Finokapi
Finokapi is an AI-native FP&A platform that turns accounting data from DATEV and other DACH systems into automated P&L, balance sheet and cash flow reports, rolling forecasts, liquidity planning and plain-language management commentary.
What is Finokapi?
Finokapi is a browser-based financial planning and analysis platform built for small and mid-sized companies in the German-speaking market, and for the tax advisors and consultancies that serve them. It plugs into the accounting system rather than into a spreadsheet: DATEV connects through an API in a single click and then syncs on its own, while Lexware Office, sevDesk, Agenda, Addison, BMD, Sage, Simba, RZL, Scopevisio, Collmex, HMD, Exact, Abacus, bexio and Odoo are brought in through a guided CSV import of the trial balance, with a plausibility check on the balances.
From that single set of numbers, the platform generates the profit and loss account, balance sheet, cash flow statement and KPIs automatically, refreshing them with every new posting. Any figure can be opened down to general ledger account and cost centre level, the P&L structure can be reshaped to match the business, periods can be compared or accumulated, and everything exports to Excel or PDF.
The AI layer is deliberately narrow. Insights explain variances and name what drove them, while an AI management report summarises the figures in plain language across six areas of analysis, from profitability to capital structure, flagging unusual accounts and separating year-end effects from genuine operating movements. The vendor argues for explainable output rather than a black box, and is clear that the software does not plan on your behalf: the judgement stays with the people reading the numbers.
Planning is rolling rather than an annual budget that is stale by February. Scenarios, plan-versus-actual comparisons, headcount and salary planning, investments, loans with interest and repayment schedules, and versioned budgets all run on the same data. The plan then converts automatically into a rolling cash flow and liquidity outlook covering twelve to sixty months and beyond, with payment timing and VAT modelled line by line.
Groups and advisory firms get several entities in one account, consolidation, granular roles and unlimited users at no extra cost, plus sector benchmarks that put each KPI in context. Security is a stated selling point: hosting in ISO 27001-certified data centres inside the EU, AES 256-bit encryption, an Article 28 processing agreement and German law. Setup runs in the browser, with nothing to install.

When to use Finokapi / When not to
A quick filter to help you decide if Finokapi is the right fit.
When to use Finokapi
- Owner-managed SMEs in Germany, Austria and Switzerland still running their controlling on spreadsheets
- Groups and holdings with several entities to consolidate, from two companies on the entry plan up to ten
- Tax advisors, auditors and consultancies serving many clients from one multi-client workspace
- Founders and managing directors with no dedicated finance team who need their numbers explained in plain language
- Finance leads responsible for liquidity, who need a rolling cash flow view twelve to sixty months out
- DATEV users who want their bookkeeping data to flow into reporting without exports
- Teams that share figures widely, since every plan includes unlimited users
When not to use Finokapi
- Private individuals and consumers: the terms restrict the offer to businesses and public-law entities
- Companies looking to replace their bookkeeping software or their accountant, which Finokapi explicitly does not do
- Organisations outside the DACH accounting ecosystem, where only a generic CSV import remains available
- Very small structures or pre-revenue projects for which 99 EUR per month is out of proportion, as there is no free plan
- Teams that need a mobile app, a browser extension or a documented public API
- Buyers who need invoicing, payroll processing or bookkeeping entry inside the same tool
- Users who require an interface or support in a language other than German or English
How to use Finokapi
A typical end-to-end flow, from setup to results.
- Start the 14-day free trial from the website, giving an email address, a name and a company size; no card is requested
- Pick your data source: DATEV through the API, or a CSV import for the other supported systems
- For DATEV, authorise the connection once; from then on accounting data syncs automatically
- For a CSV import, select your system, follow the export guide for the trial balance, upload the file and let Finokapi run its plausibility check
- If your tax advisor keeps the books, ask them to open the necessary data access with you
- Review the P&L, balance sheet, cash flow and KPIs generated on the first sync
- Adapt the P&L structure, define your own KPIs and targets, and lay out the dashboards your team needs
- Investigate a variance by opening the line down to general ledger account and cost centre level, and read the AI management report for the headline movements
- Build the plan: headcount and salaries, investments, loans and budgets, then run scenarios and follow plan versus actuals
- Invite users, assign roles, add the other entities of the group and consolidate, then export to Excel or PDF
Pros & Cons
Pros
- One set of numbers behind reporting, analysis, planning and liquidity, refreshed with every posting
- Fast start: DATEV connects in one click, with no implementation project and no external consultants
- Unlimited users on every plan, including the entry tier, so the whole team can work from the same figures
- AI kept explainable and useful: variance explanations and a management report a non-financial reader can follow
- Strong European compliance posture: EU hosting, ISO 27001-certified data centres, AES 256-bit encryption, Article 28 agreement and German law
- Clear data ownership in the terms, with a CSV or JSON export available within thirty days of the contract ending
- Multi-entity consolidation and multi-client capability built in, which suits groups and advisory firms
Cons
- No permanent free plan; the entry point is 99 EUR per month
- Strongly tied to the DACH accounting ecosystem, with DATEV as the only live API connection
- Several advertised capabilities are still marked as coming soon, including budgets and best-case, worst-case and custom scenarios
- Cost centres and consolidation are billed as add-ons on the Starter and Pro plans
- The contractual terms are published in German only, including on the English pages
- No documented public API and no mobile app: the tool lives in the browser
- Anonymised and aggregated customer data may be used to improve the AI models and feed benchmarks, with no documented opt-out
Pricing & Plans
Finokapi does not offer a permanent free plan; access is subscription-based, preceded by a 14-day free trial that requires no credit card and does not renew automatically. The lowest paid entry point is the Starter plan at 99 EUR per month on monthly billing, or 79 EUR per month with annual billing, which applies a 20% discount across the range. The vendor states that there is no setup fee and no hidden cost, add-on features being charged separately and listed transparently.

