Revtek Matchday
A WhatsApp-based orchestrator for sports tournaments and events. Visitors, team managers, referees, volunteers and organisers each scan a role-specific QR code and get a tailored assistant, while scores sync both ways with Tournify. Nothing to install.
What is Revtek Matchday?
Revtek Matchday is an event orchestrator whose entire participant-facing interface is WhatsApp. Nobody installs an app, creates an account or remembers a password: each person scans a QR code specific to their role and is linked to the bot, which then recognises who they are and tailors everything it sends them. Five roles are served from one system. Visitors get the programme, site navigation and catering information. Team managers get schedules and standings. Referees get fixture lists and check-in. Volunteers get shift rosters and tasks. The organiser gets full management and override.
The integration that carries the product is Tournify, and it runs both ways. Matches, pool draws and standings are imported automatically, so nothing is retyped. A referee sends a final score in plain language over WhatsApp and the platform writes it back, updating pool standings and notifying the relevant team managers. A pitch change or delay entered in Tournify generates targeted WhatsApp messages to exactly the teams and referee concerned, not to everyone. Referee assignments can be imported as CSV and matched to phone numbers automatically; a check-in prompt goes out ten minutes before kick-off with Yes/No buttons, and a missing reply escalates to the organiser, who can call up a reserve from the chat. Volunteer shifts are planned by drag and drop, with reminders 30 minutes ahead, replacement handling and stock alerts raised from the field.
For the organiser, a web dashboard adds what the vendor calls admin intelligence: a live feed of questions the bot could not answer, grouped by topic and frequency, with an AI-suggested answer that can be approved in one click without restarting anything mid-event. Incidents are classified by severity and routed, and bot errors are flagged with the exact conversation. Programmes, referee lists and rosters can be uploaded as Excel and parsed automatically.
One published deployment gives a sense of scale: a two-day 2026 tournament with 229 participants and 361 matches, where 358 results arrived through the bot, 92% of questions were self-served, and the median reply time was two seconds across 5,021 messages.
What it does
- Enrol every participant by role through a single QR-code scan into WhatsApp, with no app and no password
- Answer schedule, standings, navigation and catering questions automatically in the language the question was asked
- Pull fixtures, teams and standings from Tournify and write referee-submitted scores straight back
- Run referee operations end to end: fixture lists, pre-match check-in by button, no-show escalation and reserve call-up
- Plan volunteer shifts by drag and drop, then push assignment messages, reminders and replacement requests
- Broadcast to everyone, to a single role, to one team or to one person, immediately or on a schedule
- Watch unanswered questions and incidents in real time and fix the knowledge base in one click, mid-event
When to use Revtek Matchday / When not to
A quick filter to help you decide if Revtek Matchday is the right fit.
When to use Revtek Matchday
- Organisers of multi-pitch amateur tournaments who already run Tournify, Toernooi.nl or SportLink and want the communication layer on top
- Event teams that depend on large volunteer rosters and need shift planning, reminders and last-minute replacements handled automatically
- Referee coordinators who spend the day chasing check-ins, fixture changes and result sheets by phone
- Festivals, conferences and marathons whose audience will never install a single-use app but already lives in WhatsApp
- Clubs and federations operating in the four territories the vendor serves: Greater London, the Netherlands, Belgium and Germany
When not to use Revtek Matchday
- Buyers who need a published price before talking to sales: this product is quoted case by case, with no public rate card
- Organisations that require signed terms and conditions up front, since revtek.nl publishes none
- Teams whose participants cannot or will not use WhatsApp, as it is the only participant-facing channel
- Developers looking to build on a documented events API: the public REST reference on the site covers the parking product instead
- Buyers who need contractual guarantees on where participant data is hosted, which no page on the site states
How to use Revtek Matchday
A typical end-to-end flow, from setup to results.
- Contact the vendor by email or book a demo call, since the product is not available self-service and is quoted per event
- Upload the programme, the referee list and the volunteer roster as CSV or Excel files, which the AI parses automatically
- Connect the tournament platform you already use, so matches, teams and pool draws import without manual entry
- Configure the five roles and the knowledge base for your venue: site map, catering, parking, first aid and lost property
- Print or publish the role-specific QR codes for visitors, team managers, referees, volunteers and organisers
- Let each participant scan their code and land in WhatsApp, with no download, account or password
- Plan volunteer shifts by drag and drop in the dashboard and let the reminders go out on their own
- Run the day from the dashboard: broadcast updates, watch the incident feed and monitor unanswered questions
- Approve AI-suggested answers as gaps appear, so the bot improves during the event with no restart
- Close the event, at which point all participant numbers, messages and roles are deleted automatically
Pros & Cons
Pros
- Universal channel: WhatsApp is already on every phone, so no role has anything to install
- The Tournify link works in both directions, which removes score re-entry entirely
- The vendor publishes precise figures on a real deployment rather than round marketing claims
- The knowledge base can be corrected mid-event in one click, with no restart and no developer
- Notifications are granular: only the pitch, team or referee affected is disturbed
- Five very different populations are handled from a single dashboard
- The vendor's stated approach is to connect to the tournament software you already run, not replace it
Cons
- No public price for this product at all: the pricing page routes it to a custom quote
- No terms and conditions, legal notice, cookie policy or DPA anywhere on revtek.nl
- The published privacy policy covers only the website contact form, never the participants of an event
- No hosting country or region is stated on any page of the site
- Only one event reference is published, it exists in Dutch only, and it is absent from the sitemap
- The public API reference documents the vendor's parking product, not this orchestrator
- Everything depends on WhatsApp, and therefore on Meta, as the single participant channel
Pricing & Plans
There is no free plan and no public price for this product. The vendor's pricing page places the event orchestrator in an AI Services section marked "Custom pricing - contact us for a quote", and directs prospects to an email enquiry. The structured data on the site confirms this: a monthly amount is attached only to the separate parking offer, never to the event product. The published rate card on the same page belongs to Revtek Parking, a different product of the same publisher, and should not be read as an entry point for this tool. Prospective buyers should note that the vendor's displayed amounts also change with the language version of the site, in both currency and value.
