MindChef
MindChef is a Spanish web platform that costs every dish automatically, builds and digitises recipes with AI, tracks stock, designs menus and reads bank statements, so restaurants, caterers and institutional kitchens can protect their margins without spreadsheets.
What is MindChef?
MindChef is a Spanish web application for professional kitchens, published from Barcelona by MindChef S.L. Its terms describe it as a SaaS platform for the hospitality trade that digitises and optimises recipes, menus, costings and allergens using artificial intelligence. In practice its centre of gravity is the escandallo, the per-dish cost of goods that most independent restaurants still keep in a spreadsheet nobody has updated in two years. The onboarding is deliberately done by the vendor rather than the customer. MindChef loads the fixed costs, overheads and margin targets, then the ingredient database with supplier prices, then digitises the existing recipes from photographs, PDFs or paper. From that point the platform recalculates the cost of every recipe as soon as an ingredient price changes, shows the real margin dish by dish, proposes an optimal selling price from the cost structure, and raises an alert when a supplier increase turns a popular dish into a loss. Around that core sit four further modules. Stock records goods inwards from invoices, derives theoretical consumption from sales and recipes, and compares it with the physical count to expose waste, oversized portions, weighing errors and unexplained losses. Menus generates branded cartas, tasting menus and daily menus as print-ready PDFs from a single price source. Finance takes an Excel or CSV bank statement, categorises the movements and returns a plain-language dashboard of sales, costs and profit, with the explicit caveat that it replaces neither statutory accounting nor a tax adviser. Colectividades serves care homes, hospitals and school canteens with diets and allergens managed per diner, menus carrying live cost and calorie figures, production assignment, digital HACCP control, incident logging, picking, traceability and an automatically calculated shopping list. Access is through the browser only, at webapp.mindchefai.com; a tutorial explains how to pin the web app to an Android home screen, but there is no native application. The site claims 30 or more active restaurants, over 2,000 recipes under management and more than €120,000 of margin recovered. MindChef presented at the Forum TurisTIC in Barcelona in April 2025 and was listed in the HORECA SAPIENS 2025 top ten for efficiency. Everything is in Spanish, and only in Spanish.
What it does
- Calculate the exact cost of every dish and keep it current without manual work
- Recalculate margins and flag the affected dishes the moment an ingredient price moves
- Suggest an optimal selling price from the real cost structure and the target margin
- Digitise paper, photo and PDF recipes as well as supplier delivery notes
- Compare theoretical against real stock to surface waste, portioning errors and losses
- Produce branded menus, daily menus, technical sheets and traceability labels as PDFs
- Detect allergens and propose gluten-free, vegan or low-salt alternatives
When to use MindChef / When not to
A quick filter to help you decide if MindChef is the right fit.
When to use MindChef
- Independent restaurants and bars still costing their dishes in a spreadsheet nobody updates
- Caterers and event kitchens that have to reprice a full menu for every job
- Care homes, hospitals and school canteens juggling diets, allergens and HACCP records per diner
- Head chefs and sous-chefs who want the costing done for them rather than another program to learn
- Owner-operators who need a supplier price rise flagged before the margin quietly disappears
When not to use MindChef
- Anyone who does not read Spanish: the site, the interface and the tutorials exist in no other language
- Buyers who want to try before they commit, since there is no free plan and no advertised free trial of the platform
- Kitchens that need the tool to talk to their till, ERP or accounting package, as no API or connector is offered
- Operators unwilling to grant the worldwide, sub-licensable licence the terms take over uploaded recipes
- Teams expecting a native iOS or Android application rather than a browser-based web app
How to use MindChef
A typical end-to-end flow, from setup to results.
- Request a demonstration through one of the forms on the site; there is no self-service sign-up
- Choose a six-month or annual subscription, paid through Stripe
- Hand over your fixed costs, overheads and margin targets so MindChef can load your real cost structure
- Supply your supplier list and price sheets, which the vendor loads for you
- Send your existing recipes as photographs, PDFs or paper for digitisation by the MindChef team
- Set up product families and VAT rates so that prices come out exact
- Create or edit recipes and let the costing and suggested selling price calculate themselves
- Photograph or upload supplier delivery notes so prices refresh and flow through to every recipe
- Build cartas, daily menus and technical sheets, then export them as branded PDFs
- Upload the restaurant's bank statement as Excel or CSV to see sales, costs and profit in the finance module
Pros & Cons
Pros
- Prices are published in full, plan by plan, which is unusual in restaurant software
- Setup is carried out by the vendor and included in the subscription: recipes, prices and menus are loaded for you
- Broad functional coverage for the money, from costing and stock to menus, finance and institutional catering
- Deliberately non-technical: the product is pitched at chefs rather than at IT staff
- The institutional pricing grid is transparent and scales with the number of diners served
- A client video tutorial centre covers each module in short, practical clips
- Full legal identity is published, with company name, tax number, address and commercial registry entry
Cons
- Spanish only: there is no English version, and the /en/ address returns a 404
- No free plan and no advertised free trial of the platform, only a demonstration on request
- The terms impose a full-term commitment on annual subscriptions with no refund, while two product pages advertise no lock-in
- Onboarding is valued at €800 excluding VAT in the terms and treated as non-refundable once technical work starts
- The privacy policy is visibly adapted from a third-party template, referring to an API, Enterprise accounts and custom GPT actions the product does not have
- No API, and no integration with tills, ERP or accounting software
- No data processing agreement is published and no subprocessor is named
Pricing & Plans
MindChef does not offer a permanent free plan for its platform, and no free trial is advertised; the entry point is a demonstration requested through a form. Data, GDPR & hosting
A consolidated view of how MindChef handles your data.
