Overview

What is OAK One?

OAK One is an all-in-one CRM with built-in artificial intelligence, published by Gruppo OAK GO, trading as AMW Srl, from San Vincenzo in Tuscany, and aimed squarely at Italian small and medium businesses. The vendor positions it as the first AI CRM designed specifically for that market, and as a deliberate alternative to enterprise platforms built for multinationals.

The product is organised around four blocks sharing one database. The CRM core holds leads, customers, suppliers and partners in a single directory, with customisable sales pipelines, projects, appointments, checklists, Kanban views, reports and a ticketing system with priorities and response-time tracking. The communication module brings email and newsletters, SMS, RCS, WhatsApp, Telegram, live website chat, telephony and video and audio calls into one dashboard, with AI chatbots available on top. Marketing automation covers lead nurturing, dynamic content personalisation, segmentation, automatic lead scoring, re-engagement campaigns, abandoned-cart recovery, sequenced workflows and customer journey mapping. A custom e-commerce module sells through your own site, social networks, the main marketplaces, WhatsApp and a physical shop, synchronising catalogue, collections, cart and promotions to Facebook, Instagram, TikTok, Google, Amazon and eBay; selling through ChatGPT and Perplexity is announced as coming, not as available today.

The AI layer is deliberately modest in what it claims. It reads the data already held in the CRM in real time, recognises recurring patterns and proposes the most effective action for each stage of the customer cycle. Three uses are named: spotting the hottest leads from behaviour, interactions and activity history; calculating the best moment to contact someone or send a campaign; and suggesting the next step. The vendor is explicit that the AI augments rather than replaces the user, and that every suggestion stays under human control.

Two things set it apart locally: Italian SDI e-invoicing is native rather than a paid connector, and the consent register and permission management needed for GDPR are built in. The vendor claims users save up to eight hours a week and that critical issues are resolved within an hour. Interface, support and documentation are in Italian only.

What it does

  • Identify the hottest leads by analysing behaviour, interactions and activity history
  • Work out the best moment to follow up a contact or send a campaign
  • Suggest the next step, from a commercial proposal to an automatic reminder
  • Run email, SMS, RCS, WhatsApp, Telegram, live chat, phone and video conversations from one dashboard
  • Automate reminders, follow-up emails and multi-step workflows
  • Track custom sales pipelines, support tickets and projects in a single directory
  • Synchronise catalogue, collections, cart and promotions across online sales channels

When to use OAK One / When not to

A quick filter to help you decide if OAK One is the right fit.

When to use OAK One

  • Italian SMEs that want sales, marketing, support and e-commerce in one system instead of a stack of disconnected tools
  • Craft workshops and design brands selling online, a profile the vendor names explicitly
  • B2B companies handling complex sales cycles and customer-specific price lists
  • Retail businesses juggling several sales and communication channels at once
  • Teams with no in-house IT staff, since configuration is guided and no technical profile is required

When not to use OAK One

  • Anyone who needs an interface in a language other than Italian
  • Developers who need a public API, a mobile app or a browser extension, none of which exists
  • Buyers who want to compare a published price list before speaking to a salesperson
  • Large organisations with very high data volumes or global expansion plans, a limit the vendor itself concedes
  • Users looking for a permanently free tier rather than a time-limited trial

Pros & Cons

Pros

  • Everything in Italian, from the interface to the support and the documentation, which removes the adoption friction of an English-first tool
  • Native fit with Italian rules: SDI e-invoicing and a consent register are built in rather than bolted on
  • One system covers CRM, communication, marketing, support and e-commerce, so records are not scattered across tools
  • Human support with a stated one-hour resolution target for critical issues, and phone hours published
  • Modular: activate only the modules you need and add more as the business grows
  • A 30-day free trial with no commitment, plus a free scoping consultation before you buy
  • A visible, reachable vendor: physical address, direct phone line and a company trading since 2009

Cons

  • No published pricing anywhere: no plans page, no figures, no tiers, so every price comes from a quote
  • No permanently free plan, only the 30-day trial
  • Italian is the only interface language announced
  • No public API, no mobile app and no browser extension
  • The vendor itself concedes a narrower feature set, weaker scaling on very large data volumes and a smaller third-party ecosystem than the international leaders
  • Exit terms are demanding: 90 days' notice by certified email, remaining fees due on early termination, and all data deleted at expiry
  • Support beyond the contract is billed in 15-minute tickets, and the terms explicitly deny that the stated response times amount to SLAs
Pricing

