Overview

What is ClickUp?

ClickUp is a work management platform published by Mango Technologies, Inc., a San Diego company whose own timeline on the site runs from 2017 to the present. It is marketed as the everything app for work, and the ambition is meant literally: replace a stack of separate subscriptions with one workspace where tasks, documents and conversations sit side by side. The foundation covers projects and tasks, docs and wikis, chat, calendar, whiteboards, sprints, native time tracking, dashboards, goals, forms and no-code automations, each viewable through List, Board, Gantt, Timeline, Workload, Table, Mind Map or Calendar layouts.

The other half of the product is the AI layer, branded Brain 2. Rather than bolting a chatbot onto the side, ClickUp wires the assistant into data the workspace already holds: tasks, docs, chat, calendar, email and connected applications. A single subscription opens several frontier models — Claude, GPT and Gemini among them — with one-click switching, plus a persistent memory that learns a user's role, workflows and tone; existing ChatGPT or Claude memories can be imported. Above that sit Super Agents, autonomous agents running 24/7 with what the vendor calls 500+ tool superpowers, alongside Ambient Agents, an AI Notetaker, Enterprise Search and Talk to Text. ClickUp names agents for specific jobs: intake, assignment, bug triage, PRD drafting, code generation, onboarding and status reporting.

The platform runs in the browser, on macOS and Windows, on iOS and Android, as a Chrome extension and as an Outlook add-in, with a separate Brain MAX app for the AI. Developers get a public REST API with OAuth, webhooks, an OpenAPI specification and an MCP server for connecting external AI assistants.

The company reports more than five million teams, 85% of the Fortune 500 among its customers and a 4.7/5 rating from over 10,000 G2 reviewers, and cites a 2025 Forrester study crediting the tool with 384% ROI over three years. Security rests on AWS infrastructure with SOC 2 Type II and ISO 27001 certification, HIPAA and GDPR compliance, and a contractual commitment that no third-party model provider trains on or retains customer data.

What it does

  • Plan and run tasks, projects, sprints and portfolios in a single workspace
  • Delegate work to autonomous AI Super Agents that operate around the clock with persistent memory
  • Ask questions of your own workspace in plain language through Brain 2, Deep Search and Enterprise Search
  • Draft, summarise and rewrite docs, wikis, meeting notes and messages with AI
  • Capture and summarise meetings with the AI Notetaker, and dictate with Talk to Text
  • Automate repetitive workflows without code, up to 250,000 automations a month on Enterprise
  • Track time, workload and goals through dashboards, and connect Slack, GitHub, Salesforce, Google Drive or any MCP server

When to use ClickUp / When not to

A quick filter to help you decide if ClickUp is the right fit.

When to use ClickUp

  • Project managers and PMO teams running complex, multi-team portfolios who need dependencies, risks and timelines in one place
  • Product and engineering teams working in sprints, from roadmap and PRDs through bug triage to release
  • Marketing teams coordinating campaigns, briefs, creative production and events in a shared workspace
  • Operations, IT and HR teams standardising internal processes such as onboarding, vendor management, procurement and asset tracking
  • Growing companies looking to consolidate several separate SaaS subscriptions into a single tool, with enterprise controls available on the top tier

When not to use ClickUp

  • Solo users and very small teams, since upgrading applies to the entire Workspace and every member is billed, never a single seat
  • Anyone needing a system of record for backups: the terms state plainly that ClickUp is not a backup service and you should keep your own copies
  • Teams that require contractual confidentiality over their content, which the terms explicitly describe as non-confidential between the parties
  • Organisations needing EU or APAC data residency or HIPAA coverage on a budget, as both are reserved for the Enterprise plan and its undisclosed pricing
  • Users under 16, who are outside the stated minimum age, and teams needing a non-English interface, which ClickUp does not advertise

Pros & Cons

Pros

  • A genuinely usable free plan with unlimited tasks, unlimited members, collaborative docs and 24/7 support
  • Real consolidation: project management, docs, chat, whiteboards and time tracking replace several separate subscriptions
  • Several leading AI models under one subscription, with no separate ChatGPT, Claude or Gemini accounts to maintain
  • AI grounded in your own workspace data and bound by the permissions already in place
  • Strong security posture: SOC 2 Type II, ISO 27001, HIPAA and GDPR compliance claimed
  • Contractual zero training and zero retention with third-party model providers, and a named public subprocessor list
  • Low entry price at 7 USD per user per month billed annually, with a 30-day money-back guarantee

Cons

  • Upgrades apply to the whole Workspace: you cannot move a single user to a paid plan
  • Billing is per Workspace, so teams running several workspaces pay several times
  • The free plan caps storage at 60 MB, with five Spaces, one form and 30 days of chat history
  • AI is a paid add-on on top of the plan, at 9 USD per user per month for Brain AI or 28 USD for Everything AI
  • AI Super Credits make heavy usage costs variable and hard to forecast
  • Data residency and HIPAA coverage are Enterprise-only, and Enterprise pricing is not published
  • No interface languages are advertised — the site is English only — and the sheer breadth of the product makes configuration and team adoption a real project

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how ClickUp handles your data.

