CallCrewAI
CallCrewAI is an Irish platform of AI agents for trades and field service firms. Its agents answer calls around the clock, book jobs into the calendar, chase quotes and invoices, and write everything back into the existing job-management software.
What is CallCrewAI?
CallCrewAI is a software-as-a-service platform of AI agents built for one audience: trades and field service businesses. It is published by Crewlabs Ltd, an Irish company incorporated on 16 February 2026 and based in Dublin, and it is sold in Ireland, the United Kingdom, Australia and New Zealand, and the United States.
The argument the publisher makes is that most software in this market covers a single slice - booking, or dispatch, or invoicing - while the office keeps stitching the slices together by hand. CallCrewAI claims the whole loop instead, in three stages it calls Capture, Coordinate and Close. Capture means answering inbound and outbound voice, email, WhatsApp, SMS and web chat, including out of hours and overflow. Coordinate means qualifying the job, fitting it into the calendar, updating technicians and handling reschedules. Close means the work the office usually forgets: drafting quotes from the job notes, chasing payment, sending maintenance reminders and asking for the review once the job is signed off. The same agents run the whole chain, so a call that becomes a job becomes a dispatch and then an invoice without anyone re-keying anything.
The product is presented as a crew of ten named agents rather than a single assistant: Receptionist, Customer Support Rep, Sales Exec, Service Coordinator, Customer Satisfaction, Booking Confirmation, Lead Capture, Payments Follow-up, Quote Conversion Specialist, and Custom Agents built from a firm's own scripts and escalation rules. They plug into the field service platforms these businesses already run - ServiceTitan, Jobber, Simpro, ServiceM8, Fergus and Fieldmotion - with two-way sync, and into Gmail, Google Calendar, Google Sheets or Outlook through a connected account.
There are two ways in. CallCrew Lite is for firms with no job-management software: everything happens inside WhatsApp, with nothing new to learn. CallCrew Pro is for firms already on a platform and wires the two together. Behind both sits a web application with a dashboard, call logs, a multi-channel inbox, agent configuration, a built-in CRM and an in-app assistant that summarises recent call activity. An embeddable chat element can also be dropped onto the customer's own website. There is no mobile app and no public API.
What it does
- Answer every inbound call in two rings, 24/7, including out of hours and overflow
- Qualify the job and book it straight into the calendar
- Reply on email, WhatsApp, SMS and web chat with the full customer context
- Coordinate dispatch and keep technicians and customers updated
- Draft quotes from the job notes and follow them up until they convert
- Chase unpaid invoices on a cadence, and stop the moment the customer pays
- Send maintenance reminders and collect reviews once a job is signed off
When to use CallCrewAI / When not to
A quick filter to help you decide if CallCrewAI is the right fit.
When to use CallCrewAI
- Owners and office managers of small trades firms - electrical, plumbing and heating, HVAC, fire and security, pest control, solar, landscaping - who lose work every time a call goes unanswered
- Field service companies already running ServiceTitan, Jobber, Simpro, ServiceM8, Fergus or Fieldmotion that want calls, emails and messages written straight into the platform without re-keying
- Firms with no job-management software at all, still working from a shared inbox, paper or a spreadsheet, who can start on the WhatsApp-only Lite route
- Property and facilities managers handling a steady stream of tenant or occupier calls, booking confirmations and planned maintenance
- Businesses whose back office keeps slipping on the unglamorous work: quote follow-ups, invoice chasing, service reminders and review requests
When not to use CallCrewAI
- Consumers and private individuals: the Terms restrict the service to business use and explicitly exclude consumer cancellation rights
- Anyone needing an emergency line: the publisher states the service is not a replacement for 112, 911 or 999
- Development teams looking for a documented public API to build on, since none is published and the bespoke route is sold under contract
- Teams that need a mobile app or a non-English interface, as neither exists
- Buyers whose procurement requires a published security certification, a legal notice page or a postal address, none of which the site provides
How to use CallCrewAI
A typical end-to-end flow, from setup to results.
