Overview

What is Connecteam?

Connecteam is a workforce management platform published by Mobilesson Ltd. It is built for deskless and frontline staff, the people who work on sites, in vehicles, in kitchens, on shop floors or in patients homes rather than at a desk. The About page frames the mission around the almost 3 billion people worldwide who hold manual jobs.

The product is organised into three hubs that can be bought separately. Operations covers the time clock, scheduling, forms and checklists, and tasks. Communications covers chat, the news feed, the company directory, surveys, events, a knowledge base and a help desk. HR & Skills covers time off, courses and quizzes, documents with e-signature, recognition and rewards, recruitment, onboarding, the org chart and the employee timeline. Each hub has its own tiers, so a company can mix levels between hubs.

A cross-cutting AI layer sits on top and is the headline novelty: AI Agent answers from the workspace internal resources, Auto Scheduling (Scheduling Genius) builds rosters from availability, roles, fairness and constraints, AI Course Creator turns a description into a full course, Magic File-to-Form converts a photographed paper form into a digital one, Smart Voice Input captures, summarises and sorts spoken answers, and AI Updates & Translate rewrites and translates announcements and chats. The vendor claims a 75% drop in knowledge-related errors, 10 hours saved per month on scheduling and a 92% cut in training preparation time.

Delivery is mobile-first: employees work from the iOS and Android apps while managers use a web dashboard. A public REST API and webhooks are documented on developer.connecteam.com and open from the Expert tier. Connecteam claims more than 80,000 businesses and 1.8 million users, with 90,000 businesses quoted on its Enterprise page and 80 countries served at the time of its Series C. Thirty industries are addressed, from construction and cleaning to healthcare, food service, retail, security, logistics, real estate, fitness and education. The Enterprise page displays ISO 27001, SOC 2, HIPAA, GDPR Aligned and SSO badges, and live support is advertised around the clock.

What it does

  • Build and publish staff schedules, with an AI generator that arbitrates availability, roles, fairness and constraints
  • Track hours with GPS, geofencing and automatic clock-out, then export payroll-ready timesheets to Gusto, QuickBooks, ADP, Paychex Flex or Xero
  • Broadcast announcements and run individual or group chat with read confirmation and automatic translation
  • Collect forms and checklists from the field with photos and signatures, and digitise a paper form by photographing it
  • Generate a complete training course and its quizzes from a short description
  • Query an AI agent that answers from the company knowledge base and internal resources
  • Manage time off, e-signed documents, onboarding, the org chart and employee recognition

When to use Connecteam / When not to

A quick filter to help you decide if Connecteam is the right fit.

When to use Connecteam

  • Managers of deskless workforces with no fixed workstation: construction, cleaning, healthcare, food service, retail, field services, logistics and security.
  • Very small businesses under 10 employees, who get the Small Business Plan free for life with all three hubs and every feature.
  • Growing teams of 1 to 30 employees, billed at a flat price whatever the headcount within that range.
  • Large deskless employers of 201 to 10,000 staff, for whom the site recommends the Enterprise plan with SSO, 2FA and a dedicated success manager.
  • Non-technical managers and multilingual crews: setup is announced in a day with no IT or consultants, and chats and announcements are translated automatically.

When not to use Connecteam

  • Fully office-based teams: the product is designed for the field, not for desk workers.
  • Organisations looking for integrated payroll: Connecteam exports timesheets to third-party payroll systems, it does not run payroll itself.
  • Buyers who need a HIPAA account at no extra cost: HIPAA is billed as an add-on on every tier, Enterprise included.
  • Teams on a small budget that need API access, webhooks or automated reports: these start at the Expert tier, while SSO, 2FA and biometric app lock are Enterprise only.
  • Buyers outside the dollar zone who need local pricing, and anyone planning to feed personal data into the AI features, which the AI Terms of 10 November 2025 forbid.

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how Connecteam handles your data.

GDPR overview

Connecteam devotes a dedicated page to the subject, stating that it is GDPR ready and acts as processor while its customers are controllers. A data protection officer is named, Advocate Chen Shofar, at dpo@connecteam.com. Maetzler Rechtsanwalts GmbH & Co KG is designated as the Article 27 representative in the European Union, reachable through the Prighter form, which also serves as the EU and UK privacy contact point. A data processing agreement is published online, with a signed copy available on request, and standard contractual clauses cover transfers to non-EU subprocessors, with a UK addendum and a Swiss adaptation. The subprocessor list is public, with locations and transfer mechanisms. The site states that Israel benefits from adequacy findings. A deleted profile stays in backup for 180 days, and the right to complain to a supervisory authority is recalled. Privacy notice updated 25 March 2026.

Who owns the data?

Section 8.1 of the Terms states that nothing in the agreement assigns or grants Connecteam any right, title or interest, including intellectual property rights, in or to User Content: the customer keeps ownership of what it puts in. Section 8.2 reserves the platform, the apps, the services including the API, and every element other than User Content, to Connecteam and its licensors. Under the AI Terms of 10 November 2025, Connecteam assigns to the customer all of its right, title and interest in the generated Output, to the extent available to it, while warning that similar submissions may produce identical or similar Output for other users. For workspace data Connecteam acts as processor and the customer as controller; Mobilesson Ltd. is the Database Controller under Israeli privacy law.

