ActionSync
ActionSync is an enterprise AI assistant that connects Slack, Gmail, Drive, Notion, Jira and twenty other work tools, then searches across them, answers with sources and executes tasks. It runs inside your own cloud or on-premise.
What is ActionSync?
ActionSync calls itself the invisible intelligence layer for work. Published by Neocortex AI Pvt Ltd, an Indian company whose domain first appeared online in April 2024, it plugs into the tools a company already uses, builds a single searchable picture of what lives inside them, and then acts on it.
Four capabilities sit on top of that layer. AI Search queries Gmail, Slack, Google Drive, Confluence, Jira, Outlook, Notion and SharePoint at once, in two modes: Search returns the exact document or message, Ask returns a written answer with the evidence behind it. AI Chat answers in context, taking your role, your projects and your writing style into account, and links back to the original file rather than paraphrasing it. Actions and Proactive Agents move past question-and-answer: agents watch deadlines, conversations, blockers and opportunities, then draft follow-ups, flag risks, update tickets and prepare briefs on their own, either continuously or on a trigger. AI Data Analysis takes plain-language questions about spreadsheets, dashboards, reports and databases without requiring SQL.
Underneath, a per-user memory graph learns recurring tasks, project history, key stakeholders and goals, so two people in the same company get different assistants. Workspaces let you carve out separate spaces per product, department, client or leadership team, with role-based access and shared sources. Each team can run its own specialised assistant for sales, HR, marketing, engineering, support or leadership.
Twenty-five named connectors are listed, covering communication, CRM, documents, project management, advertising analytics and PostgreSQL. Forty-plus global languages and eleven Indian languages are supported, with cross-lingual retrieval: a German document can be found by an English question.
The architectural argument is the differentiator. ActionSync deploys inside the customer's own AWS, GCP, Azure or on-premise infrastructure, with full tenant isolation, AI execution inside the customer VPC and no data egress, and it supports private models including Claude, Gemini, GPT, Llama and Mistral. Pricing follows the same logic: a fixed licence instead of a per-employee-per-month subscription. The stated target is teams of 50 to 1,000+ employees.
What it does
- Answer a question from your emails, documents, messages, tickets and past conversations, and cite the source it used
- Search across Gmail, Slack, Google Drive, Confluence, Jira, Outlook, Notion and SharePoint in a single query
- Draft and send emails, summarise long threads and flag the messages that actually need you
- Create and update Jira tickets, documents and Confluence pages on your behalf
- Run proactive agents that watch deadlines, blockers and signals in the background, then act without being asked
- Summarise meetings, calls and unread threads, and produce briefs before a meeting starts
- Answer questions about spreadsheets, dashboards and databases in plain language, with no SQL to write
When to use ActionSync / When not to
A quick filter to help you decide if ActionSync is the right fit.
When to use ActionSync
- Technology and SaaS companies of 50 to 1,000+ employees whose knowledge is scattered across a dozen disconnected tools
- IT and security teams that have blocked cloud AI tools and need a deployment where company data never leaves the environment
- Sales and customer support teams that spend their day pulling context out of a CRM, a ticketing system and an inbox before they can answer
- HR and people operations teams handling policies, onboarding material and repetitive internal questions
- Regulated or air-gapped organisations in finance, healthcare, legal, defence and the public sector that need on-premise isolation
When not to use ActionSync
- Individuals and very small teams: the free Starter tier stops at three connected apps and five conversations a day, and the paid tiers are priced for organisations
- Anyone who needs the assistant on a phone or inside the browser: there is no iOS app, no Android app and no browser extension
- Developers who want to build on top of the platform: no public API is documented, and the integrations page still says the API is coming soon
- Creative work: nothing here generates images, video, music or code, and the connectors all point at business systems
- Companies with little internal documentation, since the assistant only knows what your existing tools already contain
How to use ActionSync
A typical end-to-end flow, from setup to results.
