Overview

What is DealerAI?

DealerAI is a customer communication platform published by Idea Notion Development Inc., a software company based in Markham, Ontario. It serves one industry only: North American car dealerships and auto groups. The vendor claims deployment across more than 500 rooftops, 24/7/365 coverage, SOC 2 Type II certification and PIPEDA compliance. The stated architecture is MAGS, a Multi-Agent Generative System: rather than one generalist bot, several specialised agents cover sales, service, parts and finance and pass conversations between themselves. Underneath sits DealerAI Neuron, an engine that blends live inventory, CRM records and the dealership's own knowledge with frontier models from OpenAI and Anthropic and with open-source models, routed by task. Four products run on that engine. Chatbot answers website and SMS conversations, recognises which vehicle detail page a visitor is reading, searches inventory in plain language down to the VIN, books appointments and handles more than forty languages. Reach runs branching follow-up sequences across voice, SMS and email, tags intent and sentiment, builds unified 360-degree contact profiles, recovers no-shows and routes review requests to Google and DealerRater. Voice AI answers and places calls speech-to-speech with a claimed 0.4-second response time, switches between more than thirty languages mid-call, and calls tools live to read service history, check a service advisor's calendar or write an appointment into Xtime. AI Workflow is a node-based canvas with over a hundred node types for wiring dealership-specific automations, from a configurable price-drop trigger to a post-service follow-up fired when a repair order closes. A cross-store feature, Fuse Inventory, matches buyers with the right VIN across a group's rooftops. Conversations escalate to a human queue when an agent meets ambiguity, customer frustration or a critical question, and hard guardrails can be set per topic, typically finance, legal matters and complaints. Two public playgrounds and a live voice line let a prospect test the agents before contacting sales, and public documentation covers the portal, the webchat JavaScript SDK and a REST API. Named case studies at Campbell River Toyota, GAA Auto Sales, Courtenay Mazda and Volvo Cars Markham carry the performance figures. Anything outside automotive retail falls outside the product's scope.

What it does

  • Answer website chat and SMS enquiries, qualify the lead and book the appointment
  • Pick up inbound calls 24/7 and write the appointment into the DMS while still on the line
  • Re-engage cold and aged leads through branching SMS, email and voice sequences
  • Search dealership inventory in natural language, down to the VIN
  • Chase missed appointments and send appointment and service reminders
  • Route each conversation to the right departmental agent, then hand over to the right human with full context
  • Fire automated workflows on dealership signals such as a price drop or a closed repair order

When to use DealerAI / When not to

A quick filter to help you decide if DealerAI is the right fit.

When to use DealerAI

  • Franchised and independent car dealerships in Canada and the United States that need sales, service and parts enquiries answered around the clock.
  • Multi-rooftop auto groups: volume pricing starts at three rooftops and a consolidated agreement is typical from ten.
  • Business development centres whose teams cannot keep up with cold, aged or unworked leads.
  • Fixed operations and service departments that lose inbound calls at peak hours and after closing time.
  • Dealerships serving multilingual markets, where customers arrive on chat or on the phone in French, Spanish, Mandarin or Punjabi.

When not to use DealerAI

  • Businesses outside automotive retail: every agent, integration and template is built around dealership inventory, CRM and DMS data.
  • Buyers who want to sign up on their own: there is no free plan, no advertised free trial and no published price, so nothing starts without a sales conversation.
  • Organisations that must document GDPR compliance: the site never mentions the regulation, names no Article 27 EU representative and publishes no data processing agreement.
  • Teams that need to be live within hours: onboarding is vendor-led, announced at five to seven business days for a single rooftop and three to four weeks in the general FAQ.
  • Dealer groups outside North America: the product is positioned, supported and region-pinned for Canada and the United States only.

How to use DealerAI

A typical end-to-end flow, from setup to results.

