Overview

What is TalentRiver?

TalentRiver is a recruiting workspace published by TalentRiver AB, a Swedish company registered on 31 October 2023 and based in Stockholm, where it grew out of the Stockholm School of Economics business incubator. The homepage promise is blunt: 10x your sourcing output without growing your team. The product is organised around five named blocks. Smart candidate search lets a recruiter describe a role in ordinary language instead of writing Boolean strings, and queries the customer's own ATS database and online sources in the same pass. The ranking is presented as explainable: the interface shows why each candidate sits where they do and highlights the relevant skills automatically. ATS integration and enrichment works in both directions, with profiles syncing, a shortlist exporting into a pipeline in one click, past processes and notes travelling with the candidate, and incoming applications screened and ranked. Contact enrichment adds current emails and phone numbers. Automated LinkedIn outreach handles connection requests, messages and InMail follow-ups, supports several sender accounts, and can send from a hiring manager's profile without holding their password. The unified inbox gathers every LinkedIn and email conversation the team is running, tags replies positive, negative or pending, and shows who has already contacted whom. A chat control centre surfaces what needs action, snoozes a thread and reminds you when a candidate goes quiet. The stated principle is that the ATS remains the single source of truth: no migration, no vendor lock-in. Distribution is a web app plus a browser extension published on the Chrome Web Store and Microsoft Edge Add-ons, and the interface and generated messages exist in ten languages. The models come from Microsoft Azure OpenAI Service and Google Cloud Vertex AI, both hosted in the EU, and the company positions itself explicitly against American tools on the ground that data stays in Europe. Named references include Humanit, Safemind, Delta Consulting and Eeze Consulting, agencies such as Jurek, Meritmind and Needo, and talent teams at Berotec and Knowit. The headline numbers, from 10x output to 50% less sourcing time, 3x rediscovered candidates, a 30% higher reply rate and more than a thousand recruitment professionals, are the vendor's own claims, published with no method and no source.

What it does

  • Describe a role in plain language and get candidates back, with no Boolean string to write
  • Search your own ATS database and online sources at the same time, in a single query
  • Read the AI ranking and see exactly why each candidate sits where they do
  • Push a shortlist straight into an ATS pipeline in one click
  • Launch an automated LinkedIn sequence: connection request, message, follow-ups
  • Track every reply in one shared LinkedIn and email inbox for the whole team
  • Enrich a profile with an up-to-date email address and phone number

When to use TalentRiver / When not to

A quick filter to help you decide if TalentRiver is the right fit.

When to use TalentRiver

  • Recruitment and staffing agencies running several searches in parallel, who need one workspace to source, contact and track candidates across clients
  • In-house talent acquisition teams measured on time-to-hire and quality of hire, who already work inside an established ATS
  • Startup founders with no dedicated recruiter, since the vendor states that no recruitment experience is needed and pitches the same search for finding advisors, angel investors or sales prospects
  • European organisations under GDPR that want candidate data stored and processed within the EU/EEA, with a published DPA and named sub-processors
  • Teams sitting on years of unworked applications in their ATS who want to mine that database rather than migrate away from it, since the vendor promises no vendor lock-in and no painful migrations

When not to use TalentRiver

  • Buyers who need a public price before talking to sales: there is no pricing page, no published range and no entry ticket, since every amount is set in a private Order Form or deal sheet
  • Anyone hoping to test the product alone first: no free trial, no free plan and no self-serve sign-up exist, and the demo form is the only way in
  • Developers and teams wanting to build on top of the product: no public API, no developer documentation and no public endpoint were found
  • Recruiters who want a mobile app or a fully autonomous agent: TalentRiver ships as a web app plus a Chrome and Edge extension, and its AI scores are explicitly decision support reviewed by a human before any action
  • Organisations shopping for an ATS, a payroll system or an onboarding tool: TalentRiver assumes you already run an ATS and only covers sourcing, screening and outreach around it

How to use TalentRiver

A typical end-to-end flow, from setup to results.