Reuse rights

Customers may reuse their own User Content and the AI Output freely, without seeking Connecteam permission: ownership of the input never transfers and rights in the Output are assigned to the customer. The AI Terms state that Connecteam may not use User Content to train or improve its AI Features across its Services, and will not actively permit its AI service providers to train or improve their models on it; the declared AI subprocessors are Azure OpenAI in Sweden Central, OpenAI, Anthropic and Firebase. User Content and Output may still be processed to provide and maintain the Services, comply with the law and enforce the Terms. Separately, the privacy notice of 25 March 2026 describes collection for service delivery, support, billing, security, fraud prevention, and advertising and audience research on the marketing site; calls and meetings with prospects are recorded to train staff and steer the AI sales representative. California residents can object to the sale or sharing of cookie data through a dedicated form.

Data retention & training

Retention summary
Connecteam keeps personal data for as long as needed for the relationship, its legal and contractual obligations, and protection against possible disputes (privacy notice 11.1), and may extend that period for legal, regulatory, tax, audit or accounting reasons, or where litigation is foreseeable (11.2). Where Connecteam acts as processor, the customer sets the duration: an archived profile is kept until the customer deletes it (11.3), and the data processing agreement retains personal data for the term of the contract unless otherwise agreed. A profile deleted by an administrator is held in backup for 180 days, and when an account is closed the administrator chooses between keeping the backup and permanent deletion. No figure is published for the other data categories. Questions on retention go to privacy@connecteam.com. Privacy notice updated 25 March 2026.

Hosting summary

Customer data is stored primarily in the European Union: Microsoft Azure in the Netherlands, with backup in Ireland, and Amazon Web Services in Germany. The AI features run on Azure OpenAI in the Sweden Central region. Encryption in transit and at rest is claimed on the GDPR page. Several subprocessors declare the United States as their primary location, among them Firebase, OpenAI, Anthropic, Cloudflare, Twilio, Nexmo and Tango Card, while Coralogix, used for log management, is primarily located in the EU. Transfers outside the European Union are framed by standard contractual clauses, with a UK addendum and a Swiss adaptation set out in the data processing agreement. The group entities are Mobilesson Ltd. as parent, Connecteam Inc. in the United States and Connecteam AUS Pty Ltd in Australia, with support providers in the Philippines, Guatemala and Cyprus. The subprocessor list is published with each entry primary location and transfer mechanism.

Things to keep in mind

Risks and trade-offs to weigh before adopting Connecteam.

  • Total cost is hard to anticipate: three hubs are billed separately, a per-user price applies beyond 30 users, and a HIPAA account is charged as an extra on every tier
  • Prices are in USD only, so buyers outside the dollar zone carry the exchange-rate risk, and amounts prepaid under monthly billing are not refunded
  • The AI features contractually forbid entering personal data such as names, phone numbers, addresses, emails or birth dates, a rule field staff can easily forget
  • Location tracking: the Breadcrumbs option follows position during working hours only, but the device must be set to allow location Always, which employees may experience as surveillance
  • Administrators may view all of the employees information and access all data uploaded by an employee, so admin rights need real internal governance
  • Leaning on AI-generated rosters, courses, summaries and translations without human review can let errors spread quietly and erode the operational judgement of managers and trainers
  • The ISO 27001, SOC 2 and HIPAA badges shown on the Enterprise page could not be inspected because the Trust Center returned a missing page, and the published address is that of the New York subsidiary while the publisher is Israeli with exclusive jurisdiction in Tel Aviv Jaffa
Setup

Setup & Integrations

Technical difficulty

Low. Connecteam announces a full setup in a day, with no IT department, consultant or long onboarding, and states that employees need no prior training because the interface resembles the consumer apps they already use. Administrators create staff profiles manually, by file import, or through an API or SFTP connection to their own systems. Live support 24/7 and a help centre are available, and large accounts are offered a guided implementation announced in a few weeks. Payroll and POS integrations must be configured per target tool, and the API and webhooks are only available from the Expert tier.

Conclusion

Should you pick Connecteam?

Connecteam is a mature and unusually broad product aimed at a population most HR information systems ignore: employees who never sit at a desk. One mobile app covers scheduling, GPS time tracking, forms and checklists, tasks, chat and announcements, training, time off, e-signed documents, onboarding and recognition, sold as three hubs that can be bought and tiered independently.

The pricing model is readable for small organisations, free for life under 10 employees and flat up to 30 users, but becomes harder to forecast once several hubs are combined and the headcount passes 30. Prices are in USD only, a HIPAA account costs extra on every tier, and the features larger buyers expect, API, webhooks, SSO and 2FA, sit at the top of the range.

The data posture is solid on paper: the AI Terms rule out training on customer content, subprocessors are published with their locations and transfer mechanisms, primary hosting is in the European Union, a DPO and an Article 27 representative are named, and a DPA is available. Two reservations follow: the AI features contractually forbid entering personal data, which restricts real field use, and the certifications shown on the Enterprise page could not be inspected because the Trust Center returned a missing page at the time of collection. Grey areas remain, with no incorporation date published and no address for the Israeli head office although the privacy notice places the company there.

The AI layer is utilitarian rather than a general-purpose assistant: it schedules, retrieves, generates and digitises. For any deskless team, Connecteam is a serious candidate, provided the total cost is modelled hub by hub before signing.
