What is Guidejar?

Guidejar is documentation software that turns a single screen recording into finished, shareable instructions. It is published by AppMacha Labs, based in Chennai, India, and the workflow it advertises has three steps: record, customise, share.

Recording starts from a Chrome extension or, on the Plus and Business plans, from a Mac or Windows desktop application. You click Start Capture and walk through the process exactly as you normally would; every interaction is captured in real time, and clicking Stop Capture produces a draft guide without any writing. The same capture can then be published in three different shapes, a scrollable step-by-step guide, an interactive walkthrough the reader clicks through, or a video demo, so a process documented once never has to be re-authored for a different audience.

The customisation layer is where most of the product sits. Steps can be reworded by hand or redrafted by Nila, the built-in AI assistant. Sensitive regions can be blurred, and the Business plan can auto-redact personal data. Guides accept pan-and-zoom emphasis, background music, chapters that double as decision points, conditional branches for different reader paths, and dynamic variables that personalise the content for each viewer. The AI features extend to voiceover, voice cloning, translation, paraphrasing, auto-generated FAQs and summaries, importing steps from PDF or DOCX files, and converting an existing video into a guide. All of it is metered in monthly AI credits attached to each plan.

Sharing runs through a link, an embed snippet, an Insta Copy into Confluence or Notion, or a full help centre. That help centre is a product in its own right: two layouts, a drag-and-drop editor, your own branding, a custom domain and optional password, IP, custom or SAML authentication. Analytics, forms and feedback track what readers actually do. Guidejar also runs an MCP server, letting ChatGPT, Claude, n8n and Zapier search, read and create guides directly. There is no public REST API and no mobile application.

GDPR overview

Implementation is above average for a vendor of this size, but incomplete. Guidejar publishes a dedicated GDPR page stating its commitment, separates its controller role (account data) from its processor role (customer guides), and lists twelve subprocessors by name, purpose and location: Google Cloud Platform, Vercel, Cloudflare, ElevenLabs, Stripe, PostHog, Google Analytics, Autosend, Crisp and Dub in the United States, Tinybird and Algolia in Europe. It commits to notifying affected users within 72 hours of a breach and lists access, deletion, rectification and marketing opt-out rights, exercised through hello@guidejar.com. The privacy notice cites GDPR and UK GDPR legal bases and links the EEA, UK and Swiss complaint routes. Notable gaps: no Article 27 EU representative, no data protection officer, no Standard Contractual Clauses and no data processing agreement of its own. Who owns the data?

Guidejar's GDPR page states that the vendor acts as a processor for the guides its customers create, and that it does not own, share or sell any user-collected data. It is a controller only for account data: name, email, an optional photo, billing handled by Stripe, and usage analytics. Customers remain controller for whatever they collect through Guidejar forms or embeds. The privacy notice adds that no personal information was sold or shared in the preceding twelve months, although data may transfer during a merger, financing or acquisition. One caveat matters: the Terms of Service page renders only in JavaScript and yielded no text, so the contractual ownership clauses could not be read.

Reuse rights

Account owners keep practical control of their material. The GDPR page documents tools to view, edit and delete responses collected through forms, to permanently delete guides and their associated data, and to export data on request. Guides can be shared by link, embedded with a code snippet, and exported as PDF on every tier, as HTML or Markdown and copied straight into Confluence or Notion from the Pro tier, and as MP4 video from Plus. Guides created before a cancellation stay in the account; only the paid features stop working. Data-subject requests go through a Termly form or hello@guidejar.com. No clause restricting commercial reuse of a customer's own guides was found, but since the Terms of Service page never rendered, that is an absence of evidence rather than a stated permission.

Data retention & training

Retention summary
Personal data is kept only as long as necessary for the purposes set out in the privacy notice, and the vendor states that no purpose requires keeping it longer than the period during which the user has an account. Identifiers and customer-records data are explicitly retained for the life of the account. When an account is terminated it is deactivated or deleted from the active databases, though some information may be kept to prevent fraud, troubleshoot problems, assist investigations or comply with the law. Where deletion is impossible, for instance in backup archives, data is stored securely and isolated from further processing until deletion becomes possible; otherwise it is deleted or anonymised.
