What is Replai?

Replai is an AI email assistant built on a single premise: a generated reply is only worth sending if it sounds like the person sending it. Rather than running a general model on a generic prompt, it asks for three to ten replies you have already written and derives a reply identity from them - your typical sentence length, your habitual greeting and sign-off, and three scores the product labels Formality, Warmth and Directness. Every later draft is shaped by that profile.

The entry point costs nothing and needs no account. Paste an email you have received into the free reply generator, choose an intent such as decline, accept, follow up or clarify, pick a tone, and a draft comes back in seconds, capped at ten a day. Six further free tools sit beside it: meeting notes, an inbox organiser, scheduling assistance, a subject-line generator, a tone checker and a follow-up writer.

The Pro plan adds an optional mailbox connection. Read-only OAuth access to Gmail or Outlook lets Replai file incoming mail as Priority, Needs Reply, FYI or Unsubscribe, apply Gmail labels and Outlook categories automatically, deposit finished drafts in your Drafts folder, and read your Sent folder to sharpen the style profile. Any IMAP server works as well - Yahoo, Fastmail, ProtonMail Bridge, iCloud, Zoho or your own domain - where Replai creates seven category folders and copies messages into them without moving the originals. The meeting notetaker transcribes calls with speaker diarisation and returns a summary, the decisions reached and action items with owners.

Two limits are stated flatly and often. Replai cannot send email: it hands you a draft to read, edit and send yourself, and the site says that will not change. And text you submit is never used to train a model, at Replai or at OpenAI, whose API does the generating.

It is a web tool only, with no browser extension, no mobile app and no public API. The homepage counter stood at 73,575 emails read and replied to on 23 August 2026.

GDPR overview

GDPR coverage is concrete rather than decorative. The security page answers the compliance question with a plain yes, and the privacy policy names Replai as the data controller for a service operated from the United Kingdom, citing UK GDPR and EU GDPR together. Legal bases are stated: performance of a contract, legitimate interests, or explicit consent. All seven data-subject rights are set out one by one, each with a route to exercise it through privacy@replai.so and a thirty-day response commitment. Breach notification to the user and to the ICO within 72 hours is promised, and material policy changes are announced by email fourteen days ahead. The current policy dates from June 2026. No Article 27 EU representative is named anywhere, and the only supervisory authority cited is the British ICO.

Who owns the data?

The terms are explicit that you keep ownership of the reply examples you submit; Replai claims no rights over your writing. Submitting an example grants Replai a limited, non-exclusive, non-transferable licence to store, process and analyse that text for one purpose only, generating your own replies, and the licence ends when you delete the example or the account. Replai owns the platform, the tools and the numeric style profile derived from your text, but not the raw text itself. It claims no copyright in generated output. Examples are never shared with other users, never sold, and never used to train models.

Reuse rights

You may reuse anything Replai produces without asking. The terms hand generated replies to you for your own use and state that Replai claims no copyright in that output, so drafts can be edited, sent and kept freely. Two limits apply. Reselling or sublicensing the generated output as a service is prohibited, as is using it to build, train or supplement a competing AI product. The terms also warn that AI output can reproduce patterns from training data, so you should review a draft before using it anywhere intellectual property rights matter. Your own submitted examples remain yours throughout and can be exported in plain text on request.

Hosting summary

Replai does not disclose where user data is physically hosted. The privacy policy places account records, saved reply examples and usage logs in a MySQL database on what it calls simply 'our production server', naming no country, region or cloud provider. The only jurisdictional signals are legal rather than technical: the service is operated from the United Kingdom, the terms are governed by the law of England and Wales, and the supervisory authority cited is the British ICO. Protection measures are described in more detail than location. Traffic runs over HTTPS with TLS 1.2 or above, data at rest is encrypted at the storage layer, passwords are hashed with PBKDF2-SHA256, session cookies are signed server-side, and production access is restricted on a least-privilege basis.