GDPR overview

GDPR compliance is claimed explicitly: a GDPR COMPLIANT badge sits in the site footer next to SOC 2, ISO 27001 and HIPAA. The privacy policy, effective 2 June 2026, lists eight data subject rights — access, rectification, erasure, restriction, portability, objection, withdrawal of consent and the right to lodge a complaint — exercised through support@clickup.com or by post to San Diego. EEA users are pointed to their local authority, UK users to the ICO. A Data Processing Addendum is published, along with a named subprocessor list, and transfers outside the EEA rely on the 2021 Standard Contractual Clauses with disputes heard by the Irish courts. New subprocessors are notified at least 30 days in advance. Two gaps: no Article 27 EU representative is named anywhere on the site, and no DPO is identified — the contact is a Privacy Agent.

Who owns the data?

You keep your content. ClickUp claims no ownership over the Customer Content you submit or create in your account, and any intellectual property in it remains yours; the terms grant the vendor only the limited rights it needs to run the service. Two carve-outs matter. ClickUp may access your content to improve the service and gauge satisfaction, and it may combine your reporting data with other companies' data for benchmarking and public reports, but only once anonymised so it no longer identifies you. Support staff may open your account to diagnose problems unless you object explicitly. The interface, code and visuals remain ClickUp's property, and no personal data is sold.

Reuse rights

Because you retain ownership of your own content, you can reuse, export and republish it freely without asking ClickUp for permission. The restrictions run the other way, covering the platform rather than your data. ClickUp grants a non-exclusive, non-transferable and revocable right of access limited to the intended use of the service: you may not redistribute or publicly display ClickUp's own content, create derivative works from the service, or run scraping, data mining or robots against it. Automated crawling and caching are prohibited outright, and the public API must be reached through authorised clients only. The desktop and mobile applications are licensed, not sold, and the ClickUp and Mango Technologies names and logos may not be reused without written permission.

Data retention & training

Retention summary
ClickUp publishes no fixed retention period. The privacy policy commits only to keeping personal data as long as reasonably required to provide the service, unless a longer period is required or permitted by law. You can ask for your data to be updated, corrected or deleted at any point, up to and including deleting your team, and the company undertakes to act on active databases and readily searchable media promptly — while noting that backups make total erasure technically impossible. End users inside a Workspace they do not own must direct requests to the organisation that owns it. On the AI side the rule is stricter and explicit: third-party model providers are contractually barred from storing any customer data at all.

Hosting summary

ClickUp runs entirely on Amazon Web Services, and its published subprocessor list places that infrastructure in the United States, Ireland, Germany, Australia and Singapore. US, EU and APAC data residency is offered, but only on the Enterprise plan. The Data Processing Addendum allows storage and processing anywhere ClickUp or its subprocessors maintain facilities, subject to transfer rules: movements out of the EEA rely on the 2021 Standard Contractual Clauses, with disputes heard by the Irish courts. The terms likewise state that content may be transferred to and processed in the United States or any other country where the company operates. Subprocessors are named individually with purpose and location, including AI vendors such as Anthropic, OpenAI, Microsoft Azure AI Foundry and Google Gemini in the United States, and two generative video providers in China. Note that the domain resolves to an Amazon CDN node in Switzerland, which is routing rather than storage.

Watch-outs

Things to keep in mind

Risks and trade-offs to weigh before adopting ClickUp.

