CarDim is an Italian cloud suite of six integrated modules for state and private schools, covering teacher cover assignment, timetabling, class council calendars, AI-generated assessments, the school library and EU-funded PON/PNRR projects.
What is CarDim?
CarDim is an ecosystem of six integrated cloud applications published by CarDim s.r.l., a software house based in Palermo that works exclusively with Italian state and private schools. The vendor groups them into four areas: staff, teaching, planning and general services. EduSubSmart, the centrepiece, automates teacher cover. Given the weekly timetable and the day's absences, it proposes the best substitute for every uncovered class. Candidates are ranked by decreasing priority using weights each school can tune: co-presence scores highest at 100 because it changes nothing in the plan, then a teacher owing time back under an article 16 short-leave, then a free "P" slot at 90, then bringing a later lesson forward at 80, with a bonus of 30 where the cover fills a gap in the teacher's own day. Exclusions are automatic: already absent, on leave that period, already assigned elsewhere, or at the daily ceiling of three. Daily and weekly fairness penalties spread the load. Four roles exist: Supervisor, Admin for the head or business manager, Operator with read-only access, and Teacher, who sees their own timetable and confirms assignments. OrarioSmart builds the timetable in the browser under soft constraints, such as even spread, no PE first period, demanding subjects in the morning, fewest possible gaps and no more than two hours of one subject a day, then writes it straight into the table the cover engine reads. ConsigliSmart uses an anti-collision engine to group classes and place class councils, exporting to PDF or CSV. VerificheSmart generates assessments and structured learning units through Google Gemini, with immediate PDF output. BibliotecaSmart covers the library catalogue, loans and reservations. FlussiPONSmart handles the whole life of an EU-funded project: MIM project code, CUP, training modules, learner records including minors, digitally signed attendance, staff hours with rates, QR-coded certificates and GPU reporting exports. Import runs from the Argo, Axios and Spaggiari registers by CSV. Hosting is on certified EU data centres with per-school isolation, TLS and AES-256 encryption, daily backups and an immutable audit log.

How to use CarDim
A typical end-to-end flow, from setup to results.
- Send the request form on the site with your name, institutional email, school name, role and the modules you are interested in
- Wait for the call-back, announced within 24 working hours, during which the school is activated and the initial setup agreed
- Take the included onboarding and office-staff training session, which carries no activation or setup charge
- Log in on edusubsmart.it with the credentials issued by the CarDim Supervisor, keeping in mind that sessions expire after 30 minutes idle
- Enter the roster under Configurazione, teachers first with surname, name, email and type (mainstream or support), then classes
- Alternatively let the Argo or Axios CSV import create the missing teachers and classes for you in one pass
- Load the timetable, either by importing the exported "Orario Docenti ore.csv" file or by building it in OrarioSmart and publishing it
- Run the daily routine: record absences, open the calculation, pick substitutes from the proposed candidates, print the cover sheet, close the day
- Log short article 16 leaves so the engine prioritises teachers carrying time debt, which clears automatically on the next assignment
- Ask the Supervisor to switch on the advanced modules such as FlussiPON, which are enabled school by school from the control panel

- The publisher cannot be identified in the business register: the site itself prints "P.IVA: in fase di registrazione" on all nine pages, gives no company tax or REA number, and the name CarDim s.r.l. is absent from the official Registro Imprese index
- The commercial content is stale: the free-until-June-2026 offer and the "school year 2025/26 active" banner are still displayed although the price list says rates apply from 2026/2027
- No customer reference, no testimonial and no adoption figure is published anywhere
- No public API and no developer subdomain, which limits interoperability to CSV import and export
- The plan names used in the manuals (Demo, Base, Pro, Enterprise) do not match the module-by-module price list, and nothing published reconciles the two
- A teacher app with push notifications is described in the manual, yet no application exists on either the App Store or Google Play
- No terms and conditions and no legal notice page are published, and both the interface and the documentation are Italian only
Pricing & Plans
There is no permanent free plan. Free access was granted for the whole 2025/2026 school year, expressly limited to the end of that year's teaching activities, and the published rates apply from 2026/2027 onwards. Pricing is an annual fee per institution, quoted excluding VAT, with no charge per teacher or per class. The lowest paid entry point is EUR 59 per year for the Verifiche Smart module, sold on its own. Activation, onboarding, initial configuration, staff training, updates and unlimited support are included at every level, and no setup fee is charged.

