Overview

What is DialogShift?

DialogShift is a hotel-specific artificial intelligence platform for guest communication, published by DialogShift GmbH in Berlin, a company entered in the German commercial register in March 2019. It is sold as a single platform on which six modules can be switched on: Chat AI, a chatbot for the hotel website, WhatsApp, Instagram and Facebook Messenger; Phone AI, a voice assistant that answers the telephone; Email AI, which drafts replies to guest emails; Journey Messaging AI, which sends proactive messages during the stay; Booking Agent AI, which completes reservations inside the conversation; and Review AI, which proposes answers to guest reviews.

What holds the modules together is a central knowledge base the vendor calls the AI Database. It ingests PDFs, web pages, documents and FAQ catalogues, and connects to the hotel's booking engine and property management system as well as content systems such as GIATA Drive, Guestnet and Hotel MSSNGR. The vendor states that sources are re-read every two to twenty-four hours and that the assistant flags information it is missing, so that content is maintained in one place rather than duplicated.

Underneath, the platform calls large language models from OpenAI, Google and Anthropic, served through Microsoft Azure and Amazon Web Services. The company is explicit that ChatGPT is not plugged in directly: models are constrained to the individual hotel's own information. Speech synthesis for the phone assistant comes from ElevenLabs and translation from DeepL.

The published figures are 1,400 or more hotels, roughly 95% automation of recurring requests, more than 100 languages and over a million phone conversations handled. DialogShift describes itself as the market leader in the German-speaking region and stresses that the technology is built in-house rather than bought in. Twenty-four hospitality integrations are named and described individually, and native iOS and Android apps put live chats on staff phones. Core processing runs in a Hetzner data centre in Germany, with all data kept on EU servers. Onboarding is guided by the vendor and announced as taking one to two weeks.

What it does

  • Answer guest questions automatically, around the clock, on every channel
  • Take phone calls and handle bookings and enquiries without a queue
  • Turn a conversation into a confirmed direct booking through the Booking Agent
  • Draft email replies in the hotel's own tone of voice
  • Send proactive messages at the right moment of the guest journey
  • Hand a conversation over to the right department with its full history
  • Suggest replies to online guest reviews

When to use DialogShift / When not to

A quick filter to help you decide if DialogShift is the right fit.

When to use DialogShift

  • Independent hotels whose front desk is saturated by repetitive guest questions and phone calls
  • Hotel groups and chains needing central management of several properties with granular user rights
  • Hoteliers trying to shift bookings away from OTAs towards their own direct channel
  • Properties with an international clientele, where guests write in many different languages
  • Hotels already running a PMS or booking engine among the 24 documented integration partners

When not to use DialogShift

  • Any business outside hospitality: the product, vocabulary and integrations are hotel-specific
  • Very small properties on a tight budget, since a 200 EUR monthly platform fee applies before any module
  • Teams wanting to build on a public API, as none is offered or documented
  • Buyers who need to trial software before committing, because there is no free plan and no free trial
  • Organisations whose procurement requires published terms and conditions before signature

How to use DialogShift

A typical end-to-end flow, from setup to results.

  1. Book a demo through the website: there is no self-service sign-up, the entry point is a scheduled call
  2. Discuss which modules fit the property, since each one is priced separately on top of the platform
  3. Start the guided concierge onboarding, in which DialogShift configures the assistant with you
  4. Gather and hand over your hotel knowledge — PDFs, URLs, documents — which is the heaviest task on the hotel side
  5. Let the AI Database ingest those sources and flag whatever information is still missing
  6. Connect your booking engine or PMS through one of the documented integrations
  7. Activate the channels you need: website widget, WhatsApp Business, Instagram, Messenger
  8. Complete Meta business verification, which WhatsApp Business requires before going live
  9. For Phone AI, choose between SIP integration and call forwarding, and configure the hotel PBX accordingly
  10. Install the Outlook, Thunderbird or Firefox plugin if the team will use Email AI

Pros & Cons

Pros

  • Purpose-built for hospitality rather than a generic assistant repointed at hotels
  • Unusually wide channel coverage: web, WhatsApp, Instagram, Messenger, phone, email and SMS
  • Exceptional privacy transparency, with ten subprocessors named alongside their server countries
  • Contractual guarantee that guest data is never used to train any provider's models
  • Core processing hosted in Germany, with all data kept on EU servers
  • Short and clearly stated retention: guest communication data is deleted after 90 days

