Recruiting Gym
Recruiting Gym is a German AI recruiting platform from Archibo GmbH. An AI coach writes job ads, runs multi-channel campaigns, screens applicants and books interviews, billed as a flat monthly fee with no per-hire commission.
What is Recruiting Gym?
Recruiting Gym is an AI recruiting platform published by Archibo GmbH, an IT services company registered in Langen, Hesse since November 2021. It presents itself as more than an add-on to an applicant tracking system: three building blocks, described as a coach, an engine and a network, are orchestrated on one platform, and the vendor positions the whole thing as a replacement for agency commission rather than as another HR tool.
The starting point is a chat. A hiring manager describes the role in ordinary language, and the AI coach turns that brief into a role profile, a job advertisement, ad creatives and a mobile-first application funnel published on the employer's own domain. Campaigns then run on Meta (Instagram, Facebook and Audience Network) and Google Jobs, with budget and creative variants adjusted automatically. Incoming applications are parsed for skills, experience and languages, ranked against the profile, answered in the employer's tone of voice, and turned into interview slots booked in Outlook, Google Calendar or iCloud. Everything lands in a Kanban pipeline with a talent pool, team comments and an audit trail.
The demo gallery names the models behind each capability: GPT-5 with Stable Diffusion XL Turbo for image ads, a Sora-class video model with ElevenLabs voices for short video, Claude Sonnet 4.5 for funnel logic, coach chat and reports, and GPT-5 Realtime with ElevenLabs Multilingual for a voice agent, in beta, that conducts an eight to twelve minute first interview in the candidate's own language and hands back a German transcript with a match score.
Around forty features are grouped into nine categories, from candidate sourcing to white-label reporting, ATS connectors, a REST API with webhooks and SAML single sign-on. Three tiers are sold: Solo, Studio and Scale-up, on a flat monthly fee with no per-hire commission. Compliance is a central argument: hosting in Frankfurt, a data processing agreement by default, and EU AI Act documentation supplied on request.
What it does
- Brief an open role in plain language and get a finished job ad back
- Launch and daily-optimise recruiting campaigns on Meta and Google Jobs
- Generate image and 9:16 video ad creatives in the employer's brand look
- Publish a mobile-first application funnel on the employer's own domain
- Screen and rank incoming applications against the role profile
- Answer candidates and book interview slots straight into the recruiter's calendar
- Sync candidates, jobs and statuses both ways with the applicant tracking system
When to use Recruiting Gym / When not to
A quick filter to help you decide if Recruiting Gym is the right fit.
When to use Recruiting Gym
- Solo founders, practice owners and master craftspeople who need to hire without an HR department
- German Mittelstand companies with a small HR team already running Personio, rexx systems, BITE or SAP SuccessFactors
- Fast-growing scale-ups filling ten roles in parallel across several locations and countries
- Recruitment agencies that need white-label delivery, client-separated pipelines and commission tracking
- High-volume employers in nursing, hospitality, construction, security and cleaning, logistics, call centres, retail and driving jobs
When not to use Recruiting Gym
- Employers who hire occasionally: the entry ticket is 690 EUR a month for a single active role
- Teams looking for a free plan or a free trial, since neither exists and the only way in is a demo call
- Buyers who need LinkedIn, XING, StepStone or Indeed multiposting live today rather than on a published 2026 roadmap
- Organisations whose procurement requires the vendor itself to hold ISO 27001 or SOC 2, both of which are still unfinished
- Anyone expecting a mobile app or a self-service signup, as the product is web-only and sold through a sales conversation
How to use Recruiting Gym
A typical end-to-end flow, from setup to results.
