, insurers and customers.

Around these sit emissions calculation from invoices, physical risk mapping for flood, drought, fire and biodiversity, decarbonisation planning, VSME-aligned supplier engagement, a marketing-facing ESG report and a branded ESG website publishable in two clicks. Reporting frameworks span ESRS, VSME and IFRS S1 and S2, with GRI and SASB added on the trust centre. Collaboration is unmetered: unlimited users, commenting and versioning.

Karomia claims a 50% reduction in effort, 100% auditor acceptance and more than 30 audits passed, and says every claim and data point stays traceable to its source. A benchmarking module is announced as coming soon. The company raised 2 million euros in February 2025.

  • Sustainability and ESG managers in European companies that fall under the CSRD
  • Small and mid-sized companies asked for a VSME report by their bank, insurer or largest customers
  • One-person or very small ESG teams that have to produce a full report without extra headcount

  • Private individuals: the terms of use restrict the platform to a business context only
  • Anyone hoping to sign up unaided, since access is granted by invitation from Karomia or the customer
  • Buyers who need a published price before they will talk to a vendor, as no rate card exists anywhere

How to use Karomia

A typical end-to-end flow, from setup to results.

  1. Book a demo through the website, since there is no self-service sign-up and no published price
  2. Alternatively, try the free CSRD sample: pick Environment, Social or Governance and upload one public document, such as your annual report
  3. Or create an account for the DMA sandbox environment to explore the double materiality workflow
  4. Agree commercial terms with Karomia, as access to the platform is granted against a subscription fee
  5. Receive your invitation from Karomia or from your company's administrator, then change the temporary password on first login
  6. Let Karomia onboard your users; each one gets a registration email within five business days at the latest
  7. Upload the documents you already hold: policies, invoices, spreadsheets, presentations
  8. Run the double materiality assessment and review the impacts, risks and opportunities it surfaces

Pros & Cons

Pros

  • Realistic starting point: you upload documents you already have instead of filling in a blank questionnaire
  • Source traceability on every data point, which is the argument that matters when an auditor arrives
  • Broad framework coverage: ESRS, VSME and IFRS S1 and S2, with GRI and SASB listed on the trust centre
  • Complete and verifiable legal identity published in both sets of terms, including the enterprise number
  • Information security management system certified to ISO/IEC 27001, with the certifying body named
  • A genuine free entry point: a DMA sandbox on sign-up and a CSRD sample report from a single document
  • Unlimited users, so the cost does not scale with how many colleagues you involve

Cons

  • No published pricing at all: the sitemap holds no rate card and every pricing path returns a real 404
  • No self-service sign-up, since access requires an invitation from Karomia or from the customer
  • The user terms place intellectual property in the generated Output with Karomia, leaving the customer only a right to use it
  • Data hosting location is never disclosed, in any country or region
  • No subprocessor list is published, and the Data Processing Agreement is referenced but not made public
  • The trust centre serves nothing readable without running its JavaScript, so its assurances cannot be checked directly
  • No product API, no named integrations and no mobile app
Pricing

Pricing & Plans

Karomia does not publish any pricing. There is no pricing page on the site, the sitemap of 89 URLs contains none, and every plausible path returns a genuine 404. The only monetary figure anywhere on the site is the 2 million euro funding round. The business terms of use do state the mechanism: access to the Solution is granted upon payment of a subscription fee, but no amount, currency, tier or billing period is disclosed, so terms are negotiated through a demo. A free entry point exists without being a permanent free plan: prospective users can open the DMA sandbox environment by creating an account, and can obtain a sample CSRD report by uploading a single public document. Unlimited users are advertised on the CSRD page, so headcount should not drive the figure you are quoted.

Prices and plans listed above may evolve. Always check the official pricing page before subscribing.
Trust & Privacy

Data, GDPR & hosting

A consolidated view of how Karomia handles your data.

