Overview

What is Aktok?

Aktok is an AI-driven business automation platform published by Aktok Inc, a company incorporated under the laws of Prince Edward Island, Canada. It bundles six modules into a single subscription: a digital workspace, a CRM, an AI chatbot, live chat, project management and an appointment scheduler, alongside marketing automation and an AI sales assistant.

The vendor positions the product as an agentic operations platform rather than another dashboard. The founding story is candid about the problem it set out to solve: the team was running its own business on a CRM, a separate task manager, Slack, an automation layer and spreadsheets, seven tools that neither talked to each other nor learned anything. The stated ambition is that AI agents handle operational work such as follow-ups, project tracking, lead management and support, while people steer instead of chasing tasks.

Underneath, Aktok describes a modular, API-driven architecture across four layers: backend, frontend, AI infrastructure and an operations layer. The product is multi-tenant, with each workspace logically isolated and governed by administrators, members and role-based permissions. The AI features are concrete rather than decorative: conversational agents, lead scoring, intent classification, content generation and summarisation, predictive analytics, semantic search and pattern-triggered notifications. The model stack is disclosed in the privacy policy, naming Anthropic's Claude as the premium provider, Google Gemini for fallback and embeddings, Groq for the free tier, plus self-hosted Rasa and Qdrant, with several other providers listed as planned rather than active.

Every AI output is advisory. The platform is explicit that it makes no autonomous high-impact decisions and hands conversations to a human when a chatbot cannot answer confidently.

One caveat belongs in any honest description: the company describes itself as early-stage, writing that it has a working platform but not thousands of users and not a large team. Aktok runs in the browser only, with no iOS or Android application.

What it does

  • Centralise CRM records, projects, conversations and appointments in one shared workspace
  • Automate repetitive work through rules and triggers across the CRM and project modules
  • Deploy a no-code AI chatbot that qualifies and captures leads around the clock
  • Manage sales pipelines with custom stages, custom fields and email templates
  • Track email opens and website visits to time follow-ups
  • Run marketing campaigns with landing pages, forms and audience segmentation
  • Separate each client's work into its own project subspace

When to use Aktok / When not to

A quick filter to help you decide if Aktok is the right fit.

When to use Aktok

  • Small businesses replacing five to seven disconnected tools with a single subscription
  • Consultants and operators running ten to twenty client accounts, the audience the vendor names explicitly
  • Cross-functional teams in marketing, sales, support, HR and product who need role-based access to the same records
  • Companies that want their CRM and their chatbot inside one system rather than wired together with automation glue
  • Organisations comfortable backing a young vendor in exchange for unusually broad functional coverage

When not to use Aktok

  • Individuals looking for a personal productivity tool: the terms restrict the service to business use and to adults aged 18 or over
  • Teams that need a documented public API, as no API reference is published anywhere on the site
  • Buyers with procurement requirements for SOC 2, ISO 27001 or HIPAA, none of which Aktok claims
  • Workloads involving PCI DSS or HIPAA regulated data, which the acceptable use policy forbids without dedicated safeguards
  • Anyone who needs published pricing or native mobile apps before committing, since neither exists today

Pros & Cons

Pros

  • Functional coverage that is unusually broad for a vendor of this size: CRM, projects, chatbot, live chat, scheduling and marketing in one subscription
  • Legal documentation well above sector average, including a sub-processor table naming 27 services with their country and a retention table with concrete durations
  • A clear no-training commitment on general models, extended contractually to third-party AI providers
  • Three sensitive services self-hosted with no external transfer: Matomo for analytics, Rasa for NLP and Qdrant for vector storage
  • Canadian jurisdiction, which benefits from a European adequacy decision and simplifies transfers from the EEA and the UK
  • A 14-day trial with no card required, backed by a 14-day refund policy
  • Genuine portability: self-service CSV and JSON export, and cancellation from account settings without contacting support

Cons

  • No readable pricing anywhere on the site: the pricing page renders no tier and no amount in its HTML
  • The vendor states plainly that it is early-stage, with a small team and few users
  • No audited security certification is claimed, neither SOC 2 nor ISO 27001
  • No documented public API, despite an architecture presented as API-driven
  • No native mobile application for iOS or Android
  • The legal links in the main site footer all point back to the homepage, and the real pages are only discoverable through the help portal
  • The site's structured data contradicts its own legal pages on the postal address, the privacy contact email, the minimum age and the founding date

There is no permanent free plan. New accounts receive a 14-day free trial that requires no payment details, after which the account either converts to a paid subscription or access is suspended. A 14-day refund policy applies to the initial purchase and to renewals. Aktok does not publish its prices in a readable form: the pricing page loads its grid through a client-side widget and shows no amount in its HTML. The only figure exposed anywhere on the site is USD 5, carried in the structured data of the homepage and attached to the Advanced tier, with no billing period stated and no amount at all for the cheaper CORE tier. The entry price is therefore not public. Billing runs monthly or annually through Stripe, taxes excluded, with automatic renewal.

