medishift
medishift is a German shift-planning platform for medical practices, care services and laboratories. Its AI assistant Kira creates rotas, resolves conflicts and logs absences from plain-language instructions, with every change held back for human approval.
What is medishift?
medishift is a cloud rota and workforce-planning platform built specifically for healthcare employers: GP and specialist surgeries, home-care and nursing services, laboratories, pharmacies, dental practices and MVZ groups. It is published by Lindotech GmbH of Hamburg and sold on a firmly European footing, with Made in Germany, Made in Hamburg, GDPR-compliant and hosted-in-Europe badges in every page footer.
The product covers four areas. Shift planning offers shift and week templates, drafts, an employee view and a department view, drag-and-drop and copy-drag-and-drop, breaks, a rule system, an automatic conflict resolver, shift history and replacement search. Leave management handles holiday requests, holiday balances, sick notes, other absences, a leave calendar and practice-wide closures. Time tracking records coming and going on a timer or by hand, breaks included, feeding straight into an overtime account. Mobile apps for iOS and Android carry rotas, swap requests and push notifications, and let administrators plan and approve from a phone.
Running through all of it is Kira, the AI assistant, included in every plan with only its volume and a handful of capabilities varying between tiers. Kira takes chat or voice input and acts on the rota directly: it creates and swaps shifts, records absences, clears clashes, suggests cover ranked by fairness, answers questions as tables in the chat, and can ingest an old spreadsheet, a CSV, a PDF or a photograph of the wall planner and put each row up for approval. The safeguards are stated plainly. Every action opens its own confirmation view naming people, times and departments; deletions require a second prompt; and Kira has no login of its own, inheriting exactly the permissions of the role that invoked it and never more. On Premium it also holds house rules written in ordinary language and can staff or repair whole weeks.
The vendor claims an error-free rota in two minutes instead of hours, 62% fewer planning errors, a 20% cut in staffing costs, 98% of staff more satisfied with scheduling, and more than 100 practices already signed up. The language model is said to run through European endpoints, though no model provider is named.
What it does
- Create, change and swap shifts from a single spoken or typed instruction, one at a time or as a series running eight weeks ahead
- Resolve rota clashes automatically and propose replacements ranked by fairness
- Record absences, sick leave and holidays, and notify everyone affected
- Answer questions about the team, the workload and the rota in seconds, as a table in the chat
- Check a draft against open shifts, missing breaks, rest periods and your own house rules before it is published
- Take in what already exists from Excel, CSV, PDF or a photograph of the wall planner, row by row
- Track clock-in and clock-out times, breaks and overtime accounts
When to use medishift / When not to
A quick filter to help you decide if medishift is the right fit.
When to use medishift
- Practice managers in GP or specialist surgeries who still build the weekly rota by hand
- Coordinators of home-care and nursing services juggling shifts, sick leave and cover at short notice
- Dental practices and MVZ groups running several treatment rooms and a staffed reception desk
- Small laboratories and pharmacies that have outgrown a spreadsheet but want a free starting point
- Practice owners who want rest periods, break rules and their own house rules checked before a rota goes out
When not to use medishift
- Teams that need rota or clocking data to flow into payroll, HR or practice-management software: there is no public API and no named integration
- Buyers whose procurement requires a signed data-processing agreement up front, since none is published or offered
- Shift-based employers outside healthcare, such as hospitality, retail or manufacturing, which the product never addresses
- Organisations that require an independent security certification such as ISO 27001, SOC 2 or TISAX
- Anyone after patient-facing features: appointment booking, billing and medical records are all out of scope
How to use medishift
A typical end-to-end flow, from setup to results.
- Create an account free of charge at the registration page: no payment details are required
- Or book a live demonstration through the appointment link published on the site
- Let Kira take in what you already have, an old Excel file, a CSV, a PDF or a photo of the wall planner, approving each row it reads back
- Set up your people: profiles, qualifications and attributes, availabilities and unavailabilities
- Define the structure of the practice: locations, work areas and absence categories
- On Premium, state your house rules in ordinary language, exceptions included, and let them be checked from then on
- Build the rota with week and shift templates, drag-and-drop and drafts
- Ask Kira for the day-to-day changes, creating a late shift, logging a sickness, finding cover, clearing a clash, and approve each proposal
- Publish the week; staff then read their shifts and request swaps from the mobile app
- Track hours and overtime, then ask Kira for an analysis and download it as CSV
Pros & Cons
Pros
- The AI assistant comes with every plan, the free one included: only its volume and a few advanced abilities change between tiers
- The free plan is permanent rather than a countdown, covers up to ten employees, includes the mobile app and asks for no payment details
- The safeguards around the assistant are explicit: a confirmation view per action, a second prompt before deletions, and no permissions beyond those of the role that invoked it
- A genuinely European legal footing: German publisher, German law, Hamburg jurisdiction, servers declared in Germany and cookieless audience measurement
- Sub-processors are named openly, which is unusual for a vendor of this size
- Built for healthcare rather than adapted to it, with the vocabulary, rules and everyday situations of a practice
- Prices are published, the wording is plain, and a monthly contract carries no annual commitment
Cons
- No public API and no named third-party integration, so rota and clocking data cannot be pushed into payroll or practice-management systems
- No data-processing agreement is published or offered, which is awkward for buyers handling the staff data of a health-sector employer
- No independent security certification is claimed: ISO 27001, SOC 2 and TISAX all go unmentioned, and there is no security page at all
- The language model provider is never named, and the site never says whether customer data is used for training
- The published help centre is broken: every page below the language landing pages returns a 404, including those listed in its own sitemap
- The company is very young, entered in the Hamburg commercial register in November 2025, with a change of managing director in June 2026
- The most useful planning controls, plain-language rules, rest periods, break rules, time tracking and multiple locations, are Premium only
Pricing & Plans
A permanent free plan is available at no charge for teams of up to ten employees; it is a standing offer rather than a time-limited trial. The cheapest paid tier is Plus at EUR 39 per month excluding VAT when billed annually, or EUR 49 per month when billed monthly. It covers twenty employees, with each further employee charged at EUR 1.00 per month.

