Overview

What is xpertour?

xpertour is vehicle routing software that runs entirely in a web browser. It takes the orders a company has to serve and the vehicles it has available, and returns optimised tours at the push of a button. The publisher, Ferrucci Software and Consulting GmbH of Herford, has been running it in daily production since 2015. The optimisation is the heart of the product. The site describes scientifically researched AI algorithms, and the credential behind that claim is unusually concrete: founder, managing director and developer Dr Francesco Ferrucci studied business information systems with an operations research focus at the University of Paderborn and wrote his doctorate on proactive, dynamic vehicle routing, published by Springer. The engine handles the constraints that make real dispatching hard rather than a simple shortest-path calculation: hard and soft time windows, vehicle capacities, driver qualifications, binding an order to a particular vehicle, order availability, depots, driving distance and duty time, speeds, costs, and travel times that vary with the hour of the day. Pickup, delivery and courier orders are planned together, electric vehicles are supported, and a single run can cover several days. What distinguishes it from a black box is that the dispatcher keeps control. Improvements appear live during the calculation, and once tours exist they can be reshaped by hand, with the cost consequence of every move displayed immediately, then re-optimised in whole or in part under the changes just made. Plans can be saved, reloaded and compared, which turns the tool into a what-if instrument as much as a scheduler. Around the optimiser sit order, customer, driver and vehicle management, import and export including through the xpertour API, statistics such as kilometres driven per driver per month, and map data from OpenStreetMap. Nothing is installed, updates are included, and the heavy computation happens on the publisher's servers, which sit in German data centres. Two sibling products complete the range: xpertour tms for courier order management and xpertour vcc for vehicle cost calculation.

What it does

  • Optimise vehicle tours with AI under capacity, time-window, qualification and vehicle-binding constraints
  • Recalculate existing tours when orders, volumes or vehicle availability change during the day
  • Adjust any route by hand, moving or pinning orders, with the cost impact shown immediately
  • Plan pickup, delivery and courier orders together across one or several days
  • Import orders and vehicles from Excel, from xpertour tms or from an ERP through the API
  • Send finished tours to drivers' smartphones, back to the customer's IT system, or to print
  • Run what-if comparisons and store tour statistics per driver, vehicle and period
Audience

When to use xpertour / When not to

A quick filter to help you decide if xpertour is the right fit.

When to use xpertour

  • Dispatchers and transport planners who currently build vehicle tours by hand and lose hours to every last-minute change
  • Courier, parcel, letter and food delivery operators that need many stops sequenced across a fleet each morning
  • Home-care and pharmaceutical logistics providers whose visits are bound by hard time windows and staff qualifications
  • Field-service and trade businesses sending technicians, installers or property managers on daily rounds
  • Small and mid-sized fleet operators that want optimisation without per-vehicle licences, setup fees or an on-premise install

When not to use xpertour

  • Private individuals: every service is sold strictly business-to-business, to companies and self-employed professionals only
  • Very low-volume operations, since billing starts at a EUR 150 monthly minimum regardless of how few stops are planned
  • Teams looking for a permanently free tool, as only a 14-day trial is offered and no free tier exists
  • Non-German-speaking organisations, because the website, the sales process and the support are published in German only
  • Buyers who require a signed data processing agreement or a security certification such as ISO 27001 or SOC 2 before purchase

Pricing

Pricing & Plans

There is no permanent free plan. A free 14-day trial is offered, after which xpertour is billed on usage, per planned stop, subject to a minimum monthly revenue of EUR 150, which is therefore the effective entry price. Rates fall as volume rises: EUR 0.28 per stop up to 3,500 stops per month, EUR 0.24 up to 10,000, EUR 0.20 up to 20,000, and a negotiated rate beyond that. There is no charge per vehicle or per driver and no setup fee. The optional TourenCheck savings evaluation costs EUR 399. All prices are net of statutory VAT and the offer is business-to-business only. The sibling products are priced separately and should not be confused with the above: xpertour tms costs 2.5% of planned order value, with a EUR 400 monthly minimum and a EUR 1,250 cap, while xpertour vcc costs EUR 99 per month.

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how xpertour handles your data.

