The artificial intelligence sits in the Smart Assistant, which runs on an OpenAI large language model. Smart Compose writes messages and replies from a few keywords and lets you choose the tone; Smart Improve corrects spelling and grammar and sharpens phrasing, tone and clarity; Smart Summarize condenses an email and turns it into a note; Smart Task Finder scans the inbox for actionable to-dos; Smart Timing proposes the best moment to send; and Smart Follow-ups ranks tracked emails by urgency and drafts the reminder for you.
Privacy is a stated selling point rather than an afterthought. Servers sit in Frankfurt, Germany, the company is ISO/IEC 27001:2022 certified, Microsoft 365 certified and Google verified, and it states that it never reads, analyses or stores message content or attachments. Outgoing mail still leaves from your own server.

GDPR overview
Compliance is claimed explicitly and backed by concrete detail. Mailbutler GmbH, Akazienstr 3a, 10823 Berlin, is named as the controller, and a Data Protection Officer is designated: Fabian Jager, reachable at privacy@mailbutler.io. The policy lists the lawful bases relied on, enumerates the full set of data subject rights including erasure, portability and objection, and confirms that no solely automated decision-making takes place. A Data Processing Agreement is offered on request, transfers outside the European Union rely on Standard Contractual Clauses, and the competent supervisory authority is named as the Berliner Beauftragte fur Datenschutz und Informationsfreiheit. The company is ISO/IEC 27001:2022 certified and publishes the certificate. Privacy policy and terms were both last updated on 2 February 2026. No Article 27 representative is designated, which is expected of a company established in Germany.
Who owns the data?
The terms define Customer Data as everything you submit to, store in or transmit through the service, and require you to hold all rights to what you upload. The software itself is licensed rather than sold and remains the exclusive property of Mailbutler. The vendor states that it never reads, stores or analyses the content of your messages, and that it does not sell, rent, loan or lease personal information. For email tracking you are the data controller and Mailbutler acts only as a processor under Article 28 GDPR. No employee may open your notes, tasks, templates, signatures or tracking data without your explicit agreement or a legal obligation.
Reuse rights
You keep control of what you create inside Mailbutler. Notes, tasks, templates and signatures are stored solely to deliver and improve the service, and privacy settings let you decide how much is recorded, down to nothing at all. Nothing in the published terms restricts the reuse of your own content, and the vendor claims no licence over it for marketing or for model training. Data is shared only with named sub-processors acting on Mailbutler's instructions: PayPal, GoCardless and Stripe for payments, Google Analytics for measurement, and OpenAI for the Smart Assistant, which receives the body and the subject line of the message you are working on. Anything reached through Google Workspace APIs is explicitly excluded from AI and machine-learning training, and Gmail data is never used to serve advertising.

Hosting summary
Mailbutler states twice on its homepage that its servers are located in Frankfurt, Germany, and presents that European jurisdiction as a deliberate privacy argument. A DNS lookup on the domain resolves to an address geolocated in Germany and operated by Host Europe GmbH, which is consistent with the claim. All data exchanged with or stored in the backend is described as encrypted at all times, and the company holds an ISO/IEC 27001:2022 certificate, published as a PDF alongside its information security policy. The picture is not exclusively European, however: the privacy policy states plainly that some service providers sit outside the European Union, including in the United States - Stripe, PayPal and GoCardless for payments, Google Analytics for measurement and OpenAI for the Smart Assistant. Those transfers are covered by Standard Contractual Clauses together with additional contractual, technical and organisational measures. The full register of sub-processors is maintained internally and supplied on request from the Data Protection Officer rather than published on the site.