- Book the free 30-minute demo call, since there is no self-service signup and no free trial
- Agree a tier at kick-off: Solo for one active role, Studio for ten, Scale-up for an unlimited pipeline
- Connect the applicant tracking system on day one (Personio, rexx systems, BITE, SAP SuccessFactors, HeavenHR or Workday)
- Let the vendor set up the application funnel, the branding and the GDPR texts during the first two weeks
- Brief the AI coach in chat with the role, the location and the working pattern, in two sentences
- Review the generated job ad, creatives and funnel, then approve the campaign or let it publish automatically
- Watch the first ads go live, typically announced as day three of onboarding
- Let the coach pre-qualify applicants, answer their questions and book interview slots in your calendar
- Switch on the voice agent only if you want the AI to call candidates back, as it is off by default
- Track cost per hire, time to fill and conversion in the real-time dashboard, or receive branded reports
Pros & Cons
Pros
- Flat monthly fee with no per-hire commission and no percentage of annual salary, cancellable monthly
- Data processing agreement included by default, with no separate negotiation or legal cost
- German hosting in Frankfurt claimed for the platform, with TLS 1.3 in transit and AES-256 at rest
- Bidirectional connectors to the ATS products that dominate the German mid-market
- White-label branding supplied as standard, including on the mid-tier Studio plan
- End-to-end coverage on one platform, from the job ad to the signed contract
- Multilingual voice interviewing aimed squarely at shortage occupations and international hiring
Cons
- No free plan and no free trial: the cheapest way in is 690 EUR a month for a single active role
- Advertising budget is excluded from the subscription and never quantified anywhere on the site
- Multiposting beyond Google Jobs, LinkedIn Recruiter Ads and scorecards all carry 2026 roadmap badges
- The vendor's own ISO 27001 is only in preparation and SOC 2 Type II is a roadmap item, despite prominent certification wording
- Legal pages merely point to Archibo GmbH documents whose declared scope does not name recruiting-gym.ai
- The terms and conditions date from December 2024 and are written for software development work, not for a recruiting subscription
- No mobile app, no published pricing for the Scale-up tier, and no VAT indication on the displayed prices
Pricing & Plans
There is no free plan and no free trial. The cheapest paid entry point is the Solo plan at 690 EUR per month, advertised as a starting price, covering one active role. The Studio plan for mid-market companies is 1,490 EUR per month for ten active roles, and the Scale-up plan is quoted on request with no public figure. All plans are flat monthly fees, cancellable monthly, with no commission per hire. Advertising budget is billed separately and is not included in any tier; no amount is published for it. Prices are displayed without any VAT indication, and no setup fee is mentioned. The only free elements are a 30-minute potential analysis call and the Recruiting Academy, which is included for customers.

Data, GDPR & hosting
A consolidated view of how Recruiting Gym handles your data.
GDPR overview
GDPR implementation is claimed explicitly and in some detail. Every page carries a GDPR badge, a full GDPR setup is sold as a feature (privacy text, cookie banner, consent logic, deletion policy), and an Article 28 data processing agreement is included with every contract. The publisher's privacy policy, last updated on 17 June 2025, lists purposes, legal bases and categories of recipients, sets out rights of access, rectification, portability, restriction, erasure, objection and complaint, and covers transfers outside the EU through the Data Privacy Framework or standard contractual clauses. Encryption is stated as TLS 1.3 in transit and AES-256 at rest. Two reservations: that policy's own scope section names archibo.de and an AI phone-assistant web app rather than recruiting-gym.ai, and the EU AI Act claim rests on documentation offered only on request.
Who owns the data?
The publisher's terms place the customer in the controller seat for the personal data collected while the service runs, and require the two parties to sign an Article 28 GDPR data processing agreement; Archibo GmbH, Ohmstr. 12 in Langen, then acts as processor. For its own website and enquiries, Archibo GmbH names itself as controller and gives info@archibo.de as the single contact. The publisher states that it never sells personal data to third parties without explicit consent, and passes it on only where the law requires it, where delivering the service demands it, or where the person has agreed. One caveat matters: the published privacy policy declares a scope covering archibo.de and an AI phone-assistant web app, not recruiting-gym.ai.
Reuse rights
Nothing in the published terms restricts what a customer may do with its own recruiting material. Candidate profiles, CVs, ratings, notes and the full communication history are described as exportable at any time, and the pipeline is presented as belonging to the hiring company rather than to the vendor. The publisher's own uses of personal data are operational and enumerated purpose by purpose: hosting, handling enquiries, online appointment booking, CRM, customer registration, payment and invoicing, error detection and product news, each tied to a legal basis, with US processors covered either by the Data Privacy Framework or by standard contractual clauses. On the platform side, CVs are parsed for skills, experience and languages to drive automatic screening and match scores. The vendor never states, in either direction, whether customer data is used to train AI models.