- Book a free demo on the site, or open a free account directly on the web app to try the Starter tier
- Decide on a deployment model: the vendor-hosted SaaS plan, or a private installation in your own cloud or data centre
- Connect your sources — three apps on the free tier, unlimited on the paid ones; a source added once can be shared with the whole workspace
- Wire up your existing identity provider through SSO with Okta, Azure AD or Google Workspace, using SAML 2.0, OIDC and SCIM for provisioning
- Let the indexing run; on premise the files stay where they are, with no copying or uploading, and the original permissions are preserved
- Create workspaces per product, department, client or leadership group, and set who sees what
- Ask questions in plain language: Search mode to retrieve a precise item, Ask mode for a summarised answer with its sources
- Trigger actions — draft an email, open a Jira ticket, write a Confluence page, update the CRM, summarise a meeting
- Turn on proactive agents, either running continuously in the background or fired by a specific trigger
- Track adoption through usage analytics and audit logs, both available on the Enterprise tier
Pros & Cons
Pros
- The software runs inside your own infrastructure with no data egress, which removes the objection that usually stops IT from approving an AI assistant
- Fixed licensing rather than per-seat billing: the Enterprise tier includes unlimited users, so the invoice does not grow with headcount
- Answers are sourced and linked, and the assistant respects the permissions already set in the connected tools
- It executes work — emails, tickets, documents, CRM updates — instead of only retrieving it, and agents can act unprompted
- A permanent free tier lets you evaluate the product before any commitment
- Broad language coverage with cross-lingual retrieval, including eleven Indian languages
- Full enterprise controls out of the box: SSO, SAML, OIDC, SCIM, granular RBAC, MFA, immutable audit logs and SIEM integration
Cons
- No data processing agreement is published or offered, and no subprocessor list exists, despite the GDPR claim
- No Article 27 EU representative and no data protection officer are named, and the governing law is Uttar Pradesh, India
- No independent certification is shown: SOC 2 appears only as a word in a page's meta description, with no attestation behind it
- Regional data residency is claimed but no hosting country or region is ever named, including for the SaaS tiers
- The Team and Enterprise prices are injected by JavaScript and only the annually billed rate is shown by default, so the monthly figure is not published
- There is no public API, no mobile app and no browser extension
- Only one contact address is published, no company officer is named anywhere on the site, and the customer testimonials and ROI figures are not independently verifiable
Pricing & Plans
ActionSync offers a permanent free plan, named Starter, limited to three connected applications and five conversations per day. The cheapest paid entry point is the Team plan at 12.00 USD per user per month when billed annually; the Enterprise plan is listed at 800.00 USD per workspace per month on the same annual terms. Monthly rates without an annual commitment are not published.

Data, GDPR & hosting
A consolidated view of how ActionSync handles your data.
GDPR overview
The security page states in one line that ActionSync is GDPR and CCPA compliant with regional data residency. Beyond that sentence, the paperwork is thin: no data processing agreement is published or offered, no subprocessor list exists, no Article 27 EU representative is named, no data protection officer is appointed and no European address is given. There is no documented procedure for exercising access, rectification or erasure rights, and the only published contact address is support@actionsync.ai. Governing law is the jurisdiction of Uttar Pradesh, India. What is documented is technical rather than legal: encryption at rest and in transit, full tenant isolation, granular role-based access, SSO through SAML 2.0, OIDC and SCIM, multi-factor authentication and immutable audit logs.
Who owns the data?
The application itself, its content and its features belong to Neocortex AI Pvt Ltd, the Indian company that publishes ActionSync. Everything you upload or connect stays yours, and the terms make you solely responsible for it. Connecting an external account grants the app read access for indexing and embedding only, to improve your own search results, and the vendor states it never shares or discloses that data to third parties. On private deployments the promise goes further: the software runs inside your own AWS, GCP, Azure or on-premise infrastructure, nothing leaves it, and the pricing page describes the data as one hundred per cent owned by the customer.
