Overview

What is Folio?

Folio is an interactive product demo builder aimed at software teams that need to show a product rather than describe it. The homepage promises a finished demo in under ten minutes, and the whole workflow is built around a no-code editor, so no engineering time is required.

Capture happens through a Chrome or Edge browser extension that reads a product's front end directly, with no back-office or staging access needed. Four capture modes are offered: screenshot capture, screen recording, HTML capture and continuous HTML capture. The HTML modes matter, because they produce screens that stay editable rather than flat images: text, figures, logos, features and raw HTML elements can all be rewritten afterwards, and a find-and-replace tool applies a change across a whole demo.

Once the screens exist, Folio layers storytelling on top of them. Annotations, hotspots with a dropback effect, a walkthrough widget, multiple chapters and a synchronised checklist guide the viewer step by step. Pan and zoom frames the important detail; a blur mask hides sensitive data, although it does not apply to video. Sellers can record a personal video narration, and clips can be trimmed or sped up, at 720p on the free plan and 1080p on the paid ones.

Publishing covers a shareable link, a responsive iframe embed, MP4 and GIF export, a custom subdomain and custom branding. A configurable start overlay, custom lead-capture forms and demo access control turn a walkthrough into a conversion asset rather than a document. Insights then reports views, viewer behaviour and per-screen statistics, with email alerts on views and leads and notifications pushed to Slack.

Eleven integrations are advertised, among them HubSpot, Salesforce, Marketo, Segment, Zapier, Slack, Intercom and a Gmail add-on. Team features cover workspaces, permissions, shared templates and tag management, while Open APIs, SAML SSO and custom retention policies sit behind the Enterprise tier.

Folio Software publishes the tool; the footer places the team in San Francisco and the terms are governed by Delaware law. Folio launched on Product Hunt on 1 June 2023 and finished third that day. The public changelog, however, stops on 17 July 2023.

When to use Folio / When not to

A quick filter to help you decide if Folio is the right fit.

When to use Folio

  • Growth and demand-generation teams embedding an interactive demo on a website to convert traffic before sign-up
  • Sales and sales-engineering teams sending account-specific demos in outbound sequences and deal follow-ups
  • Product marketers announcing launches, beta previews and feature updates to an existing customer base
  • Customer success and support teams replacing written or video documentation with self-guided walkthroughs
  • Startups, small teams and solo creators who need a polished demo without engineering time or a procurement cycle

When not to use Folio

  • Organisations whose purchase requires a signed DPA, a formal subprocessor list or a SOC 2 or ISO 27001 certification
  • Teams bound to European data residency, since Folio states that personal data is transferred to and processed in the United States
  • Developers looking for an API-first product: Open APIs sit behind the Enterprise tier and no public documentation exists
  • Anyone who needs a mobile application or a non-English interface, neither of which Folio offers
  • Teams that must demo software unreachable from a browser, because capture works on a product's front end

Pros & Cons

Pros

  • A permanent free plan with unlimited demo steps and unlimited views, not merely a countdown trial
  • Paid entry at 25.00 USD per user per month on annual billing, with the watermark removed from the first paid tier
  • HTML capture produces screens that stay editable, which is more than a screenshot tool can offer
  • Analytics and lead capture are built in, so no third-party tool is needed to measure a demo
  • Browser-extension capture requires no back-office access, no staging environment and no developer
  • Embed, custom subdomain and custom branding let the demo sit inside an existing funnel
  • Broad go-to-market integration list, a Gmail add-on and a public status page

Cons

  • No postal address, no legal notice and no about page anywhere on the site or in its sitemap
  • The Help Center linked from the main navigation returns an HTTP 404
  • The public changelog stops in July 2023, and the comparison pages still quote prices the pricing page contradicts
  • No DPA is published, no subprocessor list appears under that name, and no SOC 2 or ISO 27001 claim is made
  • Nothing is published about whether customer data feeds model training, or about any opt-out
  • Open APIs are restricted to the Enterprise tier and carry no public documentation
  • Data is processed in the United States only, there is no mobile app, and no interface languages are listed

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how Folio handles your data.

