Overview

What is Mailbutler?

Mailbutler is an email productivity extension built by Mailbutler GmbH, a Berlin company founded in 2015 by Tobias and Fabian and still run by a fully remote team of around twenty people. It does not replace your email client: it installs on top of Apple Mail on macOS, Gmail in Chrome, Edge or Safari, and Outlook, and the site claims more than 100,000 professionals use it.

The product is organised around four areas. Email Tracking reports opens and link clicks, engagement history, device and approximate location, and can attribute each open to a specific person on a multi-recipient send; higher tiers add a custom tracking subdomain, IP blacklisting, CSV export and automatic syncing of tracking events into HubSpot and Salesforce. Tailored Sending covers message templates with dynamic placeholders and a mail merge that pulls contact data from Apple, Google or Outlook contacts, from a CRM or from a CSV file. Inbox Collaboration turns a shared mailbox into a workspace with email assignments, live collaborator status, shared notes and tasks, and colour-coded tags. Signature Marketing provides pre-designed and hand-coded HTML signatures, call-to-action buttons, banners, team sharing with locked fields, UTM link parameters and dynamic content pulled from YouTube, a podcast, a blog or Calendly.

The artificial intelligence sits in the Smart Assistant, which runs on an OpenAI large language model. Smart Compose writes messages and replies from a few keywords and lets you choose the tone; Smart Improve corrects spelling and grammar and sharpens phrasing, tone and clarity; Smart Summarize condenses an email and turns it into a note; Smart Task Finder scans the inbox for actionable to-dos; Smart Timing proposes the best moment to send; and Smart Follow-ups ranks tracked emails by urgency and drafts the reminder for you.

Privacy is a stated selling point rather than an afterthought. Servers sit in Frankfurt, Germany, the company is ISO/IEC 27001:2022 certified, Microsoft 365 certified and Google verified, and it states that it never reads, analyses or stores message content or attachments. Outgoing mail still leaves from your own server.

When to use Mailbutler / When not to

A quick filter to help you decide if Mailbutler is the right fit.

When to use Mailbutler

  • Sales reps and business development representatives who need per-recipient open tracking, prioritised follow-ups and automatic logging into HubSpot or Salesforce
  • Small teams sharing a mailbox, who want to assign emails, see who is already replying and exchange notes and tasks without leaving the thread
  • Freelancers, consultants and founders who live in their inbox and want a low per-seat price with a permanent free tier underneath it
  • Marketing and communications teams that treat the email signature as a channel, with call-to-action buttons, banners, UTM tracking and dynamic content
  • Privacy-conscious European organisations looking for a German vendor, servers in Frankfurt and ISO/IEC 27001:2022 certification

When not to use Mailbutler

  • Anyone looking for a bulk email marketing platform: Mailbutler sends through your own mail server, not through a campaign infrastructure
  • Developers who need to build on top of the tool, since there is no public API and no developer documentation
  • People who work mainly from a phone, as there is no dedicated iOS or Android application
  • Users of any email client other than Apple Mail, Gmail or Outlook
  • Teams that cannot allow email content to reach a third party, because the Smart Assistant sends the body and subject line to OpenAI

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how Mailbutler handles your data.

GDPR overview

Compliance is claimed explicitly and backed by concrete detail. Mailbutler GmbH, Akazienstr 3a, 10823 Berlin, is named as the controller, and a Data Protection Officer is designated: Fabian Jager, reachable at privacy@mailbutler.io. The policy lists the lawful bases relied on, enumerates the full set of data subject rights including erasure, portability and objection, and confirms that no solely automated decision-making takes place. A Data Processing Agreement is offered on request, transfers outside the European Union rely on Standard Contractual Clauses, and the competent supervisory authority is named as the Berliner Beauftragte fur Datenschutz und Informationsfreiheit. The company is ISO/IEC 27001:2022 certified and publishes the certificate. Privacy policy and terms were both last updated on 2 February 2026. No Article 27 representative is designated, which is expected of a company established in Germany.

Who owns the data?

The terms define Customer Data as everything you submit to, store in or transmit through the service, and require you to hold all rights to what you upload. The software itself is licensed rather than sold and remains the exclusive property of Mailbutler. The vendor states that it never reads, stores or analyses the content of your messages, and that it does not sell, rent, loan or lease personal information. For email tracking you are the data controller and Mailbutler acts only as a processor under Article 28 GDPR. No employee may open your notes, tasks, templates, signatures or tracking data without your explicit agreement or a legal obligation.

Reuse rights

You keep control of what you create inside Mailbutler. Notes, tasks, templates and signatures are stored solely to deliver and improve the service, and privacy settings let you decide how much is recorded, down to nothing at all. Nothing in the published terms restricts the reuse of your own content, and the vendor claims no licence over it for marketing or for model training. Data is shared only with named sub-processors acting on Mailbutler's instructions: PayPal, GoCardless and Stripe for payments, Google Analytics for measurement, and OpenAI for the Smart Assistant, which receives the body and the subject line of the message you are working on. Anything reached through Google Workspace APIs is explicitly excluded from AI and machine-learning training, and Gmail data is never used to serve advertising.

Data retention & training

Retention summary
Retention is set out category by category. Account and feature data is deleted after two years of inactivity; billing records are kept for ten years to satisfy German law; support conversations for up to three years; technical logs for up to twelve months unless security requires longer. Before an inactive account is removed, Mailbutler warns the associated address at least thirty days ahead, and any activity resets the counter. Deletion is then permanent and covers the account address and password, tracking details and everything else created on the platform, with no recovery possible. Mail server authentication credentials are stored only for as long as Send Later or tracking needs them. Erasure can also be requested at any time from privacy@mailbutler.io.