Cons

  • No terms and conditions are published: the site's own Terms link points to the privacy policy instead
  • Layered pricing, where the mandatory 200 EUR monthly platform fee includes no functional module
  • Neither a free plan nor a free trial; the only way in is a sales demo
  • No public API is offered or documented, which rules out custom integration work

Pricing

Pricing & Plans

There is no free plan and no free trial. Pricing is layered: a mandatory platform subscription, Base: AI Platform, costs 200 EUR per month and is the lowest published price point, but it contains no functional module on its own. Each module is then charged on top — Chat AI from 100 EUR per month, Journey Messaging AI from 150 EUR, Phone AI from 200 EUR, and Email AI at 50 EUR per month — so an operational setup starts higher than the headline figure. The vendor offers a money-back guarantee and includes guided onboarding. The pricing page does not state whether amounts include VAT.

Data, GDPR & hosting

A consolidated view of how DialogShift handles your data.

GDPR overview

GDPR treatment is unusually explicit. The publisher is established in Berlin, so no Article 27 representative is required, and an external Data Protection Officer is named: IITR Datenschutz GmbH in Munich. The privacy policy, dated February 2026, names the controller and processor roles for each category of data, cites the legal basis article by article, and lists ten subprocessors together with the country their servers sit in. All processing is stated to happen on EU or EEA servers; where a subprocessor has a US parent, contracts are signed with its European entity and the parent is certified under the EU-U.S. Data Privacy Framework. Technical and organisational measures — encryption in transit and at rest, access control, regular security reviews — are summarised and detailed in an annex to the data processing agreement.

Who owns the data?

The privacy policy splits responsibility in two. For the accounts of hotel staff using the platform, DialogShift GmbH acts as controller under the GDPR. For everything guests actually say — chat transcripts, phone call transcripts, email content — DialogShift acts only as a processor under Article 28 GDPR, on behalf of the hotel, which remains the controller. That arrangement is formalised in a data processing agreement signed with every customer. The hotel therefore keeps control of guest data and decides its legal basis, while DialogShift may use it only to deliver the service. The vendor states that no guest or user profiles are built.

Reuse rights

Data is used strictly to answer the request being handled, and nothing else. The vendor states that guest data is never used by any AI provider to train models, and that this is contractually agreed with all of them. It also states that the language model providers keep no input data beyond the individual request, with no logging. No profiling takes place and no data is combined across sessions. Because DialogShift acts as a processor for guest conversations, the hotel that owns the data may reuse it freely; DialogShift itself may not repurpose it. Large language models from OpenAI, Google and Anthropic are used, with DeepL for translation and ElevenLabs for voice.

Data retention & training

Retention summary
Personal data from guest communication is deleted automatically and irreversibly after 90 days, and within that period it is kept only to deliver the service. The providers of the language models are stated to retain no input data beyond the individual request, with no logging. Data belonging to platform users, meaning hotel staff accounts, is kept for the duration of the contract and deleted afterwards in line with the contractual terms. The vendor also states that no guest or user profiles are created and that data is not combined across sessions.

Hosting summary

Core processing runs in the vendor's data centre at Hetzner in Germany, and the privacy policy states that all data is processed exclusively on servers within the EU or EEA. Subprocessors are listed with their server locations: Hetzner in Germany, OpenAI Ireland, Google Cloud EMEA and Microsoft Ireland in Ireland, Amazon Web Services EMEA in Frankfurt, ElevenLabs in Poland and DeepL in Germany. Communication providers are sipgate in Germany, tyntec in Germany and Link Mobility in Austria. Where a provider belongs to a US group, DialogShift states that it contracts with the European entity and that the US parent is certified under the EU-U.S. Data Privacy Framework, so no transfer outside the EU is claimed. One distinction is worth keeping in mind: the marketing website itself is hosted by Webflow in the United States behind a Cloudflare CDN, which is separate from the platform where guest data is actually processed.

Things to keep in mind

Risks and trade-offs to weigh before adopting DialogShift.