GDPR overview

GDPR compliance is claimed explicitly and repeatedly: the homepage, the meta description and the xpertour vcc page all state DSGVO-konform, and the FAQ ties it to processing in German data centres. The privacy policy sets out its legal bases article by article, citing consent, contract, legal obligation and legitimate interest under Article 6(1). Data subject rights are listed: access, rectification, blocking, portability and erasure, exercised by email with the subject line Datenschutz, plus withdrawal of consent, objection including to direct marketing, and complaint to a supervisory authority. Two gaps are worth noting. No data protection officer and no Article 27 representative are designated, the latter being unnecessary for an EU-established company. More importantly, the policy covers the website only; it never describes how the operational data loaded into the platform is processed.

Who owns the data?

The controller named on both the legal notice and the privacy policy is Ferrucci Software and Consulting GmbH, Leopoldstrasse 2-8 in Herford, Germany. The policy states that personal data supplied for contractual purposes, such as a name, postal address or email address in a quote request, is used internally only, and that data is passed to third parties solely where it is needed to perform the contract or where the law requires or permits it. The homepage repeats that data serves the business relationship alone and is not forwarded. Note the limit: these clauses govern the website and the sales relationship. The publisher issues no terms and conditions, so ownership of the operational data loaded into the platform is nowhere defined.

Reuse rights

No terms and conditions are published, so nothing on the site restricts what a customer may do with the tour plans, statistics and reports the software produces. In practice the product is built around unrestricted reuse: the publisher advertises unlimited optimisation runs and unlimited exports and imports of the plans for active orders within a session, and re-planning the same stops within 24 hours is not charged again. Plans can be exported to a customer's own IT system through the xpertour API, sent to drivers' smartphones or printed. The one documented use the publisher makes of customer data is the optional TourenCheck, an evaluation of savings potential carried out on anonymised data from a single day.

Data retention & training

Retention summary
Server log files are deleted within 14 days of being evaluated statistically, except where a record must be kept as evidence, in which case it is retained until the incident is resolved. Data sent through the contact form or by email is stored to answer the enquiry and deleted once it has been handled or the purpose has lapsed, unless a legal exception applies. If consent is withdrawn, the data is deleted immediately, again subject to legal exceptions. More generally, personal data is kept for the applicable statutory retention period or as long as the purpose of collection persists, after which routine deletion follows; where data must be kept for commercial or tax reasons, its processing is restricted instead. No retention period is published for the operational data held in the platform.

Hosting summary

The publisher states plainly and in several places that hosting is German. Server location in Germany is listed as a product feature, the homepage says customer data is processed in data centres in Germany, and the FAQ repeats that operation and data processing take place in German data centres in a GDPR-compliant manner. The jurisdiction is therefore Germany, and the controller is the German company itself, so no international transfer is described anywhere. Two caveats apply. The privacy policy acknowledges using a hosting provider for infrastructure, computing capacity, storage, database and maintenance services, but never names it, and no subprocessor list is published. Independent network checks are consistent with the claim rather than proof of it: the website resolves to a server operated by Neue Medien Muennich in Dresden, and the xpertour vcc demo to Hetzner in Falkenstein, both in Germany. Those observations cover the public site and a demo, not necessarily the production infrastructure of the optimiser.

Things to keep in mind

Risks and trade-offs to weigh before adopting xpertour.

  • Three products share the xpertour brand with unrelated price grids: the EUR 99 per month entry point belongs to xpertour vcc, not to the AI route optimiser reviewed here, whose floor is EUR 150 per month
  • No terms and conditions are published, so the contractual framework, liability, service levels and ownership of platform data are undefined before you sign
  • The privacy policy covers the website only and never describes the processing of operational data, although the platform necessarily holds customer addresses and driver records
  • No data processing agreement is offered or mentioned, which most European buyers will need under Article 28 GDPR before any live deployment
  • Over-reliance on automated tours can erode a dispatcher's own feel for the network; keep the manual editing and what-if features in active use rather than accepting every proposal
  • The publisher is very small, with a single managing director and no published headcount, so assess key-person dependency and business continuity before committing
  • A sibling domain, tourenplanung.de, markets the same product under the same publisher without redirecting, which can cause confusion about which site is authoritative
Setup

Setup & Integrations

Technical difficulty

Low for a first run, moderate for full integration. There is nothing to install and no setup fee: the software opens in a browser, updates are automatic and included, and the heavy computation runs on the publisher's servers, so ordinary office computers suffice. The simplest route in is an Excel import of orders and vehicles, and the publisher says users become familiar with the basic functions quickly. Effort rises if you connect an ERP through the xpertour API, and bespoke interfaces are chargeable extras. A preliminary phone call, individual advice and support during the trial are part of the onboarding.