GDPR overview
Implementation is documented well above what a company this size usually publishes. A privacy notice under article 13 (v1.1, 4 April 2026) and a dedicated GDPR compliance page (v1.0, same date) cover the article 5 principles, an article 30 processing register with eight logged activities, and a subprocessor table. The article 28 agreement signed with every school is described in ten points, including breach notification within 72 hours; a five-step breach procedure references ENISA risk criteria. Data subject rights under articles 15 to 22 are answered within 30 days, extendable by 60, and the route to complain to the Italian Garante is spelled out. CarDim states it is not required to appoint a DPO under article 37 and handles privacy matters directly at privacy@cardim.it.
Who owns the data?
The publisher states plainly that the records held in the archives belong to the school, which may dispose of them freely. In legal terms the school stays the data controller for its teaching and administrative staff, while CarDim acts as a processor under article 28 GDPR, bound by a written data processing agreement signed with each institution. Each school's data is logically isolated in the database so that no institution can reach another's records. Portability is addressed directly: exports are offered in open CSV and JSON formats, and the agreement provides for deletion or return of the data when the service ends. For the website contact form alone, CarDim is itself the controller.
Reuse rights
The school retains free disposal of its own records and can re-export them at any time in CSV or JSON without asking permission, which is what makes migration to another management system possible. On the publisher's side the declared purposes are narrow and each carries a legal basis: answering contact requests, running the contract, IT security logging, consent-based GA4 site statistics and statutory tax obligations. Personal data is explicitly not sold or passed to third parties for commercial or advertising purposes, and no special-category or judicial data is processed. Third parties are limited to EU cloud providers, plus Google LLC for Analytics and for the Gemini API behind the assessment module. Nothing anywhere on the site says whether school data may be used to train AI models, in either direction.
Data retention & training
Hosting summary
The publisher states that the entire infrastructure sits on certified data centres inside the European Union, aligned with AgID standards. Each school's records are logically isolated in the database, automatic daily backups are kept on separate EU infrastructure, traffic runs over TLS 1.2/1.3, data at rest is encrypted with AES-256 and passwords are hashed with bcrypt. Data collected through the website contact form is processed on EU servers only, with no transfer outside the Union. The one declared extra-EU flow is Google LLC in the United States, twice: Google Analytics 4 subject to consent, and the Gemini API behind the assessment module, both covered by the EU-US Data Privacy Framework and standard contractual clauses. Two limits are worth noting. No specific hosting country is ever named, only the EU region. And the cloud provider itself is never identified: the subprocessor table lists it purely by function, as "hosting cloud provider, European Union", while Google is named outright.

- The publisher is not identifiable in the Italian business register: the site declares its VAT number still pending on every page and gives no company number, so verify the registration extract before signing
- The daily roster is a legal and industrial-relations act, not just a screen: staff can and will contest an assignment, so the fairness weights and the audit log need to be checked by a human rather than trusted blindly
- Assessments drafted by Gemini remain the teacher's professional responsibility; publishing generated questions without reading them risks factual errors and drifting away from the syllabus actually taught
- Both the CSV import and every OrarioSmart publication overwrite the existing timetable completely, an operation the vendor itself flags as reversible only by re-importing
- The PON module stores learner records including minors, tax codes and parental authorisations, which raises the stakes of any access-rights mistake well above the rest of the suite
- Displayed commercial terms are out of date, with a free offer that ended in June 2026 still advertised, and the plan names in the manuals do not match the published price list
- Nothing on the site states whether school data may or may not be used to train AI models, so this should be pinned down in writing in the processing agreement

Low on the technical side, moderate on the data side. Nothing is installed: the suite runs in a browser, and the vendor activates the school and issues credentials after a request form. Onboarding, configuration and an office-staff training session are included. The real effort is loading the roster and then the timetable, either by importing the Argo or Axios CSV, which creates missing teachers and classes automatically, or by building it in OrarioSmart. Two traps are flagged by the vendor itself: classes are matched by exact name, and every import or publication overwrites the whole existing timetable.

CarDim is a dense, carefully documented answer to a very specific Italian administrative problem: rebuilding the teacher cover roster every morning, and everything that orbits it. The AI here is utilitarian rather than decorative — it ranks substitutes against tunable weights, lays out a timetable under soft constraints, places class councils without collisions and drafts assessments through Gemini. The functional reach for a single annual fee is genuinely unusual, the three public manuals are more detailed than most vendors of this size ever publish, and the privacy documentation, with an article 30 register, a ten-point processing agreement and a named subprocessor table, is well above the market average. The reservations are not about the product but about the publisher. The site prints P.IVA: in fase di registrazione on every one of its nine pages, gives no company tax number and no chamber of commerce number, and the name CarDim s.r.l. does not appear in the official Italian business register index. The only identifier published is the personal tax code of the legal representative. The domain was registered in March 2026, there is no web archive capture, no social presence, no customer reference and no terms and conditions. On top of that the commercial content has not been refreshed: an offer that expired in June 2026 is still on the homepage in September.
