The product follows a simple hierarchy. A workspace holds an organisation's people, projects, tasks and CRM records. Billing runs on seats rather than headcount. Only payable roles consume a seat, whereas guests and clients, including the customers you are working for, collaborate at no charge. Upgrades apply to an entire workspace rather than to individuals.

Two caveats belong in any honest description. The site still describes itself as being in soft launch, and the domain was only registered in January 2026. And the artificial intelligence on display, meaning the AI chatbot, the unified multichannel inbox and no-code automation, belongs to Flowhubr 2.0, which is announced with a waiting list rather than shipped.

GDPR overview
Flowhubr never claims GDPR compliance in so many words, but its privacy policy of 15 December 2025 works from the regulation's machinery. Five legal bases are named: consent, performance of a contract, legal obligations, vital interests and legitimate interests, the last tagged GDPR/UK. Residents of the EEA, the United Kingdom and Switzerland are granted access and a copy, rectification or erasure, restriction, portability where applicable, objection, and freedom from automated decision-making, plus the right to complain to their local authority; the Swiss FDPIC is named with its address. Requests go to hello@flowhubr.com. The gaps are concrete: no Article 27 EU representative, no data protection officer, no DPA, no published subprocessor list, and no named transfer mechanism, neither standard contractual clauses nor an adequacy decision, although the servers sit in Malaysia. Malaysia's PDPA 2010 is the primary regime invoked.
Who owns the data?
Under section 4 of the terms of service, you keep ownership of everything you submit. Flowhubr takes only a limited, non-exclusive, royalty-free licence to host, store, process and display that content, and solely for the purpose of providing the service: no resale, no publication, no secondary use is granted. Access extends to the vendor's own service providers, named by category rather than individually, with Stripe cited for payments and Google Analytics for measurement alongside unnamed email, hosting and customer-service suppliers. Sixty days after an account is terminated, Flowhubr may delete or anonymise your content, and it accepts no obligation to store or retrieve it. Backups remain contractually your responsibility.
Reuse rights
Your own records stay yours to reuse freely. Nothing in the terms restricts what you do with the customers, leads, quotations, invoices or project data you enter, and no permission has to be requested to export, reuse or repurpose them. The restrictions run the other way: the licence you grant Flowhubr is confined to operating the service. The vendor states that it does not process sensitive information, and payment card details never reach it, since Stripe handles and stores them. Flowhubr does collect usage and device telemetry of its own, including IP address, browser and device characteristics, operating system, country and detailed activity logs, and uses it for security, troubleshooting and internal analytics. That data is shared with analytics and infrastructure providers, cookies and tracking pixels are used including by third parties, and Do Not Track signals are not honoured. Nothing in the policy mentions using customer content to train AI models. Note finally that the vendor disclaims any verification of the financial data you enter, and presents all outputs as informational and operational only.

Flowhubr states in section 6 of its privacy policy that its servers are located in Malaysia. There is no regional hosting option and no European alternative, so data belonging to EU customers leaves the EEA by design. The policy acknowledges as much, warning that destination countries may not have protection as comprehensive as the user's own, and promising only that all necessary measures will be taken; no standard contractual clauses and no adequacy decision are named. The website itself is served through Cloudflare, whose anycast address geolocates to the United States, but that is a content delivery edge rather than where application data lives. Processors appear only as examples, with Stripe cited for payments and Google Analytics for measurement, alongside unnamed email, hosting and customer-service suppliers; no formal subprocessor list is published. Security is described as appropriate and reasonable technical and organisational measures, with encrypted storage and regular backups mentioned in the pricing FAQ, but no certification such as SOC 2 or ISO 27001 is displayed, and the vendor states plainly that no transmission can be guaranteed fully secure.