Pricing & Plans

OAK One publishes no price. There is no pricing page on the site or in its sitemap, and no amount, currency or tier appears anywhere. The vendor describes a modular price that depends on the number of users and the modules selected, summarised as paying only for what you use with no hidden costs, and every engagement goes through a quote. There is no permanently free plan. A free trial of 30 days, also presented as one month, is offered without commitment, alongside a free scoping consultation with a specialist. The terms and conditions refer to monthly fees, and to support sold separately as prepaid packs of 15-minute tickets valid for 24 months. Consequently no starting price can be stated.

Data, GDPR & hosting

A consolidated view of how OAK One handles your data.

GDPR overview

GDPR compliance is claimed explicitly and repeatedly, and is presented as a product feature rather than a policy statement: OAK One ships a consent register, permission management and security controls described as natively compliant with Italian law. The privacy policy, generated with iubenda and last modified on 6 May 2024, sets out the full set of data subject rights, including withdrawal of consent, objection, access, rectification, restriction, erasure, portability and complaint to a supervisory authority, and undertakes to reply free of charge within one month. An up-to-date list of processors is available on request but is not published. No DPO is named and no Article 27 representative is designated, consistent with an Italian-established company. Note the scope: that policy describes the group's public website, not the processing of customer data inside the CRM.

Who owns the data?

The terms name Gruppo OAK GO, operating as AMW Srl (VAT ID IT03293880047), as the Titolare, and reserve to it every intellectual property right over the software, its algorithms, procedures and technical documentation. Customers receive only a temporary, revocable, non-exclusive, personal and non-transferable licence to use the platform, with no right to inspect or modify the source code. Nothing in the documents claims ownership of the business records a customer enters, but nothing states that ownership in the customer's favour either. On termination or expiry the customer must export and rebuild their environment elsewhere, at their own cost and before the deadline, after which all data is deleted.

Reuse rights

On vendor-supplied content the terms are restrictive: users may not copy, download, share, modify, translate, republish, transmit, sell, sub-license, transfer or create derivative works from anything the Titolare makes available, nor let third parties do so through their account or device. Use is confined to what is strictly necessary to operate the products and services, and only in the manner the vendor indicates; anything else requires explicit written consent. The documents say nothing about reusing the business data a customer puts into the CRM, so that permission is neither granted nor refused in writing. Third-party resources reached through the platform remain governed by their own terms.

Data retention & training

Retention summary
Personal data is kept for as long as the purpose it was collected for requires, and may be held longer where a legal obligation applies or where the person has consented. Data collected to perform a contract is retained until that contract has been fully performed; data held on legitimate-interest grounds is kept until that interest has been satisfied. Where processing rests on consent, data may be kept until consent is withdrawn. Once the retention period ends the data is deleted, and the rights of access, erasure, rectification and portability can no longer be exercised. On the contractual side, the terms provide that all data is deleted when a product or service expires, or when the contract is terminated for non-payment. No retention period expressed in days, months or years is published.

Hosting summary

The vendor states that data sits on secure servers with professional backups in Italy, and that automatic disaster-recovery backups are held in Europe. Elsewhere the site describes certified European servers, cloud infrastructure with automatic backups and end-to-end encryption, with security built on a Zero Trust model. The jurisdiction is Italian throughout: the operator is an Italian company, and the terms apply Italian law with exclusive jurisdiction given to the courts of Rome. Two caveats are worth separating out. First, the public marketing site is served from an IP address located in the United States (100.24.208.97, Amazon, Ashburn), which describes the website's hosting and not where customer records live. Second, the third-party services on that website, namely Google Tag Manager, Google Analytics and Google Fonts, process data in Ireland. No hosting provider, data centre or certification is named for the CRM itself, and no subprocessor list is published; the processor list is available on request only.

Things to keep in mind

Risks and trade-offs to weigh before adopting OAK One.