GDPR overview

The privacy policy devotes a section to the GDPR and names Folio as data controller. EU and EEA residents are offered six rights - access, update or deletion, rectification, objection, restriction, portability in a structured machine-readable format, and withdrawal of consent - all exercised by writing to service@folio.la, with an identity check possible before any answer. The right to complain to a supervisory authority in the EEA is stated explicitly. Beyond that, implementation is thin: no data protection officer is named, no Article 27 representative is designated, no dedicated privacy mailbox exists, and the transfer of personal data to the United States is asserted without naming standard contractual clauses or any other adequacy mechanism. No DPA is published.

Who owns the data?

Under the terms, you keep every right to the content you upload or publish through Folio. Publishing it, however, grants Folio a licence to use, modify, publicly perform, publicly display, reproduce and distribute that content on and through the service, including making it available to other users. Folio may monitor and edit user content at its discretion, but is not obliged to. Everything belonging to the service itself remains Folio's exclusive property. Feedback is treated differently: all intellectual property in it passes to the company, or failing that an exclusive, irrevocable and perpetual licence. For personal data, Folio declares itself the data controller.

Reuse rights

The terms draw a clear line. Content you create keeps its rights with you, so you may reuse your own demos, captures and exports freely, without asking Folio. Everything else on or delivered through the service is Folio's property or used with permission, and may not be distributed, modified, transmitted, reused, downloaded, reposted or copied for commercial purposes or personal gain without prior written consent. The demo gallery follows the same logic: the walkthroughs shown there feature third-party products, and Folio explicitly disclaims any affiliation with the brands involved. On the personal-data side, Folio uses what it collects to run and improve the service, bill you, support you and send commercial messages you can decline, and it shares it with named providers including Microsoft Clarity, Microsoft Advertising, Google Analytics, GitHub, Stripe and Slack.

Data retention & training

Retention summary
Folio keeps personal data only for as long as the purposes set out in its privacy policy require, then longer where the law obliges it, where a dispute has to be resolved, or where its agreements and policies must be enforced. Usage data is kept for internal analysis, in principle for a shorter period, except when it is used to strengthen security or improve the service, or when retention is legally required. No figure is published: not a number of days, not a number of months. Enterprise customers are offered custom data retention policies. What happens once a subscription lapses is answered only by a help-centre article linked from the pricing page. EU and EEA residents can request deletion by writing to service@folio.la.

Hosting summary

Folio states that personal data is transferred to and processed in the United States, and warns users located elsewhere that submitting information means agreeing to that transfer. No hosting provider, data centre or region is named, and no European hosting option is offered. The commitment stays generic: reasonable steps to keep data secure, and no transfer to an organisation or a country without adequate controls in place, with the usual caveat that no transmission or storage method is completely secure. Enterprise customers are offered custom data retention policies, which implies some configurability at that tier, but nothing is documented publicly. On the public side, the marketing site runs on Webflow behind Cloudflare, with static assets served from cdn.prod.website-files.com and cdn.folio.la; the resolved address is an anycast node, so it reveals nothing about where the application servers actually sit.

Things to keep in mind

Risks and trade-offs to weigh before adopting Folio.

  • Publishing content grants Folio a broad licence to use, modify, reproduce and distribute it, including making it available to other users of the service
  • Captured screens often contain real customer data, and the blur mask does not apply to video, so one unblurred recording can leak what a screenshot would have hidden
  • A single mailbox handles support, legal and GDPR requests, leaving no escalation path if it goes unanswered
  • Session replay and heatmaps through Microsoft Clarity record site visits in detail, which a compliance team should be told about
  • Vendor continuity is uncertain: no legal entity is identified, no address is published and the changelog has been silent since 2023, yet embedded demos depend on the service staying up
  • A polished demo can outrun the real product, and buyers who decide on a customised walkthrough may meet a different experience after signing
  • Subscription fees are non-refundable except where the law requires otherwise, and plans renew automatically at the end of each cycle
Setup

Setup & Integrations

Technical difficulty

Low. Folio is sold as a no-code tool and the setup matches the claim: create an account, install the Chrome or Edge extension, and capture screens straight from your product's front end, with no back-office access, no staging environment and no developer. Publishing is a link or a single iframe to paste. Two items need more care: a custom subdomain, available from the Team plan, and SAML SSO, reserved for Enterprise. CRM and Slack integrations also need configuring. The homepage claims a finished demo in under ten minutes, which is plausible for a short walkthrough.