  1. Try the agents first without talking to anyone: two public playgrounds cover the chatbot and Reach, and a public number lets you hold a live conversation with the voice agent.
  2. Run the public ROI calculator to frame the business case before any pricing discussion.
  3. Request the 20-minute demo through the form on the home page, giving your name, dealership, email, phone and the problem you want solved.
  4. Agree the plan and scope with sales: pricing is per rooftop, and implementation services are quoted separately for larger groups.
  5. Go through vendor-led onboarding, included at no setup fee: CRM connection, inventory feed, knowledge base ingestion, brand voice calibration and a staging environment before go-live.
  6. Allow five to seven business days for a single rooftop and two to four weeks for a group, although the general FAQ quotes three to four weeks.
  7. Provide the access the agents need: CRM, inventory feed, DMS calendar, telephony through Twilio or SIP, and the website where the widget will sit.
  8. Install the webchat widget on the dealership site, restyle it from the portal without code, or drive it through the JavaScript SDK for advanced cases.
  9. Extend the setup where needed: Chrome extension to capture a lead from any authorised page, Zapier MCP to reach thousands of other apps, and the full REST API on the All-in-One plan.
  10. Run it day to day from the DealerAI portal and mobile apps: conversations, agents, inventory, stores and staff, live consumption, escalation rules and blocked topics, with staff able to take over any conversation.

Pros & Cons

Pros

  • Web chat, SMS, email and voice sit in one system with shared context, rather than in three separate tools.
  • Agents take real action in the CRM and DMS, writing an appointment during the call instead of only holding a conversation.
  • Specialised agents per department, with automatic escalation to a human and configurable guardrails on sensitive topics.
  • Pricing is per rooftop with unlimited users, no per-seat fee, no setup fee and a monthly term cancellable on 30 days' notice.
  • Genuine multilingual coverage: more than forty languages on chat, more than thirty on voice with mid-call switching.
  • SOC 2 Type II and PIPEDA are claimed, data is region-pinned to Canada or the United States, and conversations are stated not to train foundation models.
  • Buyers can evaluate before committing: two public playgrounds, a live voice number, an ROI calculator, named case studies and public API documentation.

Cons

  • No public pricing: all three tiers show Contact us, so no budget can be built without going through sales.
  • No free plan and no advertised free trial; the playgrounds are demonstrations, not a trial of the service.
  • Variable costs are open-ended: voice is billed per conversation minute and SMS overage at $100 per 5,000 messages.
  • The full API and the third-party CRM integrations that matter to a group (Xtime, Tekion, TMS, eLeads) are reserved for the top tier.
  • Deployment timelines contradict each other across the site: five to seven business days on the pricing page, three to four weeks in the FAQ.
  • The legal documents lag the product: a generic Termly-based privacy notice dated 23 April 2023, no GDPR mention, no EU representative, no sub-processor list and no DPA.
  • Headline performance figures (72%, 3.4x, 4.1x, 31%, 100% of calls answered) are vendor claims with no published methodology, and HubSpot and the native DealerSocket connector are still announced as coming soon.

Pricing & Plans

No free plan and no free trial are advertised, and no plan price is published: the three tiers all display Contact us, so there is no lowest public price point for the software itself. Licensing is quoted per rooftop per month, with unlimited users, no per-seat charge and no setup fee, on a monthly term cancellable with 30 days' notice. Volume pricing begins at three rooftops and a consolidated agreement is typical from ten. The only published amounts are add-ons: SMS overage at 100 dollars per 5,000 additional messages, voice billed per conversation minute, and a one-off implementation fee scoped case by case. The offer markup on the site declares USD.

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how DealerAI handles your data.

GDPR overview

The word GDPR appears nowhere on DealerAI's public pages: no European compliance claim, no Article 27 EU representative and no data protection officer is named. The compliance actually asserted is North American — SOC 2 Type II and PIPEDA — and it appears on the pricing and product pages rather than in the legal documents. The privacy notice in force since 23 April 2023 does carry fragments of European practice: EEA and UK residents are told they may complain to their local supervisory authority, with a link to the European Commission's list, and Swiss residents are pointed to the Federal Data Protection and Information Commissioner. Access, rectification and deletion requests go through a Termly form. Californian residents get a far more developed section covering CCPA rights, authorised agents and Shine The Light. No sub-processor list and no data processing agreement are published.

Who owns the data?

DealerAI states plainly that the dealership owns its data — “You own your data. Period.” — and that conversation history can be exported or deleted on request from the portal. The privacy notice, published under DealerAI (Idea Notion Development Inc.) and in force since 23 April 2023, adds that an account and the information attached to it are deactivated or removed from the active databases once the customer asks to terminate. The publisher reserves the right to keep some records afterwards to prevent fraud, troubleshoot, assist investigations, enforce its terms and meet legal obligations. Personal data may also reach affiliates, contracted service providers, business partners and any acquirer in a corporate transaction.

