Overview

What is Kabilio?

Kabilio is a generative-AI platform built by Kabilio Technologies SL, a Barcelona company, for Spanish accounting and tax practices (asesorias) and the businesses they serve. Its own FAQ is blunt about what it is not: Kabilio is not an accounting program, but an automation layer that sits on top of one. It takes in the paperwork a practice receives, interprets it, and pushes finished entries into the ledger the firm already uses.

Three modules serve the practice. The Procesador captures invoices from a dedicated email address, virtual folders or manual upload, reads photographs and PDFs, separates multi-page files, flags duplicates, and proposes a full journal entry including the counterpart account, the operation type and the applicable tax forms, with a claimed 95% reliability. It also creates supplier and customer accounts as it posts. The Conciliador pulls bank movements through a certified aggregator covering 99% of Spanish banks, or accepts an Excel statement, then proposes matches using AI and configurable rules, handling partial and grouped payments. The Facturador issues electronic invoices that are transmitted automatically to the tax authority under the Verifactu regime. A separate offer aimed at SMEs and the self-employed packages that invoicing tool on its own.

The commercial model is unusual and unusually transparent. Practices buy prepaid credit packs shared across every product: one credit per document posted, 0.4 per reconciled transaction, 14 per bank connection per month. Every product stays open and only consumption is billed. Credits expire after twelve months.

The binding constraint is integration. Kabilio synchronises in real time with A3ECO and A3CON, and its product FAQ states plainly that a practice running any other accounting software cannot be served for now. Data sits on Amazon Web Services servers in Europe, is never transferred outside the European Economic Area, and is contractually excluded from AI model training. The interface, the documentation and the tax logic are Spanish throughout.

What it does

  • Interprets and classifies invoices, then proposes a complete journal entry with a claimed 95% reliability
  • Captures documents through a dedicated email address, virtual folders or direct upload
  • Reconciles bank movements automatically using AI and advanced matching rules
  • Issues electronic invoices and sends them automatically to the Spanish tax authority
  • Synchronises in both directions with A3ECO and A3CON in real time
  • Detects duplicate invoices and splits multi-page PDFs without help
  • Opens a shared workspace where the firm's own clients can supply and consult documents

When to use Kabilio / When not to

A quick filter to help you decide if Kabilio is the right fit.

When to use Kabilio

  • Spanish accounting and tax practices weighed down by repetitive invoice data entry
  • Firms already running A3ECO or A3CON, the only accounting software Kabilio connects to today
  • Bookkeepers who want AI-drafted journal entries that a human still reviews before posting
  • Spanish SMEs and self-employed workers who must issue invoices under the Verifactu regime
  • Practices that want a shared workspace where their own clients submit and consult documents

When not to use Kabilio

  • Practices running any accounting package other than A3, which Kabilio openly declines to serve for now
  • Businesses outside Spain, since the product is built on Spanish tax rules, banks and chart of accounts
  • Anyone shopping for a complete accounting package: Kabilio is an automation layer, not a ledger
  • Teams wanting bank reconciliation on its own, as that module requires the invoice processor
  • Developers expecting a public API or a mobile app, neither of which Kabilio offers

How to use Kabilio

A typical end-to-end flow, from setup to results.

  1. Request a demo or contact sales through the website form, stating your practice size and accounting software
  2. Confirm you run A3ECO or A3CON, which is a prerequisite on the practice side
  3. Choose a credit pack sized to your document volume, or a monthly plan on the SME invoicing offer
  4. Run a 15-minute session with your IT contact to create the A3ECO/CON connector
  5. Attend a 60-minute training session for the accountant who will use the product
  6. Set up the intake channels: the dedicated email address, virtual folders or manual upload
  7. Connect your clients' bank accounts through the certified aggregator, or import an Excel statement
  8. Let the AI propose journal entries and bank matches, then review and post them, in bulk if you wish
  9. Optionally open the shared workspace to your clients so they can supply documents directly
  10. For the invoicing product, configure logo, numbering, payment terms and catalogue, then connect to Verifactu

Pros & Cons

Pros

  • Unusually transparent pricing: five public tiers with the credit cost of every single action published
  • One credit balance shared across all products, with every module open and only usage billed
  • No lock-in period, unlimited users, and setup, training, an account manager and support included in all plans
  • Contractual commitment that customer data is never used to train AI models
  • Data hosted on AWS servers in Europe with no transfer outside the European Economic Area
  • 30-day free trial with no credit card on the SME invoicing offer

