Overview

What is Fireflies.ai?

Fireflies.ai is an AI assistant built around work conversations. It is published by Fireflies.AI Corp., a US company co-founded by Krish Ramineni (CEO) and Sam Udotong (CTO), whose team is described as spread across 20 countries and 47 cities, and the domain has been archived since July 2016. The product started life as a meeting notetaker and now presents itself as "The #1 AI Assistant For Your Meetings", extended to email, chat, CRM and connected applications. Meetings reach the platform in several ways: a bot invited by email at fred@fireflies.ai or auto-joining from a connected calendar, a Chrome extension that records Google Meet without a bot in the room, mobile and desktop apps, dialers, the API, or a direct upload of MP3, MP4, WAV and M4A files. The publisher claims 95% transcription accuracy across 100+ languages, with speaker recognition and automatic language detection. Several assistants sit on top of the transcript. AskFred answers questions about meeting content and generates material from it. Live Assist provides suggestions, coaching and answers in real time during the call. AI Skills, a catalogue of more than 200 automations, run on meetings to fill a CRM, score a candidate, extract action items or flag a deal at risk. Voice Agents place calls autonomously, each one ending with its own transcript and summary. Conversation intelligence adds talk-time per speaker, sentiment analysis, AI filters and topic trackers, while an MCP server exposes meetings to Claude, ChatGPT and Devin. The adoption figures shown on the site are publisher claims, and they do not agree with one another: "1 million+ companies" on the home and pricing pages, "500,000+ organizations" on the Security and About pages, and "75% of Fortune 500 companies" in the FAQ, next to a displayed rating of 4.8/5. They are best read as marketing statements rather than as measured facts. On the compliance side, the site displays SOC 2 Type II, GDPR, HIPAA with a BAA at Enterprise level, and FERPA, with 256-bit AES encryption at rest, SSL/TLS in transit and a database hosted in a virtual private cloud. The interface itself is offered in English, Spanish, German, French and Brazilian Portuguese.

What it does

  • Join and record Zoom, Google Meet, Microsoft Teams, Webex and a dozen other platforms, with speaker recognition and automatic language detection
  • Produce AI summaries structured as an overview, key points, action items and custom notes
  • Search the entire meeting history down to the sentence and the timestamp
  • Ask AskFred about what was said and generate follow-ups from it
  • Trigger AI Skills that fill the CRM, score a candidate, extract action items or flag a deal at risk
  • Triage the inbox and pre-write replies with the Email Assistant, and let Voice Agents place screening, discovery or follow-up calls
  • Push notes and transcripts into Slack, CRM, ATS, task and storage tools, and analyze talk-time, sentiment, questions and tracked topics

When to use Fireflies.ai / When not to

A quick filter to help you decide if Fireflies.ai is the right fit.

When to use Fireflies.ai

  • Sales and revenue teams that want call notes to reach the CRM on their own, with deal-risk flags and talk-time coaching data.
  • Recruiting teams running interviews at volume, with candidate scoring and hand-off into Greenhouse, Lever or BambooHR.
  • Product managers and user researchers who need every interview transcribed, searchable and quotable months later.
  • Distributed teams holding multilingual meetings, thanks to automatic language detection and the multilingual mode.
  • Individuals and small teams testing the category, since the free plan covers unlimited transcription and AI summaries.

When not to use Fireflies.ai

  • Teams that need conventional sign-in: accounts are created only through Google Auth or Outlook Auth, and SSO with SCIM is reserved for Enterprise.
  • Healthcare organizations on Free, Pro or Business: HIPAA coverage and the BAA exist only at Enterprise level and are granted on request.
  • Anyone expecting real volume from the free plan, where storage is capped at 400 minutes for the entire workspace and video recording is absent.
  • Organizations that record long sessions, since recording length is capped at 2 hours on Free and Pro, 3 hours on Business and 4 hours on Enterprise.
  • Meeting cultures where a recording bot would not be acceptable to every participant, or where named speaker labels matter outside Google Meet and Zoom, the only two platforms where they work.
Get started

How to use Fireflies.ai

A typical end-to-end flow, from setup to results.

