Rango

Rango is an AI meeting agent with its own email address: invite it to a Zoom, Google Meet or Teams call and it joins as a named guest, takes notes, remembers past meetings and answers out loud when asked.

Overview

What is Rango?

Rango is an AI meeting agent published by UGO Media Inc., a digital agency based in Calgary, Alberta, Canada. Instead of installing software, you invite it: the agent comes with its own email address, which you put on a Google Meet, Zoom or Microsoft Teams calendar invitation exactly as you would add a colleague. A meeting already under way can be joined by pasting its link on the home page. There is no account to create, no card to enter, no browser extension, and nothing for IT to approve.

Once in the room, Rango behaves like a declared participant rather than a hidden recorder. It appears by name in the participant list and posts an arrival message explaining how to talk to it. It listens throughout but speaks only on its wake phrase: Hey Rango, what did we decide? gets an answer out loud, while mentioning the name in passing does nothing at all. Asked to check something, it runs the lookup in the background, through web search or a tool the workspace has explicitly connected, and answers at the next natural gap in the conversation, or in the meeting chat if the discussion never pauses.

What separates it from a notetaker is memory. Every call it attends goes into a workspace knowledge base: who was there, what came up, what was decided. Months later you can ask what a client committed to on the first call, and the answer arrives with the meeting and the moment it came from. Between meetings the same memory is reachable through Ask, a written chat grounded strictly in the workspace's own record; when the meetings do not cover a question, it says so instead of guessing.

The notes themselves are the baseline. A summary with decisions, owners, key points and open questions lands before anyone has left the call, alongside a searchable transcript, and follow-up work can be pushed into the tools already in use, twenty-two of which are named on the site, from Gmail and Google Calendar to Slack, Notion, Linear, Jira, HubSpot, Salesforce and Zendesk. Several agents can coexist in a workspace, each with its own name, address and brief. The site itself is published in thirteen languages, and the domain was registered on 27/07/2026, so the product is very young.

What it does

  • Join a Zoom, Google Meet or Microsoft Teams call as a named guest, invited by email or by a pasted link
  • Answer questions out loud during the meeting when addressed by its wake phrase
  • Transcribe the call live and produce a summary with decisions, owners, key points and open questions
  • Remember every meeting and answer questions about them months later, citing the call the answer came from
  • Look things up mid-call through web search or the tools the workspace has explicitly connected
  • Book the follow-up, post decisions to a team channel, update deals and create tasks in the connected tools
  • Answer written questions between meetings through the Ask chat, grounded in the workspace's own record

When to use Rango / When not to

A quick filter to help you decide if Rango is the right fit.

When to use Rango

  • Sales teams running demos and negotiation calls, who need what was quoted or promised recalled during the conversation and the deal updated in HubSpot or Salesforce afterwards.
  • Product and project leads whose decisions, owners and action items should land in Linear, Jira, Asana or ClickUp without anyone typing them a second time.
  • Founders, consultants and account managers in back-to-back calls all day, who are the explicit target of the Starter plan.
  • Teams with long-running client or vendor relationships, where "what did we agree three months ago?" comes up often enough to be worth answering with a citation.
  • Organisations that want the AI in the room to be visible to every participant rather than a silent recorder attached to the host's account.

When not to use Rango

  • Buyers outside the United States and Canada, who cannot purchase a paid plan at all today.
  • Procurement and security teams that require SOC 2, ISO 27001, HIPAA or a signed DPA before a tool is allowed near a meeting.
  • European organisations that need an explicit GDPR posture, an Article 27 representative or a named data protection officer.
  • Teams meeting on platforms other than Zoom, Google Meet and Microsoft Teams, or needing an API, a mobile app or a self-hosted deployment.
  • Anyone looking for a permanently free notetaker: the free tier is a single meeting for the whole life of the account.

How to use Rango

A typical end-to-end flow, from setup to results.

