Staff-IT
Staff-IT is a Belgian platform that matches freelance IT professionals with companies hiring for contract assignments. Its AI shortlists candidates on skills, rate and availability in minutes, then human recruiters refine every shortlist before interviews.
What is Staff-IT?
Staff-IT is a Belgian marketplace for freelance IT work, built around a matching engine that ranks candidates automatically and a recruitment team that checks its output before anything reaches a client. The site presents itself as the Belgian AI platform for IT freelancers, powered by AI, perfected by people, and those two halves map onto two very different journeys.
On the company side there is no software to adopt. A hiring manager hands over a job description however they prefer: by email, through a web form, as a PDF, over WhatsApp, or simply by adding Staff-IT in CC or BCC of an internal job email. The engine then scans the vetted freelancer pool and pings the most relevant profiles within ten minutes to confirm availability and begin screening. The team calls the best fits, tightens the shortlist, and hands back candidates who can be interviewed straight away. Nothing is charged until an assignment actually begins.
On the freelancer side, signing up is free and stays free. A profile takes a CV, some experience and a handful of preferences covering skills, rate, availability and schedule, with the first matches promised inside a minute. From then on each freelancer receives their five best matches by email every day, applies from a personal dashboard, and is guaranteed a reply within twenty-four hours, an explicit stance against the ghosting the site repeatedly names as the industry's failure. Agencies can register too, under their own account type.
The claimed scale is deliberately local: 2,950+ active freelancers, more than seventy companies, around 125 open roles a day, and 95% of matches delivered within deadline. The homepage doubles as a market signal, publishing indicative Belgian day rates by role and city. Coverage stops at the Belgian border, and the service runs in Dutch, French and English even though the website itself is English-only.
It is strictly a freelance product: permanent hiring is pushed to a sister brand. There is no API, no mobile app and nothing to integrate. The whole thing is a website, backed by a phone number, a WhatsApp line and a bookable video call.
What it does
- Match freelance IT profiles to open assignments on skills, role, rate, availability and schedule
- Alert the relevant freelancers within ten minutes of a role being handed over
- Email every freelancer their five best matches each day
- Rank a shortlist automatically, then have recruiters narrow it by hand before the client sees it
- Take in a job description by email, web form, PDF, WhatsApp or a simple CC/BCC
- Vet and pre-screen freelancers and client companies on both sides of the match
- Handle the contracts and payment flows once an assignment starts
When to use Staff-IT / When not to
A quick filter to help you decide if Staff-IT is the right fit.
When to use Staff-IT
- Freelance IT professionals based in Belgium looking for their next contract assignment

When not to use Staff-IT
- Employers hiring for permanent roles, which the publisher routes to a separate sister brand
- Anyone recruiting or looking for work outside Belgium: no other market is covered
- Companies searching for non-IT profiles
- Teams that need an API or a connector into their own ATS or HR system: the platform offers neither
- Buyers whose procurement requires a processing agreement, a named subprocessor list or contractual terms of service