  1. Request a demo through the booking form: first and last name, work email, company name, phone, job title, the ATS you use and how you heard about the tool are all mandatory
  2. Attend the demo, which the vendor tailors to your profile as a startup, an in-house talent acquisition team or an agency
  3. Agree commercial terms in an Order Form or deal sheet, since no self-serve sign-up path exists
  4. Sign in to the web app, where accounts are handled by Firebase Authentication
  5. Connect your ATS so the platform can search your existing candidate database and write shortlists back into it
  6. Install the Chrome or Edge extension and connect your LinkedIn account, following the help centre's dedicated Connecting LinkedIn section
  7. Optionally authorise Gmail or Outlook over OAuth so email threads land in the unified inbox alongside LinkedIn
  8. Describe a role in plain language, review the ranked results and the reason given for each position, then build a shortlist
  9. Launch a LinkedIn or email sequence and manage replies from the shared inbox and the chat control centre, snoozing or reviving threads as needed
  10. Export the shortlist to your ATS pipeline, and use the help centre for the rest, either its AI agent or the Ask a human channel, which warns that the conversation is visible to TalentRiver employees

Pros & Cons

Pros

  • The AI ranking is presented as explainable, showing why each candidate is placed where they are, in deliberate contrast with the black box the vendor attributes to LinkedIn Recruiter
  • Deep two-way ATS integration with no migration and no change of system, backed by four dedicated integration pages (Teamtailor, Ponty, Invenias, Adocka) and fourteen named partners
  • Data processing in the EU/EEA with a complete DPA published, nine sub-processors named with their country, and AI models hosted in the EU on Azure OpenAI and Vertex AI
  • Systematic human review of AI output, with no solely automated decision-making carrying legal or similarly significant effects
  • A shared unified inbox that stops two recruiters in the same team approaching the same candidate
  • Retention periods published as concrete figures for each data category, which is more disclosure than most vendors offer
  • Setup announced without a technical team, and an interface and message templates in ten languages, useful for multi-country hiring across Northern Europe

Cons

  • No public pricing whatsoever: no pricing page, no range and no entry ticket, since everything sits in a private Order Form or deal sheet
  • No free trial, no free plan and no self-serve sign-up, so the sales demo is the only way to see the product
  • Auto-renewing subscription, and the renewal price can be revised as long as it is announced at least 60 days before the renewal date
  • No public API and no developer documentation, and no iOS or Android application
  • No security certification such as ISO 27001 or SOC 2 is published, while the homepage advertises enterprise-ready security
  • The performance figures (10x, 50%, 3x, +30%) are vendor claims with no published method, sample or source
  • A young and small company, registered in late 2023 with four employees declared to the Swedish register for 2025, no known funding round, and no official social account linked anywhere on the site
Pricing

Pricing & Plans

There is no free plan and no free trial, and no public price of any kind. TalentRiver publishes no pricing page: the /pricing address redirects to the demo booking form, and no URL in either sitemap carries a rate. The Terms and Conditions state that the specific commercial terms of each subscription, including pricing, subscription period, auto-renewal, and cancellation terms, are set out in the applicable Order Form or deal sheet entered into between the parties. Section 3 places the initial term, the renewal period and the amounts in that Order Form, renews the subscription tacitly for equal periods unless written notice is given, and allows the renewal price to be adjusted provided the change is communicated at least 60 days before the renewal date. Section 15 caps liability at the total paid over the preceding twelve months, which indicates recurring billing. A prospective buyer therefore has to obtain figures through the demo and should ask about the seat count, the initial term and the notice period at the same time. The only occurrence of the word free on the site is Start With a Free Demo, which designates the sales demo and not a commercial offer.

Plan 1
  • No named plan
  • tier or price list is published anywhere on the site
Plan 3
  • The commercial segmentation is by audience rather than by tier
  • since the agency
  • talent acquisition and startup pages all lead to the same demo form
Prices and plans listed above may evolve. Always check the official pricing page before subscribing.

Data, GDPR & hosting

A consolidated view of how TalentRiver handles your data.

GDPR overview

GDPR implementation is documented rather than merely asserted. TalentRiver AB is established in Sweden, so no Article 27 representative is required or appointed, and a data protection contact is published at hello@talentriver.ai. A standalone DPA drafted under Article 28(3) is published and forms part of the contract; its section 6.1 commits to storing all client personal data on servers within the EU/EEA. Any transfer outside that perimeter requires the client's prior specific consent, a valid transfer mechanism and a documented third-country assessment. Seven data subject rights are listed with a 30-day response time, the Swedish supervisory authority (IMY) is named with full contact details, and the audit right is met by a periodic independent third-party audit. Stated safeguards are encryption at rest and in transit, access controls, logging and regular reviews. No certification is published: GDPR compliance here is a self-declaration backed by contracts.