  1. Decide whether the meeting is happening now or later: that is the only real choice at setup.
  2. For a call already running, paste its Google Meet, Zoom or Microsoft Teams link into the box on the home page and press the button.
  3. For a scheduled meeting, take the email address your agent is given and add it to the calendar invitation the way you would add a colleague.
  4. For a recurring meeting, add that address once to the series and the agent turns up every time.
  5. Check that the agent has appeared in the participant list and posted its arrival message before the discussion starts.
  6. During the call, say the wake phrase and then the question, for example "Hey Rango, what does their pricing page say?", and the answer comes back out loud.
  7. Open the meeting page in your workspace while the call runs if you want to watch the transcript stream in live.
  8. After the call, read the summary, decisions, owners and open questions on the meeting page, or in the recap email.
  9. Add your email address to keep the workspace, since an unsaved one exists only in that browser session and cannot be recovered.
  10. Open the Tools page to connect the applications the agent may look things up in, and set the memory and transcript switches in workspace settings.

Pros & Cons

Pros

  • It answers out loud during the call, which is the one thing a notetaker cannot do: ask what you quoted a client and the meeting keeps moving.
  • Cross-meeting memory with receipts, since every answer names the call it came from and draws only on your own meetings rather than padding with plausible filler.
  • Setup is effectively nil: an email address on an invitation or a pasted link, no account, no card, no extension, nothing for IT to approve.
  • Billing on meeting hours counted by the minute rather than on seats, so a twelve-minute stand-up costs twelve minutes, and top-up hours never expire.
  • It is never hidden: it joins as a named guest, posts an arrival message, and the vendor states there is no stealth mode and will not be one.
  • Written commitments that are easy to check: no training on meeting content, no data sold, every sub-processor named, and workspace isolation enforced by row-level security in the database.
  • Real controls rather than buried settings, with a memory switch, a transcript switch, per-item deletion and a full refund inside the first billing cycle.

Cons

  • Paid plans can only be bought from the United States and Canada; an order with a billing address anywhere else is cancelled and refunded in full.
  • No compliance evidence at all: no SOC 2, no ISO 27001, no DPA, and the GDPR is not mentioned once anywhere on the site.
  • No public email address of any kind, so legal, privacy and support enquiries all go through a contact form or in-app Support.
  • No API, no mobile app and no browser extension, and only three meeting platforms are supported: Zoom, Google Meet and Microsoft Teams.
  • The free tier is one meeting for the life of the account rather than one per month, capped at thirty minutes with a one-week retention.
  • The published address stops at "Calgary, Alberta, Canada", with no street and no postal code, and no incorporation date appears anywhere on the site.
  • A very young product: the domain was registered on 27/07/2026 and the Internet Archive holds no capture of it at all.

Data, GDPR & hosting

A consolidated view of how Rango handles your data.

GDPR overview

There is no GDPR implementation to report, because the site never mentions the regulation. A targeted search across every collected page, in text and in archived HTML, returns nothing for GDPR, CCPA or PIPEDA, and no certification of any kind, no SOC 2 and no ISO 27001. No Article 27 EU representative is designated and no data protection officer is named. The vendor's own wording is jurisdiction-neutral: to exercise any data right your local law gives you, access, correction, export or deletion, contact us and we will handle it. UGO Media Inc. is Canadian and the terms are governed by the laws of Alberta. Consent for recording is explicitly shifted onto whoever invites the agent. Practical controls do exist, including memory and transcript switches, per-item deletion and account deletion, but they are presented as product features, not as a declared compliance posture.

Who owns the data?

The terms of service state plainly that your meetings, transcripts, notes and knowledge base belong to you. UGO Media Inc. takes only the limited licence needed to process them so the product works, and nothing beyond that; the Rango software, site and brand remain the vendor's. Each workspace is walled off from every other at the database level rather than by application code, and a workspace's data belongs to its owner. Cancelling stops new meetings but does not destroy history: read access to everything already recorded survives. Deleting the account removes the workspace and its data outright, and deleted knowledge entries are deleted rather than archived.

