Howspace is a collaborative learning and enablement platform published by Howspace Oy, based in Helsinki, Finland. GDPR overview

GDPR implementation is documented rather than merely asserted. The Trust Center displays a GDPR Compliant status, and the privacy policy is expressly based on Regulation (EU) 2016/679, with a residual reference to Finnish personal data legislation for its file description. A Data Processing Agreement aligned with Article 28 is published and downloadable, and it names every subprocessor with its processing location. Customer Data is hosted in the EU/EEA by default; transfers outside the EEA rely on Standard Contractual Clauses and the EU-US Data Privacy Framework, and the customer may object to a new subprocessor on data protection grounds. As a Finnish-established company, Howspace needs no Article 27 representative and designates none. No data protection officer is named; privacy@howspace.com is the single privacy channel.

Who owns the data?

Section 6 of the Master Subscription Agreement is explicit: "You and your users own the content you put in." Howspace Oy acts as a data processor on behalf of the customer, who remains the controller under the published DPA, and it handles that content only to deliver the service. Section 7 places customer data used by AI features on the same footing. On termination, or on a verifiable customer request, workspaces and personal data are deleted from production databases, while section 14 covers portability and switching so the customer can take content out. Howspace separately acts as controller for its own commercial contacts.

Reuse rights

Customers keep control of what they put in and can export, reuse and move their content elsewhere without asking Howspace for permission; section 14 of the MSA explicitly covers portability and switching. The vendor's own use is narrow and contractually bounded: "Customer Data is not used to train any Howspace, Supplier-controlled or third-party AI model", and that commitment extends to its AI subprocessors, which retain neither prompts nor completions after processing. Content sent to the AI subprocessor is routed to an EU regional endpoint by default. Administrators can also switch AI capabilities off workspace by workspace, and stop author names being passed to the AI subprocessor.

Data retention & training

Retention summary
Retention depends on the type of information and the purpose it serves, so no single maximum applies. Howspace states that it deletes all personal data of users within a reasonable time after the relevant customer relationship ends, or when a user stops using its services. Under the DPA, personal data is processed for the term of the contract; on termination, or on a verifiable customer request, workspaces and personal data are removed from production databases. Direct marketing and feedback data is kept while a legitimate interest in re-contacting remains, or until consent is withdrawn or an objection is raised. Security, application and infrastructure logs are stored securely for at least one year, and backups for a minimum of seven days. The AI subprocessor keeps neither prompts nor completions. Enterprise adds automated deletion, anonymization and auto-cleanup.

Hosting summary

Customer Data is hosted in the European Union or the European Economic Area by default. The primary infrastructure is AWS in the eu-north-1 region (Stockholm, Sweden), although the exact EU country can vary with availability. Things to keep in mind

Risks and trade-offs to weigh before adopting Howspace.

  • Fixed-term commitment with annual payment in advance: during the term the customer stays bound, and non-renewal requires two months' notice
  • Prices can rise at renewal under the capped formula set out in section 13 of the MSA, so the year-two budget is not necessarily the year-one budget
  • AI Builder and AI Coach are beta features: their scope can change, and the Trust Center states that the list of AI capabilities may evolve