- Book the twenty-minute demo from any page, or go straight to the self-serve signup
- Create the account: organisation, website, first receptionist agent, then verify the email address
- Connect the job-management platform (ServiceTitan, Jobber, Simpro, ServiceM8, Fergus or Fieldmotion), or skip it and run on WhatsApp with the Lite route
- Connect a Google or Microsoft account if you want the Gmail, Calendar, Sheets or Outlook features, granting only the scopes those features need
- Choose the tier and the usage level, then pay through the embedded Stripe checkout to open the 28-day free trial
- Let the platform provision the receptionist agent and open the dashboard
- Configure each agent: language, voice, opening message, prompt, transfer rules and the data it should collect
- Set up call forwarding from your existing number so the agent picks up
- Paste the chat element supplied by the application onto your own website if you want the web widget
- Watch the dashboard and call logs, switch on the follow-up email sequences (they ship disabled) and ask support for prompt tuning
Pros & Cons
Pros
- Covers the entire loop from the first ring to the review request, where most tools in this market cover one step
- Ten named, specialised agents rather than one generic assistant, and custom agents built from the firm's own scripts
- Native two-way integrations with six field service platforms plus WhatsApp, and an offer to build missing ones
- A genuine no-software route: CallCrew Lite runs entirely inside WhatsApp for firms still on paper or spreadsheets
- Self-serve signup with a 28-day free trial on both paid tiers, no sales call required, and no minimum term
- Contractual commitment not to train on identifiable customer data, with thirteen subprocessors named one by one and a DPA available on request
- Usage tiers with published volumes and a defined billing unit - one conversation is one call or one SMS or WhatsApp session
Cons
- No price is published anywhere on the website: the grid only appears inside the signup flow, after an account is created
- Pricing is set by country, so the same tier is EUR 49, GBP 45, USD 59, CAD 79, AUD 79 or NZD 89, with US dollars applied by default elsewhere
- No permanent free plan; once the trial ends everything is paid, fees are non-refundable and no credit is given for an unused period
- No pricing, contact, about or legal notice page - all four return a real 404 - and no postal address anywhere on the site
- No security certification is claimed at all, and no hosting location is declared beyond a transfer clause
- No public API and no mobile application, and the interface is English only
- A very young and very small publisher: incorporated in February 2026 with four employees declared, and nine industry pages that are three-line templates
Pricing & Plans
There is no permanent free plan. Both self-serve tiers open with a 28-day free trial that requires a payment card and converts into a paid subscription unless it is cancelled. The cheapest paid entry point is the Receptionist tier at its first usage level, EUR 49 per month for thirty conversations, a conversation being one call or one SMS or WhatsApp session. Pricing is set by country: the same tier costs GBP 45, USD 59, CAD 79, AUD 79 or NZD 89, and any country outside the published currency map is billed in US dollars. All amounts are exclusive of VAT, billed monthly in advance and renewed automatically until cancelled. No price appears anywhere on the website itself: the grid is only shown inside the self-serve signup flow.

Data, GDPR & hosting
A consolidated view of how CallCrewAI handles your data.
GDPR overview
The GDPR position is contractual rather than advertised. The Terms commit both parties to the data protection laws that apply to them, including the EU and UK GDPR, and set out a full processor clause: processing on documented instructions only, encryption in transit and at rest, confidentiality obligations on staff, breach notification within 72 hours, and deletion or return of personal data when the contract ends. A Data Processing Addendum is available to customers on request. Thirteen subprocessors are named one by one with their role, and the publisher undertakes to give reasonable notice before adding or replacing one. Cross-border transfers rely on the EU Standard Contractual Clauses, the UK IDTA or an adequacy decision. Crewlabs Ltd is established in Ireland, so no Article 27 representative is required or named.
Who owns the data?
The Terms are unambiguous: the customer owns all Customer Data, including both the inputs to and the outputs from the AI features, which covers call recordings, transcripts, summaries and structured notes. Under a company account the customer is the data controller and Crewlabs Ltd acts only as a processor, working on documented instructions. Anyone who calls a business using CallCrewAI is told that the business, not CallCrewAI, controls their data and is the right party to contact. The publisher keeps ownership of the platform itself - software, models, designs and branding - and grants no rights over it beyond use of the service.
Reuse rights
The customer can reuse its own data freely: it owns the recordings, transcripts, summaries and notes, can export them in a common machine-readable format on request, and can disconnect any integration at any time. No permission from the publisher is needed. What Crewlabs Ltd may do is narrower and worth reading. It uses Customer Data to run and support the service, to display the dashboards the customer asks for, to guard against fraud and abuse and to meet legal obligations. It rules out training or fine-tuning AI models on identifiable Customer Data, rules out advertising use, and states that Google user data is never used to train general models. In exchange it reserves the right to use de-identified and aggregated data to develop, secure and improve its services and models, provided nothing identifies a customer or an individual. Customer names and logos may be shown as references, but any named case study or quoted testimonial needs prior written approval and can be withdrawn by email.