  1. Create an account through Google Auth or Outlook Auth; there is no email and password sign-up, and no credit card is required to start on the free plan.
  2. Connect your calendar so the notetaker joins scheduled meetings automatically, or invite fred@fireflies.ai to a specific meeting.
  3. If a bot in the room is unwelcome, install the Chrome extension instead, which records Google Meet directly.
  4. Without a calendar connection, upload audio or video files, or capture conversations through a supported dialer or the API.
  5. Install the mobile apps for iOS and Android and the desktop app to capture and review outside the browser.
  6. After the meeting, open the recap: transcript, AI summary and action items, with playback speeds, timestamped notes and comments.
  7. Share the recap by link, with workspace teammates or with participants only, and set privacy per meeting or as a default in Meeting Settings.
  8. Organize the archive with team workspaces, public and private channels, and user groups.
  9. As an administrator, configure the rules engine, the super admin role, audit logs and custom data retention on Enterprise.
  10. As a developer, use the GraphQL API documented on docs.fireflies.ai to upload audio, read or delete transcripts and manage users and roles, with customizable NLP.

Pros & Cons

Pros

  • A permanent free plan with unlimited transcription and AI summaries, which is uncommon in this category
  • A low paid entry point at 10 USD per seat/month on annual billing, with no platform fee and no seat minimum, a point the publisher stresses in its own comparison with Gong
  • Broad capture coverage across Zoom, Google Meet, Microsoft Teams, Webex and others, with 100+ business integrations and a claimed 100+ transcription languages with automatic language detection
  • A scope that goes beyond the meeting itself: email triage, Slack summaries, outbound calls and CRM updates
  • A clear no-training stance, backed by a zero-day retention policy imposed on the vendors that process meeting content
  • A wide compliance base: SOC 2 Type II, GDPR, HIPAA with a BAA, FERPA and Data Privacy Framework certification
  • Many ways in: bot, bot-free Chrome extension, mobile, desktop, file upload, dialers, a documented GraphQL API and an MCP server for third-party assistants

Cons

  • Sign-in is limited to Google and Outlook accounts, with SSO available only on Enterprise
  • Free plan storage is very tight at 400 minutes for the whole workspace, and video recording is not included
  • Governance features (SSO, SCIM, audit logs, custom retention, Private Storage) are concentrated on Enterprise, which is annual-only at 39 USD per seat/month
  • HIPAA and the BAA are unavailable outside Enterprise and are granted on request rather than by default
  • Named speaker labels only work on Google Meet and Zoom; elsewhere participants appear as Speaker 1, Speaker 2
  • Billing has two layers to understand, seats and AI credits (20, 30 or 50 depending on the tier), on top of recording length caps that vary by tier
  • No European hosting is documented, processing being declared in the United States "and other countries"; the publisher also runs targeted advertising treated as a "sale" or "sharing" under US state laws with opt-out left to the user, and several reference pages (Trust Center, subprocessor list, Enterprise) only render with JavaScript
Pricing

Pricing & Plans

A permanent free plan is available, described by the publisher as free forever, and no credit card is required to open an account. Paid pricing is expressed per seat and per month in US dollars, across three tiers. The paid entry point is Pro at 10.00 USD per seat/month when billed annually; the same Pro tier costs 18 USD per seat/month on monthly billing. Business is 19 USD per seat/month annually and 29 USD monthly, while Enterprise is 39 USD per seat/month and is offered on annual billing only. The publisher advertises savings of up to 44% for an annual commitment, which explains the gap between the two columns. A seat is any teammate added to the workspace; sharing a recap with an external participant does not consume one. Beyond the subscription itself, volume discounts are available above 50 members on commercial request, invoice payment is offered at Enterprise level, and renaming the notetaker bot is a paid add-on on Pro and Business. AI credits are included by tier: 20 on Free and Pro, 30 on Business and 50 on Enterprise.

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how Fireflies.ai handles your data.

GDPR overview

GDPR compliance is claimed explicitly on the home page, the Security page, the FAQ and the Trust Center, and it rests on concrete mechanisms. The privacy policy in force since 6 March 2026 contains an "Individuals in Europe" section setting out the legal bases used (contract, legitimate interest, legal obligation, and consent that can be withdrawn) and the rights of access including portability, erasure, rectification, objection and restriction, exercised by writing to support@fireflies.ai. Complaints can be filed with a supervisory authority, with links to the EDPB, the UK ICO and the Swiss PFPDT. The publisher is certified under the EU-U.S. Data Privacy Framework, its UK Extension and the Swiss-U.S. framework, and publishes a DPA incorporating the 4 June 2021 Standard Contractual Clauses and the UK IDTA version B1.0. No Article 27 representative and no data protection officer is named anywhere on the site.

Who owns the data?

The home page, the Security page and the Terms of Service all state that the customer keeps ownership of, and full control over, the content captured by the tool. Access to meeting content is described as conditional on the user's explicit consent. Users can delete their data at any time, including in bulk through the Delete Transcript endpoint of the API. Visibility is set meeting by meeting: a shareable link, workspace teammates, meeting participants only, or private. In short, Fireflies positions itself as a processor of customer conversations rather than as their owner, and states that it does not train models on them.