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how Aktok handles your data.

GDPR overview

GDPR implementation is documented in unusual detail for a vendor of this size. The privacy policy, effective 3 April 2026, sets out Article 6 legal bases, the full catalogue of data subject rights from Article 15 to Article 22, a 30-day response window extendable by 60 days, privacy by design under Article 25, impact assessments under Article 35 and breach notification within 72 hours under Article 33. Transfers rest on the European Commission's adequacy decision for Canada, with standard contractual clauses and transfer impact assessments for onward transfers to the United States. A data processing agreement is available on request. Two gaps are stated openly: no Data Protection Officer is appointed under Article 37, and no EU representative is designated under Article 27. The privacy contact is legal@aktok.com.

Who owns the data?

Customers keep full ownership of everything they put into Aktok. Section 7.1 of the terms states that CRM records, project data, files, messages and emails remain the customer's property and that Aktok claims no ownership. The vendor takes only a limited, non-exclusive, royalty-free licence to store and process that content in order to run the service, generate AI output inside the customer's own workspace and meet legal obligations; the licence ends when the content or the account is deleted. Where a customer stores third-party personal data, such as CRM contacts, Aktok acts as processor and the customer as controller. Data can be exported at any time in CSV and JSON.

Reuse rights

Customers may reuse their own data freely and without asking permission: self-service export in CSV and JSON is built into the platform, and the terms add a portability commitment to supply content in a structured, machine-readable format on request. Aktok's own use is bounded by purpose. Prompts and CRM context are sent to third-party AI providers for real-time inference only, and those providers are contractually barred from training on the data. The vendor states it does not train its general models on customer content, though workspace-specific models may be trained on that workspace's data and are deleted on termination. Enrichment results drawn from public sources may be cached and reused for other customers, but lookup activity never is. De-identified or aggregated data may be used for any lawful purpose, and the vendor states it does not sell personal information.

Data retention & training

Retention summary
Aktok publishes retention periods category by category. Account data, CRM and project management data and communication logs are kept for the duration of the account or workspace subscription plus 30 days, which doubles as a retrieval window. Server logs and error tracking data are kept 90 days, email tracking data 12 months, analytics data 26 months, and payment records seven years to meet tax and legal obligations. Backups are deleted 30 days after removal from primary systems. Once a period expires, data is securely deleted or anonymised; where backup deletion is not immediately practicable, the data is isolated and protected from further processing. Customers may request deletion at any time. Accounts inactive for twelve months may be removed after 30 days' notice, and workspace-specific AI models are deleted when the subscription ends.

Hosting summary

Aktok is based in Canada, and the privacy policy states that personal data may be processed there and in the countries where its sub-processors operate, principally the United States, Germany and France. Canada holds an adequacy decision from the European Commission and an equivalent UK adequacy regulation, so transfers from the EEA and the United Kingdom require no additional safeguards. Transfers onward to countries without adequacy, chiefly the United States, are covered by standard contractual clauses, the UK international data transfer addendum and transfer impact assessments. Three services run on Aktok-controlled infrastructure with no external transfer: Matomo for analytics, Rasa for natural language processing and Qdrant for vector retrieval. The site's own domain resolves to a German IP address hosted by Hetzner Online in Falkenstein. Security measures include TLS 1.2 or higher in transit, encryption at rest for sensitive data and bcrypt password hashing, on dedicated servers with firewalls and intrusion detection.

Things to keep in mind

Risks and trade-offs to weigh before adopting Aktok.

  • No public pricing: budgeting or comparing Aktok against alternatives is impossible without contacting the vendor first
  • The site's structured data contradicts its own legal pages on the postal address, the privacy contact email, the minimum age and the founding year, so confirm any sensitive fact directly with the company
  • The vendor is early-stage by its own admission, which carries the usual risks of roadmap changes, feature gaps and service continuity
  • Consolidating CRM, projects, support and marketing into one supplier concentrates operational dependency: plan an export routine rather than relying on the vendor's continuity
  • Workspace-specific models may be trained on your own data, so the no-training commitment does not cover every case and deserves reading in full
  • Lead scoring, deal health and intent classification shape human judgement over time; treat them as suggestions and keep reviewing the reasoning behind a ranked list
  • An always-on AI chatbot answering customers unattended can misinform them, and the vendor states plainly that AI output may be inaccurate or biased and is the customer's responsibility to review
Setup

Setup & Integrations

Technical difficulty

Low to moderate, and no developer is required. Sign-up is self-service, the trial needs no card, and the chatbot builder is explicitly no-code. The real effort sits in configuration rather than installation: workspaces, roles and permissions, CRM pipelines, custom fields and per-client subspaces all need thought before the platform earns its keep. Migrating from existing tools is the harder part, and the vendor sells implementation, data migration, AI configuration and training packages precisely for that reason. With no documented public API, bulk data import and non-standard integrations may require vendor assistance.