Reuse rights

Your meetings, transcripts, notes and knowledge base stay yours, so you can reuse, export, share or republish them without asking UGO Media Inc. for permission. The only limit is the one you accepted when you sent the agent into the room: the terms make you responsible for having the right to record and transcribe that meeting, and they add an indemnity clause if a claim reaches the vendor because you did not. The licence granted to the vendor is deliberately narrow, described as what is needed to process your content so the product can work and nothing more. The vendor states it does not use meeting content to train models and does not sell it, neither to advertisers nor to data brokers nor as anonymised industry insight, and that none of its sub-processors may use meeting content for anything except providing their service. In the other direction, the software, the website and the brand remain the vendor's property.

Data retention & training

Retention summary
Retention follows the plan: one week on Free, three months on Starter, one year on Pro. Once the window closes, meetings, transcripts and summaries are permanently deleted by an automated nightly process. Meeting audio is processed live and stored only if recording is enabled, then for the same window. Account details are kept until you delete your account. Knowledge base entries stay until you delete them, and turning the memory switch off stops new ones being written but erases nothing. Emails sent to the agent, invitations and attendee lists are kept while the related meeting is retained. Billing records survive account deletion for as long as tax and accounting law requires. Cancelling does not destroy history, since read access to what the workspace already recorded remains. Deleting the account removes the workspace and its data, and deleted knowledge entries are deleted rather than archived.

Hosting summary

The vendor does not name its hosting provider. The privacy policy lists it only as "our hosting provider (servers and storage)", alongside the named sub-processors OpenAI, Attendee, Stripe, Mailgun and Google, and no hosting country or region is declared anywhere in the privacy policy, the terms or the security section. The one geographic statement concerns sub-processors rather than the primary host: some of these providers process data in the United States and other countries outside your own, and the vendor says its commitments follow the data wherever it goes. Workspaces are described as living on heyrango.ai, isolated from one another by row-level security enforced by the database itself rather than by application code. Data moves over encrypted connections and access to production systems is limited to the people who operate them. For information only, and not as a vendor declaration: on 07/09/2026 the domain resolved to 165.245.238.109, an address geolocated in Toronto, Canada, on DigitalOcean's network. That is an observation about the web server, not a statement about where meeting data is stored.

Paid plans can only be purchased from the United States and Canada. The terms state that a purchase made with a billing address outside those two countries will be cancelled and refunded in full, and add that the vendor expects to open further countries over time. The restriction is written as a purchasing restriction rather than a service restriction: the site does not say the free first meeting is blocked elsewhere, and the marketing site itself is published in thirteen languages.
Watch-outs

Things to keep in mind

Risks and trade-offs to weigh before adopting Rango.

  • Recording consent is your responsibility, not the vendor's: the terms make whoever invites the agent responsible for having the right to record and transcribe, and add an indemnity clause if a claim reaches UGO Media Inc. because you did not.
  • An unsaved workspace lives in one browser only. Sign out or clear the session before attaching an email address and there is no way back into it, notes included.
  • Short retention on the lower tiers quietly removes work you may still need, one week on Free and three months on Starter, through an automated nightly process rather than a prompt.
  • Turning the transcript switch off also removes the recap and any new knowledge pages from that meeting, because both are built from the transcript.
  • The answers can be wrong. The terms say so outright, calling it an assistant and not an oracle, and an agent that speaks confidently in a room is easier to believe than a document you read alone.
  • Outsourcing memory has a cost. A team that stops taking its own notes and stops holding decisions in its head becomes dependent on a young product from a company with no track record in this field.
  • Credentials for connected tools are held by Composio, a third party named on the home page but absent from the sub-processor list in the privacy policy, a discrepancy worth raising before connecting anything sensitive.
Setup

Setup & Integrations

Technical difficulty

Very low. There are two paths and no third step: paste a Meet, Zoom or Teams link on the home page, or add the agent's email address to a calendar invitation the way you would add a colleague. Nothing is installed, no extension is needed, no account or card is required for the first meeting, and nothing has to be approved by IT, since anyone who can add a guest to a meeting can add Rango. Connecting tools is optional and comes later, from the Tools page. The only follow-up worth remembering is adding your email to keep the workspace.