Hosting summary
No hosting country or region is declared. Neither the privacy policy nor the Terms name a jurisdiction, and there is no security or trust page - the URL returns a genuine 404. The closest statement is a transfer clause: some subprocessors process data in other countries, for example in the United States, and cross-border transfers rely on the EU Standard Contractual Clauses, the UK International Data Transfer Agreement or Addendum, or an adequacy decision, with additional measures where appropriate. That is a transfer mechanism, not a hosting declaration. What is disclosed is who the infrastructure providers are. Thirteen subprocessors are named one by one with their role, including Google Cloud - with Firebase and Google Maps Platform - for hosting, database, authentication and storage, and Amazon Web Services for website hosting. Security measures are described in general terms: encryption in transit and at rest, access control on a least-privilege basis, confidentiality obligations on staff, and monitoring and auditing. Buyers with a data-residency requirement will have to ask for the answer in writing.
Things to keep in mind
Risks and trade-offs to weigh before adopting CallCrewAI.
- No price is visible before you create an account: the grid lives inside the signup flow, so a budget cannot be checked from the website alone
- Pricing depends on your country and is quoted excluding VAT, so the figure you see may not be the figure a colleague abroad sees for the same tier
- The free trial requires a card and rolls into a paid subscription: fees are non-refundable, no credit is given for an unused period, and the publisher may adjust pricing on 30 days' notice if usage exceeds the agreed baseline
- Handing your phone line to an AI agent shifts real legal duties onto you: the Terms make the customer responsible for call-recording consent, for disclosing AI-generated communications, and for telemarketing and anti-spam compliance in every jurisdiction its callers sit in
- Trusting the agent too far is a genuine risk: the publisher warns that AI outputs may be inaccurate or incomplete and that you must review them before relying on them for business-critical decisions, and states the service is not a substitute for emergency services
- The publisher claims no security certification, publishes no postal address or legal notice, and declares no hosting jurisdiction beyond a general international transfer clause
- Letting the agents absorb every customer contact concentrates the relationship inside one young supplier: if it fails or is acquired, the conversation history, call recordings and booking habits sit with it, and only a 30-day export window is contractually guaranteed
Setup & Integrations
Technical difficulty
Low, and deliberately so. Signup is self-serve and requires no code: organisation, website, first agent, email verification, optional connection of the job-management platform, tier selection and card payment, after which the receptionist agent is provisioned automatically. Agents are then configured through a guided wizard - language, voice, greeting, prompt, transfer rules. The only real technical steps are forwarding calls from the existing number, granting Google or Microsoft permissions, and pasting the chat element onto your own site. The Lite route is lighter still: everything runs inside WhatsApp. Support handles prompt tuning and configuration changes.

Should you pick CallCrewAI?
CallCrewAI is a narrow product, and that is its strength. It addresses one vertical - trades and field service businesses - and one recognisable pain: the call nobody picked up. Rather than selling a single voice bot, it sells a chain of ten specialised agents that carry a job from the first ring through dispatch to the invoice and the review request, and it writes the result back into the job-management platform the firm already runs. For a five-to-fifty-person electrical, plumbing or HVAC business losing work out of hours, that is a coherent and unusually complete proposition, and the WhatsApp-only Lite route removes the usual excuse for not starting.
The product side is further along than the company side. Self-serve signup, usage tiers with published volumes, an embedded checkout, a configurable agent builder and an embeddable chat widget all point to something genuinely shipped. Crewlabs Ltd, by contrast, was incorporated on 16 February 2026 and declares four employees; the website went live seven months before the company existed.
The weak point a buyer will meet first is transparency. No price appears anywhere on the public site - the grid lives inside the signup flow - and there is no pricing page, no contact page, no legal notice, no postal address and no security certification. Nothing is said about where data is hosted. None of that makes the tool bad, but it does mean a procurement team will have to ask for in writing what a comparable vendor would publish. Set against that, the contractual side is better than average: no training on identifiable customer data, thirteen subprocessors named, a DPA on request, breach notice within 72 hours, and no minimum term. Worth a trial if you are in the trade; worth a few written questions before you sign.