Who owns the data?

Section 9 of the terms is explicit: the customer retains all right, title and ownership in Customer Data and any data derived from it. TalentRiver receives only a non-exclusive, royalty-free licence to use, process and store it solely for the purpose of providing and improving the Software, plus a separate perpetual licence over aggregated or de-identified data, which outlives the contract. Section 10 keeps the software itself with the publisher. Under the GDPR the company is processor for the customer's candidate data and controller for its own users, visitors and business contacts. After termination, data can be exported for 30 days, then deleted under the DPA.

Reuse rights

The customer owns its data and can reuse, export and redeploy it without asking TalentRiver for permission, with a 30-day export window after termination. What the platform itself processes is set out in the privacy policy: account details (name, work email, job title, employer, Firebase Authentication identifiers), usage data and support exchanges, on contract performance and legitimate interest; site visitors' IP address, approximate location, browser and pages viewed, on legitimate interest with consent for anything not strictly necessary; and candidate profiles obtained from third-party data providers described as public web sources, on legitimate interest. The optional LinkedIn and Gmail/Outlook OAuth integrations carry message content, senders, recipients and timestamps, and are processed on the customer's instructions; the publisher states it does not add Google or Microsoft as sub-processors for the email integration, since the mailbox stays the user's own. AI matching, scoring and ranking run on Microsoft Azure OpenAI Service and Google Cloud Vertex AI, both EU-hosted, and are decision support only. The policy states plainly that the company does not sell personal data. Candidates can object or request deletion at hello@talentriver.ai, with a reply within 30 days. Whether customer data feeds model training is never addressed, in either direction.

Data retention & training

Retention summary
Retention is published as a table with six concrete figures. User account data is kept for the subscription term plus 30 days; site analytics and usage data for 13 months from collection; marketing and sales contacts until opt-out or two years after the last interaction; customer support exchanges for two years; financial and invoicing records for seven years under the Swedish Bookkeeping Act; and cookie and consent records for three years. On the processing side, appendix 1 of the DPA limits processing to the term of the contract and at most 30 days after it ends, while the terms let the customer export its data during those 30 days before deletion. The stated principle is that data no longer needed is securely deleted or anonymised. One gap remains: no retention period is published for candidate profiles collected from public sources.

Hosting summary

The contractual rule is section 6.1 of the DPA: all client personal data is stored on servers within the EU/EEA. Leaving that perimeter requires three cumulative conditions, namely the client's prior specific consent, a valid transfer mechanism such as standard contractual clauses, and a documented assessment of the third country. In practice, the database infrastructure and the AI service run on Microsoft Azure in Germany, while further AI services and authentication run on Google Cloud (Vertex AI, Firebase Authentication) in the EU. User analytics with Datadog, product analytics with Posthog and error tracking with Sentry are all in Germany. Two functional sub-processors sit elsewhere inside the perimeter: outreach and chat through Unipile in France, and customer support through Plain in the United Kingdom, covered by the EU-UK adequacy decision. The distinction is worth keeping in mind: Germany carries the data and AI infrastructure, whereas France and the United Kingdom host functional services. One caveat on reading the site itself, since the marketing pages are served by an anycast CDN that says nothing about where the platform stores data.

Things to keep in mind

Risks and trade-offs to weigh before adopting TalentRiver.

  • The performance claims (10x output, 50% less sourcing time, 3x rediscovered candidates, +30% reply rate, more than a thousand recruitment professionals) are the vendor's own assertions, published with no sample, source or measurement protocol: treat them as marketing, not as evidence
  • Enterprise-ready security that meets EU AI Act and GDPR requirements is a self-declaration, since no certification (ISO 27001, SOC 2, PCI, Cyber Essentials) appears anywhere on the site
  • The perpetual licence over aggregated or de-identified data in section 9 of the terms survives the end of the contract, and whether customer data feeds model training is never addressed, neither confirmed nor excluded
  • Automating LinkedIn outreach through a browser extension, and sending from a hiring manager's profile, is activity LinkedIn governs through its own terms of use; the site never raises this risk, and the exposure falls on the user's account
  • Over-reliance is a real risk: an explained ranking still nudges you to accept the machine's ordering of human beings, and the contract only promises commercially reasonable efforts on a service supplied as is, with no measurable service level, so the hiring judgement and its consequences stay yours
  • Three different postal addresses coexist between the footer, the privacy policy and DPA, and the Swedish register, and no legal notice page exists to reconcile them
  • The privacy policy, the terms and the DPA are absent from both sitemaps and reachable only from a footer link: read them before signing, because nothing on the site steers you towards them
Setup