Reuse rights

Customers can reuse their own material without asking permission: transcripts, summaries, audio and video can be played back, edited, downloaded, shared and pushed into connected CRM, ATS, storage and task tools. On the publisher's side, the privacy policy in force since 6 March 2026 lists the purposes: running and improving the service, capturing audio and video, producing transcripts and summaries, powering the integrations the customer enables, plus account administration, technical and security notices, marketing messages that can be unsubscribed from, usage analytics, fraud prevention and legal obligations. Two exclusions are stated explicitly: personal information is not used to train AI models, a restriction the publisher says it imposes contractually on its vendors, and personal data is neither collected, used nor sold to train large language models. One practice does deserve attention: targeted advertising on third-party platforms, which may qualify as a "sale" or as "sharing" under US state privacy laws. Opting out is left to the user, through the Your Privacy Choices banner, a web form or a Global Privacy Control signal. Voice Data, meaning the voice characteristics generated by vendors to tell speakers apart and potentially treated as biometric data in some jurisdictions, is stated never to be received or processed on Fireflies' own servers and never used to identify or authenticate anyone. No advertising is targeted at people known to be under 18.

Data retention & training

Retention summary
Account data is kept while the account is active. When it is closed, the related personal information is deleted within 30 days; other personal data is kept only as long as the stated purposes require. Meeting content, meaning audio, video, transcripts and summaries, falls under a Zero Data Retention policy: third-party processors do not store it after processing, cannot access it once the service is delivered, and cannot use it to train models. Users can delete transcripts at any time, in bulk through the Delete Transcript API. Voice Data has a written destruction schedule of at most three years after the last interaction, or sooner once its purpose is met. Enterprise adds custom data retention. Under the DPA, customer data is deleted or returned at the end of the contract on the customer's instruction, unless the law requires otherwise, in which case it is isolated from further processing.

Hosting summary

Fireflies.AI Corp. is established in the United States, and its privacy policy states that the company and its service providers process and store personal information on servers located in the United States and other countries. No further country or region is named, and no European data residency option is documented. The database is described as hosted in a virtual private cloud, with 256-bit AES encryption at rest and 256-bit SSL/TLS in transit. Enterprise customers can add Private Storage, meaning dedicated storage either managed by the publisher or hosted on the customer's own cloud account, at the location of their choice. International transfers rely on the 4 June 2021 Standard Contractual Clauses, the UK IDTA version B1.0 and certification under the EU-U.S., UK and Swiss-U.S. Data Privacy Frameworks. A subprocessor list is published at trust.fireflies.ai/subprocessors, although that page renders only with JavaScript and could not be read as static HTML. One technical caveat: the domain's IP address resolves to a Cloudflare anycast node, which says nothing about where the application itself is hosted.

Things to keep in mind

Risks and trade-offs to weigh before adopting Fireflies.ai.

  • A bot that joins and records meetings makes participant consent an organizational duty: the tool captures the conversation, it does not obtain permission on your behalf.
  • Voice Data may qualify as biometric data in some jurisdictions, the privacy policy naming the Illinois BIPA statute, with destruction at most three years after the last interaction or as soon as the purpose is met.
  • The publisher runs targeted advertising that counts as a sale, sharing or targeted advertising under US state privacy laws, and opting out is a step the user has to take.
  • Processing and storage are declared in the United States and other countries, without a list of countries or a documented European residency option, and two different US postal addresses appear on the site, one in the Terms of Service and one on the Contact page.
  • HIPAA coverage is Enterprise-only and granted on request, so ePHI should not be assumed covered on Free, Pro or Business; FERPA is mentioned once in a FAQ answer and documented nowhere else.
  • Displayed prices default to annual commitment, and monthly billing is markedly more expensive, which is easy to miss when comparing tools side by side.
  • Leaning on automatic notes can quietly erode attention and recall during meetings, and a claimed 95% accuracy still leaves errors: summaries deserve a human check before they become the official record of what was said.
Setup

Setup & Integrations

Technical difficulty

Low for everyday use: an account is created through Google Auth or Outlook Auth, the calendar is connected, and the notetaker joins on its own, with no credit card and no technical configuration; the Chrome extension even removes the bot from the room. Complexity appears at team scale, with channels, user groups, the rules engine and admin, user and viewer roles. It rises again for advanced integrations: GraphQL API, webhooks, Zapier, the MCP server, and Private Storage, which customers configure themselves and where the publisher declines responsibility for misconfiguration. SSO and SCIM are Enterprise-level projects.