  • The domain is second-hand: its first web archive capture, in 2011, is a GoDaddy parking page from a previous owner, eight years before the company existed, so it says nothing about the vendor's age
  • No terms and conditions are published anywhere on the site, so no contractual commitment can be checked before talking to sales
  • Unedited remnants of the Webflow template remain online, including product pages priced at 15, 30 and 79 dollars and staff pages naming people who do not exist; none of it reflects the real offer
  • Case study cards on the homepage attribute the same company and city to several different hotels, so those attributions should not be read as facts
  • Letting an assistant answer guests around the clock can quietly erode the informal knowledge front-desk staff build up, and hotels should keep a real handover path open
  • The vendor claims 100+ languages without listing them, so quality in any specific language cannot be verified before buying
  • No security certification such as ISO 27001 or SOC 2 is claimed by the publisher itself; the certifications mentioned on the site belong to third parties
Setup

Setup & Integrations

Technical difficulty

Low to moderate, and largely handled for you. Onboarding is guided by the vendor and announced as one to two weeks; no development skills are required. The real effort on the hotel side is editorial: collecting and supplying the knowledge the assistant will answer from. Two steps are more technical. Phone AI requires choosing between SIP integration and call forwarding and configuring the hotel PBX, and WhatsApp Business requires Meta business verification, an external administrative process. Email AI simply installs as an Outlook, Thunderbird or Firefox plugin.

FAQ

Frequently asked questions

Which AI models does DialogShift use?
It relies on several large language models, including ones from OpenAI and Anthropic, delivered through Microsoft Azure or Amazon Web Services. Google models are also named in the privacy policy.
Is ChatGPT integrated directly?
No. The vendor states that ChatGPT is not plugged in directly. The underlying models are constrained to the information the individual hotel provides, which is presented as the basis for reliable, hotel-specific answers.
How many languages are supported?
The vendor advertises more than 100 languages for chat, 120+ for email drafting and 50+ for the phone assistant. The full list is not published, and only German, English, Turkish, Russian and Icelandic are named explicitly.
How long does setup take?
Onboarding is announced as one to two weeks. The heaviest part is on the hotel side: gathering and supplying the knowledge the assistant needs. DialogShift configures the system with the customer during that period.
Is guest data used to train AI models?
No. The privacy policy states that guest data is used by no AI provider for model training, and that this is contractually agreed with all of them. It adds that model providers keep no input data beyond the individual request.
How long is data kept?
Personal data from guest communication is automatically and irreversibly deleted after 90 days. Platform user data is kept for the duration of the contract and deleted afterwards according to the contractual terms.
Where is the data hosted?
Core processing runs in a Hetzner data centre in Germany, and the vendor states that all data is processed on servers within the EU. Subprocessors are named with their server locations in Germany, Ireland, Poland and Austria.
Is there a mobile app?
Yes. A native DialogShift app is published for both iOS and Android, bringing live chats and push notifications to the team's smartphones.
Does DialogShift offer an API?
No public API is offered or documented. Automation is instead available through the documented integrations, including a Make.com connector with inbound and outbound triggers for Journey Messaging.
Is there a free trial?
No. There is neither a free plan nor a free trial. The vendor offers a money-back guarantee instead, and the entry point to the product is a scheduled demo.
Conclusion

Should you pick DialogShift?

DialogShift is a mature, narrowly focused product rather than a general assistant pointed at hospitality. The company behind it has been registered in Berlin since 2019, employs a small team and has grown without outside funding, which fits the picture of a specialist vendor rather than a fast-scaling startup. Its strongest arguments are the breadth of channels it covers — website chat, WhatsApp, Instagram, Messenger, telephone and email under one inbox — and an unusually candid privacy posture: ten subprocessors named with their server countries, core hosting in Germany, a contractual commitment that no provider trains on guest data, and automatic deletion after ninety days. For a European hotel with compliance obligations, that documentation is worth more than most marketing claims.

The reservations are practical rather than technical. Pricing is layered, and the advertised 200 EUR monthly entry point buys the platform alone, with every functional module charged on top, so the real starting cost is higher. There is no free plan, no trial and no self-service sign-up, so evaluation means talking to sales. More awkwardly, no terms and conditions are published at all — the site's own Terms link leads to the privacy policy — and the website still carries visible remnants of the commercial Webflow template it was built on, including placeholder product pages priced in dollars that have nothing to do with the offer.

For a hotel or group whose front desk is overwhelmed by repetitive questions and which wants to push guests towards direct booking, the fit is strong, particularly where one of the twenty-four named property systems is already in place. For anyone outside hospitality, or anyone needing an API, a trial or contractual documents before signing, it is not the right tool.