Setup & Integrations

Technical difficulty

Low, but not zero. The vendor claims no tech team is required, and one case study describes a single day to integrate Ponty and make the talent pool searchable. The real work falls on the recruiters: connect the ATS, connect each user's own LinkedIn account, install the Chrome or Edge extension, and optionally authorise Gmail or Outlook over OAuth, plus the hiring managers' accounts if you send on their behalf. With no API, custom integration is impossible. Onboarding is guided: the demo is mandatory, support helps with searches, workflows and integrations, and an eight-section help centre is provided.

FAQ

Frequently asked questions

What does TalentRiver actually do?
It is a recruiting workspace that searches your own ATS database and online sources at the same time, ranks the results with AI and explains each ranking, then automates outreach over LinkedIn and email from a shared team inbox.
Do I have to replace my ATS to use it?
No. The ATS stays the single source of truth. The integration is two-way, so profiles synchronise and shortlists export into a pipeline, and the vendor's stated position is that there is no vendor lock-in and no painful migration.
Which systems does TalentRiver integrate with?
Dedicated integration pages exist for Teamtailor, Ponty, Invenias and Adocka, alongside fourteen partners named on the partners page, plus LinkedIn and LinkedIn Recruiter, Gmail and Microsoft Outlook through the optional messaging and email integrations.
How much does TalentRiver cost?
No price is published. The terms state that pricing, subscription period, auto-renewal and cancellation are set in the applicable Order Form or deal sheet, so figures have to be obtained through the demo. Renewal prices can be revised with at least 60 days' notice.
Is there a free trial or a free plan?
Neither is announced anywhere on the site. The only entry point is the sales demo, and the phrase Start With a Free Demo refers to that demo rather than to a free version of the product.
Where is the data hosted?
Section 6.1 of the DPA commits to storing all client personal data on servers within the EU/EEA. The database and AI infrastructure run on Microsoft Azure in Germany, further AI services on Google Cloud Vertex AI in the EU, with Unipile in France and Plain in the United Kingdom, the latter covered by the EU-UK adequacy decision.
Does the AI decide on its own?
No. Scores and rankings are described as decision support tools only, a human reviewer always evaluates AI-generated output before any action is taken, and no solely automated decision-making with legal or similarly significant effects is performed.
Is a data processing agreement available?
Yes. A standalone DPA drafted under Article 28(3) of the GDPR is published on the site and forms part of the contract, with an appendix naming nine sub-processors and the country each one operates from.
Is there an API or a mobile app?
Neither. No developer documentation and no public endpoint were found, and there is no iOS or Android application. TalentRiver ships as a web app plus a browser extension for Chrome and Edge, with the interface and generated messages available in ten languages.
How long is data kept, and how can a candidate be removed?
Published periods run from user account data (the subscription term plus 30 days) to analytics (13 months), marketing contacts and support exchanges (2 years), accounting records (7 years) and cookie consent logs (3 years). A candidate can object or request deletion by writing to hello@talentriver.ai, with a reply within 30 days.
Conclusion

Should you pick TalentRiver?

TalentRiver is a narrow product, and that is its strength. It does not try to replace the applicant tracking system you already run: it sits beside it and covers the two steps most teams struggle with, finding candidates and getting a reply. The most concrete argument in its favour is the depth of the ATS integration, supported by dedicated pages for four systems and fourteen named partners, together with the European data story, which here is not a slogan but a published DPA under Article 28(3), a contractual commitment to EU/EEA storage and nine sub-processors named with their country. Human review of every AI output is stated explicitly, which matters in a field where scoring people automatically carries legal risk. The most concrete weakness is commercial opacity. There is no price, no range, no free trial, no free plan and no way to sign up: the sales demo is the only door, and the amounts live in an Order Form you see only once you are already in the process. Add an auto-renewing contract with a revisable renewal price, a company registered in late 2023 with four declared employees, no known funding and no published security certification behind the phrase Enterprise-ready security, and the picture is of a promising young vendor rather than an established one. It fits European teams that already own a well-stocked ATS, accept a contract-based purchase and want candidate data processed in the EU. It fits far less anyone who wants to try the tool before talking to a salesperson, needs a published budget line, or expects an API or a mobile app.
