Demodesk
Demodesk is a Munich-built AI sales agent platform that records video, phone and in-person conversations, then writes summaries, scores calls against your playbook and updates Salesforce, HubSpot or Pipedrive automatically. EU-hosted and ISO 27001 certified.
What is Demodesk?
Demodesk is an AI sales agent platform published by Demodesk GmbH in Munich, founded by Veronika Wax and Alexander Popp. It began life as a meeting and scheduling tool — both products are still listed — and pivoted in 2023 towards agents that carry out post-call work rather than merely reporting on it. The stated premise is blunt: representatives lose thirty to forty percent of their time to administrative work, so the software should execute, not observe.
The platform captures conversations wherever they happen: online meetings, phone calls, in-person and field visits. Capture runs through iOS and Android apps, desktop applications for Apple Silicon and Intel Macs and for Windows, and a Chrome extension that records Google Meet, Zoom or Teams in one click. Everything lands in a searchable call library transcribed in 98 languages with speaker identification.
Four named agents then act on that record. The AI Assistant produces summaries and follow-up emails. The AI Coach scores every call against custom scorecards. The AI CRM Concierge writes fields back into Salesforce, HubSpot or Pipedrive, with a claimed 99 percent accuracy and an approval step before anything is pushed. The AI Analyst answers free-form questions across the whole dataset, while AI Deal Insights surfaces risk and competitor mentions. Beyond these, AI Crew lets teams build unlimited custom agents, billed on usage.
The platform is deliberately open at the edges: an MCP server connects the record to Claude, ChatGPT or any MCP client, and the Enterprise plan adds REST and SQL APIs plus export to a data warehouse.
Compliance is the central argument rather than a footnote. Data sits on EU servers in Germany, the vendor states it never trains models on customer data, transcripts are anonymised before reaching an LLM, and the platform is certified to ISO 27001:2022 with two-step consent and configurable retention. The About page claims more than 300 companies and 20,000 users, naming Porsche, Bosch, Treatwell and Enpal, alongside results of 30 minutes saved per call and a 1:50 manager-to-rep coaching ratio.

When to use Demodesk / When not to
A quick filter to help you decide if Demodesk is the right fit.
When to use Demodesk
- European mid-market revenue teams that need GDPR-safe call recording without a quarter-long legal review
- Sales managers who want every call scored against a playbook instead of spot-checking a handful
- Revenue operations teams fighting empty or inaccurate CRM records
- Account executives and SDRs who lose selling time to post-call admin and follow-up emails
- Customer success and renewals managers tracking commitments across a long book of accounts
When not to use Demodesk
- Large US-centric enterprises whose main requirement is deep revenue forecasting, which the vendor concedes is lighter here
- Teams that only need cheap meeting notes and no coaching or CRM automation
- Organisations shopping for a permanently free tool, since the entry plan starts at EUR 25 per user per month
- Buyers who need a published price above 30 licences, where the quote-only Enterprise plan becomes mandatory
- Companies wanting forecasting and pipeline inspection as the primary product rather than conversation capture
How to use Demodesk
A typical end-to-end flow, from setup to results.
- Start a 14-day free trial from the website; no credit card is requested
- Or book a demo through the Demodesk booking page to talk to the sales team
- Install what fits your workflow: iOS or Android app, macOS or Windows desktop app, or the Chrome extension
- Connect your CRM — Salesforce, HubSpot or Pipedrive — so fields can be written back

- Connect your meeting tool: Zoom, Microsoft Teams or Google Meet
- Configure recording consent, group permissions and retention policies with your admin
- Record a first meeting; the transcript and summary sync back automatically
- Set up scorecards so the AI Coach grades calls against your own playbook
- Optionally connect the MCP server to query your conversations from Claude or ChatGPT
Pros & Cons
Pros
- Public per-seat pricing in euros, unusual in a category where the main rivals quote on request
- EU data residency in Germany with ISO 27001:2022 certification
- Explicit commitment never to train AI models on customer data
- Transcripts anonymised before reaching an LLM, which the vendor presents as rare on the market
- Captures phone and in-person conversations, not only video meetings
- Open by design: MCP server, APIs and export to a data warehouse, with no lock-in claimed
- Free viewer seats and 32 documented first-party integrations, including fifteen dialers
Cons
- Forecasting is lighter than the market leader, as the vendor itself concedes
- No permanent free plan; the cheapest paid entry is EUR 25 per user per month
- Above 30 licences the quote-only Enterprise plan becomes mandatory
- AI Crew is billed on usage with no published rate, making costs harder to forecast
- The sub-processor page is published but its list does not render without JavaScript
- The trust centre and the FAQ answers are equally invisible without JavaScript
- Hosting providers differ between documents: the platform privacy policy names Google Cloud and AWS, while other pages say Azure Frankfurt
Pricing & Plans
There is no permanently free plan. The lowest paid entry point is the Capture plan at EUR 25 per user per month, rising to EUR 49 per user per month for the Coaching & AI plan; both are capped at 30 licences, above which the quote-only Enterprise plan applies. Annual commitment reduces the bill by 17 percent. A 14-day free trial is offered without a credit card, free viewer seats are included on every plan, and AI Crew usage is billed separately at an unpublished rate.