Cons

  • Only one accounting integration actually works: any software other than A3ECO/A3CON is explicitly refused
  • Spanish market and Spanish language only, with tax logic that does not travel
  • High entry ticket on the practice side: EUR 540 for 3,000 credits, paid in advance
  • Credits expire after twelve months and are neither carried over nor refunded
  • Bank reconciliation cannot be bought alone; it requires the invoice processor module
  • No permanent free plan, no public API and no mobile application
  • An information security policy is published but no security certification is claimed

Pricing & Plans

There is no permanent free plan. A 30-day free trial, requiring no credit card, is offered on the SME and self-employed invoicing product only. Two separate price lists apply. The lowest paid entry point across the site is EUR 5.00 per month on the annual SME plan (6,000 invoices per year, one tax ID, billed in advance), or EUR 7.00 per month on monthly billing for 500 invoices per month. On the accounting practice side, pricing works through prepaid credit packs starting at EUR 540 for 3,000 credits as a single payment, which corresponds to 18 cents per credit; credits are valid for twelve months and additional credits outside a pack are billed at EUR 0.20 each.

Data, GDPR & hosting

A consolidated view of how Kabilio handles your data.

GDPR overview

GDPR implementation is documented rather than merely asserted. The privacy policy is expressly based on Regulation (EU) 2016/679 and the Spanish LOPDGDD, a Data Protection Officer is named and reachable at dpo@kabilio.ai, and the data subject rights are listed one by one, including objection to automated decision-making and withdrawal of consent. The Agencia Espanola de Proteccion de Datos is named as the supervisory authority. The general conditions state that customer personal data is not passed to recipients established outside the European Economic Area and that service providers sit within it. Processor duties are set out in section 8.2 of the published conditions. An information security policy is published and references Spain's ENS standard, but no security certification such as ISO 27001 is claimed anywhere on the site.

Who owns the data?

Under the general conditions, everything uploaded to the platform remains the property and the responsibility of the customer. Kabilio acts only as a processor under the GDPR and states it handles that material solely to deliver the contracted services. Section 8.2.3 names who may receive it: the AI tools built into the software, the customer's own accounting package such as A3 or Sage, the Open Banking access provider, and suppliers needed to run the service. Customers keep control of what they upload and may delete it at any time. Obtaining consent from the people named in those documents falls on the customer, not on Kabilio.

Reuse rights

The customer keeps full reuse rights over the material they upload: it remains theirs, they may delete it at any moment, and nothing in the conditions requires Kabilio's permission to use it elsewhere. Kabilio's own permitted uses are deliberately narrow. Data serves only to run the contracted services and, the conditions state, is never applied to purposes unrelated to Kabilio's operations and never used to train AI models. Where a generative AI tool is involved, data is sent to it temporarily and is not stored permanently. In return, the customer carries the consent obligation for any personal data contained in the documents processed, including for the transfer of that data to AI tools and to the accounting software.

Data retention & training

Retention summary
Two rules apply. Data uploaded to the platform is permanently deleted from the system two years after the customer stops using the software. Personal data tied to the commercial relationship is kept only for as long as strictly necessary for the stated purposes, subject to the maximum periods set by law, with the tax obligation to retain invoices cited as a basis for keeping records. Data sent to the built-in AI tools is not stored permanently. Customers keep control throughout and can delete what they upload at any time. Separately, if an account goes unused for a year, Kabilio reserves the right to cancel it and delete the associated data one month after notifying the customer.

Hosting summary

Kabilio states in its general conditions that all data is stored on Amazon Web Services servers located in Europe, which it presents as its guarantee of compliance with EU personal data rules. The same conditions commit that customer personal data is not passed to recipients established outside the European Economic Area, defined on the page as the European Union plus Liechtenstein, Iceland and Norway, and that service providers receiving data sit within that area. A product FAQ repeats that information is stored in the AWS cloud. No individual country and no AWS region is ever named, so the hosting jurisdiction is established only at European level. The publisher is established in Spain and Spanish law governs the contract, with the Agencia Espanola de Proteccion de Datos named as the competent supervisory authority. Bank access runs through a PSD2-certified provider, and Kabilio states it does not store banking credentials.

Things to keep in mind

Risks and trade-offs to weigh before adopting Kabilio.

