Four signal families feed it: product analytics (login frequency, adoption, session depth, activation milestones from Mixpanel or Amplitude), CRM context (renewal dates, executive engagement, account ownership from Salesforce or HubSpot), billing (MRR movement, failed payments, plan changes and disputes from Stripe or ChartMogul) and support (ticket volume, escalations, NPS and sentiment from Intercom or Zendesk). GDPR overview
GDPR implementation is documented in detail. The privacy policy, effective 18 June 2026, splits the roles: GainTrace is controller for website, marketing and account data, and processor for Customer Data under a DPA that prevails over the terms in any data-protection conflict. Access, rectification, erasure, restriction, objection, portability and consent withdrawal are all offered, answered within 30 days via privacy@gaintrace.com, with the Irish Data Protection Commission named as lead authority and the ICO for the UK. As an Indian company, GainTrace relies on the 2021 EU Standard Contractual Clauses as importer, plus the UK IDTA and supplementary measures, stating that no EU adequacy decision covers India and that it does not rely on the EU-US Data Privacy Framework. Non-essential cookies stay blocked until consent. Two gaps: no Article 27 EU representative, and no separately appointed Data Protection Officer.
Who owns the data?
Clause 5.1 of the terms leaves ownership with the customer: "As between you and us, you own and keep all rights in Customer Data, including Outputs." Clause 5.2 grants GainTrace only a limited, non-exclusive, worldwide, royalty-free licence to host, copy, process, transmit and display that data, and solely to deliver, secure, maintain, support and improve the service for that same customer. The licence does not permit resale, third-party advertising, or use for the benefit of another customer. Clause 6.4 leaves inputs with the customer and assigns it the residual rights in outputs. Under clause 5.5 the customer is controller and GainTrace processor, acting only on documented instructions, with no use or disclosure outside the direct commercial relationship.
Reuse rights
Customers may reuse their own data without asking permission: inputs stay theirs, outputs are Customer Data assigned to them, and both can be exported at any time in CSV or JSON through the service or its API. GainTrace's own use is bounded. Two AI layers run side by side: proprietary machine-learning models for churn and expansion prediction, and third-party LLMs for the generative features of the Trace AI assistant. Clause 6.2 states: "We do not use your Customer Data to train, fine-tune, or improve any model that is made available to, or that benefits, any other customer." Where a proprietary model is trained or fine-tuned on one customer's data, that model and what it learns stay bound to that account. The sub-processor page adds that AI providers work "under enterprise or API terms that prohibit training on data sent through GainTrace and that provide for zero or limited retention". The single carve-out is de-identified, aggregated data, used to operate, secure, analyse, benchmark and improve the service, never re-identified and never resold. No personal data is sold or shared for cross-context behavioural advertising. No training opt-out is documented anywhere on the site.

Customer Data is stored at rest in the European Union: "We host and store Customer Data at rest in the European Union, using Amazon Web Services data centres in the Ireland region." EU residency is listed as a default on every plan, the free one included, and the vendor undertakes not to change the at-rest region without notice. The website itself runs on Cloudflare Pages behind Cloudflare's network. Access is broader than storage. Girasol Technologies LLP staff reach the data from India, and several sub-processors from the United States. The published list names EU vendors (AWS Ireland, Attio, PostHog, Mistral AI in France) and US vendors (Anthropic, OpenAI, Groq, OpenRouter, NVIDIA, Deepgram, Better Auth, Resend), with Google, Microsoft, Cal.com and Stripe split across both and Cloudflare global. Those transfers rely on the 2021 EU Standard Contractual Clauses with GainTrace as importer, the UK IDTA or Addendum, and supplementary measures described in the DPA. One inconsistency deserves attention: the pricing page advertises EU data residency in Frankfurt, whereas eu-west-1 is the Ireland region, which is what the terms and the privacy policy state.
Things to keep in mind
Risks and trade-offs to weigh before adopting GainTrace.
- Scores and predictions are probabilistic outputs, not guarantees and not forecasts of an actual outcome, and clause 6.5 of the terms says so plainly. A red account is a hypothesis to check, not a verdict to act on blindly.
- Human review is contractually required whenever an output feeds a process with a legal or similarly significant effect on a person (clause 6.7), and clause 6.6 forbids any use for credit, insurance, employment, education or housing decisions, or any deployment as a high-risk AI system.
- Score quality depends entirely on how complete and fresh the connected data is, and clause 3.6 disclaims the vendor's responsibility for that. A half-connected stack produces confident-looking output built on gaps.
- Automation dulls attention. If the team stops reading its accounts because Trace AI names who to call, the churn that leaves no trace in the connected tools becomes invisible. The human read of a relationship still has to happen.
- Security is declarative: no SOC 2, no ISO 27001, and no uptime commitment outside Enterprise, so a production dependency here carries no contractual availability floor. Total liability is capped at the fees paid over 12 months, and is nil for free usage and beta features.
- The company is Indian and no EU adequacy decision covers India. Transfers rest on Standard Contractual Clauses, with no Article 27 representative and no DPO appointed, which should be weighed against the sensitivity of the customer data you upload.
- Two commercial cautions: the published hosting region contradicts itself, with the pricing page saying Frankfurt and the legal documents saying Ireland, and the INSIDER50 promotion sold as locked in for life showed a countdown at zero and a 21 August end date already passed at the time of review.