GDPR overview

The GDPR references are concrete rather than decorative. Karomia names itself controller for Belgium, lists the six data subject rights (access, rectification, objection, erasure, restriction, portability) plus withdrawal of consent, and points to privacy@karomia.eu as the single contact for privacy matters. Complaints are directed to the Belgian data protection authority by name. The cookie policy sets out its legal basis expressly under the EU GDPR. The business terms make personal data processing subject to a Data Processing Agreement, and the privacy policy states that Karomia's information security management system is certified to ISO/IEC 27001 by Insight Assurance, an accredited body. Being established in Belgium, Karomia needs no Article 27 representative. The site never uses the literal phrase GDPR compliant, and it publishes no hosting location.

Who owns the data?

The user terms draw a sharp line. Under article 7.1 you and your company keep the copyright and all other intellectual property rights in the Submitted Content you upload, and you simply grant Karomia a licence to use it so the platform can run. Article 7.2 then turns the other way: apart from that Submitted Content, Karomia declares itself owner or licensee of the intellectual property in the Solution including the Output, leaving you a right to use the generated report rather than ownership of it. Any feedback you volunteer becomes Karomia's outright. The business terms add that no intellectual property changes hands between the parties.

Reuse rights

Article 6.2 of the user terms is the operative clause. Unless you agree otherwise, Karomia says it will only use Submitted Content to improve your own experience and to enhance the Solution or the Output delivered to you and your company. The same clause then reserves a broader right: Karomia may use that content in anonymised, aggregated or otherwise de-identified form for research, analysis and other purposes, an open-ended phrase the site never narrows. Publicly available information is excluded from the definition altogether. If your company stops being a customer, article 6.5 stops further use except under 6.2. Nothing on the site states whether any of this includes training AI models, and nothing rules it out. On personal data the privacy policy is firmer: Karomia states it will never sell it, and asks for express opt-in consent before sharing it for marketing.

Data retention & training

Retention summary
Karomia states that personal data is kept only as long as necessary for the purpose it was collected for, and to meet legal, accounting or reporting obligations. The criteria it applies are described: the type, volume and sensitivity of the data, the risk of unauthorised use, the purposes involved, whether another means would serve, and legal requirements. No figure is given for any category of data, so there is no published retention period to rely on. You can request erasure through privacy@karomia.eu. Karomia also reserves the right to anonymise personal data for research or statistical purposes and then keep it indefinitely without further notice. Separately, the business terms keep confidentiality obligations alive for five years after the contract ends, with material returned or destroyed on written request.

Hosting summary

Karomia publishes no hosting information. No country and no region appears in the terms of use, the privacy policy or the cookie policy, and there is no security or subprocessor page on the site. The privacy policy says only that Karomia makes contractual arrangements with suppliers and partners who process personal data, without naming any of them. What can be established is jurisdictional rather than physical: the controller is Karomia in Belgium, the supervisory authority is the Belgian data protection authority, Belgian law governs, and the company's information security management system is certified to ISO/IEC 27001 by Insight Assurance. A trust centre exists at trust.karomia.eu, but it serves its content through an application interface that will not respond without a signed request, so its contents could not be read. Two things must not be mistaken for hosting facts: that trust centre runs on a third-party compliance provider's European instance, and the marketing site is served by Webflow through a content delivery network. Neither says anything about where customer data lives. Ask for this in writing before committing.

Watch-outs

Things to keep in mind

Risks and trade-offs to weigh before adopting Karomia.

