What is MeetGeek?

MeetGeek is a meeting intelligence platform rather than a transcription utility. It captures a conversation, turns it into a structured record, and then acts on that record through tools a team already uses. Capture happens four ways: an agent that joins Zoom, Google Meet or Microsoft Teams; a desktop app that records locally without a bot; a mobile app for in-person conversations and phone calls; and a Chrome extension. Existing audio or video files can be uploaded and processed identically, so a meeting recorded elsewhere is not lost.

Processing runs unattended. The platform detects the spoken language across more than 100 supported languages, identifies and labels each speaker, and recognises the meeting type in order to apply a fitting template. It publishes a word error rate as low as 2.8%. The output is a summary, action items, highlights and a topic timeline, produced from more than 30 templates or from templates a team designs itself. Custom vocabulary can be loaded so product names, client names and acronyms transcribe correctly.

Beyond notes, an AI Chat sits over the whole meeting history. Questions can address a single call or span months of conversations, and answers can trigger actions. Event-driven Meeting Skills watch the meeting stream and react to a call ending, a keyword or a pattern across calls: updating CRM records, drafting follow-ups, opening Jira or Linear tickets, raising a Slack alert. Voice Agents go further, briefing a participant live or qualifying, triaging and routing inbound calls on their own.

An analytics layer adds cross-meeting search, individual and team KPIs, sentiment, talk-to-listen ratios and risk detection. Governance is set organisation-wide through retention policies, PII redaction, sharing controls, audit logs, SSO and SCIM.

Distribution is broad: native integrations with major CRM, ATS and project tools, roughly 10,000 applications through Zapier, Make and n8n, a public REST API with webhooks, and an MCP server exposing meeting data to Claude, ChatGPT and Cursor. GDPR overview

GDPR compliance is claimed explicitly and backed by documents rather than badges. The terms commit the vendor to EU and US privacy regulation, and a full data processing agreement is published, incorporating the EU Standard Contractual Clauses (modules two and three), the ICO's UK Addendum B.1.0 and an adaptation for the Swiss FADP. The privacy policy, effective 1 August 2026, enumerates five rights: access, rectification, objection and restriction, erasure and portability. Requests go to a Privacy Team at privacy@meetgeek.ai; no Data Protection Officer is named. No Article 27 representative is designated, which is consistent with the EU contracting entity being established in Romania. One oddity deserves a mention: the declared lead supervisory authority is Germany's Federal Commissioner for Data Protection, not a Romanian regulator.

Who owns the data?

The customer owns the data. The terms of service state plainly that the customer acts as Data Controller and retains full ownership of and rights to everything supplied, while MeetGeek acts as Data Processor, a role it repeats in its data processing agreement. The vendor says it does not access recordings or transcripts at any point unless a user deliberately shares access with a support engineer, and that it does not sell collected data to any company. Sharing with third parties happens only with consent, with vetted service providers needed to deliver the service, where the law compels it, or to protect someone from harm. Connected integrations receive data only when a user or workspace admin authorises them.

Reuse rights

Customers may reuse their own meeting outputs freely and without asking permission. Transcripts export to Google Docs, Word or Excel, video, audio and caption files download as assets, meetings and snippets can be shared internally or with guests, and summaries, highlights and action items can be pushed into HubSpot, Salesforce, Slack, Notion, Jira and roughly 10,000 other applications through Zapier, Make or n8n. Export and download rights are tied to the plan: they are unavailable on the free Basic tier. Two limits sit in the terms of service rather than in the product. Content may not be used for product benchmarking or comparative analysis intended for publication without prior written consent, and the service may not be used to build or improve a competing product. Separately, the customer, not MeetGeek, carries the legal duty of obtaining recording consent from every participant.

Data retention & training

Retention summary
How long meeting data is kept depends on the plan and is enforced automatically. Transcripts are kept three months on Basic, one year on Pro and indefinitely on Business and Enterprise; audio for one month, six months and twelve months respectively, with custom terms at Enterprise. Video is stored only from Business upward. Downgrading applies the new plan's shorter window to past meetings. Data sent through the API is deleted after at most 30 days, and subprocessors delete customer data within 30 days of the agreement ending. Transaction records are kept five to ten years. Accounts persist until the user deletes them, after which the content is unrecoverable, and de-authorising the app triggers automatic deletion of meetings, transcripts, profiles and tokens. Enterprise plans can enforce zero-retention policies.

Hosting summary

MeetGeek offers a choice between EU and US data hosting, letting a customer pick the region that fits its legal and compliance requirements. The privacy policy is more specific about where data actually sits: the hosting facilities for account information and video storage are situated in Ireland. Infrastructure runs on Amazon Web Services as a private virtual network of microservices, with the database inside a virtual private cloud protected by restricted security groups and minimal inter-server communication. AWS data centres are cited as certified to ISO 27001, PCI DSS Service Provider Level 1 and SOC 1 and 2. Data in transit is encrypted with SSL/TLS and any HTTP connection is redirected to HTTPS; data at rest uses 256-bit AES with keys managed through AWS Key Management Service, and disk storage is encrypted on the same basis.   • Recording consent is legally yours, not the vendor's: MeetGeek notifies participants when the bot joins, but the terms place the duty of collecting consent squarely on the person recording, and rules differ sharply between jurisdictions
  • An always-on notetaker changes how people speak; participants who know every word is transcribed, attributed and searchable may withhold candour in exactly the conversations where candour matters most
  • Coaching metrics such as talk-to-listen ratios, filler words and sentiment scores are easy to repurpose as employee surveillance, and a manager reading them as performance data will misread individuals
  • Trusting the summary is a habit that erodes attention: if nobody listens because the recap always arrives, the nuance that never reaches a transcript is simply lost
  • Automated action items and CRM updates are inferences, not statements of fact; an agent that mis-assigns a commitment or invents a next step propagates that error into systems others rely on
  • Retention shrinks retroactively when a plan is downgraded, so meeting history a team assumed was archived can fall outside the new plan's window
  • The contracting entity, the governing law and the supervisory authority all vary by region, and the declared lead authority is German despite the EU entity being Romanian, which complicates any dispute or data-protection complaint
