Conversica
Conversica is an enterprise platform of conversational AI Agents that hold two-way email, SMS and chat conversations with prospects and customers around the clock, qualifying leads, resolving service questions and driving renewals inside existing CRM workflows.
What is Conversica?
Conversica, Inc. sells a software-as-a-service platform of conversational AI Agents that talk to a company's prospects and customers instead of broadcasting messages at them. The company brands itself The Conversation Company, and its premise is that a two-way exchange converts where a one-way email stalls.
The agents are organised around three jobs. On acquisition, they follow up on event registrations, ad clicks, content downloads, ABM programmes, microsites, channel-partner leads, inbound web forms and outbound campaigns, qualifying interest and booking meetings. On service, they answer recurring product and account questions, update plans, preferences and payment details, handle subscription pauses and billing disputes, and escalate complex cases without dropping the thread. On retention, they trigger renewals, propose upgrades and expansions, and re-engage inactive accounts.
Each agent is trained on the customer's own policies, tone, workflows, approved answers, documentation and escalation protocols, and ships with industry-tuned flows — the automotive agent understands service intervals, trade-ins, inventory questions and scheduling. Conversations run over email, SMS, chat and messaging apps, 24/7, in what the company describes only as any language you need. Conversica positions itself as an orchestration layer above the CRM, marketing automation platform, CDP and partner tools, and the agents act rather than merely reply: they send assets, schedule meetings, trigger workflows and write qualified conversations back into the CRM with their context intact.
The verticals are explicit — automotive, under the Ignite by Conversica sub-brand, plus sports and entertainment, hospitality, large enterprise and higher education. Named product integrations are published for automotive only: DealerSocket, CDK and VinSolutions. The company claims 1.5 billion conversations across more than 2,000 teams, and names references including the New York Islanders, Iron Mountain, the University of Miami, the Pittsburgh Pirates and Louisville City FC.
Security is treated as a selling point rather than a footnote: annual SOC 2 Type 2 audits, ISO 27001:2013 certification, regular penetration testing, AES 256 at rest and TLS 1.2 or above in transit, multi-factor authentication across segregated AWS accounts, and a 97.50% monthly availability commitment. There is no self-service sign-up and no published price — every route on the site ends at a demo request.
What it does
- Follow up and qualify every inbound lead around the clock, without a human touching it
- Answer product, account and billing questions directly inside the conversation
- Book meetings, demos and appointments straight into the calendar
- Reopen cold leads and reactivate dormant accounts
- Trigger renewals, upgrades and cross-sell conversations at the right moment
- Update plans, preferences and payment details on the customer's behalf
- Escalate complex cases to a human and push the qualified conversation into the CRM with its full context
When to use Conversica / When not to
A quick filter to help you decide if Conversica is the right fit.
When to use Conversica
- Sales and marketing teams that generate more leads than their reps can physically follow up on, and want every enquiry answered within minutes rather than days
- Car dealerships and dealer groups, from a single rooftop to an 80-store operation, covering showroom leads, service-lane bookings and F&I conversations
- Sports franchises, venues and entertainment brands working ticket sales, season-ticket renewals and dormant account reactivation
- Customer support and success teams buried under repetitive product, account and billing questions that never needed a human in the first place
- Procurement-heavy enterprises that will not sign without SOC 2 Type 2, ISO 27001, a Data Processing Addendum and Standard Contractual Clauses on the table
When not to use Conversica
- Individuals and small teams who want to try a tool the same afternoon: there is no self-service sign-up, no published price and no route to the product except a sales demo
- Anyone needing to process sensitive data — the Terms of Service explicitly forbid using the service for payment card data, financial account numbers, HIPAA protected health information or social security numbers
- Consumer-facing use by minors: the privacy policy sets a minimum age of 18, and the service is contracted with organisations rather than individuals
- Teams that need a mobile app or a browser extension, since Conversica ships as a web platform and an API only
- Buyers looking for a general-purpose writing or content assistant: the scope here is customer conversation, not creation
How to use Conversica
A typical end-to-end flow, from setup to results.