  • The privacy policy you can actually read covers the group's public website, not how your customer data is processed inside the CRM; that gap is the most important thing to close before signing
  • Nothing on the site says whether the data you put in the CRM is used to train AI models, and no opt-out is offered, so treat the question as open until you have an answer in writing
  • Leaving is slow and costly: 90 days' notice by certified email, remaining fees payable in one instalment, and all data deleted at expiry with migration entirely at your expense
  • Marketing promises resolution within one hour, while the terms state that response times are merely indicative and must not be treated as service level agreements
  • The time-saving figures, up to eight hours a week and over 380 hours a year, and the claim to be the first AI CRM for Italian SMEs, are vendor assertions rather than measured results
  • Treating AI lead scores and suggested timings as verdicts rather than prompts erodes the commercial judgement the tool is supposed to support; the vendor itself insists a human stays in charge
  • The site trades as AMW Srl while the VAT register and the LEI record both name AMW BUSINESS SERVICES SRL, so check which entity your contract actually names
Setup

Setup & Integrations

Technical difficulty

Low. No technical team is required: configuration is guided, the interface is presented as ready to use, and an internet connection is all that is needed. The vendor runs a needs analysis, sets up the environment, provides training and helps import existing data. Getting started takes minutes, and the site puts full operational readiness at around five working days on average. A separate comparison page cites four to twelve weeks for a complete Italian CRM project, which is a wider scope. Integrations with management software, ERP and logistics are either ready-made or custom-built by the vendor.

Frequently asked questions

What is OAK One?
An all-in-one CRM with built-in AI, designed for Italian small and medium businesses. It brings sales, marketing automation, omnichannel communication, support ticketing and custom e-commerce into a single system.
What does the AI actually do?
It reads the data already held in your CRM in real time, recognises recurring patterns and suggests actions: which leads are hottest, when to follow up or send a campaign, and what the next step should be. The vendor states that every suggestion stays under human control.
How much does OAK One cost?
No price is published anywhere on the site. The vendor describes a modular price based on the number of users and the modules chosen, and every engagement goes through a quote. There is no permanently free plan.
Is there a free trial?
Yes, 30 days, also presented as a full month, with no commitment. You request it through a form on the contact page and the team calls back within 24 hours to configure it around your needs.
Do I need a technical team to use it?
No. Configuration is guided and an internet connection is enough. The vendor runs the needs analysis, sets up the environment, provides training and helps import your data; full operational readiness is put at around five working days on average.
Where is the data hosted?
The vendor states secure servers with professional backups in Italy and automatic disaster-recovery backups in Europe, on a Zero Trust security model. No hosting provider, data centre or certification is named, and no subprocessor list is published.
Does it integrate with software I already use?
The vendor advertises connections to management software, ERP systems, e-commerce platforms, warehouse and logistics systems and phone switchboards, plus WhatsApp and Telegram as channels. Integrations are either ready-made or custom-built by the vendor; there is no public API.
Which languages are supported?
Italian only. The interface, the support and the documentation are all in Italian, and no other language is announced anywhere on the site.
Conclusion

Should you pick OAK One?

OAK One is a coherent answer to a real problem: Italian SMEs that have outgrown spreadsheets and inboxes but do not want an enterprise platform designed for multinationals. Its strongest arguments are local rather than technical. Everything is in Italian, SDI e-invoicing is native instead of a paid connector, the consent register needed for GDPR is built in, and support is human with published phone hours and a stated one-hour resolution target. The functional footprint is genuinely wide for a single tool: CRM, omnichannel communication, marketing automation, ticketing and custom e-commerce all share one database. The AI is modest and, to the vendor's credit, honestly framed as assistance rather than autonomy.

The reservations are just as clear. No price is published anywhere, so any comparison requires a sales conversation, and there is no permanently free plan behind the 30-day trial. Italian is the only interface language, and there is no public API, no mobile app and no extension. The vendor openly concedes a narrower feature set and weaker scaling than Salesforce, HubSpot or Zoho. The contractual terms deserve reading before signing: 90 days' notice by certified email, remaining fees payable on early termination, and deletion of all data at expiry with migration at the customer's cost. The published privacy policy also describes the group's public website rather than how customer data is handled inside the CRM, which is the most significant documentation gap here.

For an Italian SME that values a reachable vendor and local regulatory fit over ecosystem breadth, OAK One is worth the free trial. Use that month to get in writing what the site does not publish: the price, the hosting detail, and whether your data is used to train anything.