Fundraising

Seed round of 5 million USD led by Canaan Partners, announced on the company blog and dated "the end of 2019" by the later Series A post; the angel investors included former executives from Slack, Salesforce, Dropbox and Skype, with Hopin and Twitter also cited.
Series A of 14 million USD, also presented as 100 Cr INR, led by Khosla Ventures with participation from existing investor Canaan Partners, announced on 24 May 2021 by co-founder Krish Ramineni; Sandhya Venkatachalam and Rayfe Gaspar-Asaoka joined the board at that point.
No primary round has been announced on the site since 2021. Third-party sources place total funding at roughly 19 million USD and report a 1 billion USD valuation reached in 2026 through a tender offer rather than a primary round; neither figure is confirmed by the publisher itself.

FAQ

Frequently asked questions

What is Fireflies.ai?
Fireflies.ai is an AI assistant for work conversations. It joins meetings, generates transcripts and summaries, drafts email replies, summarizes Slack channels and runs Voice Agent calls, then organizes the result as searchable company knowledge connected to more than 100 tools.
How is it different from a standard meeting notetaker?
A notetaker stops when the meeting ends. Fireflies is positioned as covering the whole working day, from meetings to email, Slack and 100+ connected tools, and turns those conversations into a knowledge base the team can search later.
What are AI Skills and Voice Agents?
An AI Skill is an automation that runs on your meetings, such as filling the CRM, scoring a candidate, extracting action items or flagging a deal at risk, and you choose which ones to activate. A Voice Agent places calls on your behalf for screening, discovery or follow-up: you configure it once and share a link, and every call ends with a transcript and a summary.
Which tools does Fireflies connect to, and does it work with Claude or ChatGPT?
The publisher lists Zoom, Google Meet, Microsoft Teams, Gmail, Outlook, Slack, HubSpot, Salesforce, Notion and more than 100 others. It also exposes an MCP server, which connects meeting data to Claude, ChatGPT and Devin.
How many languages are supported?
Fireflies claims transcription and summaries in more than 100 languages. English is the primary language, with Spanish, French, Portuguese and Italian named explicitly, and multilingual mode becomes available from the Business tier.
Can Fireflies be used for free?
Yes. The free plan includes transcription, AI summaries and search, and no credit card is required. It is advertised as free forever, so it acts as the entry point rather than as a time-limited trial, but storage is capped at 400 minutes for the whole workspace.
How do I create an account and sign in?
Sign-up and sign-in go through Google Auth or Outlook Auth only; there is no classic email and password account. Single sign-on is available on the Enterprise tier.
Does Fireflies record meetings without participants knowing?
According to the publisher, no: it records only when it has been invited or when auto-record settings apply, and its presence stays visible in the meeting. Collecting participants' consent nevertheless remains an organizational responsibility, not something the tool handles for you.
Is my data secure, and is it used to train AI models?
The site displays SOC 2 Type II, HIPAA, FERPA and GDPR compliance, states that customer data is not used for training and that customers own their data. Content is encrypted with 256-bit AES at rest and 256-bit SSL/TLS in transit, on a database hosted in a virtual private cloud.
What counts as a seat, and are volume discounts available?
A seat is any teammate added to the workspace; sharing a recap with an external participant costs nothing. Volume discounts are available beyond 50 members, on request from the sales team.
Conclusion

Should you pick Fireflies.ai?

Fireflies.ai is one of the more mature products in the AI meeting assistant category: the domain has been live since 2016, the company raised institutional funding in 2019 and 2021, and adoption is claimed at large scale, even if those adoption figures come from the publisher and do not agree with each other. The permanent free plan makes it an unusually accessible entry point, with unlimited transcription and AI summaries; the 400 minutes of workspace storage is where that generosity stops. Value climbs with governance, but the features an IT or compliance team will ask for, namely SSO, SCIM, audit logs, HIPAA with a BAA, Private Storage and custom retention, are all concentrated on Enterprise at 39 USD per seat/month with annual billing only. Between those two ends, Pro at 10 USD per seat/month annually, or 18 USD monthly, covers individual and small-team use, while Business adds multilingual mode and conversation intelligence. The privacy posture is stated plainly: customers own their content, models are not trained on it, and a zero data retention policy applies to the vendors that process meeting content. The main reservation is location, since processing is declared in the United States and other countries with no documented European residency option, alongside the publisher's own use of targeted advertising treated as a sale or sharing under US state laws. One organizational point deserves attention before any rollout: a bot that joins meetings and records them makes participant consent your responsibility, not the tool's. For teams meeting on Zoom, Google Meet or Microsoft Teams who want notes to reach the CRM without manual effort and can accept US hosting, Fireflies is worth a serious run on the free plan before seats are committed.
