Kabilio is a Spanish AI platform that automates bookkeeping for accounting firms and their clients. It reads invoices, proposes complete journal entries, reconciles bank movements and issues Verifactu-compliant e-invoices, syncing directly with A3ECO and A3CON.
What is Kabilio?
Kabilio is a generative-AI platform built by Kabilio Technologies SL, a Barcelona company, for Spanish accounting and tax practices (asesorias) and the businesses they serve. Its own FAQ is blunt about what it is not: Kabilio is not an accounting program, but an automation layer that sits on top of one. It takes in the paperwork a practice receives, interprets it, and pushes finished entries into the ledger the firm already uses.
Three modules serve the practice. The Procesador captures invoices from a dedicated email address, virtual folders or manual upload, reads photographs and PDFs, separates multi-page files, flags duplicates, and proposes a full journal entry including the counterpart account, the operation type and the applicable tax forms, with a claimed 95% reliability. It also creates supplier and customer accounts as it posts. The Conciliador pulls bank movements through a certified aggregator covering 99% of Spanish banks, or accepts an Excel statement, then proposes matches using AI and configurable rules, handling partial and grouped payments. The Facturador issues electronic invoices that are transmitted automatically to the tax authority under the Verifactu regime. A separate offer aimed at SMEs and the self-employed packages that invoicing tool on its own.
The commercial model is unusual and unusually transparent. Practices buy prepaid credit packs shared across every product: one credit per document posted, 0.4 per reconciled transaction, 14 per bank connection per month. Every product stays open and only consumption is billed. Credits expire after twelve months.
The binding constraint is integration. Kabilio synchronises in real time with A3ECO and A3CON, and its product FAQ states plainly that a practice running any other accounting software cannot be served for now. Data sits on Amazon Web Services servers in Europe, is never transferred outside the European Economic Area, and is contractually excluded from AI model training. The interface, the documentation and the tax logic are Spanish throughout.

There is no permanent free plan. A 30-day free trial, requiring no credit card, is offered on the SME and self-employed invoicing product only. Two separate price lists apply. The lowest paid entry point across the site is EUR 5.00 per month on the annual SME plan (6,000 invoices per year, one tax ID, billed in advance), or EUR 7.00 per month on monthly billing for 500 invoices per month. On the accounting practice side, pricing works through prepaid credit packs starting at EUR 540 for 3,000 credits as a single payment, which corresponds to 18 cents per credit; credits are valid for twelve months and additional credits outside a pack are billed at EUR 0.20 each.

GDPR overview
GDPR implementation is documented rather than merely asserted. The privacy policy is expressly based on Regulation (EU) 2016/679 and the Spanish LOPDGDD, a Data Protection Officer is named and reachable at dpo@kabilio.ai, and the data subject rights are listed one by one, including objection to automated decision-making and withdrawal of consent. The Agencia Espanola de Proteccion de Datos is named as the supervisory authority. The general conditions state that customer personal data is not passed to recipients established outside the European Economic Area and that service providers sit within it. Processor duties are set out in section 8.2 of the published conditions. An information security policy is published and references Spain's ENS standard, but no security certification such as ISO 27001 is claimed anywhere on the site.
Who owns the data?
Under the general conditions, everything uploaded to the platform remains the property and the responsibility of the customer. Kabilio acts only as a processor under the GDPR and states it handles that material solely to deliver the contracted services. Section 8.2.3 names who may receive it: the AI tools built into the software, the customer's own accounting package such as A3 or Sage, the Open Banking access provider, and suppliers needed to run the service. Customers keep control of what they upload and may delete it at any time. Obtaining consent from the people named in those documents falls on the customer, not on Kabilio.
Reuse rights
The customer keeps full reuse rights over the material they upload: it remains theirs, they may delete it at any moment, and nothing in the conditions requires Kabilio's permission to use it elsewhere. Kabilio's own permitted uses are deliberately narrow. Data serves only to run the contracted services and, the conditions state, is never applied to purposes unrelated to Kabilio's operations and never used to train AI models. Where a generative AI tool is involved, data is sent to it temporarily and is not stored permanently. In return, the customer carries the consent obligation for any personal data contained in the documents processed, including for the transfer of that data to AI tools and to the accounting software.

Kabilio states in its general conditions that all data is stored on Amazon Web Services servers located in Europe, which it presents as its guarantee of compliance with EU personal data rules. The same conditions commit that customer personal data is not passed to recipients established outside the European Economic Area, defined on the page as the European Union plus Liechtenstein, Iceland and Norway, and that service providers receiving data sit within that area. A product FAQ repeats that information is stored in the AWS cloud. No individual country and no AWS region is ever named, so the hosting jurisdiction is established only at European level. The publisher is established in Spain and Spanish law governs the contract, with the Agencia Espanola de Proteccion de Datos named as the competent supervisory authority. Bank access runs through a PSD2-certified provider, and Kabilio states it does not store banking credentials.

The generative AI is genuinely doing the work rather than decorating it, proposing complete journal entries instead of merely extracting fields from a template as an OCR would.
Two things stand out favourably. The pricing is more transparent than almost anything in this market: five public tiers, the credit cost of every individual action published, no lock-in period, and setup, training and support included throughout. And the data commitments are specific rather than decorative, with an explicit contractual exclusion from AI model training, hosting on European AWS servers, no transfer outside the European Economic Area, and a stated two-year retention limit.
The constraint is equally clear. Kabilio works with A3ECO and A3CON and, by its own admission, cannot serve a practice using anything else. That is a genuine dependency in both directions, and it should be the first question a prospective buyer asks. The product is also Spanish end to end, which is a feature for its intended market and a wall for everyone outside it.
This is a young company, with roughly a hundred client practices and a EUR 4 million pre-seed round behind it. There is no API, no mobile app, and no security certification despite a published security policy.