- Fill in the demo request form on the site with your name, work email, company and phone number, since there is no self-service sign-up
- Meet the Conversica team to define the outcome you are buying — lead qualification, reactivation, appointment booking or service deflection — and pick the matching AI Agent
- Audit your own material first: historical tickets, call logs and knowledge bases reveal the recurring questions the agent will have to handle
- Segment those questions by persona so the agent's tone and technical depth match who is asking
- Train the agent on your approved answers, documentation, policies, brand tone and escalation protocols
- Map questions to actions rather than to static replies, so a conversation can end in an upgrade or a booking
- Connect your data sources and destinations — website, CRM, marketing automation, DMS — with the integrations agreed in your Order
- Launch from the prebuilt campaign libraries where they exist, instead of starting from a blank page
- Route escalations to the right human team and confirm the handoff carries the conversation context
- Review unresolved questions monthly and feed them back into the agent's knowledge base
Pros & Cons
Pros
- A compliance base most AI vendors cannot match: DPA built into the contract, EU and UK Standard Contractual Clauses, certification to all three Data Privacy Frameworks, annual SOC 2 Type 2 and ISO 27001:2013
- Commitments are numbers, not adjectives — 97.50% monthly availability with a termination right if it is missed twice, and first-response targets of 60 minutes, 4 hours and 24 hours by severity
- The agents act rather than just reply: they book meetings, send documents, trigger workflows and write back into the CRM with context
- Genuine verticalisation, with named dealer-system integrations and hands-on onboarding in automotive and hospitality
- End-of-contract deletion is spelled out: begun within 30 days, logical deletion then overwriting or cryptographic erasure, media destroyed per NIST SP 800-88
- Customer data can be exported at any time during the subscription, at no extra charge
- A long track record and named, quantified customer references across several very different industries
Cons
- No public pricing whatsoever — no page, no range, no billing unit — and the homepage's own plans link returns a 404
- No way to evaluate the product without going through a salesperson; the Service Trials in the Terms are granted at Conversica's discretion
- The vendor never states whether customer conversations are used to train AI models, and documents no opt-out either way
- No public API documentation: only the API Terms of Service are readable, the docs themselves sit behind a customer account
- The Trust Center is a fully JavaScript-rendered page, so the subprocessor list it hosts cannot be read without a browser — and the subprocessor URL quoted in the DPA's own annex is dead
- Not a single link to an official social profile anywhere on the site, and robots.txt blocks every crawler except Googlebot
- No mobile app or extension, and no published list of supported languages despite the any-language claim
Pricing & Plans
Conversica publishes no price. There is no pricing page anywhere on the site — the homepage's own plans link returns a 404 — and no rate, tier or billing unit is disclosed. Subscriptions are negotiated per Order. The Terms of Service specify that all amounts are denominated and payable in United States Dollars, billed in advance from the start of the subscription term, by card or on 30-day invoice, with a 2% monthly late charge and non-refundable fees. The Terms also refer to time-limited Service Trials granted at Conversica's discretion and to Free plans subject to usage limits, but no permanent free plan is presented or described anywhere on the marketing site.

Data, GDPR & hosting
A consolidated view of how Conversica handles your data.
GDPR overview
GDPR provisions are concrete and unusually well documented. A Data Processing Addendum is built into the Terms of Service and applies to every paying customer, naming the customer as controller and Conversica as processor. Transfers rely, in order, on the EU-U.S. Data Privacy Framework with its UK extension and the Swiss-U.S. DPF — Conversica is certified with the U.S. Department of Commerce for all three — then on the 2021/914 EU Standard Contractual Clauses with the UK addendum. A Data Protection Officer is reachable at privacy@conversica.com. Subprocessors are listed on trust.conversica.com with ten days' notice before any change and a right of objection. Data subject requests are relayed to the customer within ten business days, incidents notified within forty-eight hours, and the annual SOC 2 Type 2 report supplied on request. Policy effective 14 December 2023.
Who owns the data?
The customer owns its data outright. Section 6.1 of the Terms of Service states that the customer exclusively retains all right, title and interest in its Customer Data and Confidential Information, granting Conversica only the right to process that data as needed to deliver the service. Under the Data Processing Addendum the customer is the controller and Conversica the processor; under the CCPA the customer is the Business and Conversica a Service Provider. Customer Data can be accessed, retrieved and exported from the platform at any time during the subscription term at no extra charge. Conversica owns the service itself, its documentation and — a point worth noting — any feedback or suggestions the customer sends.
