What is Gnomo.ai?
Gnomo.ai is a Spanish software-as-a-service platform, published by GNOMO AI, S.L. in Barcelona under the tagline Automatización con criterio, built around a problem that is specific to Spain: the mandatory electronic notifications, known as NEOs, that public bodies drop into a firm's electronic mailboxes and whose clock starts the moment they are made available, not the moment somebody reads them.
The product is organised in three layers. SIGNEO, the first, holds digital certificates in custody, monitors mailboxes continuously and downloads notifications automatically; the vendor presents it as the functional equivalent of a DEH custody service with an intelligence layer added on top. The second layer, Inteligencia Gnomo.ai, reads what has arrived: it extracts the key data, identifies deadlines, classifies each item by type and urgency and produces an executive summary. The third, Gnomo.ai Cloud, is announced as coming soon and will organise everything into digital case files per client and per tax ID, with advanced search.
Day to day, the flow runs in four steps: connect mailboxes and certificates, let the platform monitor around the clock, have it classify and summarise, then activate the workflow by assigning owners, requesting documents or generating drafts. Connection to DEHú runs through its API, and the vendor claims coverage of more than 12,000 public administrations, naming AEAT, Seguridad Social with its TGSS, INSS and SEPE branches, DGT, DEHú, eNotum and a range of regional and municipal bodies.
Five verticals are displayed: immigration practices, tax advisory firms and employment advisory firms are live, while legal practices and the legal departments of corporate groups are announced. Three add-ons extend the core: advanced assignment rules, Gnomo.ai Cloud, and digital certificate renewal with staged alerts at 90, 60, 30 and 7 days and a guided flow with FNMT, ACA, Camerfirma, Uanataca and Izenpe. Access to the working application is at app.gnomo.ai. Throughout, the vendor is explicit that the AI advises and never decides.

GDPR overview
GDPR implementation is documented rather than merely claimed. The controller is GNOMO AI, S.L., Barcelona, reachable for privacy matters at admin@gnomo.ai. The privacy policy has been in force since 30 September 2025 and covers the public website only, not the customer area; a separate data storage policy and the legal notice are both dated February 2026. The stated legal framework is GDPR (EU) 2016/679 together with Spanish LOPDGDD 3/2018. Users may exercise access, rectification, erasure, objection, restriction, portability and withdrawal of consent, and may complain to the Agencia Española de Protección de Datos. Breaches affecting personal data are notified to the supervisory authority within 72 hours where required. No data protection officer is currently appointed. Being established in Spain, the company needs no Article 27 representative.
Who owns the data?
The customer stays the data controller and Gnomo.ai acts only as processor under Article 28 GDPR, through a data processing agreement published in full on the site and downloadable as a PDF, with electronic signature on request. Gnomo.ai processes personal data solely on the controller's documented instructions and, when the service ends, deletes or returns it at the controller's choice, including existing copies unless the law requires retention. Software, platform, trademarks and documentation remain the vendor's property; the customer receives only a non-exclusive, non-transferable licence for the term of the contract. The homepage FAQ states plainly that customer data belongs to the customer and can be exported at any time.
Reuse rights
Customers keep full reuse rights over their own material: an export in open formats (CSV, JSON, PDF or ZIP) can be requested at any time and is delivered within fifteen working days, with no permission to seek and no restriction attached to what is done with it afterwards. Gnomo.ai's own use is deliberately narrow. It processes data only on the controller's documented instructions, and states it does not sell data. Documents handled by the Gnomo.ai Agent module are processed in memory for the session and are not persisted to any database or permanent storage. Operational logs record technical metadata alone, never document content or prompts, and the vendor's contracts with its AI suppliers forbid retraining on customer content. AI analysis is context-isolated between organisations. Access to public electronic offices happens only under explicit authorisation, which a firm administrator can revoke at any moment without contacting Gnomo.ai.

Hosting summary
All data is stored and processed exclusively within the European Economic Area, with a stated preference for the European Union itself. The vendor contractually requires its subprocessors to process in EEA regions and states that it authorises neither storage nor access to personal data outside the EEA. No individual country and no cloud provider is named anywhere on the site; the published subprocessor list is given by category only, covering cloud hosting and infrastructure in the EU, a managed database in the EU, transactional email, a CRM and a payment gateway, with the named list available on request. Backups are held redundantly in EEA regions and restores are performed only to controlled environments in the EU or EEA. AI models run in EU or EEA regions over encrypted channels. The architecture is multi-tenant with logical segregation per customer. Should any transfer outside the EEA ever occur, the vendor points to Standard Contractual Clauses or another Chapter V guarantee.

- The service only makes sense inside the Spanish administrative system; adopting it anywhere else buys nothing
- The site contradicts itself on where digital certificates live: one page says Gnomo.ai never stores them and discards them after use, another sells custody in hardware security modules, and a third lists cryptographic material among the data it keeps encrypted
- Contractual documents carry two different tax IDs, B56413339 in the legal notice and B5641339 in the privacy policy, the SaaS contract and the processing agreement
- Deletion at the end of the contract is quoted as a maximum of 90 days in the storage policy but as an indicative 30 days in the processing agreement
- The named subprocessor list is not public and must be requested by email, even though the processing agreement claims the updated list is published and kept accessible
- The contract renews automatically and must be cancelled 15 days before the term, with aggregate liability capped at what was paid over the preceding twelve months
- Handing deadline tracking to software can dull the habit of checking; the vendor is right that the AI advises and the professional decides, but the responsibility for a missed deadline stays with the firm

Gnomo.ai is a narrow tool, and that is the point. It exists because Spanish public bodies start the clock the moment a notification is made available, and because the work of chasing that clock across DEHú, AEAT, Seguridad Social and a long tail of regional offices is exactly the kind of work nobody should be doing by hand. Within that perimeter the product is coherent: it downloads, it reads, it summarises, it names a deadline and it puts the file in front of the right person, with an audit trail behind every step.
What stands out is the paperwork. For a company still small enough to show a four-figure share capital, the volume of published legal and security material is unusual: a full Article 28 processing agreement, the SaaS contract, a data storage policy with retention periods set out category by category, a stated service level of 99.5 percent and an explicit commitment that no model is trained on customer data. That is more than most vendors of this size put in writing.
The reservations are equally clear. Nothing here travels beyond Spain. The interface exists in Spanish only. There is no API and no mobile app, no security certification yet, and the subprocessor list is published by category rather than by name. Gnomo.ai Cloud, described as the layer where work actually gets organised, is still announced rather than delivered, and two of the five stated verticals are not open.
For a Spanish firm carrying real notification volume, this is a serious candidate and the entry pricing makes it testable. For anyone else, it is simply not the right tool.