Data, GDPR & hosting
A consolidated view of how Demodesk handles your data.
GDPR overview
GDPR implementation is documented in detail rather than merely claimed. A dedicated Article 13 information page, last updated September 2025, names Demodesk GmbH as controller and DataCo GmbH as external data protection officer, reachable at datenschutz@dataguard.de. It lists the full set of data subject rights: access, rectification, restriction, erasure, notification, portability, objection, withdrawal of consent, protection against automated decisions and complaint to a supervisory authority. Non-EU transfers are covered by Article 28 agreements and Article 46 standard contractual clauses. In the product, consent is two-step with a notetaker announcement in every call, recording permissions are group-based, retention is configurable and access is role-based, with audit logging certified to ISO 27001:2022. No Article 27 representative is designated, which is consistent with a controller established in the EU.
Who owns the data?
Demodesk GmbH, Isartorplatz 8 in Munich, is the controller for personal data processed through the platform, and it has appointed an external data protection officer, DataCo GmbH in Munich. The software itself stays the vendor's property under copyright, and customers acquire no rights over it; the conversation record, by contrast, is presented as remaining the customer's and portable to any LLM or data warehouse through the MCP server. Processing by third parties is covered by Article 28 data processing agreements, and transfers outside the EU rely on those agreements plus Article 46 standard contractual clauses. Recipients named include banks, tax authorities, courts, tax advisers and lawyers.
Reuse rights
The published purposes cover pre-contractual steps, performing the contract, running the platform, maintaining a contact database, customer administration and support, direct advertising by telephone, optimising customer-contact procedures, market and opinion research unless you object, defending legal claims, and developing the products. The notetaker bot processes meeting audio, the transcript, the summary and any personal data the conversation happens to contain, so that meetings are documented in a structured way. Demodesk states it never trains AI models on customer data, and says it strips names, company names and personal data from transcripts before anything reaches an LLM. Customers control retention policies, role-based access and audit logging, and can carry their record out over MCP or the API.

Hosting summary
Customer data is hosted in the European Union, and specifically in Germany. The platform privacy policy states that hosting runs on Google Cloud computing capacity, with Amazon Web Services providing computing power for video and audio transmission, and that the service providers' servers are located in Germany for EU citizens. Appropriate Article 28 data processing agreements are in place with those providers, and transfers outside the EU rely on Article 46 standard contractual clauses. Elsewhere the company advertises EU-only data in Azure Frankfurt, with no transatlantic transfers, so the named provider differs between documents even though every source agrees on Germany and the EU. The infrastructure is certified to ISO 27001:2022, with role-based access and full audit logging. Note that the site's IP address resolves to an anycast Cloudflare CDN node, which reflects content delivery rather than where customer data is stored.
Things to keep in mind
Risks and trade-offs to weigh before adopting Demodesk.
- Recording customer conversations shifts a real legal duty onto you: the tooling offers two-step consent and a notetaker announcement, but configuring it correctly stays with your administrators
- Direct advertising by telephone, and market and opinion research, appear among the published processing purposes; the latter can be objected to, but you have to know it is there
- Continuous call scoring changes the relationship between managers and reps, and can be experienced as surveillance if it is introduced without explaining what is measured
- Leaning on automatic summaries erodes the habit of listening and note-taking; when the summary is wrong, nobody has an independent memory of the call
- AI Crew is billed on usage without a published rate, so costs can drift quietly as teams add custom agents
- No fixed retention period is published for recordings and transcripts, which leaves a sensitive archive of customer conversations governed only by settings you must maintain
- No minimum age is stated anywhere in the terms or policies
Setup & Integrations
Technical difficulty
Low. Sign-up is self-service and the 14-day trial needs no credit card. CRM, calendar and video connectors are native, so no development work is required, and recording starts with one click from the Chrome extension. You install whichever clients you need: desktop apps require macOS 14.2 or Windows 10 or later. The real effort is organisational rather than technical — agreeing consent settings, recording permissions and retention with your administrators. The company claims works council and DPO rollout takes days rather than quarters. Custom onboarding and a dedicated account manager are reserved for Enterprise.

Should you pick Demodesk?
Demodesk makes an unusually specific bet: that European revenue teams care less about another analytics dashboard than about the administrative work that piles up after a call. The four agents attack exactly that — summaries, follow-up emails, CRM fields, coaching — and the CRM write-back with an approval step is a sensible answer to the accuracy problem that sinks most automation of this kind.
Its strongest differentiator is regulatory rather than functional. Data stays on servers in Germany, the company commits to never training models on customer data, transcripts are anonymised before reaching an LLM, and ISO 27001:2022 certification backs the compliance story. Combined with two-step consent and group-based recording permissions, this is aimed squarely at works councils and data protection officers, and it is the reason a German vendor can credibly displace larger American rivals in the EU mid-market. Publishing per-seat prices in euros, in a category where competitors quote on request, reinforces the same positioning.
The limits are stated honestly enough. Forecasting is lighter than the market leader, there is no free plan, and anything above 30 licences moves to an unpublished Enterprise quote. AI Crew's usage-based billing adds a variable that is hard to size in advance. More awkwardly for a vendor selling transparency, several compliance artefacts — the sub-processor list, the trust centre, the FAQ answers — do not render without JavaScript, and the hosting providers named in the platform privacy policy do not match those advertised elsewhere on the site.
For a European sales team that records customer conversations and wants the follow-up work to happen by itself, Demodesk is a serious candidate. Ask for the sub-processor list and the exact retention periods in writing before signing.
