happyhotel is a German revenue management system for hotels, hostels, aparthotels and chains. It turns PMS, market, competitor and event data into dynamic room rates and can write them back to the PMS automatically, under hotelier-set limits.
What is happyhotel?
happyhotel is a hotel revenue management system: a web application that calculates dynamic room rates and, when the property wants it, writes them straight back into the PMS. It is published by revenue cloud solutions GmbH of Offenburg, Germany, a company founded in October 2019 by three co-founders. The product began as Sebastian Kuhnhardt's hotel-school thesis and a set of Excel rate calculations run in his family's hotel. The mechanism is set out in the September 2025 terms: the software supplies price proposals for a given period, which the customer reviews and adopts in its PMS, and "the price suggestions are based on artificial intelligence, whose algorithm is designed to calculate an optimized price based on publicly available data, among other things." The FAQ names the inputs: booking curve, occupancy, events and happenings nearby, booking behaviour and market demand, competitor rates, and the hotel's own history. How much weight each input carries depends on the type and the location of the property. Four capability blocks are put forward: a permanently optimised price for every room type and category; time saved through the autopilot, which transfers proposals into the PMS automatically and can be switched on or off at any moment, always inside a mandatory floor and ceiling; full control through custom rules and limits; and management by numbers, through daily reports, custom dashboards, forecasting and budgeting. Six segments are addressed by name: hostels, city hotels, holiday hotels, chains, independent hotels and serviced aparthotels. Two recent additions extend the product beyond pricing itself. The AI Analyse Assistant (November 2025) lets a manager interrogate operating data in natural language without building a report or handling filters, and Pricing Transparency (December 2025) exposes the factors and decisions behind each proposed rate. The publisher claims more than 1,000 hotels and accommodations across 12 countries, rates optimised for customers representing over one billion euros of revenue, and a best-German-RMS distinction on HotelTechReport for 2025. Twenty-six third-party systems are connected, and the terms guarantee 98.5% average annual availability outside announced maintenance.

Annual billing brings the same tier down to €5.00 per room per month; Standard is €7.50 monthly or €6.00 annually, and Professional €10.00 monthly or €8.00 annually, per room per month. GDPR overview
Implementation is concrete rather than declarative. revenue cloud solutions GmbH is established in Offenburg, Germany, so no Article 27 representative is required or appointed. An Article 28 data processing agreement is published as an openly accessible PDF in German and English, with a named sub-processor list, and an external data protection officer is reachable at info@happyhotel.io. The website privacy policy, dated "Stand Juli 2024", names the company as controller, sets out the legal bases under Article 6(1) a, b, c, d and f, and details the rights of access, rectification, restriction, erasure, portability, objection and complaint to a supervisory authority. Transfers outside the EU rest on Article 45 adequacy and EU-US DPF certification for MongoDB and Twilio/SendGrid, with standard contractual clauses as a fallback. Annex II adds data protection management, regular staff training and internal policies.
Who owns the data?
Annex I of the data processing agreement makes the hotel the controller and happyhotel (revenue cloud solutions GmbH) the processor, so the booking, rate and demand data synced from the PMS remain the customer's. Clause 5.6 of the September 2025 terms keeps all rights in the software, its updates and its improvements with happyhotel. Clause 17.2 states that happyhotel processes no personal data, or only anonymized data; clause 17.3 adds that where the customer's system cannot anonymize, the parties conclude a processing agreement instead. On termination, clause 2.5(d) of the DPA requires the processor to delete all personal data and certify it, or return it and delete remaining copies.
Reuse rights
The customer keeps free use of its own data. happyhotel processes booking data and external demand data on the hotel's behalf, so the resulting rate proposals, forecasts, budgets and reports can be exported, published and acted on commercially without asking permission. The stated purposes are narrow: "The Processor processes booking data and relevant external demand data on behalf of hotels. Using such data and intelligent algorithms, optimisation of pricing and other distribution decisions is performed to increase revenue." Annex I names the data categories handled - identification (name, title, function), contact (email, telephone, postal address), technical (IP address, browser, activity logs) and communication data - and its footnote states that hotel guest data is collected only through certain connectors, stored encrypted, neither analysed nor profiled nor passed to third parties, and accessible only to authorised administrators. Section 21 of the privacy policy confirms there is no automated decision-making or profiling. Neither the terms nor the DPA claim any right to reuse customer data for model training, but neither rules it out: the subject is not addressed anywhere.

The security page states a German server location, a choice the publisher presents as deliberate so that its providers fall under German law. Annex III of the data processing agreement names three sub-processors. Amazon Web Services EMEA Sarl (38 Avenue John F. Kennedy, L-1855 Luxembourg) provides hosting, with no third-country transfer recorded; the Luxembourg address is that of the contracting entity, not the location of the data. MongoDB, Inc. (New York, United States) provides database services and Twilio Inc. (SendGrid, San Francisco, United States) handles email delivery, both covered by an Article 45 adequacy decision and EU-US DPF certification. Clause 2.8 requires a documented controller instruction and compliance with Chapter V of the GDPR for any third-country transfer, with standard contractual clauses as a fallback, and clause 2.7 requires at least one month's written notice before a sub-processor is added or replaced. On the marketing site, the privacy policy additionally names Google Analytics with IP anonymisation, Google Ads, HubSpot (Irish entity) and Facebook plug-ins.