FAQ

Frequently asked questions

What is Aktok?
Aktok is an AI business automation platform from the Canadian company Aktok Inc. It brings a CRM, project management, AI chatbots, live chat, appointment scheduling and marketing tools together in a single workspace, so that a team can run its operations without switching between separate applications.
How much does Aktok cost?
The company does not publish readable prices. Three tiers are named on the site, CORE, Advanced and Enterprise, but the pricing page renders its grid client-side and shows no amount in its HTML. The only published figure, USD 5, appears in the site's structured data and is attached to the Advanced tier with no billing period stated. Expect to contact the vendor for a quote.
Is there a free trial or a free plan?
There is a 14-day free trial and it requires no payment details unless otherwise specified. There is no permanent free plan: when the trial ends, the account either converts to a paid subscription or access is suspended. A 14-day refund policy also applies to the initial purchase and to renewals.
Is customer data used to train AI models?
Not for Aktok's general models, and third-party providers are contractually barred from training on it. There is one documented exception worth knowing about: models specific to a single workspace may be trained on that workspace's own data. They serve only that workspace and are permanently deleted when the subscription ends. Workspace administrators can enable or disable AI features and control which data sources they reach.
Which AI providers does Aktok rely on?
The privacy policy names Anthropic's Claude as the premium model, Google Gemini for fallback and embeddings, and Groq for the free tier, alongside self-hosted Rasa for intent classification and Qdrant for vector retrieval, plus Google Dialogflow. OpenAI, Cohere, Voyage AI and Mistral are listed as planned rather than active.
Where is the data hosted, and is Aktok GDPR compliant?
Aktok is based in Canada and data may be processed there and in its sub-processors' countries, mainly the United States, Germany and France. Canada holds a European adequacy decision, so transfers from the EEA need no further safeguards. The privacy policy documents Article 6 legal bases, the full range of data subject rights and 72-hour breach notification. No Data Protection Officer and no Article 27 EU representative are appointed, and the vendor says so explicitly.
How long does Aktok keep data?
Retention is published category by category. Account, CRM and project data are kept for the life of the subscription plus 30 days, server logs for 90 days, analytics for 26 months, email tracking for 12 months and payment records for seven years. Backups are purged 30 days after deletion from primary systems. Deletion can be requested at any time.
Does Aktok offer an API and mobile apps?
No public API documentation is published on the site, even though the architecture is described as API-driven, and there is no iOS or Android application. Aktok runs in the browser. The site names WordPress, Shopify and WooCommerce as integrations, with Stripe handling payments and Google OAuth handling sign-in.
Who can use Aktok, and can I get my data back?
The service is intended for business use by people aged 18 or over, and the terms exclude personal consumer use. Customers keep ownership of everything they put in and can export it themselves in CSV and JSON at any time. Subscriptions can be cancelled from account settings without contacting support.
Conclusion

Should you pick Aktok?

Aktok is an ambitious product from a company that makes no attempt to look bigger than it is. The functional coverage is genuinely broad for a vendor of this size, and the legal documentation is better than most of the sector manages: a sub-processor table naming twenty-seven services with their locations, a retention schedule with real durations, and a dedicated AI transparency notice written against the European AI Act. Three sensitive components are self-hosted, and Canadian jurisdiction removes the usual transfer friction for European buyers.

The reservations are equally clear. No price is published in readable form, which makes the product impossible to budget or compare without a sales conversation. The company describes itself as early-stage and says outright that it does not have thousands of users. There is no audited security certification, no public API reference and no mobile application. And the site contradicts itself in places worth checking before signing anything: its structured data carries a different postal address, a different privacy contact, a minimum age of thirteen against the eighteen written into the terms, and a founding year that does not match its own account of being at the beginning.

What limits the risk of finding out is the trial itself. Fourteen days without a card, a fourteen-day refund window, self-service export in CSV and JSON and cancellation from account settings together mean a team can evaluate Aktok properly and leave without friction. That makes it a reasonable candidate for a small business or an independent consultant tired of maintaining five tools, and a poor fit for an organisation whose procurement process starts with certifications and reference customers.