  • Concentrating tasks, documents, conversations and calendars in one platform creates lock-in and a single point of failure for the whole team's operating memory
  • The terms state that ClickUp is not a backup service and that you should keep your own copies of your content
  • Your content is treated as non-confidential between you and ClickUp, and the vendor may use anonymised reporting data for benchmarking and public reports
  • The terms reserve the right to display advertising in conjunction with your content, and support staff may access your account unless you object
  • Delegating work to autonomous agents that run 24/7 invites over-trust: output still needs human verification, and the habit of checking erodes quickly
  • Persistent memory that learns your role, tone and preferences accumulates a detailed behavioural profile over time
  • Time tracking, workload views and dashboards are productivity instruments that can equally become tools of managerial surveillance
Setup

Setup & Integrations

Technical difficulty

Getting started is easy: self-service signup, no credit card, and ready-made desktop, mobile and browser apps requiring no technical skill. A built-in importer pulls projects across from Asana, Trello, Jira, Monday and others. The difficulty lies in configuration rather than installation — designing the Spaces, Folders and Lists hierarchy, custom fields, views, permissions and automations that make a hundred-feature product coherent for a specific team. ClickUp University, webinars and 24/7 support help, and Enterprise buyers get live onboarding and a customer success manager. API work, webhooks, the MCP server, SAML SSO and SCIM all need IT involvement.

FAQ

Frequently asked questions

Is there a free version of ClickUp?
Yes. The Free Forever plan costs nothing, requires no credit card and includes unlimited tasks, unlimited members, collaborative docs, Kanban boards and 24/7 support. Storage is capped at 60 MB and you get five Spaces and one form.
How much does the cheapest paid plan cost?
Unlimited starts at 7 USD per user per month billed annually, or 10 USD per user per month billed monthly. Business is 12 USD per user per month annually, and Enterprise pricing is only available by contacting sales.
Is the AI included in the price?
No. Brain 2 is a separate add-on at 9 USD per user per month, and the fuller Everything AI package is 28 USD per user per month. Free plan users can try Brain 2 before committing, and advanced features draw on AI Super Credits sold at 10 USD per 10,000.
Which AI models does ClickUp Brain 2 use?
Claude, ChatGPT and Gemini among others, switchable in one click. Every model runs with full access to your workspace context, so one subscription replaces separate accounts with each provider.
Does ClickUp train AI models on my data?
No. ClickUp states that customer data is never used to train third-party AI models and that it enforces zero-retention agreements with all of its AI subprocessors. Brain 2 only surfaces information you already have permission to see.
Where is my data hosted?
On Amazon Web Services, which ClickUp uses for all of its infrastructure. The published subprocessor list names data centre locations in the United States, Ireland, Germany, Australia and Singapore. US, EU and APAC data residency is offered on the Enterprise plan.
What security certifications does ClickUp hold?
SOC 2 Type II and ISO 27001 certification, together with claimed GDPR and HIPAA compliance. A Data Processing Addendum and a named subprocessor list are both published, and new subprocessors are announced 30 days in advance.
Can I upgrade just one person on my team?
No. Upgrading applies to the entire Workspace, meaning every member is billed. Payment is also per Workspace, so if you run several workspaces each one needs its own subscription.
Is there an API?
Yes. ClickUp publishes a REST API with OAuth authentication, webhooks and an OpenAPI specification, plus an MCP server so external AI assistants can work with ClickUp directly.
Are there discounts or a refund policy?
Discounts exist for nonprofits, for students and educators, and as startup credits on application. Annual billing saves up to 30% on plans and up to 20% on AI. A 100% money-back guarantee applies within 30 days of purchase.
Conclusion

Should you pick ClickUp?

ClickUp makes an unusually direct promise: replace the pile of tools a team accumulates with a single workspace, then run an AI layer across everything it now knows. The breadth is real. Tasks, docs, chat, whiteboards, time tracking, goals and automations genuinely cover ground that would otherwise take three or four subscriptions, and the Brain 2 layer bundling Claude, GPT and Gemini under one price is a meaningful saving for teams already paying for those separately.

The governance story is stronger than most tools of this size offer. SOC 2 Type II and ISO 27001 certification, published GDPR commitments, a public Data Processing Addendum, a subprocessor list naming every vendor and its location, and a contractual guarantee that no model provider trains on or retains customer data — that combination is genuinely above average, even if no Article 27 EU representative is named.

The reservations are commercial rather than technical. Upgrading is all-or-nothing across a Workspace, so the advertised 7 USD entry point is really 7 USD multiplied by everyone. AI is charged on top at 9 or 28 USD per user, with a credit system that makes heavy usage hard to budget. Data residency and HIPAA sit behind Enterprise pricing that is not published. And a product spanning a hundred features asks for real configuration work before it repays the effort.

It suits teams and mid-sized companies that want consolidation and are prepared to invest in setting the system up properly. Small teams wanting one seat, or anyone needing a non-English interface, should look carefully first.
