Closify

Closify is a Swedish AI companion for B2B sellers that sits on top of your existing CRM: HubSpot, Pipedrive, Salesforce, Lime or Upsales. Voice memos become meeting notes, plain sentences become CRM records, follow-up emails draft themselves.

Overview

What is Closify?

Closify is an AI assistant for B2B salespeople, published by Closify Group AB, a one-person sales consultancy in Uppsala, Sweden. Its founder, Magnus Persson, spent fifteen years in B2B sales and built the tool for his own use before deciding to sell it. The premise is deliberately narrow: Closify is not a CRM and does not replace one. It sits as a layer above HubSpot, Pipedrive, Salesforce, Lime CRM or Upsales, reads and writes through their APIs, and leaves the pipeline where it already lives. There is no migration and no import.

The core promise is the removal of administrative work. The vendor's own measurement puts a typical seller at twenty-two hours of admin per week and brings it down to four, a difference of eighteen hours. Four flows carry most of that. A salesperson types or dictates what happened in plain language, and the AI extracts company, contact, amount, stage, next step and a proposed closing date. A thirty-second voice memo becomes a structured meeting note with tasks attached to the right deal. A live coach reads notes typed during a call every ten seconds and flags objections and competitors mentioned. A follow-up email is drafted from the latest note and the email thread, then sent through Gmail or Outlook and logged back to the CRM. Nothing reaches the CRM before the seller approves it.

Eight further flows sit on top: transparent lead scoring with visible reasoning, competitor battlecards, win and loss pattern analysis, one-click meeting preparation, a team leaderboard with a manager view, Slack morning briefs and a mobile progressive web app. Two of them are announced rather than shipped, namely buying signals for Q3 2026 and a text, voice and WhatsApp agent for Q4 2026.

Everything runs inside the European Union: Supabase in Stockholm with a Frankfurt backup, Anthropic through its EU residency endpoint, and transcription through an EU Whisper or Groq instance. The product is not yet generally available: the vendor states a Q3 2026 launch, four beta users and no paying customers.

What it does

  • Turn one plain sentence into a full CRM record: company, contact, amount, stage and next step
  • Convert a thirty-second voice memo into a structured meeting note with tasks on the right deal
  • Coach a live call by reading typed notes every ten seconds and flagging objections and competitors
  • Draft a context-aware follow-up email from the latest meeting note and the email thread
  • Score leads on fit, intent and engagement, showing the three reasons behind each score
  • Build a battlecard against a named competitor on a specific deal
  • Analyse won versus lost deals to surface patterns and suggest the next move

When to use Closify / When not to

A quick filter to help you decide if Closify is the right fit.

When to use Closify

  • B2B sales teams of one to fifteen seats already running HubSpot, Pipedrive, Salesforce, Lime CRM or Upsales
  • Salespeople who lose hours every week to CRM data entry and want the fields filled without touching them
  • Freelance and solo sellers, who get a dedicated single-seat plan with one CRM connection
  • European buyers who need EU-only hosting and a signed data processing agreement before any data moves
  • Sales managers who want an accurate real-time pipeline without chasing their reps for updates

When not to use Closify

  • Companies on any CRM outside the five supported ones, which get no coverage at all
  • Teams that need outbound sequences and cadences, which the vendor states it deliberately does not do
  • Buyers who need real-time audio transcription during calls: the live coach reads typed text, not an audio stream
  • Procurement processes that require ISO 27001 or SOC 2, since the vendor holds neither certification today
  • Organisations that need public customer references, as no case study has been published and there are no paying customers yet

How to use Closify

A typical end-to-end flow, from setup to results.

  1. Pick a plan and start the fourteen-day free trial, which needs no credit card
  2. Generate an API token in your CRM, or connect through Google or Microsoft OAuth instead
  3. Paste the token into the Closify settings; the vendor stores it encrypted per user
  4. Choose your CRM: the Solo plan opens one connection, Starter and above open all five
  5. Describe a deal in one plain sentence, dictate a thirty-second voice memo, or paste a meeting transcript
  6. Review what the AI extracted, since nothing is written to the CRM until you approve it
  7. Let the record, the linked contact and the dated task be created in your CRM
  8. Open the drafted follow-up email waiting in your inbox, adjust it and send it
  9. Add the mobile progressive web app to your home screen and switch on the Slack morning brief if wanted
  10. Run a longer pilot on real data if you want proof before committing, under the vendor's time-saving guarantee