Hosting summary
The vendor states that all data sits in German data centres, with hosting in Frankfurt, and argues the point explicitly: no US Cloud Act exposure and no international transfer without explicit consent. The data centre is described as ISO 27001 certified, which is the hosting provider's certification rather than the publisher's. Encryption is stated as TLS 1.3 in transit and AES-256 at rest, with candidate data described as inaccessible to vendor staff without authorisation. No hosting subcontractor is named for the platform, and no sub-processor list is published; one is offered on request. Two observations temper the claim. The marketing site recruiting-gym.ai itself resolves to a Hostinger address geolocated in Paris, and the publisher's own privacy policy states that its corporate website is hosted by HOSTINGER operations, UAB in Lithuania with a Cloudflare content delivery network. The German hosting claim therefore applies to the recruiting platform, not to the public website.
Things to keep in mind
Risks and trade-offs to weigh before adopting Recruiting Gym.
- Automated screening and match scores can quietly become the decision itself: the platform advertises bias audits and an audit trail, but a recruiter who stops opening rejected CVs is delegating a legal responsibility that German anti-discrimination law still leaves with the employer
- AI-written ads, AI replies and AI voice interviews delivered in the employer's own tone can leave candidates unsure who they are talking to; the site says phone calls happen only when the customer switches them on, which makes disclosure a customer choice rather than a product guarantee
- Certification wording needs reading twice: the homepage promotes an ISO 27001 certified data centre while the security page states the vendor's own certification is merely in preparation, and SOC 2 Type II is a roadmap item
- The product's legal pages are only pointers to Archibo GmbH documents whose declared scope names archibo.de and an AI phone-assistant web app, so any contractual guarantee drawn from them is revocable
- Several headline channels are not live: multiposting beyond Google Jobs, LinkedIn Recruiter Ads and scorecards carry explicit Q3 and Q4 2026 badges, while the logo strip and the Studio plan description suggest they already work
- The dashboards, candidate counts and cost-per-hire figures shown on the homepage are labelled sample data, and a single testimonial is the only named customer reference
- The claim that data never leaves Germany describes the platform, not the marketing site, which resolves to a Hostinger address in Paris; no hosting subcontractor is named for the platform itself
Setup & Integrations
Technical difficulty
Low for the buyer, because the vendor does the work. Onboarding is announced at seven to fourteen days and is guided: kick-off and ATS connection on day one, first advertisement live on day three, first pre-qualifications on day seven, and the coach trained on the company's tone of voice by day fourteen. No technical knowledge is required to operate it, since briefing happens in ordinary language in a chat window. Only the enterprise options demand an IT team: the REST API and webhooks, SAML or OIDC single sign-on with SCIM provisioning, and a custom careers domain with its own SSL certificate and email sender.

Should you pick Recruiting Gym?
Recruiting Gym makes a clear and unusually legible promise for the German market: replace the agency commission with a flat monthly fee, and replace recruiting routine with an agent that writes the ad, runs the campaign, screens the applicants and books the interviews. The coverage is genuinely broad for a single product, the ATS connectors target exactly the tools the Mittelstand already runs, and the compliance argument (Frankfurt hosting, a data processing agreement by default, EU AI Act documentation) speaks directly to the buyers it is aimed at.
The reservations are equally clear. Several headline capabilities are not live yet: multiposting beyond Google Jobs, LinkedIn Recruiter Ads and structured scorecards all carry explicit 2026 roadmap badges, while the logo strip and the Studio plan description suggest they already work. The vendor's own ISO 27001 is described as in preparation on the security page even though certification wording appears on the homepage, where it in fact belongs to the data centre. The product's legal pages are pointers to Archibo GmbH's documents, whose declared scope names another website and another product, and the terms themselves were written in December 2024 for software development work. Dashboard figures on the homepage are labelled sample data, and one named testimonial is the only customer evidence published.
The legal entity dates from November 2021; the product's domain was only registered in February 2026, and the site has no web archive history at all. Read together, this is a very young product backed by an established IT publisher. For a company hiring continuously in a shortage occupation, 690 EUR a month can compare well with a percentage of annual salary. For anyone hiring occasionally, or needing certified guarantees today, the arithmetic and the roadmap both deserve a close look before signing.