Reuse rights
Conversica's own use of customer data is bounded by the customer's documented instructions, which the Data Processing Addendum defines as the agreement, the DPA and any Order. Beyond delivering, supporting and improving the service, section 6.2 of the Terms permits Conversica to use usage and performance data in aggregated form, stripped of any personal data, to analyse and improve the service and optimise its operations, and the DPA adds that it may deidentify or aggregate personal data and process it to counter fraud and to analyse and improve its products, services or systems. The customer, for its part, warrants that it holds the consents of every individual whose contact details it submits, and must honour opt-out requests. Nowhere does the site state whether customer conversations are used to train AI models, and no opt-out from such training is documented.

Hosting summary
The privacy policy is explicit on jurisdiction: personal information may be transferred to and maintained on computers outside your own country, and users located outside the United States are told plainly that their personal information is transferred to the United States. No data centre, cloud region or second country is ever named, although the homepage lists data residency among the platform's capabilities and the Data Processing Addendum's security annex refers to multiple segregated AWS accounts behind virtual private clouds, VPNs and security groups. Encryption is specified: AES 256 at rest and during processing, TLS 1.2 or above in transit, with inbound and outbound transfers over HTTPS API, SFTP and SSH, all access requiring multi-factor authentication. Subprocessors are listed on the Trust Center, which is rendered entirely in JavaScript and therefore cannot be read without a browser — and the alternative subprocessor URL quoted in the contract's own annex no longer resolves.

Things to keep in mind
Risks and trade-offs to weigh before adopting Conversica.
- You cannot budget before the sales call: nothing about price, tiering or billing unit is public, so the first real number arrives inside a negotiation
- Contracts renew automatically for the same duration unless you give written notice 60 days before the term ends, fees are non-refundable and purchased quantities cannot be reduced mid-term
- Conversica's position on using customer conversations to train AI models is simply not stated, and no opt-out is documented — a blind spot worth raising in writing before signing
- You carry the consent risk: the Terms make you warrant that you hold the necessary rights and consents for every person whose contact details you submit, and the Prohibited Use Policy makes you responsible for honouring opt-out requests
- Personal data is transferred to and maintained in the United States, which is a decision to make consciously if your data subjects are European
- The agent is only as accurate as the knowledge base you feed it; automating a bad answer simply delivers it faster, to more people, at all hours
- Liability is capped at the fees paid in the preceding twelve months — and at USD 100 for API and Free & Beta usage — while Conversica may use your name and logo in its marketing for the duration of the subscription
Setup & Integrations
Technical difficulty
Moderate, and mostly on your side. There is no self-serve start: you meet the team, define the outcome and get matched with an agent. Conversica supplies industry-tuned flows and prebuilt campaign libraries, and handles white-glove onboarding in automotive and hospitality, including DMS connection. You supply the substance — approved answers, tone, policies, escalation protocols — and decide which data sources and destinations the agent touches, with integrations contracted in the Order. Developers get an API, SDKs and command-line tools, but any integration application must pass Conversica's testing and approval before going live. Results are advertised within days.

Should you pick Conversica?
Conversica is an enterprise purchase, and it behaves like one from the first click. There is no trial, no price and no product page you can poke at — the only route in is a demo request, and everything you learn beforehand comes from the marketing pages and the legal documents. That opacity is the honest headline of this review.
What sits behind it is substantial. The contractual base is stronger than most AI vendors bother with: a Data Processing Addendum written into the Terms, EU and UK Standard Contractual Clauses, certification to the EU-U.S., UK and Swiss Data Privacy Frameworks, annual SOC 2 Type 2 audits, ISO 27001:2013, and an end-of-contract deletion procedure that names its own standard. The service commitments are numbers rather than adjectives, and the automotive vertical goes as far as naming the dealer systems it plugs into.
The gaps matter too. Conversica never says whether customer conversations feed model training, and offers no opt-out either way — an odd silence for a product whose entire substance is customer conversations. The Trust Center that hosts the subprocessor list cannot be read without a browser, and the URL the contract itself points at is dead. Several legal documents predate the current site by years, and a link on the homepage returns a 404.
The right reader is an organisation with more leads or more inbound questions than it can answer, whose procurement team will ask for SOC 2 and a DPA before anyone discusses features. If that describes you, the demo is worth the hour. If you wanted to test something this week, or to know what it costs before speaking to anyone, this is not that kind of product.