Reuse rights
Nothing in the terms restricts what you do with your own content or with the assistant's output: no licence is claimed over it, and no permission has to be requested to reuse it commercially. The restriction runs the other way. You may not reproduce, modify or distribute any part of the application without written consent from the publisher, and you may not use the service for unlawful purposes, harmful content, spam or anything that disrupts it. The vendor states it neither sells nor shares personal data, and that connected account data is never used to train generalised models, though it reserves the right to use chat data for performance evaluation.
Data retention & training
Hosting summary
Hosting depends entirely on the plan. On a private deployment, ActionSync is installed inside the customer's own infrastructure — AWS, GCP, Azure or on-premise — and the vendor commits that no data ever leaves that environment, that there is no shared storage between customers, that tenant isolation is complete and that AI execution happens inside the customer's VPC. Knowledge bases and activity logs stay isolated and are never sent to external servers. Multi-zone redundancy, automated failover and continuous backups are offered to enterprise customers. For the vendor-hosted Starter and Team tiers, nothing is disclosed: no hosting provider, no country, no region. The site states GDPR and CCPA compliance with regional data residency but never names a region. The publisher is registered in India and the terms are governed by the jurisdiction of Uttar Pradesh, which is the jurisdiction that would apply to any dispute regardless of where the data physically sits.
Things to keep in mind
Risks and trade-offs to weigh before adopting ActionSync.
- The assistant indexes emails, messages, documents and tickets: one misconfigured permission exposes the whole of the company's institutional memory at once
- Answers are generated from internal documents, so an outdated or wrong source is repeated back with the authority of the assistant, and people stop checking
- Proactive agents send emails and update tickets and CRM records on their own; a badly calibrated trigger writes into production systems without anyone asking
- The stated goal is to remove searching and reduce cognitive load, which over time erodes the direct familiarity with files and the shared team memory that made the knowledge worth keeping
- Audit logs, usage tracking and a live executive pulse on execution are governance tools that slide easily into surveillance of individuals
- Compliance claims are not backed by documents, so the legal risk of processing personal data through the tool stays with the customer
- Once the layer sits at the centre of every workflow, switching away is expensive, and no reversibility or data export procedure is documented
Setup & Integrations
Technical difficulty
Two very different levels. Day-to-day use needs no technical skill: you sign up, connect your accounts and ask questions in plain language. Enterprise deployment is an IT project. Installing inside your own cloud or data centre, wiring SSO through Okta, Azure AD or Google Workspace with SAML, OIDC and SCIM, and mapping workspace permissions all require an identity and infrastructure team. The vendor assigns implementation engineers and assisted setup to private deployments, claims deployment in days rather than months, and one customer reports going live in under two weeks.

Who is behind ActionSync?
Should you pick ActionSync?
ActionSync makes a sharp, well-argued bet: an enterprise assistant that does the work rather than merely finding the file, installed inside the customer's own infrastructure rather than the vendor's cloud. The product supports that bet. Search, chat, proactive agents, data analysis, workspaces, twenty-five named connectors and more than fifty languages form a coherent whole, and the fixed-licence pricing genuinely answers a real complaint about per-seat AI billing. Publishing two of three tiers, with a permanent free plan on top, is unusual in a category where most competitors hide behind a demo request.
The caution sits on the governance side. This is a young company — the domain dates from January 2024, both legal documents are version 1.0 from December 2025 — and the compliance paperwork has not caught up with the claims. GDPR and CCPA compliance is asserted in a single line, but there is no data processing agreement, no subprocessor list, no Article 27 representative and no named data protection officer, and the governing law is Indian. SOC 2 appears only in a page's meta description, never as an attestation. No hosting country is disclosed for the SaaS tiers, no company officer is named anywhere on the site, the customer testimonials carry names without organisations, and the productivity figures on the homepage are third-party market studies rather than measurements of this product.
None of that makes the tool a bad choice; it makes it a choice that needs a procurement conversation. For a technology company of 50 to 1,000+ employees with an IT team able to assess a private deployment, ActionSync is worth a pilot. Ask for the DPA, the subprocessor list, the hosting region and the security attestations in writing before signing.