FAQ

Frequently asked questions

Do I need an account or a credit card to try Rango?
No. Claiming an agent takes one click and you get a working Rango straight away, with no signup and no card. You can add an email address later to keep the workspace, and nothing changes when you do.
Which meeting platforms does it work with?
Google Meet, Zoom and Microsoft Teams. You either paste a link from one of them on the home page, or add the agent's email address to a calendar invitation. No other platform is supported.
Does everyone in the call know the agent is there?
Yes. It joins as a named guest in the participant list and posts a short arrival message explaining how to talk to it. The vendor states there is no stealth mode and that there will not be one.
What happens if someone just says the name in passing?
Nothing. Rango replies only when it is addressed by its wake phrase. "Hey Rango, what did we decide?" gets an answer; "we should ask Rango later" does not.
How much does it cost, and what is free?
The free tier is a single meeting for the life of the account, up to thirty minutes. Starter costs USD 49 per month for eight meeting hours and Pro USD 99 per month for fifteen. Annual billing is ten months' price for twelve, and top-up packs cost USD 39 for five hours or USD 72 for ten.
Can I buy a plan from Europe or elsewhere?
No. Paid plans are currently available for purchase in the United States and Canada only, and the terms state that a purchase made with a billing address outside those countries will be cancelled and refunded in full. The vendor says it expects to open further countries over time.
Is my meeting content used to train AI models?
The terms of service state that the vendor does not use your meeting content to train models and does not sell it, and that no sub-processor may use it for anything except providing its service.
Who processes my data besides Rango itself?
The privacy policy names OpenAI for speech processing, transcription and answer generation, Attendee for connecting to the meeting platforms, Stripe for payments, Mailgun for email, Google for website analytics, and an unnamed hosting provider for servers and storage.
Is there an API, a mobile app or a browser extension?
None of the three. Rango is a web product with nothing to install; the site publishes no API documentation and lists no application on either app store.
Can I get a refund if it does not work out?
Yes, in full within your first billing cycle, meaning the first month on a monthly plan or the first thirty days on an annual one. You ask through Support inside the app, or the contact form on the home page if you cannot sign in, and the money returns to the original payment method in about five to ten business days.
Conclusion

Should you pick Rango?

Rango's claim is narrow and easy to test: a meeting assistant that answers out loud, in the room, from everything the team has said before. The way in is short: paste a link or add an email address to an invitation, with no account, no card and nothing to install, and the first meeting is free with the summary and transcript included. The pricing is unusually legible for this category, built on meeting hours counted by the minute rather than seats, at USD 49 a month for eight hours on Starter and USD 99 for fifteen on Pro, with non-expiring top-up packs and a full refund inside the first billing cycle.

The same plainness runs through the privacy pages, which name every sub-processor, describe workspace isolation as a database mechanism rather than a promise, and commit in the terms to never training models on meeting content and never selling it. Memory and transcript storage are switches rather than defaults to fight.

The gaps are just as visible. Paid plans can only be bought from the United States and Canada, and an order placed elsewhere is cancelled and refunded. No certification is claimed, no DPA is offered, and the GDPR is not mentioned once on the entire site. There is no public email address, no API, no mobile app, and only three meeting platforms. The free tier is one meeting, ever, not one a month. And the product is new: the domain was registered in July 2026, with no archive history.

The fit is clear enough. For an individual or a small team living in back-to-back calls on Meet, Zoom or Teams, in the United States or Canada, Rango is worth the twenty seconds it asks for. For a procurement team with a security questionnaire, it is not ready yet.
