ChatPol Cloud is the document layer, filing material by area (legal, administration, operations, HR, security), setting permissions by role, unit or department, and keeping a full version history with author, date, reason and a draft, approved or published status, where only the published version feeds the AI's answers. A fourth module, ChatPol Academy, targets opositores sitting police competitive exams.
Security is central to the pitch. Direct identifiers are replaced with tokens such as [PERSONA_1], [DOC_1], [DIR_1] and [LOC_1] before the model is called, and restored afterwards. The company holds an Esquema Nacional de Seguridad certificate in the High category, number 2690-ENS/2026, issued by IVAC-Instituto de Certificación, S.L., covering 67 measures with all five dimensions rated Alto.

GDPR overview
Compliance is documented rather than merely asserted. The privacy policy, last updated on 21 September 2025, claims alignment with the GDPR (EU 2016/679) and the Spanish LOPDGDD (LO 3/2018), with the LSSI-CE (Ley 34/2002) covering the online service. Access, rectification, erasure, restriction, portability and objection are exercised at info@chatpol.com, with a stated maximum response time of 30 days, and personal data breaches are notified without undue delay. Safeguards listed include encryption in transit, access control, activity logs and segregated environments, alongside an Esquema Nacional de Seguridad certification in the High category under Real Decreto 311/2022. A dedicated account and data deletion page is published. One AI subprocessor is named, Google Cloud (Vertex AI), governed by its own DPA. Who owns the data?
ChatPol Systems, S.L. is the controller for registration, contact, support and billing data. For content that officers type into ChatPol Lex, it acts as a processor only, handling that material technically. Where a competent authority uses the tool for crime prevention, investigation, detection or prosecution, the Spanish policing regime (LO 7/2021) applies and the using body, not ChatPol, is the responsible party. Users remain solely accountable for whatever they enter and for the use they make of generated output, while the platform itself stays the intellectual property of ChatPol Systems, S.L. or its licensors. Each force works in an isolated environment, with no crossing of data.
Reuse rights
The stated purposes are narrow: delivering the service, managing accounts, invoicing and providing support. The legal bases claimed are consent for forms and queries, performance of the contract, and the publisher's own legal obligations. Data collected covers identification and contact details, browsing data (IP address, user agent, device), whatever is typed into forms and editors, and billing information. Before anything reaches the language model, direct identifiers such as names, DNI and NIE numbers, passports, addresses and licence plates are swapped for irreversible tokens, then restored in the answer returned to the user. Processing runs on Google Cloud (Vertex AI) on servers located in the European Union, and ChatPol states that customer data is not used to train AI models. Users are contractually required to minimise what they enter; special categories of data and data relating to minors are excluded unless a specific legal authorisation applies.

The second is a list of 13 named town councils in the Valencian Community. Few sector AI tools put both on the table.
The structural strength is the anonymisation layer. Replacing names, identity numbers and licence plates with tokens before the model is called, then restoring them in the answer, meets the objection that stops most forces from touching a general-purpose assistant.