Pros & Cons

Pros

  • No CRM migration: it connects to what you already run and the data stays in your own system
  • EU hosting in Stockholm with a Frankfurt backup, and an explicit answer to Schrems II questions
  • Prices are published openly, with no mandatory sales call to see them
  • No lock-in: monthly billing, cancel at any time, and a fourteen-day trial without a credit card
  • An unconditional commitment not to train models on customer data, extended to subprocessors by contract
  • A public methodology page giving the source, sample size and limits of every headline figure
  • A trust page that lists explicitly what the vendor does not have, including ISO 27001 and SOC 2

Cons

  • The product is pre-launch: no paying customers, four beta users, and a public launch targeted at Q3 2026
  • The publisher has a single employee, which concentrates continuity and support risk on one person
  • No security certification: neither ISO 27001 nor SOC 2, and the first external pentest is only planned
  • The site contradicts itself on the ISO 27001 timeline, giving Q4 2026 in one place and 2027 in another
  • Headline figures rest on three salespeople measured over six weeks, which the vendor acknowledges
  • Two features sold within the Pro tier are not shipped yet: buying signals and the conversational AI agent
  • The site exists in Swedish only, and no English version is published

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how Closify handles your data.

GDPR overview

GDPR implementation is documented in concrete terms rather than merely claimed. Closify Group AB names itself as controller, with its Uppsala address, and states GDPR compliance from day one. A data processing agreement, called a PUB-avtal, is signed before any data is moved and a template is available on request. There is no formal DPO; the founder handles data protection correspondence. The privacy policy, updated on 13 June 2026, lists the Article 12 to 22 rights individually, including access, rectification, erasure, restriction, portability, objection and withdrawal of consent, with a thirty-day response commitment and requests handled by email. The Swedish supervisory authority, IMY, is named for complaints. No deal data or meeting notes are transferred to the United States, and AI calls go through Anthropic's EU residency endpoint.

Who owns the data?

The customer keeps ownership. The terms state that all rights to CRM data and meeting notes remain with the customer, and that AI-generated content such as meeting notes, follow-ups and quotes belongs to the customer who commissioned it. Closify Group AB retains rights only to its software, design, documentation and brand. Deal data stays in the customer's own CRM, which remains the master system; Closify reads and writes through the API rather than mirroring the pipeline. Customers can export everything as JSON or CSV on request, and a full deletion can be requested by email and is completed within thirty days with written confirmation.

Reuse rights

Customers may reuse their own data freely and without asking permission, since they never transfer ownership: records stay in their CRM and exports are available as JSON or CSV on request. On the vendor's side, use is limited and stated explicitly. Closify reads and writes deals, contacts, companies, notes and tasks through the CRM connection; it stores structured meeting analyses; it reads email threads and calendar entries on demand for Pro plans and above without storing them; and it sends voice memos to an EU Whisper or Groq instance for transcription. Raw transcripts and audio files are deleted within twenty-four hours. The vendor commits to not training AI models on customer data and states that this obligation is passed on to its subprocessors by contract. Prompts sent to the AI providers contain neither CRM tokens nor secrets, and the site uses no marketing cookies or fingerprinting.

Data retention & training

Retention summary
Audio files and raw transcripts are deleted within twenty-four hours of the analysis being completed. Structured meeting notes are kept for as long as the subscription is active and deleted thirty days after cancellation. The CRM cache of deals and contacts is held for seven days, usage logs for ninety days before being anonymised, and backups for thirty days. Demo requests are kept for twenty-four months and can be deleted earlier on request. After cancellation the customer has thirty days to export everything as CSV or JSON, after which all customer data is permanently deleted. A full erasure request is completed within thirty days and confirmed in writing. Unpaid accounts are suspended after fourteen days and deleted after sixty.

Hosting summary

Data is hosted in the European Union under Swedish jurisdiction. The primary region is Stockholm, Sweden, on Supabase's eu-north-1 region, with automatic replication to a backup region in Frankfurt, Germany. The landing site is served by Netlify Edge with EU regions prioritised. The vendor states there are no United States cloud dependencies for the application, the database or the AI calls that handle customer data: model calls go to Anthropic through its EU residency endpoint, and audio transcription goes to an OpenAI Whisper EU region or a Groq EU instance, chosen by the customer in the settings. Payments are handled by Stripe in Ireland. Deal data itself is not mirrored: it stays in the customer's own CRM, which remains the master system. Encryption is AES-256 at rest and TLS 1.3 in transit, with row-level security on every table and multi-tenant isolation verified at database level. A public subprocessor list is maintained and updated at every change.

Things to keep in mind

Risks and trade-offs to weigh before adopting Closify.