GDPR overview
MindChef S.L. is established in Barcelona, and the terms place the contract under Spanish law and the Barcelona courts. The homepage FAQ states outright that the company uses advanced encryption and complies with GDPR. The privacy policy lists the expected rights, access, erasure, rectification, portability, restriction, withdrawal of consent, objection and complaint to a supervisory authority, exercisable through the account or at info@mindchefai.com, which is also given as the data protection officer's address. The legal bases cited are contract performance, legitimate interest, which is what covers model training, consent and legal obligations. Two gaps stand out: no data processing agreement is published or offered, and subprocessors appear only as categories, never by name. Oddly, the policy opens by declaring that it does not apply to residents of the EEA, Switzerland or the United Kingdom, and points to a regional version that does not exist.
Who owns the data?
The terms are explicit, and they cut both ways. Clause 7 confirms that the customer keeps every intellectual property right over the recipes, menus, images and documents uploaded or generated in the platform. The very same clause then has the customer grant MindChef S.L. a worldwide, non-exclusive, transferable, sub-licensable and irrevocable royalty-free licence to use, reproduce, transform, adapt, publicly communicate, distribute and commercially exploit that content, expressly including to train artificial intelligence models and to sell derived material without naming the author. The licence outlives the account unless the customer objects expressly. The homepage FAQ, meanwhile, promises that recipes are never shared with third parties.
Reuse rights
Customers can reuse everything they create without asking anyone: ownership stays with them, and the platform is designed to hand the work back as PDF and Excel exports, printable menus, technical sheets and traceability labels that live perfectly well outside the tool. Going the other way, the privacy policy says the content supplied is used to improve the services and to train the models behind them, on a legitimate-interest basis, and may be passed to hosting, cloud, customer-support, email and analytics providers, to affiliated entities and to the administrators of enterprise accounts. Stripe processes the payments. The policy also refers the reader to instructions for asking MindChef not to use their information for training, but no such instructions are published anywhere on the site.
Data retention & training
Hosting summary
The privacy policy states that personal information is processed and stored on MindChef's own facilities and servers in Spain, and that it may be disclosed to providers and affiliated entities in other jurisdictions under a legally valid transfer mechanism. The providers involved are described only by category, hosting, cloud, customer support, email and web analytics, and none is named; Stripe is the one third party identified, in the terms, as the payment gateway. The publisher is established in Barcelona, so processing sits within the European Union and under Spanish law, with the Barcelona courts named for disputes. One discrepancy is worth noting: the site's own IP address resolves not to Spain but to a Hostinger node in Paris, France. That concerns the web front end rather than the application database, and the site says nothing about where the latter runs, but the stated jurisdiction and the observable infrastructure do not line up.
Things to keep in mind
Risks and trade-offs to weigh before adopting MindChef.
- The terms take a worldwide, transferable, sub-licensable and irrevocable licence over your recipes, expressly covering AI training and the sale of derived content, and it survives closing the account
- That licence flatly contradicts the homepage promise that your recipes are never shared with third parties: check which document you are actually signing
- The privacy policy declares it does not apply to residents of the EEA, Switzerland or the UK and points to a regional version that does not exist, which leaves a Spanish customer's position unclear
- The policy retains passages from a third-party template, mentioning an API, Enterprise accounts, shared conversations and custom GPT actions the product does not offer, and its contact link is broken
- Annual subscribers are locked in for the full period with no refund, and onboarding is treated as consumed and non-refundable once technical work begins, despite two pages advertising no lock-in
- The policy points to instructions for opting out of model training that are published nowhere, so the opt-out cannot in practice be exercised as described
- Costings, allergen detection and suggested selling prices are decision support, not a substitute for professional judgement, and the finance module states it replaces neither statutory accounting nor a tax adviser
Setup & Integrations
Technical difficulty
Very low, by design. There is nothing to install: MindChef runs in the browser on desktop, tablet and phone, and no API, connector or IT project is involved. The heavy lifting is done by the vendor, who loads your cost structure, supplier prices and existing recipes as part of the subscription, so the kitchen arrives to a system already populated. The customer's only real configuration task is setting up product families and VAT rates. A client tutorial centre of fifteen short videos covers each module. The product is explicitly aimed at chefs rather than technical staff.

Should you pick MindChef?
MindChef answers a real and unglamorous question that independent restaurants rarely answer well: what does this dish actually cost me today? Around that it has assembled a coherent set of modules, stock, menu design, bank statement analysis and a genuinely distinct offer for care homes, hospitals and school canteens, and it prices the whole thing publicly, from €55.99 per month excluding VAT. The vendor loads your costs, suppliers and recipes as part of the subscription, which removes the single biggest reason this kind of software gets abandoned in month two. The legal identity is fully published and matches the commercial registry, which is more than most tools in this niche manage. The reservations are just as concrete. Everything is in Spanish, with no English version at all. There is no free plan and no advertised trial. And the paperwork deserves a careful read before signing: two product pages promise no lock-in while the terms impose a full-term annual commitment with no refunds, the homepage FAQ says your recipes are never shared while clause 7 grants a worldwide, sub-licensable, irrevocable licence that expressly covers training AI models and selling derived content, and the privacy policy still carries visible fragments of somebody else's template, complete with references to an API and to custom GPT actions that this product does not have. Read as a young company still tidying its documentation, MindChef is a credible and well-scoped choice for a Spanish-speaking kitchen that wants its margins under control without becoming a software project. Read as a contract, clauses 5 and 7 are the two paragraphs to take to your adviser first.
