What is Mercendo?

Mercendo is an AI-first business workspace that puts a CRM, a project tracker and a marketing suite behind one assistant. It is aimed squarely at small teams where the same handful of people sell, plan and publish, and where the repetitive administrative layer is what actually gets dropped.

The product is sold as three modules that share one assistant. Relations holds accounts, contacts, opportunities and locations, each record carrying its full history, with a staged pipeline that gives every deal a value and a close date, and with marketing consent tracked contact by contact. Project covers projects, tasks, appointments and notes, all tied back to the right account. Marketing adds a brand profile that captures your tone of voice, plus campaigns, a content calendar, mailing lists and assets. You buy only the modules you want, per seat.

What distinguishes Mercendo is the guardrail around the AI. The assistant knows your accounts, contacts, deals, tasks and appointments, and you brief it the way you would brief a colleague — plan meetings with the accounts behind your five biggest open deals, write three post variants for the spring campaign, create a follow-up task for every lead you have not spoken to in a fortnight. It then works out the steps and prepares everything, but it never writes to your data on its own. Every create, update or delete lands in an approvals inbox where you accept or reject it, and the whole sequence, the AI included, is recorded in an audit log.

Around that core sit voice notes that record a meeting, an online call or a quick memo and come back with a transcript, speaker labels, a summary and proposed follow-ups; a global Ctrl+K search restricted to records you may see; push and in-app notifications; and a documented REST API secured per organisation. It runs in the browser on desktop, tablet and phone and installs from the home screen as a progressive web app, so there is no native mobile application. GDPR overview

GDPR compliance is claimed explicitly and backed by published documents. The privacy statement, terms, data processing agreement and cookie statement all carry an effective date of 25 June 2026, and the DPA is public in six languages. Sub-processors are named in full: Hetzner for hosting in Frankfurt, Mollie for payments, Resend for email delivery, Google Analytics, Sentry, and an unnamed AI provider that receives only masked data. Transfers outside the EEA are covered by the European Commission's standard contractual clauses. Users are told they may exercise access, rectification, erasure, restriction, objection and portability rights, and may complain to their supervisory authority. Marketing consent is tracked per contact. Stated safeguards are encryption in transit, row-level security per organisation and PII masking towards AI models. Dutch law governs.

Who owns the data?

The split is set out in the data processing agreement. For everything you type in about your own customers and relations, you remain the controller and Mercendo acts only as your processor, working on your instructions to deliver the service. For your account and organisation records, Mercendo is itself the controller. Nothing is locked in: the vendor commits to letting you export every account, contact, deal and task over its documented REST API, and you can delete your organisation and all its data yourself from inside the application. When the contract ends, the personal data is either deleted or handed back, at your choice, subject to statutory retention. Organisations are separated by row-level security in the database, and the vendor states it never sells your data.

Reuse rights

Customer data is used to run and secure the service, to bill through the payment provider Mollie, and to let the AI assistant prepare proposals. Reuse by the vendor is deliberately narrow: personal details are masked before anything reaches the AI model, and the agreement states plainly that your data is not used to train third-party models. Anonymous product analytics run through Google Analytics 4 and only after you consent; error diagnostics run through Sentry. The assistant can never write on its own — every create, update or delete sits in an approvals inbox until you accept it, and every action, including the AI's, is written to an audit log. On your side, you may use, export and delete your own content freely, without asking permission.

Data retention & training

Retention summary
The stated principle is that personal data is not kept longer than necessary. Account data is retained for as long as your account exists. Billing data is held for seven years to satisfy the Dutch statutory period. Once you delete your account or your organisation, the associated data is removed, and you can carry out that deletion yourself inside the application rather than having to request it. When the contract ends, personal data is either deleted or returned to you, whichever you choose, subject to any legal retention obligations that still apply.