Hosting summary

Mailbutler states twice on its homepage that its servers are located in Frankfurt, Germany, and presents that European jurisdiction as a deliberate privacy argument. A DNS lookup on the domain resolves to an address geolocated in Germany and operated by Host Europe GmbH, which is consistent with the claim. All data exchanged with or stored in the backend is described as encrypted at all times, and the company holds an ISO/IEC 27001:2022 certificate, published as a PDF alongside its information security policy. The picture is not exclusively European, however: the privacy policy states plainly that some service providers sit outside the European Union, including in the United States - Stripe, PayPal and GoCardless for payments, Google Analytics for measurement and OpenAI for the Smart Assistant. Those transfers are covered by Standard Contractual Clauses together with additional contractual, technical and organisational measures. The full register of sub-processors is maintained internally and supplied on request from the Data Protection Officer rather than published on the site.

Things to keep in mind

Risks and trade-offs to weigh before adopting Mailbutler.

  • The terms warn that Smart Assistant output can be incomplete, inaccurate or out of date and is no substitute for legal, financial or professional advice: you remain responsible for checking every generated message before it goes out
  • Leaning on AI drafting for routine correspondence can quietly erode your own writing voice and your attention to what a message actually needs to say
  • When you track emails you become the data controller: informing recipients, collecting consent where it is required and answering their rights requests is your legal duty, not Mailbutler's
  • The terms carry an indemnity clause - if a recipient or a regulator challenges your use of tracking, you cover Mailbutler's costs unless you qualify as a consumer under section 13 BGB
  • Recording when, where and on which device someone opened your message raises an ethical question that no certification settles on your behalf
  • Subscriptions renew automatically and fees are non-refundable outside a five-day window, so a seat nobody uses keeps billing
  • An account left inactive for two years is permanently deleted after a 30-day warning, and nothing can be recovered afterwards
Setup

Setup & Integrations

Technical difficulty

Very low. Setup takes two steps: enter your email address on the get-started page, then install the extension from the official store for your client - Mac App Store, Chrome Web Store or Microsoft Marketplace. No credit card is requested, and the vendor describes the process as plug and play, claiming it takes about thirty seconds. The only real prerequisite is a recent version of Apple Mail, Gmail or Outlook. One step deserves attention afterwards: open the privacy settings and decide how much Mailbutler is allowed to record.

FAQ

Frequently asked questions

Which email clients does Mailbutler work with?
Apple Mail on macOS, Gmail - usable in Chrome, Edge and Safari - and Outlook. The features work across clients, so colleagues who use different ones can still collaborate on the same inbox.
Is there a free version?
Yes. A 14-day trial unlocks every feature without a credit card, and the account then switches automatically to the free-forever Starter plan. The only catch is a visible Mailbutler watermark on the emails you send from that plan.
What can the AI actually do?
The Smart Assistant composes messages and replies from a few keywords, corrects spelling and grammar, improves tone and clarity, summarises emails into notes, finds actionable to-dos in your inbox, suggests the best time to send and drafts follow-ups. These features start with the Smart plan.
Does Mailbutler read my emails?
The company states that it never reads, analyses or stores message content or attachments. The one exception is the Smart Assistant: when you use it, the body and subject line of that specific message are sent to OpenAI.
Where is my data hosted?
On servers in Frankfurt, Germany. Some service providers are located outside the European Union, including in the United States, and those transfers rely on Standard Contractual Clauses and additional safeguards.
Is Mailbutler GDPR compliant?
The site claims full GDPR compliance, names a Data Protection Officer reachable at privacy@mailbutler.io, offers a Data Processing Agreement on request and publishes an ISO/IEC 27001:2022 certificate.
Is there an API or a mobile app?
No. There is no public API and no developer documentation, and no dedicated iOS or Android application. Distribution runs through the Mac App Store, the Chrome Web Store and Microsoft Marketplace.
What is the refund policy?
A prorated refund can be requested within five days of subscribing or of a renewal. After that window, refunds apply only to technical issues that cannot be resolved, and Mailbutler may first offer one or two free months instead.
How many computers does one licence cover?
Two owned, rented or leased computers, with only one of them in use at any given time.
Conclusion

Should you pick Mailbutler?

Mailbutler makes a deliberate choice: instead of asking you to move to a new email client, it adds a productivity layer to the one you already open every morning. That decision explains both its strengths and its limits. On Apple Mail, Gmail and Outlook it delivers a genuinely broad set of tools - per-recipient tracking, mail merge, a shared inbox with assignments and tasks, marketing signatures, automation rules and an OpenAI-backed assistant that drafts, rewrites and summarises. Few extensions cover that much ground at this price.

The compliance story is unusually solid for a tool of this size. A German publisher, servers in Frankfurt, ISO/IEC 27001:2022 certification, a named Data Protection Officer, a DPA on request and a clear statement that message content is never read or stored will matter to European buyers who have to justify their choices.

The reservations are just as clear. Every AI feature sits behind the Smart plan, so the assistant that gives the product its modern face is not what you get at the entry price. The free tier is real, but it stamps a watermark on your outgoing mail. There is no API and no mobile app, and the extension only works with three email clients. And when you call the Smart Assistant, the body and subject line of that message leave for OpenAI - an acceptable trade for many, a deal-breaker for some.

For a professional or a small team that sends a high volume of individual emails and wants to track, chase and share them without changing habits, Mailbutler is a well-judged and honestly documented option.