  • The intellectual property in the generated report is claimed by Karomia, not the customer: negotiate this before you sign
  • The terms give no guarantee that the Output is correct, complete or current, and state it is not legal, regulatory or tax advice
  • The terms also disclaim any availability commitment and allow the service to be suspended or withdrawn without notice
  • The cookie policy publishes a contact address on karomia.com, a domain that belongs to an unrelated third party, so mail sent there leaves the company
  • Uploaded content may be used in anonymised or aggregated form for research, analysis and unspecified other purposes
  • Treat generated reports as drafts to be reviewed: a fluent, auditable-looking document can dull the scrutiny a regulatory filing deserves
  • Compliance frameworks such as CSRD, ESRS, VSME and EFRAG are the standards the tool helps you meet, not accreditations held by the vendor
Setup

Setup & Integrations

Technical difficulty

Very low on the technical side. Karomia is a web application with nothing to install, no integration work and no connectors to configure: you upload documents. Access is by invitation, with a temporary password to change on first login, and Karomia handles user onboarding around the contract start date, with registration emails arriving within five business days. The vendor stresses that there is no long project and no heavy setup, and says support comes from real people rather than automation. The real effort is organisational, not technical: gathering the right documents and deciding what to upload.

FAQ

Frequently asked questions

What does Karomia actually do?
It turns documents your company already holds, such as policies, invoices, spreadsheets and presentations, into structured sustainability reports aligned with ESRS, VSME and IFRS S1 and S2. It also runs double materiality assessments, calculates emissions from invoices and builds decarbonisation plans.
Who is behind the platform?
Karomia BV, a Belgian company registered under enterprise number 1004.945.239 with its registered office at Gaverlandstraat 62, 9031 Drongen, near Ghent. The company announced a 2 million euro funding round in February 2025.
How much does it cost?
No price is published anywhere on the site. The business terms state that access is granted against a subscription fee, but no amount, tier or billing period is disclosed. You have to go through a demo to get a quote.
Is there a free trial?
Yes. You can create an account to reach the DMA sandbox environment, and you can obtain a sample CSRD report by uploading one public document such as your annual report. There is no permanent free plan: normal use requires a subscription.
Can I sign up on my own?
No. The user terms require you to be invited by Karomia or by the customer organisation you belong to, and to change a temporary password on first login. The platform is also restricted to business use, not private use.
Who owns my data and the reports it produces?
You keep ownership of the content you upload. The generated Output is treated differently: article 7.2 of the user terms places its intellectual property with Karomia and leaves you a right to use it. That distinction is worth raising before you sign.
Is my data used to train AI models?
The site does not say either way. The terms allow Karomia to use uploaded content to enhance the Solution, and to use it in anonymised or aggregated form for research, analysis and other purposes. Training is neither confirmed nor excluded.
Where is the data hosted?
Not disclosed. No country or region appears in the terms, the privacy policy or the cookie policy, and the trust centre does not render its content without executing its own JavaScript.
Is there an API or a mobile app?
Neither. There is no API documentation, no developer portal and no commercial claim of an API, and no iOS or Android application. Karomia is a web application only.
Which law applies?
Belgian law, with the courts of Ghent holding exclusive jurisdiction under the business terms. Complaints about personal data can be taken to the Belgian data protection authority.
Conclusion

Should you pick Karomia?

Karomia is a focused, credible tool for a narrow and demanding problem. Its central idea is sound: most of what a sustainability report needs is already inside the business, and extracting it beats re-collecting it. The traceability of every data point back to its source is the feature that will matter most when an auditor asks where a number came from, and the unlimited-user model removes the usual disincentive to involve colleagues.

The company behind it is young, incorporated in January 2024, but it publishes a complete legal identity in both sets of terms, holds an ISO/IEC 27001 certification for its information security management system with the certifying body named, and raised 2 million euros in February 2025. That is more transparency than many peers offer.

The reservations are commercial and contractual rather than technical. Nothing about pricing is public, and access requires an invitation, so evaluation cannot begin without a sales conversation. More importantly, article 7.2 of the user terms places the intellectual property in the generated report with Karomia rather than with the customer, which deserves an explicit discussion before signing. Hosting location, subprocessors and the treatment of uploaded content for model training are all undocumented in public, and the trust centre that would normally answer such questions cannot be read without running its own code. One further detail should be flagged to the vendor: the cookie policy publishes a contact address on a domain the company does not own.

For a European company facing CSRD or VSME obligations, Karomia is worth a demo. Just take the contract and the hosting questions into that conversation.