Reuse rights

The published terms of use govern the dealerai.com website rather than the SaaS service, so the reuse rights attached to a customer subscription are not documented publicly. What the vendor does commit to is stated on the pricing page: conversations are not used to train foundation models, and history can be exported or deleted on request. The AI layer combines the dealership's own data with third-party frontier models from OpenAI and Anthropic and with open-source models. The privacy notice describes collection of names, phone numbers, email addresses, credentials, payment details stored by Stripe, social login data, IP addresses, browser and device information, language, referrers and precise or imprecise location. It is used for account creation, support, administration, security and fraud prevention, analytics, marketing and targeted advertising, on the basis of consent, contract performance, legitimate interest, legal obligation or vital interests. Data may be shared with affiliates, business partners and processors under written contract. DealerAI declares that it has neither sold nor disclosed personal information for commercial purposes in the previous twelve months, and states that it does not respond to Do Not Track signals.

Data retention & training

Retention summary
DealerAI publishes no retention period in days or months. The privacy notice, in force since 23 April 2023, says personal data is kept only as long as needed for the purposes it describes, unless a longer period is required or permitted by law, for example for tax or accounting reasons, and states that no purpose requires keeping data beyond the life of the user's account. Once the need ends, data is deleted or anonymised; where that is impossible, for instance in backup archives, it is stored securely and isolated from further processing until deletion becomes possible. On a request to close an account, the account and its data are deactivated or removed from active databases, with limited retention allowed for fraud prevention, troubleshooting, investigations, enforcement and legal obligations. Separately, conversation history can be exported or deleted on request from the portal.

Hosting summary

DealerAI states on its pricing page that customer data is region-pinned: Canada by default for Canadian rooftops, the United States for American ones. That single sentence is the whole of the vendor's hosting commitment. No data centre, hosting provider or cloud region is named anywhere, and no sub-processor list is published. The only named third party is Stripe, which stores payment data on the publisher's behalf. Two technical observations complete the picture without contradicting it: the dealerai.com domain resolves to an anycast address operated by Amazon (AS16509, United States), and the site's media files are served from Azure blob storage. Both describe the public website's infrastructure and say nothing definitive about where dealership conversations, CRM extracts or call recordings actually live. The privacy notice in force since 23 April 2023 adds no hosting information. A buyer with a jurisdiction requirement should get the region-pinning commitment written into the contract.

Where DealerAI works

Country-level availability.

CAN🇺🇸 United States

Not available in

No country is explicitly excluded by the publisher. The restriction is one of positioning rather than a written ban: the FAQ describes the product as built for North American dealerships, the site's structured data declares Canada and the United States as the area served, data is region Pinned to those two countries, and the public phone numbers are North American.Outside Canada and the United States, DealerAI shows no commercial presence, no local compliance claim and no support commitment, so availability elsewhere would have to be negotiated directly with the publisher.
Watch-outs

Things to keep in mind

Risks and trade-offs to weigh before adopting DealerAI.

  • Budget opacity: with no published price on any tier, the real cost only appears after a sales conversation, and comparison with competitors is impossible beforehand.
  • Unbounded variable spend: voice is billed per conversation minute and SMS overage at 100 dollars per 5,000 messages, so a successful campaign directly increases the invoice.
  • Tier lock-in: the features a group actually needs (full API, Xtime, Tekion, TMS, eLeads, reputation management) sit only in the most expensive plan, which shapes any renewal negotiation.
  • A documentary gap: the privacy notice of 23 April 2023 is a generic template that mentions neither SOC 2, nor PIPEDA, nor the promise that conversations are not used for training. Those commitments live on marketing pages, which are easier to change than a contract.
  • No public service contract: the published terms are written for use of the website in the name of IdeaNotion, governed by Ontario law, and do not cover the SaaS service itself.
  • European data: no DPA, no sub-processor list and no EU representative. Any use touching EU or UK residents' data needs to be cleared contractually before go-live.
  • Automation drift: agents that answer, qualify and book around the clock can quietly erode the staff's own phone and follow-up skills, and the headline statistics (72%, 3.4x, 4.1x, 31%, 100% of calls answered) are vendor claims without published methodology, so success should be measured on the dealership's own numbers.
Setup

Setup & Integrations

Technical difficulty

Low effort for the dealership, but not a self-service product. There is no sign-up: everything goes through a demo and vendor-led onboarding, included in the price, covering CRM connection, inventory feed, knowledge base ingestion, brand voice calibration and a staging environment. The dealership's job is mainly to grant access to its CRM, inventory feed, DMS calendar, phone system (Twilio or SIP) and website. Installing the chat widget needs no code, and the workflow canvas is node-based with one-click deployment. Only the REST API and the JavaScript SDK require a developer, and full API access is limited to the All-in-One plan.