  • The site contradicts itself on its own registered office: three different Barcelona addresses appear across the legal notice, the privacy policy and the page footers
  • A 95% reliability claim on proposed entries means roughly one in twenty needs correction, so posting in bulk without review would push errors straight into the ledger
  • Depending on a single accounting integration creates real lock-in in both directions: leaving A3 effectively means leaving Kabilio
  • Credits expire twelve months after purchase, are not carried over, and plans already contracted are not refunded
  • Uploaded data is retained for two years after you stop using the software before permanent deletion
  • The customer, not Kabilio, must obtain consent from everyone named in the uploaded documents, including for transfer to AI tools and to the accounting software
  • A published information security policy referencing a standard is not a certification, and none is claimed
Setup

Setup & Integrations

Technical difficulty

Low, provided the prerequisite is met. Kabilio quotes a 15-minute session with the practice's IT contact to build the A3ECO/CON connector, followed by a 60-minute training session for the accountant who will use the product. Installation, training and a dedicated account manager are included in every plan. The real hurdle is not technical but structural: the practice must already run A3ECO or A3CON. On the SME invoicing side, setup is self-service, starting with a 30-day trial that requires no credit card.

FAQ

Frequently asked questions

Is Kabilio an accounting program?
No. Kabilio describes itself as an AI automation layer that connects to the accounting program a practice already uses. It prepares and posts entries, but it does not replace the ledger itself.
Which accounting software does Kabilio work with?
A3ECO and A3CON only, with real-time two-way synchronisation. The product FAQ states plainly that a practice running any other accounting software cannot be served for now, though Kabilio invites those firms to get in touch for when an integration exists.
How much does it cost to start?
On the accounting practice side, the entry pack is EUR 540 for 3,000 credits, paid once. On the SME and self-employed invoicing product, plans start at EUR 5 per month on annual billing, or EUR 7 per month billed monthly.
How is usage actually billed?
Through a single credit balance shared across all products: one credit per document posted in the processor, 0.4 credit per reconciled transaction, and 14 credits per bank connection per month. Consumption is identical on every tier; only the price per credit changes.
Do the credits expire?
Yes. All credits expire twelve months after purchase. If you run out without an active pack, each extra credit is billed at EUR 0.20.
Is there a free trial or a free plan?
There is a 30-day free trial with full functionality, no credit card and no commitment, but it applies to the SME and self-employed invoicing offer. There is no permanent free plan, and no free trial is advertised on the accounting practice side.
Is my data used to train AI models?
No. The general conditions state that data is never used to train AI models and is never applied to purposes unrelated to Kabilio's operations. Data sent to an AI tool goes there temporarily and is not stored permanently.
Where is the data hosted?
On Amazon Web Services servers located in Europe. The conditions add that customer personal data is not passed to recipients established outside the European Economic Area. No specific country or AWS region is named.
How long is data kept?
Once you stop using the software, uploaded data is permanently deleted after a two-year retention period. Customers can delete what they upload at any time, and an account left inactive for a year may be cancelled with deletion one month after notice.
Does Kabilio offer an API or a mobile app?
Neither. No API documentation or API offer appears anywhere on the site, and no iOS or Android application is mentioned. Access is through the web application at app.kabilio.ai.
Conclusion

Should you pick Kabilio?

Kabilio is a narrow tool that does its narrow job with unusual clarity. It targets Spanish accounting practices, plugs into the A3 ecosystem, and automates the three chores that consume a junior accountant's week: posting purchase and sales invoices, matching bank movements, and issuing compliant electronic invoices. The generative AI is genuinely doing the work rather than decorating it, proposing complete journal entries instead of merely extracting fields from a template as an OCR would.

Two things stand out favourably. The pricing is more transparent than almost anything in this market: five public tiers, the credit cost of every individual action published, no lock-in period, and setup, training and support included throughout. And the data commitments are specific rather than decorative, with an explicit contractual exclusion from AI model training, hosting on European AWS servers, no transfer outside the European Economic Area, and a stated two-year retention limit.

The constraint is equally clear. Kabilio works with A3ECO and A3CON and, by its own admission, cannot serve a practice using anything else. That is a genuine dependency in both directions, and it should be the first question a prospective buyer asks. The product is also Spanish end to end, which is a feature for its intended market and a wall for everyone outside it.

This is a young company, with roughly a hundred client practices and a EUR 4 million pre-seed round behind it. There is no API, no mobile app, and no security certification despite a published security policy. The site also contradicts itself on its own registered address, which is worth clarifying before signing anything.