Data, GDPR & hosting
A consolidated view of how Revtek Matchday handles your data.
GDPR overview
Compliance is claimed explicitly: the product page states that Revtek fully complies with the General Data Protection Regulation and that participant data is processed lawfully and transparently. Concrete measures named are automatic deletion of all event data at closure, role-based access limiting each organisation to its own events, no sharing or sale to third parties, and a WhatsApp channel routed through the official Meta Business API under a processing agreement. Data-subject rights are exercised by writing to info@revtek.nl. Beyond that the record is thin. The published privacy policy of March 2026 covers only the website contact form and says nothing about participants. No lawful basis, no impact assessment, no data processing agreement offered to customers, no data protection officer and no hosting location appear anywhere on the site.
Who owns the data?
The vendor publishes no terms and conditions, so ownership is only addressed on the product page. There, Revtek states that participant data is never shared with or sold to third parties and is used exclusively to run the event itself, and that access is role-scoped: each organisation sees only its own events, and each participant only what their role requires. The separate privacy policy, last updated in March 2026, is written by Katoomba Consulting B.V. but covers only the website contact form, not the event platform. No document assigns ownership of event content, message logs or derived statistics in contractual terms, so the practical answer rests on a marketing page rather than an agreement.
Reuse rights
There are no terms and conditions on revtek.nl to define what a customer may do with the data the platform produces, so no reuse permission is granted or withheld in writing. What the site does say is narrower: participant data serves the operation of the event and nothing else, and every event record is deleted once the event closes, which limits reuse by simply removing the material. Organisers work with live data through the admin dashboard, including unanswered-question feeds and incident logs, and can approve AI-suggested answers into the knowledge base. The Dutch homepage adds that the WhatsApp channel runs on the official Meta Business API under a processing agreement. Whether exports, archives or post-event analytics are permitted is simply not addressed anywhere.
Data retention & training
Hosting summary
No page on the site states where data is hosted. There is no country, no region, no named cloud provider and no data residency commitment on the product page, the pricing page or the privacy policy. The only claim to the contrary appears in the site's llms.txt file, which asserts that data is kept within the EU and attributes that to the privacy policy, although the privacy policy itself says nothing of the kind. That discrepancy is unresolved and the claim has not been retained here. What the site does establish is jurisdictional rather than technical: the publisher, Katoomba Consulting B.V., is registered in Amsterdam in the Netherlands, and the WhatsApp channel runs through the official Meta Business API under a processing agreement, which places part of the message flow with Meta. The domain resolves to a Cloudflare anycast address, which indicates a content delivery network edge and says nothing about where processing takes place. Buyers with data residency requirements should ask directly.

Things to keep in mind
Risks and trade-offs to weigh before adopting Revtek Matchday.
- The rate card on the vendor's pricing page belongs to its parking product; read it as the price of this tool and you will be wrong
- Displayed amounts change with the language of the site, in currency and in value, with no note explaining the gap
- No terms and conditions exist on the main site, so there is no contract text to read before a participant list changes hands
- The privacy policy covers only the website contact form, so participants' phone numbers and messages fall outside the one published document
- Concentrating every channel in WhatsApp puts an event's operations on one commercial messaging platform and its outages
- An assistant that answers instantly can make organisers stop staffing the information desk before the bot has actually proven itself
- Deleting all event data at closure protects privacy but also erases the record an organiser might need for a later dispute
Setup & Integrations
Technical difficulty
Low for participants, moderate for the organiser. Nobody attending installs anything: a QR scan puts them in WhatsApp. The organiser uploads the programme, referee list and volunteer roster as CSV or Excel files, which the AI parses, then configures roles and the venue knowledge base in a web dashboard. The tournament software link is presented as automatic. The real constraint is commercial rather than technical: the product is not self-service, so setup begins with a sales conversation and a quotation, and the vendor positions itself as handling the platform and its commissioning.

Should you pick Revtek Matchday?
Revtek Matchday solves a narrow problem with unusual clarity. Tournaments rarely fail for lack of information; they fail because the information reaches the wrong person too late. By putting every role behind a QR code and a WhatsApp thread, and by wiring scores back into Tournify instead of asking anyone to retype them, the product removes the organisation table as a bottleneck. The published deployment is the strongest argument in its favour: 358 of 361 results submitted through the bot, 92% of questions self-served, a two-second median reply across more than five thousand messages. Those are specific, checkable numbers rather than adjectives.
The reservations are commercial and contractual rather than functional. There is no public price for this product, only a quote; the rate card displayed on the same page belongs to the vendor's parking product, and the amounts on that card change currency and value with the language of the site. More seriously for a tool that processes phone numbers and message logs for hundreds of members of the public, revtek.nl publishes no terms and conditions, no legal notice and no data processing agreement, and its privacy policy covers only the website contact form rather than event participants. No hosting jurisdiction is stated anywhere. The single event reference exists in Dutch only and is not linked from the English site.
This is a small, recent Dutch publisher operating in four territories, and the product reflects that: focused, credible on the day itself, and thin on the paperwork a buyer would want before handing over a participant list. Ask for the contract and the hosting details before signing.