- Companies: receive a shortlist ranked by the engine and refined by recruiters, then run the interviews
- Companies: pay only once the assignment actually starts, on a no cure, no pay basis
Pros & Cons
Pros
- Success-based pricing: companies pay nothing until an assignment actually starts
- The fee is published rather than negotiated, at an average 8% margin, which is unusual in staffing
- Completely free and permanently free for freelancers and for agencies
- A stated guarantee of feedback within twenty-four hours on every application, aimed squarely at ghosting
- Fast by design: relevant freelancers pinged in ten minutes, hiring promised in days rather than weeks
- Strong local footing, with a named Belgian team reachable by phone and WhatsApp in Dutch, French or English
- Indicative Belgian day rates published openly on the homepage, useful as a market reference in itself
Cons
- Belgium only: no other country or region is served
- IT contract work only, since permanent hiring is handed off to a separate brand
- No absolute price is published anywhere, just an average percentage, and the savings calculator renders nothing without JavaScript
- The site has no terms and conditions and no legal notice at all; the privacy policy is its only legal page
- Compliance detail is thin: no processing agreement, no named subprocessors, and no hosting country or region disclosed
- Nothing is published about whether CVs are used to train AI models, even though CVs are the engine's raw material
- Beyond the first question on each page, the FAQ answers are not published in the page source, including the one on cost
- No API and no connector, so the platform integrates with nothing an employer already runs
Pricing & Plans
There is a permanent free tier rather than a time-limited trial: creating and using an account is entirely free for freelancers and for agencies, with no cost incurred unless and until the freelancer is placed. On the client side, the only rate published is an average margin of 8% on the freelancer's rate, charged on a no cure, no pay basis, with no retainers and no fixed fees. No absolute amount and no currency are disclosed, so there is no lowest paid price point to state; the site's savings calculator is rendered entirely in the browser and displays no figures in the page source.
Data, GDPR & hosting
A consolidated view of how Staff-IT handles your data.
GDPR overview
The words GDPR, RGPD and AVG appear nowhere on this site. Staff-IT never claims compliance and never denies it. What does exist is a Data Privacy Policy effective 14 January 2026 that grants access, rectification, erasure, objection and withdrawal of consent, caps retention of inactive profiles at 24 months, and promises appropriate technical and organisational safeguards. What is missing is substantial: no stated legal basis, no data protection officer, no reference to the Belgian supervisory authority or the right to lodge a complaint, no portability, no standard contractual clauses, no processing agreement and no subprocessor list. Cross-border transfers rest on one broad consent to worldwide processing. The publisher is established in Belgium, inside the EU, so no Article 27 representative applies.
Who owns the data?
No terms and conditions exist anywhere on the site, so ownership of the data you submit is never assigned in writing. The only legal document is the Data Privacy Policy effective 14 January 2026, and it covers personal data alone. Staff-IT collects names, contact details, skills, experience, education, CVs and references, together with IP addresses and browsing data, and may add information from public sources or background checks requested by a client. It shares that data with clients considering an assignment, with partner agencies acting on its behalf, with IT and hosting providers, and with public authorities. Every recipient is named as a category only. The policy states that personal data is never sold.
Reuse rights
Whether you may reuse anything found on the platform is simply not addressed: with no terms and conditions published, the status of job listings and profiles is left open. On the personal-data side the policy grants access, rectification, erasure, objection and withdrawal of consent, though erasure can be refused where Staff-IT must retain records to meet a legal obligation or defend a claim. Recruiters may also search proactively for assignments using the information in a freelancer's CV. One gap deserves attention: the freelancer FAQ asks whether a CV can be sent to a client without approval, but that answer is not published in the page itself, while the privacy policy already permits sharing with prospective clients.
Data retention & training
Hosting summary
Nothing is published about where data is hosted. No country, no region and no data centre is named anywhere on the site. The privacy policy's section on transfers asks users to consent to their data being transferred and processed worldwide, including in countries that may not offer the same level of protection as their own. The only recipients mentioned in connection with hosting are a generic category, service providers supporting IT systems, hosting, communication and administration, with no provider named. There is no processing agreement, no standard contractual clauses and no subprocessor list. The single established jurisdictional anchor is that the publisher is a company established in Belgium, inside the European Union. One technical detail should not be mistaken for a hosting fact: the site is served from behind a global content delivery network on an anycast address, so IP geolocation says nothing about where candidate data actually sits. The public job board is served by a third-party application whose own hosting the publisher does not document.

Things to keep in mind
Risks and trade-offs to weigh before adopting Staff-IT.
- Your CV is the engine's raw material, yet nothing on the site says whether it is used to train AI models, and no opt-out is offered
- The privacy policy asks you to consent to your data being transferred and processed worldwide, including in countries with weaker protection, in a single broad sentence
- The freelancer FAQ raises the question of a CV being sent to a client without approval but does not publish the answer, while the policy already allows sharing with prospective clients
- Background checks are foreseen at a client's request, with prior notice and consent given only where applicable, which leaves the vendor some latitude
- The headline claims, from 95% of matches within deadline to the annual saving per profile, come with no published methodology, and the size of the talent pool differs between page variants
- The referral scheme's worked example mixes an hourly rate with a daily basis in the same calculation, so check the unit before relying on the figure
- Leaning on a daily list of five automated matches can quietly narrow a freelancer's own prospecting, and an initial CV screen can carry bias that no published control addresses
Setup & Integrations
Technical difficulty
Effectively none. The product is a website, so there is nothing to install, configure or integrate, and no API or connector to wire up. A freelancer creates an account, uploads a CV and sets a few preferences, with the first matches announced within a minute. A company does not even need an account: sending the job description by email, web form, PDF, WhatsApp or a CC/BCC is enough to start. The site does require JavaScript. Human help is available by phone, WhatsApp, email or a bookable video call.

Should you pick Staff-IT?
Staff-IT does one thing and states its terms plainly. It places freelance IT professionals on Belgian assignments, it is free on the supply side, and it takes an average 8% margin on the client side only once work actually begins. In a sector where margins are usually negotiated behind closed doors, publishing the number at all is a real differentiator, and the operational promises around it are unusually concrete: ten minutes to notify relevant freelancers, twenty-four hours to give feedback, five matches in the inbox every morning. The insistence that people sit behind the automation runs through the whole site, up to a contact page given over entirely to human channels.
The legal side has not kept pace with the commercial one. There are no terms and conditions and no legal notice anywhere on the site; the privacy policy is the only legal document, it never once names the data protection regulation whose rights it grants, and it asks users to consent to worldwide processing in one broad sentence. Nothing is published about processing agreements, subprocessors, hosting location, or whether the CVs feeding the matching engine also train it. The published identity wobbles too: two different postal addresses coexist on the site, the brand is spelled inconsistently, and the size of the talent pool varies between page variants.
For a freelancer hunting Belgian IT work, or a manager who needs a vetted profile quickly and would rather not run the search, the offer is coherent and the downside is genuinely limited by the no cure, no pay model. For a procurement team with formal compliance requirements, the documentation is not there yet. Read it as a young, focused local player rather than a hardened enterprise supplier.