FAQ

Frequently asked questions

How is DealerAI priced?
Per rooftop and per month, with unlimited users and no per-seat fee. None of the three tiers shows a public amount: Basic, Reach and All-in-One all display Contact us. Volume pricing starts at three rooftops, and a consolidated agreement is typical for groups of ten or more.
Is there a setup fee or a long-term commitment?
The vendor states that there is no setup fee and that onboarding is included. The contract runs monthly and can be cancelled with 30 days' notice. Implementation services for larger groups are quoted separately as a one-off fee.
How long does deployment take?
The site gives two different answers. The pricing page announces five to seven business days for a single rooftop and two to four weeks for a group; the general FAQ announces three to four weeks. Worth clarifying during the demo.
What happens when the included SMS allowance runs out?
Overage is billed at 100 dollars per 5,000 additional messages in the month they are used, and voice minutes are metered. Consumption is visible in the portal, and the administrator is alerted before the threshold is reached.
Which CRM, DMS and marketing tools does it connect to?
ADF-standard CRMs including VinSolutions, DealerSocket, Elead, CDK and Reynolds, plus inventory feeds such as HomeNet, vAuto and OEM feeds. Xtime, Tekion, TMS and eLeads are reserved for All-in-One. Google Analytics and Meta Pixel are available on every plan, and Zapier MCP opens access to thousands of other applications. HubSpot and a native DealerSocket connector are announced as coming soon.
Who owns the data and how is it protected?
The dealership owns its data, according to the vendor. DealerAI claims SOC 2 Type II and PIPEDA compliance, region-pins data to Canada or the United States depending on the rooftop, states that conversations are not used to train foundation models, and allows history to be exported or deleted on request from the portal. Note that none of these commitments appears in the privacy notice, which dates from 23 April 2023.
What happens if the AI gets something wrong at two in the morning?
The conversation is escalated to a human queue when the agent detects ambiguity, customer frustration or a critical question, with full context written to the CRM. Hard guardrails can be configured per topic, typically finance, legal matters and complaints.
What does MAGS mean?
MAGS stands for Multi-Agent Generative System: instead of a single generalist model, several specialised agents cover sales, service, parts and finance and hand conversations to one another.
Can the agents be tested before signing anything?
Yes. Two public playgrounds cover the chatbot and Reach, and a public phone number lets anyone hold a live conversation with the voice agent. A public ROI calculator is also available before any pricing discussion.
Is there a minimum age to use the service?
The privacy notice states that the publisher does not knowingly collect data from anyone under 18.
Conclusion

Should you pick DealerAI?

DealerAI is a vertical product, and it does not pretend otherwise: everything is designed for North American car dealerships and auto groups, from the VIN-level inventory search to the appointment written into Xtime during a phone call. Its real strength is the completeness of that chain. Web chat, SMS, email and voice sit in one system, specialised agents cover sales, service, parts and finance, and the conversation ends as a booked appointment and a CRM record rather than as a transcript. The node-based workflow engine lets a group wire its own processes on top, and the escalation rules and topic guardrails suggest the vendor has thought about what happens when an agent is out of its depth. The reservations are commercial and documentary rather than functional. Nothing is priced publicly, so the real budget only emerges after a sales conversation, and the variable costs on voice minutes and SMS overage are not capped by anything visible. The strongest commitments the vendor makes — SOC 2 Type II, PIPEDA, region-pinned data, conversations kept out of foundation model training — live on the pricing and product pages, not in the privacy notice of 23 April 2023 or in terms of use that cover the website rather than the service. For a European buyer that gap matters: there is no GDPR mention, no Article 27 representative, no sub-processor list and no DPA. For a Canadian or American dealership drowning in unworked leads and missed calls, the sensible path is the one the site itself lays out: test the two public playgrounds, call the voice agent, run the ROI calculator, then take the demo and press hard on pricing, the real deployment timeline and the contractual commitments.
