What is AI Receptionisten?
AI Receptionisten is a Dutch-language virtual receptionist that answers a company's phone calls and WhatsApp messages from one shared knowledge base. It does not replace the number customers already know: subscribers receive a 0970 number on loan and divert their existing landline, mobile or 085 line to it with standard carrier codes — *21* for every call, *61* only when nobody picks up, *67* when the line is busy, and #21# to cancel. The site documents the procedure for KPN, Vodafone/Ziggo and T-Mobile/Odido, as well as for PBX and VoIP setups such as Voys, Voipgrid, 3CX and FreePBX, and it recommends *61* so that staff still take the calls they can and the AI catches the rest. Businesses that would rather own their number can request an 085 line in their own name through an external partner, which requires a certified English KvK extract less than three months old.
Once live, the assistant answers questions from the knowledge base the customer supplies — opening hours, services, indicative prices, directions — books, reschedules and cancels appointments directly in the calendar without double bookings, sends SMS confirmations, and escalates to a mobile when a caller uses trigger words the customer defines, such as spoed or urgent. It handles several conversations at once, so callers are never put in a queue, and every conversation is available afterwards as a recording, a transcript and a trend inside the dashboard.
Eleven named Dutch voices are offered, female and male. Two of them, Ruth and Jessica, are multilingual and switch automatically to English, Spanish or German when the caller does. All of them can be auditioned free of charge and without an account on a dedicated page, using a sentence the visitor types.
WhatsApp is the heavier half of the setup: it requires activation through Meta's embedded signup and a fully completed Meta Business profile, and outside Meta's 24-hour service window approved templates apply and Meta bills the customer's own business account directly. The service is published from Almelo, in the Dutch region of Twente, and has been referenced by national broadcaster NOS.

GDPR overview
GDPR implementation is claimed explicitly and backed by concrete mentions. The vendor states it is AVG-compliant, offers a data processing agreement, and lists the rights it honours: access, rectification, erasure, restriction, portability and objection, with requests received on a customer's behalf forwarded to that customer. Breach notification follows the GDPR duty, with data subjects informed within 72 hours. Transfers outside the EEA are anticipated and covered by standard contractual clauses where legally required. Security measures are named: AES-256-GCM at rest, TLS 1.3 in transit, bcrypt at cost factor 12, role-based access control and daily encrypted backups. Dutch law applies, with the Overijssel district court competent. The privacy statement is dated 24 March 2026 and the terms 11 May 2026. No Article 27 representative is named, and none is required: the vendor is established in the Netherlands.
Who owns the data?
The vendor splits its role. Where it decides on its own how data is processed it acts as controller; where it processes on behalf of business customers it acts as processor, so the customer remains the owner of caller data. The customer is responsible for the lawfulness of the use, for the knowledge base and instructions supplied to the AI, and for telling callers they are speaking to an AI where the law requires it. Deletion can be requested at any time by emailing privacy@ai-receptionisten.nl, through the dashboard under Settings then Cancel Subscription, or, for end users who merely called a customer, directly with the vendor. Requests are processed within thirty days.
Reuse rights
Data is used to run the service, not resold or licensed onward. The stated purposes are delivering the receptionist service, answering questions and handling messages, scheduling and cancelling appointments, sending notifications and confirmations, securing, improving and administering the service, and customer support, invoicing and administration. The legal bases given are performance of the contract, legitimate interest, legal obligation and, where specifically needed, consent. Business customers keep access to their own conversations, recordings and transcripts through the dashboard and may export or delete them, and end users can request erasure of their own data. Analytics run on Umami, which the vendor states stores no personal data and sets no cookies; only functional cookies for authentication and sessions are used. Notably, the site never states whether customer data is used to train AI models, in either direction.

The site is inconsistent on this point and both statements should be read together. The help FAQ asserts plainly that all data is processed on EU servers. The privacy statement and the terms, however, both anticipate that personal data may be processed outside the European Economic Area by external processors and technology partners, with standard contractual clauses and other safeguards applied where legally required. No specific hosting country is named anywhere, and no hosting provider is identified: the privacy statement lists only categories of subprocessor — AI speech processing, telephony, messaging, payments and hosting. Daily encrypted backups are kept in geographically separated locations. Independently of these claims, the public website itself resolves to an IP address located in the Netherlands, which describes where the marketing site is served rather than where customer conversations are stored. Anyone with a strict EU-only requirement should get the position confirmed in writing before signing the data processing agreement.

Within that scope it is unusually concrete. The entry price of EUR 50 per month excluding VAT undercuts every human answering service the vendor lists on its own comparison page, where competitors start between EUR 75 and EUR 89, and the deployment really is light: a carrier forwarding code, no number portability, no hardware, no installation fee.
The commercial terms are more transparent than the category norm. The overage mechanism, the way unused bundle credit rolls over indefinitely, and the fact that it is forfeited on cancellation are all written down rather than discovered later. The privacy posture is similarly specific: appointment data is anonymised after five days, calls, transcripts and WhatsApp messages are deleted after thirty, encryption and hashing methods are named, and a data processing agreement is offered.
The reservations are real. Everything about the product is anchored in the Netherlands — Dutch numbers, Dutch carriers, Dutch documentation — so it does not travel. Reception minutes sit under a fair-use ceiling that is never quantified. Subprocessors are disclosed by category without a single supplier being named, and no security certification is published.
