SmartRoutes is a delivery management platform published by Smart Routes Ltd, an Irish company founded in 2018 by David Walsh (CEO) and Blake Walsh (COO) and run from Cork by a team of around eight people. It covers the whole last-mile chain in a single place: order intake, route planning, dispatch, proof of delivery and reporting.

The heart of the product is a multi-vehicle optimisation engine. Once a plan is dispatched, drivers work from native iOS and Android apps offering navigation, the stop list, dispatch notes, push notifications and real-time chat with the back office. They capture proof of delivery as photos, e-signatures or barcode scans, each GPS-timestamped and geofenced. Dispatchers follow the fleet live, adjust routes mid-round, and let the platform send automated SMS and email updates with dynamic ETAs, a delivery tracking portal and a slot booking portal. Reporting closes the loop: driver and route performance, planned versus actual, real-time alerts, scheduled reports and a daily or weekly operations digest. Third-party logistics operators additionally get a client portal, route costing, driver payments and customer invoicing.

On the AI question, be precise. The site mentions it twice — "We leverage AI and data-driven insights to provide real-time optimizations" on the about page, and "advanced algorithms and machine learning" in a FAQ — without naming a model, a provider or a learning method. What you are buying is an optimisation engine, not a generative assistant. The published gains, 85% less planning time and 25% more delivery capacity among them, come with no methodology attached.

GDPR overview

GDPR compliance is claimed explicitly: the privacy policy, last updated March 2026, states that SmartRoutes adheres to the principles of EU Regulation 2016/679, and lists the seven data subject rights — access, rectification, erasure, restriction, portability, objection and rights relating to automated decision-making. Requests are made by email to info@smartroutes.io, with a stated 30-day response, and the right to complain to a local supervisory authority is set out. Transfers outside the EEA are covered by Standard Contractual Clauses approved by the European Commission. Two gaps qualify this: no Data Protection Officer is named, the heading pointing to the same general mailbox; and the terms and conditions, still dated 24 February 2020, have never been aligned with the policy. As an Irish company, the publisher needs no Article 27 representative.

Who owns the data?

The terms and conditions, dated 24 February 2020, reserve the intellectual property in the Service itself to Smart Routes Ltd but say nothing about the operational data customers upload — orders, addresses, delivery proofs. No clause assigns that content, and none confirms it stays with the customer. The privacy policy, updated March 2026, is narrower but clearer: personal identification information is never sold, traded or rented to others, and Android location data is neither sold nor shared with third parties. Reuse rights

The published documents describe how SmartRoutes uses data, not how a customer may reuse it: no clause grants, restricts or conditions the reuse of the records you enter, so nothing on the site asks you to seek permission before exporting and reusing your own orders, routes or delivery reports — but that is silence rather than a written right. On the company's side, the declared purposes are improving customer service, personalising the experience, processing payments and sending periodic emails, on the legal bases of consent, performance of the contract, legal obligation and legitimate interest. Where a driver consents, device location is tracked so the system can re-optimise routes from the current position and produce planned-versus-actual reports. Email addresses, payment card details, non-identifying browsing data and cookies are collected, and Google reCAPTCHA runs on the site. Nothing anywhere states whether customer data is used to train AI models, in either direction.

Data retention & training

Retention summary
The privacy policy states a principle but never a figure. Personal data is kept only for as long as is necessary for the purposes set out in the policy, or as required by law, and once it is no longer needed it is securely deleted or anonymised. That is the whole of it: no retention period is given in days, months or years anywhere on the site, no separate retention schedule is published, and the account cancellation guide sets no purge deadline either. In practice the duration rests on the company's judgement against purposes described in general terms. Anyone with a regulatory retention requirement — delivery records, driver location histories, proof-of-delivery images — will need to agree the periods in writing, because the published policy does not fix them.   • Two different Irish addresses coexist. The terms and conditions give Unit P5, Marina Commercial Park, Centre Park Road, Cork T12 PN7F, while the Companies Registration Office records the registered office of Smart Routes Limited (no. 620794) as 4th Floor, 21 Cook Street, Cork T12 K3KA. The terms address is the one carried here; the gap is real and unexplained.
  • The pricing page contradicts itself. Its FAQ mentions per-user pricing for most plans, while the three plan cards and the sixty-line comparison table all bill per vehicle. Per-vehicle billing is what five places out of six support, but check any quotation line by line before signing.
  • The terms and conditions have not been revised since 24 February 2020, six years before the March 2026 privacy policy, and they read as a generic template: DMCA takedown clauses, United States Federal Government End Use provisions and a USD 100 liability cap sit oddly with an Irish company operating under Irish law.
  • The headline figures come without methodology, sample or period: 85% less planning time, 25% more delivery capacity, 70% fewer customer queries, up to 33% lower cost per delivery, 700+ customers in 20 countries. The Capterra badge of 4.9 rests on eight reviews.
  • The AI claim is thin. Two mentions across the entire site, with no model, provider or learning method named. Buy this as a route optimisation engine and judge it on route quality; expecting a generative assistant would be a misreading of what is on offer.
  • Nothing is published on security certification, data processing agreements, subprocessors or hosting location, and the five interface languages come from the driver app's store listing — the website and its guides are English only. This is silence rather than refusal, but it means those questions have to be put directly to the vendor.
  • Driver location tracking is consent-based, yet it feeds both route re-optimisation and planned-versus-actual reporting, which makes the tool a performance-monitoring instrument as much as a routing one: agree with drivers what is measured. And a dispatcher who accepts the optimiser's output unchecked gradually loses the local knowledge — awkward yards, access windows, regular customers — that no engine holds.