Data, GDPR & hosting
A consolidated view of how Finokapi handles your data.
GDPR overview
GDPR compliance is claimed explicitly and repeatedly, and backed by concrete mentions. The privacy statement names Finokapi GmbH as controller, with a postal address and info@finokapi.com as the contact. Legal bases are cited case by case: Article 6(1)(f) for server logs, 6(1)(a) for consent-based cookies, 6(1)(b) for enquiries. Processors are engaged under Article 28 contracts, with categories listed (hosting, email, analytics, CRM, advertising); transfers outside the EEA, notably to the United States, rely on Standard Contractual Clauses under Article 46(2)(c). Data subject rights under Articles 15 to 18, 20, 21 and 7(3) are set out, along with the right to complain under Article 77. The terms add a separate Article 28 processing agreement. No data protection officer and no Article 27 representative are named, and the policy carries no effective date.
Who owns the data?
Under the terms of service, the customer remains the holder of all rights to the data uploaded or transmitted through integrations. Finokapi receives only a simple, non-exclusive licence, limited to the contract term, to process that data in order to deliver the service, debug, secure it and run its own backups. Where personal data is involved, Finokapi acts as a processor under Article 28 GDPR and a separate data processing agreement forms part of the contract and prevails over the terms. Subcontractors, including AI and cloud providers, may access customer data to deliver the service but may not use it for their own purposes, in particular to train their own models, without the customer's express consent.
Reuse rights
Customers may reuse their own data and outputs freely, without asking permission: reports export to Excel or PDF at any time, and on termination the essential data is made available as a CSV or JSON export within thirty days of the contract ending, on written request or through a function in the software, provided all fees have been paid. The licence granted to Finokapi runs the other way and is narrow: service delivery, troubleshooting, security and backups, for the duration of the contract only. One reuse by the vendor deserves attention: anonymised and aggregated customer data may feed sector benchmarks shown to other customers and the ongoing improvement of the software, including its AI models. Customers may object at any time, in text form, to their name being used as a commercial reference.

Hosting summary
Finokapi states that it operates the software in data centres located within the European Union, certified to ISO 27001 or an equivalent standard, with customer data stored in encrypted databases. The marketing pages repeat the same commitment, adding AES 256-bit encryption in transit and at rest and granular access controls. No specific country and no hosting provider are named, so the guarantee is regional rather than national. The privacy statement notes that some service providers are established outside the EU or EEA, particularly in the United States, with EU Standard Contractual Clauses under Article 46(2)(c) GDPR as the safeguard. Technical and organisational measures are described as state of the art for comparable SaaS environments, with regular backups. Jurisdiction is German: the terms apply the law of the Federal Republic of Germany and place exclusive venue at the vendor's registered seat in Düsseldorf.

Things to keep in mind
Risks and trade-offs to weigh before adopting Finokapi.
- The terms let Finokapi use anonymised and aggregated customer data to improve its software and AI models and to feed benchmarks shown to other customers, with no documented way to opt out
- Subcontractors, including AI and cloud providers, may access customer data to deliver the service, and no named subprocessor list is published, only categories
- Years of sensitive financial history end up with a young vendor: the company declares a 2025 founding year and a team of around ten people, so continuity deserves consideration
- Everything depends on one upstream source: an error or a lag in the bookkeeping propagates silently into every report and forecast
- An AI management report reads convincingly, which makes it tempting to accept as a conclusion rather than a lead; the vendor itself insists that responsibility stays with the human reader
- Contractual availability is 99.0% on annual average, which tolerates several days of downtime per year, and price increases can be applied to future periods with 30 days' notice and tacit acceptance after 14 days
- There is no obligation to keep your data beyond the contract term: the export has to be requested within thirty days of the end
Setup & Integrations
Technical difficulty
Low. Finokapi runs in the browser, with nothing to install. DATEV users authorise the connection once and the accounting data then syncs automatically; other systems go through a one-off CSV import of the trial balance, guided step by step and checked for plausibility. Where the tax advisor keeps the books, they need to open the data access. The vendor promises minutes rather than weeks, with no IT project, no manual mapping and no external consultant, and states that neither technical nor financial expertise is required to read the reports.

Should you pick Finokapi?
Finokapi is a deliberately narrow product, and that is its strength. Rather than a generic analytics layer, it is a controlling and FP&A platform wired into the German-speaking accounting world, with DATEV as its live connection and a dozen more systems reachable through guided CSV imports. Everything downstream, reporting, KPIs, rolling plans and the liquidity outlook, runs off that one set of numbers, which is exactly the discipline spreadsheet-based controlling loses first.
The AI is used with restraint. It explains variances and writes a management report in language a non-financial reader can follow, and the vendor is upfront that the software does not decide or plan on your behalf. For an owner-managed SME without a finance department, that combination is more valuable than another dashboard.
The compliance posture will reassure European buyers: EU hosting in ISO 27001-certified data centres, AES 256-bit encryption, an Article 28 processing agreement, German law, clear data ownership and an export on the way out. The trade-offs are equally visible. There is no free plan below 99 EUR per month, cost centres and consolidation are add-ons on the lower tiers, several advertised features are still marked as coming soon, the binding terms exist only in German, and contractual availability is set at 99.0% on annual average. The terms also allow anonymised and aggregated customer data to improve the AI models and feed benchmarks, with no documented opt-out, which is worth a look before uploading years of financial history.
The vendor is young and small, so buyers should weigh continuity as well as features. For a DACH company or an advisory firm drowning in spreadsheets, however, the 14-day trial costs nothing but the time to connect the data.