Data, GDPR & hosting
A consolidated view of how medishift handles your data.
GDPR overview
Compliance is claimed explicitly and repeatedly: a GDPR-compliant badge sits in every page footer, and the pitch promises that data stays in Europe. The privacy policy, dated August 2026, names Lindotech GmbH as controller, sets out contract performance, legitimate interest and consent as legal bases, lists the full catalogue of data subject rights, and names the competent supervisory authority in Hamburg. Three sub-processors are disclosed by name. Audience measurement runs without cookies, on a server-side identifier rebuilt each day from a random value deleted overnight, with an Article 21 objection link in the footer. What is missing is contractual: no data-processing agreement is offered, no data protection officer is named, and no independent certification is claimed.
Who owns the data?
The terms are unusually clear about ownership. Customers keep every right to the data and content they enter, and grant Lindotech GmbH only a limited licence to process it for the purpose of delivering the service. The platform itself, with its software, design, trade marks and content, remains the vendor's intellectual property, and customers receive a restricted right of use in exchange. A separate clause confirms that the customer retains full control of their data and that Lindotech acts as a processor under the GDPR rather than as a controller. Three named sub-processors touch that data: Vercel and Supabase, both on German servers, and PostHog in an EU data centre.
Reuse rights
Customers may reuse their own data freely and without asking permission. Ownership never transfers, and the licence granted to the vendor is confined to running the service. Nothing in the terms allows Lindotech to repurpose customer data for marketing, resale or model training, and the site never raises the question of training on customer data in either direction. On the way out, the terms allow thirty days after the contract ends to export everything; after that the data is irreversibly deleted unless a statutory retention duty applies. Disclosure to public authorities happens only under a legal obligation or a court order.

Hosting summary
The controller is Lindotech GmbH, Eppendorfer Weg 151, 20253 Hamburg, Germany, and the terms place the contract under German law with jurisdiction in Hamburg. The privacy policy names three sub-processors and their locations: Vercel Inc. for hosting and delivery of the website, with its server location given as Germany and certification under the EU-US Data Privacy Framework; Supabase Inc. for the database and authentication, server location Germany; and PostHog Inc. for audience measurement, in an EU data centre. All three are said to be contractually bound to the GDPR. The FAQ states that data is stored in German data centres and backed up regularly, and every footer carries a hosted-in-Europe badge. The Kira page adds that the language model runs through European endpoints, but names neither the provider nor a precise region. The supervisory authority is the Hamburg Commissioner for Data Protection and Freedom of Information. Note that the domain resolves to a Cloudflare anycast node geolocated in the United States: that is the delivery network, not where the data rests.
Things to keep in mind
Risks and trade-offs to weigh before adopting medishift.
- The assistant performs real actions on a live rota, creating, reassigning and deleting shifts. The confirmation screen is the only barrier, and a barrier clicked through out of habit is no barrier at all
- Rostering carers touches occupational health. Handing judgements about fairness and workload to an assistant can quietly erode a manager's attention to the individual situations behind a name on a grid
- House rules written in ordinary language may be understood differently from how they were meant, and a rota described as automatically verified is only as sound as the reading of those rules
- The data is unusually sensitive: identities, working hours, sick leave and absences of healthcare staff
- No data-processing agreement is published even though the target customers contractually need one; ask for it before deploying
- No independent security certification backs the security claims, which rest entirely on the vendor's own word, and the model provider handling rota data is never named
- The headline results, 20% lower staffing costs, 98% satisfaction, 62% fewer errors, 100% compliant rotas, are asserted without any method or source
Setup & Integrations
Technical difficulty
Very low, and deliberately so. Registration is self-service and asks for no payment details, there is nothing to install beyond the optional iOS and Android apps, and no API, code or connector has to be configured. Existing data is taken in by Kira from an Excel file, a CSV, a PDF or a photo of the wall planner, with each row put up for approval. The vendor sets the account up for you on Premium, and the comparison pages promise guided migration at no charge. The official FAQ claims a first rota within minutes of registering.

Should you pick medishift?
medishift is a focused product rather than a general rota tool bent towards healthcare, and that focus shows in the vocabulary, the rules and the situations it anticipates. Its strongest card is that Kira is included in every plan, free tier included, and that the assistant executes rather than merely suggests, while staying boxed in by safeguards the vendor states openly: a confirmation view per action, a second prompt before deletions, and permissions inherited from the role that invoked it. A permanent free plan for up to ten employees makes it genuinely testable before any commitment.
The compliance argument will matter to this audience and it is more than a badge: a German publisher, German law and Hamburg jurisdiction, servers declared in Germany, sub-processors named openly, and audience measurement rebuilt to work without cookies. Few vendors of this size go that far.
The reservations are real all the same. No data-processing agreement is published or offered, which is an awkward gap for an employer handling health-sector staff data. No independent certification is claimed. The language model provider is never named and the question of training on customer data is never addressed at all. Signs of youth are visible too: the company was entered in the commercial register in November 2025, the imprint omits the register number and court that German law requires, the help centre's inner pages all return 404, and the comparison pages quote prices that contradict the pricing page. The headline figure is also the annual-billing rate; paying month to month costs EUR 49 rather than EUR 39.
For a practice or care service of five to fifty people wanting out of a spreadsheet, it is a serious and affordable option. An organisation with formal processor-contract requirements should settle those in writing first.
