What is Contivo?

Contivo is a Polish cloud accounting system published by Codentra spółka z ograniczoną odpowiedzialnością and presented as the first AI-native accounting system in Poland. The claim is about where the AI sits: not a chat window bolted onto a ledger, but the layer that executes the accounting work itself. As the vendor puts it, once the AI has done its pass it is the state of the books that has changed, not merely the contents of a window. One codebase serves two audiences. A bookkeeping practice can hold the ledgers of hundreds of client companies and switch between them without signing in again, while a single business can run its own accounts the same way. Nine modules — accounting and tax filings, sales, purchases, cash and bank, HR and payroll, inventory, plus fixed assets, reporting and the AI tools — are included in one price, and the menus adapt to the three Polish bookkeeping regimes: full books, KPiR and ryczałt ewidencjonowany. Documents arrive through four channels: the KSeF buffer, the practice's mailbox, uploaded files in batches of up to twenty, and bank statements. Each channel carries its own autonomy setting — off, hold for verification, simulation that calculates without touching the books, or full automation — together with a per-channel amount ceiling. By default, e-mail and uploads start in verification mode while the KSeF buffer and bank matching are switched off. A 90% confidence threshold sends anything less certain to a decision queue with the reason attached. Beyond routine invoices, Contivo handles nine non-standard document types, from loans and leases to insurance policies, tax office decisions and interest notes, with accrual schedules. Eleven control rules sweep the ledgers continuously for duplicate purchase invoices, VAT register entries with no matching ledger line, payments larger than the invoice, documents added after a filing was confirmed, foreign-currency invoices without a rate and assets carrying no depreciation. Five official Ministerstwo Finansów forms are completed automatically, five interest calculators follow NBP rates, and an AI assistant answers questions from the practice's real entries and can act on them once approved. Every correction is remembered by counterparty and document type.

There is no cap on the number of clients, updates and support are included, and the subscription can be cancelled at any time. GDPR overview

GDPR implementation is documented and specific. Three separate texts — Polityka prywatności, Regulamin and the Article 13 Klauzula informacyjna RODO — are all version 1.0, in force since 12 June 2026. The controller is identified by name together with its KRS (0000877399), NIP (9571129766) and REGON (387886268) numbers. Rights are listed article by article: access (15), rectification (16), erasure (17), restriction (18), portability (20), objection (21) and withdrawal of consent, exercised through a single channel, hello@codentra.pl or +48 575 755 510, with an answer promised without undue delay and within one month at the latest. Complaints go to the Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa. Transfers outside the EEA are allowed only under Chapter V safeguards, notably standard contractual clauses. No data protection officer is appointed, and no Article 27 representative exists because the publisher is established in the EU.

Who owns the data?

Codentra plays two distinct roles. For account, billing and contact details it is the data controller. For everything customers enter into the system it acts only as a processor under Article 28 GDPR, working solely on the client's documented instructions; the bookkeeping firm or business that entered the data remains its controller. Sub-processing terms sit in the service agreement and the OWU (Ogólne Warunki Umowy) rather than on the public pages. Passwords are stored only as cryptographic hashes. When a contract ends, the customer may export its data in a commonly used format within 30 days.

Reuse rights

Codentra lists four purposes: performing the contract (Art. 6(1)(b)), meeting tax and accounting obligations (Art. 6(1)(c)), answering enquiries, pursuing debts and securing the service (Art. 6(1)(f)), and its own marketing and newsletter on revocable consent (Art. 6(1)(a)). Recipients are sub-processors (cloud hosting and infrastructure, e-mail, IT tools), competent public authorities, and the public gateways e-Deklaracje, KSeF and ZUS, the last of these only on the client's instruction. The publisher states plainly that it does not sell personal data and does not release it to third parties for their own marketing purposes, and that no decision producing legal effects is taken solely by automated processing, profiling included. The site itself sets no analytics, advertising or tracking cookies and uses no third-party analytics tools; it relies only on localStorage for the session and sessionStorage for the order form. One question is never answered: nothing published says whether customer documents are used to train AI models, or how a customer could object. What the site does describe is learning confined to each practice — the system remembers posting corrections by counterparty and document type and adapts to each company's history and chart of accounts.

Data retention & training

Retention summary
Retention is set per category. Contract-related data is kept for the life of the contract, then for as long as the law requires, which for tax purposes is in principle five years from the end of the year in which the tax obligation arose, and until the relevant limitation periods expire. Correspondence and enquiries are kept for up to two years after the exchange ends. Data processed on consent, such as the newsletter, is kept until consent is withdrawn. Data entrusted to the system is kept for the duration of the service and, once the contract ends, returned or erased in line with the contract and the OWU. Technical logs are kept, as a rule, for up to 12 months. Customers can export their data in a commonly used format within 30 days of the contract ending.

Hosting summary

The privacy policy commits to servers located in the European Economic Area, or with providers ensuring GDPR compliance. Any transfer outside the EEA would take place only under the Chapter V safeguards of the GDPR, notably the standard contractual clauses approved by the European Commission. No country is named anywhere in the privacy policy, the terms or the security page, and no sub-processor is named either, only categories: cloud hosting and infrastructure, electronic mail, and IT tools. A separate and stronger claim appears on the publisher's own site: a 100% Polish stack, code, hosting and data in PL, with no documents sent abroad. That claim appears in none of Contivo's legal documents. An independent measurement on 05/09/2026 found contivo.pl served behind Cloudflare from Render, its www origin resolving to a United States region; this concerns the marketing site and does not necessarily describe the application. On the security side the publisher states that it runs the backups, isolates each company's data at application level, encrypts traffic with TLS/HTTPS, stores passwords as hashes and limits login attempts.