FAQ

Frequently asked questions

Does Folio have a permanent free plan, or only a trial?
Both. The free plan costs nothing and stays available: one user, up to two basic demos and two basic templates, with unlimited demo steps and unlimited views, though demos carry a watermark. Separately, the paid plans open with a 14-day free trial.
What does Folio cost once you leave the free plan?
Lite is 29 USD per user per month billed monthly, or 25 USD on annual billing. Pro is 49 or 42 USD, Team is 69 or 59 USD with a minimum of two users, and Enterprise is quoted on request. Annual billing is advertised at 15 percent off, and each extra user costs 39 USD per month on Free, Lite and Pro.
Do I need access to my product's back office to capture screens?
No. The Folio extension for Chrome and Edge captures screens from your product's front end, which is precisely what removes the need for back-office or staging access.
Can I edit a captured screen, or is it just an image?
HTML capture and continuous HTML capture produce screens that stay editable: text, figures, logos, features and raw HTML elements can be rewritten afterwards, and find and replace applies a change across the whole demo. Screenshot capture and screen recording are available too, but they behave as fixed media.
Does Folio offer an API?
Open APIs are listed only under the Enterprise tier, and no public documentation was found. The documentation subdomain holds an unconfigured template, and no API reference is linked from the site or listed in its sitemap.
Is there a mobile app?
No iOS or Android application was found. Folio is a web application, complemented by a Chrome and Edge extension and a Gmail add-on.
Where is my data processed?
In the United States. The privacy policy states that personal data is transferred there and processed there, and warns users located elsewhere that submitting information counts as agreeing to that transfer. No European hosting option is offered.
Does Folio publish a DPA or a security certification?
No. No data processing agreement is published, no subprocessor list appears under that name, and no SOC 2 or ISO 27001 certification is mentioned. The privacy policy does name six providers that handle data: Microsoft Clarity, Microsoft Advertising, Google Analytics, GitHub, Stripe and Slack.
What is the minimum age to use Folio?
Eighteen. The terms state that the service is intended only for individuals at least eighteen years old, and the privacy policy adds that Folio does not knowingly collect data from anyone below that age.
What happens if I cancel my subscription?
You can cancel at any time and the current plan runs until the end of the billing cycle. Fees already paid are non-refundable except where the law requires otherwise, and plans renew automatically unless cancelled beforehand.
Conclusion

Should you pick Folio?

Folio covers more ground than its price suggests. Editable HTML capture, guided chapters, video narration, lead forms and per-screen analytics are usually split across two tools or reserved for higher tiers elsewhere; here they start at 25.00 USD per user per month on annual billing, and a permanent free plan lets a single user publish two demos with unlimited steps and unlimited views. For a startup or a small go-to-market team that wants to test interactive demos without a procurement cycle, the entry cost is close to nothing.

The reservations concern the company rather than the product. Folio publishes no postal address, no legal notice and no about page; Folio Software is the only name given, with no registered entity behind it. The Help Center linked from the main navigation returns a 404. The public changelog stops in July 2023, the latest blog post dates from October 2024, and the comparison pages still quote prices the pricing page contradicts. None of this proves the product is abandoned, since the application, the site and the status page all respond normally, but it does mean the buyer rather than the vendor carries the freshness check.

Compliance follows the same pattern. The privacy policy grants EU and EEA residents the full set of GDPR rights through a single mailbox, yet there is no DPA, no Article 27 representative, no named transfer mechanism for the United States, no subprocessor list under that name and no security certification. Nothing at all is said about whether customer data feeds model training.

Folio is a reasonable choice for a team that can accept a lightly documented vendor in exchange for a well-equipped, inexpensive demo builder. It is a harder sell wherever a security review, a signed DPA or European hosting is a condition of purchase.