FAQ

Frequently asked questions

What exactly does xpertour do?
It is a web-based route planning application that uses AI to build optimised vehicle tours. Everything runs in the browser, with no installation and no manual updates, and dispatchers keep full control because they can reshape any tour to suit their own judgement.
What efficiency gains are realistic?
The publisher states that up to 20% lower tour costs and up to 80% less dispatching time are achievable in practice. Customers quoted on the site describe planning in a day what previously took a week.
Is there a free trial, and how do I start?
Yes. The software can be tested free for 14 days, with your own data or with sample data. Entry begins with a phone conversation about whether the software suits your operation; an optional TourenCheck costing EUR 399 evaluates your savings potential beforehand.
How much does it cost?
Pricing is usage-based, charged per planned stop, with a minimum of EUR 150 per month and no setup fee. Rates run from EUR 0.28 per stop below 3,500 stops monthly down to EUR 0.20 below 20,000, with larger volumes negotiated. All prices are net of VAT.
How do we get our data into the system?
Orders and vehicles can be imported from Excel files, from the xpertour tms order management system, or from your own IT system. The xpertour API supports bidirectional working, importing data for planning and exporting the optimised tours back to your system.
What constraints can the optimisation take into account?
Hard and soft time windows, vehicle capacities, driver qualifications, binding an order to a specific vehicle, order availability, depots, duty times, driving distances, speeds, costs and travel times that vary by time of day. Pickup, delivery and courier orders can be planned together.
Can I change the tours the software proposes?
Yes, and this is central to the design. Orders can be moved between vehicles or pinned, and can be added, changed or deleted, with the cost effect shown immediately. The software can then re-optimise all or selected tours while respecting your changes.
Where is the data hosted?
The publisher states that operation and data processing take place in data centres in Germany, and describes the service as GDPR-compliant. Note that the published privacy policy covers the website itself; it does not document the handling of operational platform data.
Is there an order management system as well?
Yes. xpertour tms is a separate product offering order, customer, driver and vehicle administration with a dispatch view and invoicing, and it exchanges data bidirectionally with the optimisation. A third product, xpertour vcc, calculates vehicle and tour costs.
Who is behind xpertour?
Ferrucci Software and Consulting GmbH, based in Herford, Germany. Its founder, managing director and developer is Dr Francesco Ferrucci, who studied business information systems with an operations research focus at the University of Paderborn and holds a doctorate in proactive, dynamic vehicle routing.
Conclusion

Should you pick xpertour?

xpertour is a focused, unusually mature piece of vehicle routing software. It has been in daily production since 2015, it is built by someone whose doctorate is on precisely this problem, and it takes a clear position in a crowded market: between the free routing tools it describes as having hidden pitfalls and the enterprise suites it calls too complex and too expensive. The design choice that stands out is the refusal to be a black box. Optimised tours are a starting point rather than a verdict, and the immediate cost feedback on every manual change is what makes the software usable by a dispatcher who has to answer to a customer at four in the afternoon. The commercial model is coherent with that positioning. Charging per planned stop, with no fee per vehicle or driver and no setup cost, means a small fleet can start without a capital decision, though the EUR 150 monthly minimum sets a real floor. German data centres and an explicit GDPR claim will matter to European buyers. The reservations are about documentation rather than the product. No terms and conditions are published at all, no data processing agreement is offered, no subprocessor is named, and no security certification is claimed. The privacy policy, though carefully written, covers only the website and says nothing about how customer addresses, orders and driver records are handled inside the platform. For a tool that necessarily processes personal data about customers and drivers, that is the gap a prospective buyer should close in writing before signing. The German-only interface and sales process will also rule the product out for many organisations outside the DACH region.
