DataLøn AI Assistent is a conversational AI feature built into DataLøn, the Danish payroll software from Visma. It runs payroll, produces reports, updates employee records and retrieves information on plain-language command, for Danish small businesses and their bookkeepers.
What is DataLøn AI Assistent?
DataLøn AI Assistent is the artificial-intelligence feature built into DataLøn, the Danish payroll system published by Visma DataLøn A/S. It is not a stand-alone product: it lives inside the payroll software, and the terms define it (clause 2.3) as an AI capability used within DataLøn to support and smooth payroll processing and to retrieve the customer's own information. DataLøn presents it as the first genuine AI assistant on the Danish payroll market, released after a test phase with customers. Technically, the assistant is built on large language models; the sub-processors declared for that layer are Google Cloud Vertex AI and Azure AI Foundry. It acts only on instruction and draws exclusively on the customer's payroll data, so what it returns comes from the customer's own system rather than from open-web knowledge. Four families of use are put forward: running payroll, producing reports, updating employee master data, and finding a piece of information or a supporting document. In practice the user types a request the way they would speak to a colleague, asking for the month's payroll to be run, for an absence report, for ten overtime hours to be registered against a named employee, or for an explanation of an amount debited from the account. When something is missing, the assistant asks for it. The boundaries are set out in the terms. Every action and every output is accompanied by a receipt, and the customer remains responsible for checking that output. Strategic decisions and approval of the assistant's work stay with the user: its suggestions and changes are expressly not automated decisions producing legal effects, and it does not stand in for qualified legal, tax or payroll advice. A fair-use policy allows access to be suspended until the following calendar month where usage is markedly above normal. Access is straightforward for existing customers: log in to DataLøn and click the AI Assistent; a free introductory webinar is offered. The assistant is included in the Plus and Premium subscriptions, and a separate, separately priced AI Assistent module exists for Lønpartnere, the accountants who run payroll for their own clients. The surrounding system is fully cloud-based, files automatically to SKAT, ATP, pension, holiday and maternity funds, and is used by 65,000 companies producing some 500,000 to 650,000 payslips a month.

There is no permanently free plan: every DataLøn subscription is chargeable, although a three-month free trial without commitment is offered. The AI Assistent is not part of the entry-level Go plan, so the lowest paid entry point that gives access to the assistant is the Plus plan at 193 DKK per month excluding VAT for 0 to 4 employees, to which a fixed charge of 25 DKK per payslip applies on every plan. Go, which does not include the assistant, starts at 153 DKK per month. Separately priced AI Assistent modules for payroll partners range from 199 DKK (AI Bundle) to 699 DKK. All amounts are stated in Danish kroner excluding VAT and have applied since 1 July 2026.

GDPR overview
GDPR implementation is documented rather than merely asserted. A data processing agreement is published as Appendix 1 to the terms, in Danish and English, and is downloadable from the terms page. An ISAE 3000 GDPR audit statement by Ernst & Young covers 1 October 2024 to 30 September 2025. A dedicated GRC team (Data Protection Manager, Security Manager) owns GDPR, the EU AI Act and NIS2. The privacy policy cites legal bases article by article (Art. 6(1)(a), (b), (f); Art. 9(2)(b) for sensitive data and CPR numbers) and lists rights of access, rectification, erasure, restriction, withdrawal of consent, portability and objection. Requests go to compliance.datalon@visma.com and are answered within one month. Sub-processors are named with their hosting country. No Article 27 representative applies, the publisher being EU-established. No SOC 2 or ISO 27001 certification is mentioned.
Who owns the data?
Under clause 21.5 of the terms, the customer owns the outputs the AI Assistent generates from the customer's own data. Clause 21.1 confines the assistant to that data and states that it is not used to train AI models and is not shared with others. Visma DataLøn A/S acts as data processor while the employing customer remains the data controller, with processing governed by the data processing agreement in Appendix 1. Approved sub-processors are named in Appendix B, Google Cloud Vertex AI and Azure AI Foundry being the ones tied to the assistant, and any addition or replacement must be notified in writing one month in advance, which the controller may oppose.
Reuse rights
Because the outputs belong to the customer, they can be reused, circulated internally and kept without asking the publisher for permission. Every action the assistant performs and every output it produces come with a receipt handed to the customer, so the work can be audited afterwards. The counterpart is an obligation: clause 21.3 makes verification the customer's responsibility and excludes the publisher's liability where an output was not checked, and clause 21.2 states that the assistant's suggestions and changes are not automated decisions producing legal effects. The privacy policy recognises the right to receive personal data in a structured, commonly used, machine-readable format, and payroll documents remain available in the electronic archive for five years after the end of the production year.

Processing takes place at Visma DataLøn A/S, Gærtorvet 1-5, DK-1799 Copenhagen V, and at the approved sub-processors listed in Appendix B of the terms (Appendix C.5). The hosting countries declared there are Denmark, Germany, the Netherlands, Ireland and Norway, with Frankfurt named for Orca Security and Datadog. The 'Legal transfer mechanism' column reads 'Not applicable' on every line, so no transfer outside the EU/EEA is declared. The AI components are identified by name: Google Cloud Vertex AI, hosted in Ireland, and Azure AI Foundry through Microsoft Ireland, hosted in the Netherlands and Germany. Other named sub-processors include Atea A/S, Bluewhale ApS, Cim Mobility ApS, Confluent.io, Netcompany A/S, ONLINECITY.IO ApS, Orca Security Ltd., PostNord Strålfors A/S, Visma Software International AS and Datadog Inc. The system is described as fully cloud-based and monitored around the clock. One caveat: the website's IP address resolves to a Cloudflare anycast node located in the United States, which concerns delivery of the public website, not the place where payroll data is stored.

- The assistant carries out real payroll operations: a badly phrased command can trigger a pay run or register a leaver you did not intend
- The terms place verification on the customer and exclude the publisher's liability for unverified outputs, and the very ease of use can dull that vigilance
- Confident-looking answers can still be wrong when the customer's own source data is incomplete or incorrect, as clause 21.3 acknowledges
- Skill erosion: delegating the search for information inside the system can weaken your own grasp of how payroll is configured
- The data handled is sensitive, covering salaries, absences and CPR numbers, and the privacy policy notes that sensitive data may also pass through support channels
- Vendor dependency: the assistant exists only inside DataLøn, is not portable and cannot be reached through an API
- Access can be suspended unilaterally under the fair-use policy until the following calendar month without compensation, and relying on the assistant to settle a point of employment law is a genuine risk, since it is not legal, tax or payroll advice

Setup difficulty is minimal. There is nothing to install: the assistant is already inside DataLøn, so you log in and click it. No technical skill is required, since the interaction happens in everyday language. The real prerequisite is commercial rather than technical, namely a Plus or Premium subscription.
