What is Fleetwaro?
Fleetwaro is a cloud software-as-a-service platform for managing company vehicle fleets, published by the Austrian company Softwaro GmbH, of which it is a brand. Its stated purpose is to replace the scattered spreadsheets most fleet managers still rely on with one centralised, searchable and report-ready database, and to remove the manual data entry that goes with them.
The product is organised around four blocks. Centralised fleet data holds vehicles, drivers, mileage, invoices and damage records in one place; entering a vehicle identification number is enough to pull in the technical specifications automatically. AI document processing is the differentiator: documents, photographs and supplier invoices are dropped into the platform, read by an AI service, and the amounts are assigned by themselves to the correct vehicle and cost category. Automated workflows cover maintenance and inspection reminders, driving licence checks and routine follow-ups with drivers, so that chasing people stops being the fleet manager's day job. Total cost of ownership turns the scanned invoice data into dashboards and lifecycle cost comparisons per vehicle. A digital vehicle handover module, custom forms with driver signatures, and a fuel and charging module complete the set.
Commercially, billing follows the registered device — a vehicle, a tracker or a tool — on a monthly or annual basis, across four plans from Essential to Enterprise. Storage and AI operation quotas rise with the plan, and both can be topped up separately. Single sign-on, SCIM provisioning, webhooks and JSON interfaces appear from the Professional plan upwards, with Azure AD, LDAP and Power BI integrations reserved for Enterprise.
Everything runs in the browser, including a responsive web app for phones; there is no native mobile application. The interface exists in German and English only, and the product is aimed primarily at the German-speaking market while being declared usable internationally. The platform is hosted on Amazon Web Services with processing declared to take place exclusively inside the European Union, and the vendor commits in writing that customer data are never used to train AI models. A 99.1 percent average annual uptime is stated in the terms.

Pricing & Plans
There is no permanent free plan. Access begins with a fourteen-day free trial that requires neither a credit card nor a company email address, after which a paid subscription is required. Pricing is quoted per vehicle and per calendar month, in euros, and the published grid opens by default on the monthly view. The cheapest plan, Essential, is 5 EUR per vehicle per month, rising to 7.50 EUR for Professional and 9.50 EUR for Premium; Enterprise is quoted on request. Committing to annual prepayment of twelve months lowers those figures to 4, 6.50 and 8.50 EUR respectively. The headline figure should be read with the plan minimums in mind: Essential requires at least five registered vehicles, so the genuine entry cost is 25 EUR per month rather than 5. Professional starts at ten vehicles, Premium at twenty-five and Enterprise at one hundred. Additional capacity is sold separately: 50 MB of extra storage per asset costs 2 EUR per month, and AI operations can be topped up at 20 EUR for 100 pages, 90 EUR for 500 and 160 EUR for 1,000.

GDPR overview
GDPR implementation is documented in concrete terms rather than merely claimed. Softwaro GmbH names itself controller under Article 4(7) and designates a data protection officer reachable at its published address. Legal bases are cited clause by clause — Articles 6(1)(a), (b), (c) and (f) — alongside the Austrian Data Protection Act and the Telecommunications Act 2021. The provider declares a dual role, controller for platform services and processor under Article 28 for business customers, and states that a standard data processing agreement available online is accepted when an order is placed. Six sub-processors are named with their purpose and location. Transfers outside the EU rely on Standard Contractual Clauses under Article 46(2)(c) or an adequacy decision. The policy explicitly rules out automated decision-making under Article 22, and names the Austrian supervisory authority.
Who owns the data?
Customers keep their own fleet data; Softwaro GmbH grants only a limited, non-exclusive, non-transferable and revocable licence to use the software for the duration of the contract, and solely for the customer's internal business purposes. Reselling, sub-licensing, lending or redistributing the software to third parties requires the provider's prior written approval. For personal data the roles are split: Softwaro acts as controller for general platform services such as account management, support and hosting administration, and as a processor under Article 28 GDPR for business customers using the platform inside their own organisation. The provider undertakes to use customer data exclusively to deliver the contractually agreed services, and states that personal data are never used to train AI models.
Reuse rights
Customers can work with their data freely inside the platform and export it themselves: the terms require them to use the built-in export tools to back data up in standard formats, and make them solely responsible for doing so in good time. From the Professional plan upwards, data can also be pushed and pulled through webhooks and JSON interfaces, and telematics interfaces can feed mileage and operating hours in from third-party providers. Deletion is irreversible and immediate. Removing a vehicle, a device or a service permanently erases every piece of data attached to it, and deleting the account permanently erases all account data, devices and services. Nothing is kept as a courtesy copy, so exporting before any removal is essential. Individuals retain the full set of GDPR rights — access, rectification, erasure, restriction, portability, objection and withdrawal of consent — exercised by writing to the published contact address.

The Fleetwaro platform runs on Amazon Web Services, and the privacy policy states that processing takes place exclusively within the European Union. Enterprise customers can have a dedicated instance, with its own service, monitoring and backup, on AWS Frankfurt. The public website is hosted separately by HostPress GmbH in Eppelborn, Germany, which matches the German server location resolved for the domain. AI document processing is carried out by a named sub-processor operating under a European data residency option, so that business and personal data remain stored inside the EU. Data is encrypted with TLS 1.3 in transit and AES-256 at rest, and the vendor states that it performs regular security audits, backups and access controls, with access limited to authorised personnel. Transfers to third countries, including to the vendor's US subsidiary, are said to rely on Standard Contractual Clauses under Article 46(2)(c) GDPR or on an adequacy decision. The governing law is Austrian, and the competent supervisory authority is the Austrian data protection authority in Vienna.

The AI document layer is the part that justifies the product, because it removes the data entry rather than merely relocating it, and the total cost of ownership module is built on that same recognised invoice data instead of on figures someone has to key in.
What stands out beyond the features is the paperwork. Few vendors of this size publish their register number, their court, their sole shareholder, six named sub-processors, a quantified uptime commitment and a dated contractual set. The written undertaking never to train models on customer data, combined with EU hosting throughout, makes the product straightforward to defend to a works council or a data protection officer.
The reservations are mostly about age and about claims.