  • Letting the AI write your CRM can erode the habit of thinking through a deal: the notes look complete even when the seller never reflected on what actually happened
  • Follow-up emails arrive pre-written and plausible, which invites sending them unread and putting a machine's wording in front of a customer under your own name
  • The vendor is a single person with no paying customers yet, so continuity of the service and of support depends entirely on one individual
  • Leaderboards, streaks and badges add visible peer pressure to sales work, which can push behaviour toward the scoreboard rather than the customer
  • Lead scores and battlecards are persuasive precisely because they are presented with reasoning, and a confident score can override a seller's own read of a buyer
  • Two features are sold inside the Pro tier but announced for later in 2026, so a purchase made on the full feature list may not deliver it immediately
  • Meeting notes and call context leave your CRM to be processed by third-party AI providers, which is disclosed and EU-based but still widens who touches customer conversations
Setup

Setup & Integrations

Technical difficulty

Low. The vendor states thirty minutes from start to working, with no consultants and no data migration. The only technical step is generating an API token in your CRM and pasting it into the settings, or connecting through Google or Microsoft OAuth instead. The practical prerequisite is having one of the five supported CRMs and the rights to create an API token for your organisation. Guided onboarding with four hours of support is included from the Pro tier upward, and single sign-on through Microsoft Entra or Google Workspace is reserved for Enterprise.

FAQ

Frequently asked questions

Is Closify a new CRM?
No. It sits on top of the CRM you already use, does not take over data ownership and does not move your history. Salespeople can keep logging into HubSpot or Pipedrive exactly as before.
Which CRMs does it work with?
HubSpot, Pipedrive, Salesforce, Lime CRM and Upsales. The Solo plan opens one CRM connection of your choice, while Starter and every tier above open all five.
How long does setup take?
The vendor states thirty minutes. You generate an API token in your CRM, or connect through Google or Microsoft OAuth, and paste it into the settings. No consultants and no migration are involved, and it runs the same day.
Can I try it before paying?
Yes. There is a fourteen-day free trial with full functionality and no credit card required. A longer eight-week pilot on real data is also offered at a discounted pilot price, with a refund if you do not save at least eight hours per week.
What does it cost?
Four tiers priced per seat per month, excluding VAT: Solo at 590 SEK, Starter at 990 SEK, Pro at 1690 SEK and Enterprise from 2990 SEK. Annual payment takes twenty per cent off, and there is no seat minimum and no commitment period.
Where is my data hosted?
The primary region is Stockholm, Sweden, on Supabase, with a backup in Frankfurt, Germany. The vendor states there are no United States cloud transfers for deal data or meeting notes, and AI calls go through Anthropic's EU residency endpoint.
Is my data used to train AI models?
No. The terms state that Closify does not train AI models on customer data, and that its subprocessors are bound by the same policy through their contracts with the vendor.
Does Closify hold any security certifications?
Not today. The trust page states that ISO 27001 is not yet held and is on the roadmap, that SOC 2 Type II is a lower priority, and that the first external penetration test is still planned.
Is there a mobile app?
There is no native app in the Apple or Google stores. Mobile access is a progressive web app that can be added to the home screen as an icon with shortcuts, and a morning brief can be delivered as a Slack direct message.
Is the product already launched?
Not yet. The vendor describes itself as pre-launch with a Q3 2026 target, reporting four beta users, an ongoing pilot phase and no paying customers. Public case studies are announced for the same quarter.
Conclusion

Should you pick Closify?

Closify is unusually easy to assess, because its publisher does much of the work for you. Prices are on the site, a methodology page gives the sample size and limits behind every headline number, and the trust page lists what the company does not have rather than burying it. That candour is worth as much as the product itself when judging a young vendor.

The product idea is narrow and coherent. Rather than adding another system, Closify removes the CRM admin that salespeople avoid, writing structured records from speech or plain sentences into HubSpot, Pipedrive, Salesforce, Lime or Upsales. Nothing is written without the seller's approval, nothing is migrated, and the data stays in the customer's own CRM. For a Nordic team already on one of those five systems, adoption risk is genuinely low: a fourteen-day trial without a card, monthly billing, no commitment and EU-only hosting.

The reservations are about the company, not the concept. This is a pre-launch product from a one-person business: four beta users, no paying customers, no published case study, and a public launch targeted at Q3 2026. Two features described inside the Pro tier are announced rather than shipped. There is no ISO 27001 or SOC 2 certification, and the site gives two different dates for when the former might arrive. The headline productivity figure rests on three salespeople measured over six weeks, and the cost comparison against a six-tool stack uses competitor prices the vendor collected itself.

Treat it as a promising pilot rather than a structural purchase. The low commitment makes trying it cheap; the single-person dependency makes betting a sales organisation on it premature. Revisit after the public launch and the first named customers.
